Introduction This January 2011 release of Microsoft Dynamics® AX for Retail contains significant changes and additions to the previous June 2010 release.

Deployment and installation

Upgrade You can upgrade the June 2010 release of Microsoft Dynamics AX for Retail to the January 2011 release. You must upgrade both Retail POS and Retail Headquarters.

During the installation of Retail Headquarters, the upgrade checklist walks you through the upgrade steps, including upgrading the database. For complete instructions, see the Deployment and Installation Guide.

Seed data initialization You can now populate the Microsoft Dynamics® AX company with all of the required Retail system data with a single click. Previously, you had to import locale-specific version .dat files that contained this data. The new Initialize button in Retail Headquarters parameters uses the country setting for the current Microsoft Dynamics AX company and correct localized data. Existing records are not updated or overwritten.

Localization

Translations Microsoft Dynamics AX for Retail is now translated into additional languages and adaptations. Retail Headquarters and Enterprise Portal for Microsoft Dynamics® AX are translated to all 38 standard Microsoft Dynamics AX countries (41 languages and adaptations). Retail POS is translated to all standard languages, except Arabic and Hebrew.

Locale-specific features The June 2010 release of Microsoft Dynamics AX for Retail was localized for 16 countries/regions. This release is localized for an additional 22 countries/regions. 9 of them are in SYS and 13 are included in GLS layers.

Microsoft Dynamics AX for Retail has been merged with the four Microsoft Dynamics AX GLS layers and one SL1 layer created for each. In the GLS layers, features in Microsoft Dynamics AX for Retail have been modified to meet locale-specific requirements.

Installers

There is now one installer for all SYS countries/regions and one for each GLS layer.

Locale-specific item descriptions Retailers can use existing item descriptions in Microsoft Dynamics AX to display item descriptions in local languages at stores. Previously, Retail POS used only the base item names, which are only in the base language. Item descriptions at stores did not reflect local descriptions.

This feature is in Items > Setup > Language > Item description for the base item. You can specify the language from a dropdown list, and then enter the text for the item description.

Retail POS utilizes the first 60 characters of the item description; otherwise it utilizes the base item name.

Fiscal framework Microsoft Dynamics AX for Retail is now available in countries/regions where laws require retail systems to support fiscal printers. To support partners in creating fiscal printing solutions, Microsoft Dynamics AX for Retail includes several new features and enhancements.

Sample application

A sample application is installed with the plug-ins installer. It demonstrates the methods used to customize Retail POS for fiscal printing and provides working examples, such as:

Adding and editing items

Tendering transactions

Retrieving fiscal codes

Developer’s Guide to Customization

The plug-ins installer also contains the Developer's Guide to Customization. In a tutorial format, the guide walks through the sample application and provides additional information about customizing Retail POS. You might find the guide very useful even if you are not implementing fiscal support, as it discusses many basic integration topics.

Retail POS database changes

To support fiscal add-ins, fields were added to transaction tables in Retail POS. These fields store the tracking numbers generated by fiscal devices, as well as the device's serial numbers. The data in these fields is automatically sent to Retail Headquarters with the store’s transaction data.

Fiscal printing

Seven countries/regions have fiscal printing requirements:

Italy

Hungary

Poland

Russia

Sweden

Turkey

All of these locales except Sweden use fiscal printers that print receipts and store transaction information required by local tax laws. In Sweden, transaction information is recorded on a separate fiscal device from the receipt printer.

Brazil

Microsoft Dynamics AX for Retail supports Brazilian sales taxes and fiscal printer integration out-of-the-box for the Urmet Daruma, model FS700 printer and the state of São Paulo. Support for the rest of the states is planned for a future release.

Fiscal requirements

Microsoft Dynamics AX for Retail supports customizations to meet all fiscal requirements for devices, printing, and recording in the above countries/regions. Many of these requirements are demonstrated in the sample application.

