ESY Procedures 2010-2011 For an IEP Team to determine if a student needs ESY services, they need to review the student’s annual goals to identify the student's critical life skills: Critical life skills are any skill (including social and behavioral) determined to be critical by the IEP Team for the student’s overall educational progress. The IEP Team will consider and document the following factors when determining if a student needs ESY services in order to benefit from their educational programming. 1. Nature and severity of the student's disability: The IEP Team needs to consider: Does the nature/severity of the student’s disability prevent him/her from receiving benefit from his/her educational programming during the regular school year? Does the student have severe behaviors (e.g. aggressive or self-injurious) that prevented him/her from receiving benefit from his/her educational placement during the regular school year? 2. Degree of Progress The IEP Team needs to consider: Does the data regarding the student’s rate of progress toward IEP goals on critical life skills indicate he/she will need ESY services to benefit from his/her educational placement during the regular school year? For an IEP Team to determine if a student needs ESY services, they need to review the

student’s annual goals to identify the student's critical life skills: Critical life skills are

any skill (including social and behavioral) determined to be critical by the IEP Team for

the student’s overall educational progress. 

The IEP Team will consider and document the following factors when determining if a student needs ESY services in order to benefit from their educational programming.

1. Nature and severity of the student's disability:  

      The IEP Team needs to consider:

Does the nature/severity of the student’s disability prevent him/her from receiving benefit from his/her educational programming during the regular school year?

Does the student have severe behaviors (e.g. aggressive or self-injurious) that prevented him/her from receiving benefit from his/her educational placement during the regular school year?

2. Degree of Progress

      The IEP Team needs to consider:

Does the data regarding the student’s rate of progress toward IEP goals on critical life skills indicate he/she will need ESY services to benefit from his/her educational placement during the regular school year?

3. Interruption of Services:           

  The IEP Team needs to consider:

After reviewing progress on critical life skills, are any of the skills at an emerging, breakthrough point?  If so, will the student need ESY services to benefit from his/her educational placement during the regular school year?

Entering ESY Information into IEP Plus:

 

1. Open a revision to the current IEP. (Refer to the Special Ed. Blog for revision procedures.)

2. Open the Extended School Year tab.

3. Type in the summary of discussion that the IEP team had regarding ESY services.

4. Add services: Click on the add services button.

 13. Calculate ESY frequency and duration before entering the information into

the IEP Plus frequency and duration fields. Total Program length: 4 days per week – 195 minutes per session

 

1. Determine the number of days the student will attend the ESY program

Example:  4 days per week

2. Multiply the number of days the student attends by 195 (minutes).

Example:  4 days x 195 minutes = 780 minutes total minutes per week

3. Calculate the number of related service minutes per week.

Example:

Speech/Language – 2 sessions – 30 minutes per session = 60 minutes total

Occupational Therapy – 1 session – 30 minutes per session  = 30 minutes

total

ADD the total number of related service minutes per week

Total: Speech:  60 minutes + Occupational Therapy: 30 minutes = 90

minutes related service time.

4. Subtract the TOTAL number of related service minutes per week from the

total minutes in ESY per week.

Example:  

780 total minutes ( 4 x 195) – 90 minutes related service time = 690

minutes ESY instruction

5. Divide the total number of ESY instructional minutes by 4 (number of

days served per week.)

                    Example:  690 ÷ 4 days = 172.5 minutes = 173 minutes (instructional)

After the first service (instructional service) is entered, select “Add” to enter each

additional service (related services etc.).

Using the example listed above, the schedule of services will look like the screen shot

below.

14. Click on setting.

15. Select ESY Special Education Classroom

16. Click Save

17. Repeat steps 3 thru 15 to add related services for OT, PT, and speech.

Please indicate if related service will take place in the ESY special

education classroom or in the ESY therapy room.

18. If the student used an assistive technology (AT) device (ex: portable word

processor, handheld speller, hearing aids, CCTV – vision etc.) or a special piece

of software (