Items

Item selection A new item selection form makes selections from large item lists easier and more efficient. The new form includes easy to use filters, based on key retail and Microsoft Dynamics AX attributes. Key features of the form include:

A tree-view control for easy filtering based on the retail item hierarchy

Additional filters for item group, buyer group, vendor, and special group

The ability to sort and filter the selection list

Add and remove items, as well as multiple selection

Retail item hierarchy The retail item hierarchy consists of business group, division group, retail department, and retail group. Retailers can use the hierarchy to group and categorize items for reporting, assortment planning, discounts and promotions, and filtering large lists. You can use a new tree-view control to visualize the hierarchal relationship between the various groups. From the new control, you can add, remove, and edit each individual record.

The tree view is also used in other features, such as the Add Items and Retail Items forms for a consistent user experience.

In addition, all levels of the hierarchy can be used throughout the Microsoft Dynamics AX for Retail, such as with the new entity, assortments. The entire item hierarchy is now available in the following areas:

Store item list

Discounts and promotions

Special groups

Loyalty scheme

Retail item list The main retail item list now incorporates the improved retail item hierarchy and the new Add Items form for additional filtering, grouping, and sorting.

You can filter the list by retail hierarchy groups using the tree view, as well as item group, buyer group, vendor, and special group.

Assortments This feature enhances the existing store item list. Assortments provide an easy way to manage which items are available at which stores. For each assortment, you can select items and groups of items using the retail item hierarchy, the new Add Items form, stores, or group of stores. Unlike the store item list, multiple assortments can be assigned to a store. For example, a basic assortment could contain items that are available at all stores. Additional assortments could contain other product lines that are only available at certain stores.

Pricing

Discounts When configuring periodic discounts, the full item hierarchy is now available for all discount types.

Trade agreements The use of retail price groups to specify which stores trade agreements are valid in has been replaced by assigning the groups directly. The behavior is now similar to periodic discount offers.

Customers

Customer management In Retail POS, when creating customers or shipping addresses, you can enter complete addresses, including state, ZIP/Postal code, and country/region. Addresses are saved in the store databases, as well as at the head office using Retail Transaction Service.

A default customer is now a required field when declaring a store in Retail Headquarters, but there is no longer an option to add the default customer to the transaction. The default customer is used for posting purposed only and has no impact on the customer in Retail POS.

Shipping address In Retail POS, shipping addresses can be added by adding a customer to the transaction and clicking "Add shipping address." If an address already exists for the customer, you can also click the New button to create a new shipping address. If the customer currently has no addresses assigned, Retail POS automatically displays the Create Shipping Address form when you click "Add shipping address."

In addition, depending on the store’s setting for destination-based taxes, the sales tax collected can be modified based on the sales tax code on the customer’s shipping address. For more information, see "Destination-based taxes," below.

Default method of taxation When creating customers in Retail POS, the "Prices incl. sales tax" setting on the customer group is respected. For example, in Europe, retailers might want to have add customers with this setting enabled, but want to have this setting disabled for some wholesale customers. In this case, the retailer could have two separate customer groups – a retail and a wholesale customer group – each with its respective setting.

Customer loyalty In Retail Headquarters, you can now configure loyalty schemes for retail hierarchy levels and calculate for individual items. In Retail POS, points are also calculated for all retail hierarchy levels.

Sales taxes Microsoft Dynamics AX for Retail includes several enhancements to the calculation and collection of sales taxes in Retail POS, including respecting additional sales tax configuration options set up in Microsoft Dynamics AX, destination-based taxes, ability to override tax calculation, and allowing stores to collect both inclusive (VAT) and exclusive taxes.

Microsoft Dynamics AX sales tax configuration Previous releases of Retail POS simply respected the sales tax percentages in Microsoft Dynamics AX. Now, Retail POS respects most sales tax configuration options found in the sales tax code, sales tax groups, and item sales tax groups setup in Microsoft Dynamics AX, including alternate setup for the India and Brazil localization. For example, the Origin, Marginal base, and Method of calculation fields found in the sales tax codes setup are now respected in Retail POS.

Destination-based taxes In Retail POS, you can now collect taxes based on where the customer takes possession of the goods. Cashiers can now add, change, or remove a shipping address from the transaction. Retail POS will then use the sales tax group on the customer’s shipping address to determine the appropriate sales tax codes.

Override tax calculation For regulatory compliancy and to make sales tax corrections, cashiers may be required to modify the sales tax calculation in Retail POS. Cashiers can do so in this release using sales tax overrides. Sales tax overrides are configured in Retail Headquarters and are effectively macros that modify the sales tax code matching between the store or customer's sales tax group and the item sales tax group. Sales tax overrides can be configured per transaction or per line item.

Staff must have the proper permissions to perform sales tax overrides. In addition, infocodes can be used to require cashiers to provide notes or reasons for the tax change.

Example: Marking a transaction as tax exempt

Some tax authorities do not require non-profit organizations to pay sales tax. In this example, the retailer requires the cashier to mark the transaction as tax exempt and collect the organization’s tax identification number. Therefore, a sales tax override was created to modify the store’s sales tax group such that the sales tax codes are marked as exempt. In addition, an infocode prompts the cashier to enter the organization’s tax identification number.

Collect inclusive and exclusive taxes at a store Retailers can now collect both inclusive (VAT) and exclusive taxes at a store. Staff define the default method of taxation (the "Prices incl. sales tax" option) for each store in Retail Headquarters. However, this can be overridden by adding a customer to the transaction that has an alternate method of taxation.

Customer-based taxes Previously, Retail POS collected sales taxes based on the store’s sales tax group setting, unless a customer was added to the transaction. In such cases, taxes would be collected based on the customer’s sales tax group (customer-based taxes). Now, retailers can continue to use customer-based taxes or collect sales taxes based on the store’s sales tax group, regardless of whether a customer has been added to the transaction.

Sales tax posting Previously, sales tax was recalculated when posting the statements in Microsoft Dynamics AX. If the Microsoft Dynamics AX sales tax calculation was different than that calculated in Retail POS (for example, an advanced sales tax code setting was not respected in Retail POS), the amount of the difference would post to a tax difference account specified for the store. Now, Microsoft Dynamics AX for Retail will set the sales tax adjusted amount if a difference is detected.

Note

Because Retail POS now respects most of the sales tax configuration options in the sales tax code, sales tax groups, and item sales tax groups setup in Microsoft Dynamics AX, the likelihood of a difference is minimal.

Enhanced sale tax extensibility The Retail POS sales tax plug-in has been enhanced to support multiple add-ins. Each add-in has access to the complete sales transaction object and is responsible for computing tax results for all line items and appending them to the tax collection.

Tax identification number on receipts Retailers can specify a tax identification number for each of their stores, which can be printed on the store’s receipts.

Receipts

Receipt numbering Legal requirements for receipt numbers differ in some countries/regions. For example, receipt numbers must be unique, sequential, or have different sequences per type of transaction (sales vs. return).

Previously, the receipt number contained a prefix with store and terminal information to ensure that they were unique. To meet a particular retailer’s needs, you could only modify this by modifying code in the Retail POS plug-ins. Now, you can specify the formatting and sequence to use when generating receipt numbers. These new settings are in functionality profiles, which are assigned per store.

Receipt profiles Microsoft Dynamics AX for Retail now supports different form layouts (receipt templates) for different stores, terminals, or printers. In previous releases, only one set of form layouts were available.

A new entity, receipt profile, contains a collection of form layouts (receipt templates) to be used by a given terminal at a store. Retailers can create as many receipt profiles as needed and each profile can be reused multiple times. This provides flexibility in formatting, language, and content for printed documents at the point of sale.

Store inventory Previously, performing stock counts and receiving inventory was supported only in Retail POS or through third-party integration. In addition, the supported scenarios were limited and did not include inventory dimensions, such as size, color, style, or configuration. Microsoft Dynamics AX for Retail now includes store inventory features in Enterprise Portal, as well as additional capabilities in Retail POS.

Retail POS

Stock counts

As in previous releases, you can perform basic item counts at the store in Retail POS using a scanner on any terminal. In this release, you can now perform counts for items with inventory dimensions such as size, color, style, or configuration. In addition, the form layout has been modified to better support localization.

Picking and receiving

Previously, only purchase orders could be received in Retail Headquarters and Retail POS. In this release, you can also pick and receive inventory transfers created at the head office. Other enhancements include the ability to pick and receive items with inventory dimensions, the ability to change units of measure, and form layout changes to better support localization.

Enterprise Portal Microsoft Dynamics AX 2009 for Retail now supports store inventory tasks in Enterprise Portal, as well as in Retail POS.

Stock counts

In addition to manual or ad-hoc stock counts in Retail POS, Microsoft Dynamics AX for Retail also supports scheduled stock counts in Enterprise Portal. Staff at the head office can use scheduled stock counts to specify which items to count at the store.

Picking and receiving

Like Retail POS, Enterprise Portal supports receiving purchase orders and picking and receiving transfer orders created in the back office. This release also supports items with inventory dimensions, as well as the ability to change units of measure.

Extending features in Retail POS The Retail Store Inventory module in Retail Headquarters supports additional inventory features not currently available in Retail POS.

Area counts, inventory adjustments, transfer order picking and receiving, price checks, and label printing can be added with third-party solutions or through customizing Retail POS with Microsoft Dynamics AX for Retail POS Plug-ins Code.

For retail solutions that do not use Retail POS (such as handheld devices), the Microsoft Dynamics AX class that serves Retail Transaction Service through BC.net uses public methods to import and export data into store inventory. These can be reused and modified to work with other communication methods or services (such as an Application Integration Framework (AIF) Web service).

Gift cards Retail POS includes several improvements to gift cards.

Issue gift cards with specific numbers

Previously, gift cards could not be issued at the point of sale with a specific card number. Now, a gift card number can be specified when issuing a gift card.

Add to gift card

You can use a new operation, Add to Gift Card, to add funds to an existing gift card.

Gift card balance

You can use a new operation, Gift Card Balance, to look up the balance of a gift card.

Redeem multiple times

Gift cards can be redeemed multiple times. The remaining balance is now saved, while previously a new gift card had to be issued for the unused balance.

Gift card configuration

The gift card feature can be turned on or off with a configuration key. Gift cards are disabled by default. If you are upgrading from the previous release, the feature is enabled by default.

Reorganization

In Retail Headquarters, the Gift Card Inquires command has been removed. Instead, you can find all issued gift cards and their details under Common Forms.

You can select a gift card in the upper pane and view its transaction activity in the lower pane.

You can select a gift card and print its activity.

If a card is locked due to a communication failure while redeeming the card, it can be unlocked in Retail Headquarters.

Closing in Retail POS Several changes have been made to improve the closing procedure in Retail POS.

Retail POS now uses batches to logically group transactions during the day or shift.

A new batch is created when you install or upgrade Retail POS.

Batch ID is tracked in the seed table.

While a batch is open, all sales transactions and tender declarations are associated with that batch. A batch ID is added to the header transaction table (RBOTransactionTable).

An open batch must be closed using the new Close Batch operation.

Z reports have been added to Retail POS. When a batch is closed with the Close Batch operation, a Z report for the batch is automatically printed.

You can use the Print Z operation to print a Z report for the last closed batch.

Three new tables have been introduced in Retail POS and Retail Headquarters to store batch information:

o RBOPOSBatchTable

o RBOPOSBatchTenderTrans

o RBOPOSBatchAccountTrans

A new subjob definition has been added to the P-job definition to pull the batch information from Retail POS to Retail Headquarters.

New form, POS batches, has been added to Retail Headquarters. You can look up current and previous batches, their status, and batch details, such as transactions and the Z report.

Posting retail sales Previously, when posting a retail statement, one voucher journal was created for each statement. The voucher included all transactions associated with the statement, including sales revenue, tax transactions, and customer payments.

Now, when a statement is posted, sales orders are created and invoiced for the retail sales and payment journals are created and posted for the payments. The statement is linked to multiple vouchers, one for each invoice and payment journal, and additional vouchers for various retail specific transactions.

The statement posting framework has been updated to support batches, including a new closing method for batches. To configure statement posting by batches, click the Statement/Closing tab on the Stores form.

The statement posting framework has been updated to support the posting of Retail POS batches. On the Stores form, under Closing, the POS Batch option has been added to the Closing method field.

Aggregation If the Aggregation option in Retail Headquarters parameters is turned off, one sales order is created in Microsoft Dynamics AX for each sale. Sales lines are generated for each sales line in the sale.

If the Aggregation option is turned on, only one sales order is created in Microsoft Dynamics AX for each customer, including the default customer (walk-in customer). Sales order lines are also aggregated where possible.

Aggregation results in fewer transactions being generated and consequently, posting is significantly faster.

Retail POS services New and updated interfaces for services include:

Application service – Updated for better customization of receipt numbers and masks

Dual display service – Merged into the peripherals service and was updated to allow the display of sales totals

End of day service – New methods for Retail POS batches

Gift card service – New methods and updates to existing methods

Infocodes service – New extended service

Peripherals service – Made part of the extended services and the features can be customized. The interfaces included in this service are:

o Cash drawer

o Dual display

o Key lock

o Line display

o MSR

o PIN pad

o Printer

o RFID scanner

o Scale

o Scanner

Tax service – Enhanced to support multiple add-ins

Enterprise Portal Microsoft Dynamics AX for Retail now includes features for Enterprise Portal. In addition, three retail-specific Role Centers and user profiles have been added. These features enable additional scenarios where access to Microsoft Dynamics AX is not available or appropriate.

The three new user profiles include:

Retail Headquarters – This is a general, default role for head office staff and will often be used from Microsoft Dynamics AX. It includes new dashboard-type reports and graphs designed for head office staff. It also displays any alerts for the staff member who is logged on.

Store manager – This role includes store-specific reports, as well as all store management and inventory management tasks. The manager can also receive alerts from various activities at the head office.

Store associate – This role, intended for all store staff other than the store manager, includes only basic store inventory tasks and alerts.

The following features have been added to this release:

Ability to assign users to one or more stores – This determines which stores display data to a particular staff member using Enterprise Portal.

Retail Activity Center – This page shows information about the current store, as well as any open or pending store inventory documents.

Active promotions and discounts – This provides a store-specific view of active promotions and discounts.

Store inventory – Staff can perform stock counts, and pick and receive purchase orders and inventory transfers.

Microsoft Dynamics Commerce Services Microsoft Dynamics AX for Retail provides integration with Microsoft Dynamics® Commerce Services. Retailers can quickly create an online marketplace and associate it with a specific company in Microsoft Dynamics AX. Additionally, retailers can use Commerce Services to integrate their existing online sales channel to Microsoft Dynamics AX for Retail.

Retail Store Connect

Configuration The configuration of Retail Store Connect has been simplified by breaking out the complex connection string into separate entities:

Performance To improve performance, changes were made for more efficient transfer of large amounts of data.

Status messages Every instance of Retail Store Connect uses a local database to track the status of data transfers. Retail Store Connect now uses Retail Transaction Service to optionally upload those status messages to Microsoft Dynamics AX.

Retail Scheduler

Table distribution The default configuration has been updated and the "Linked actions on delete" option has been enabled for better management of store-specific data. For example, if items are assigned to a store group using assortments, removing a store from that store group will delete the respective items from the store databases.

Jobs Two new jobs have been added to send global retail parameters to the stores:
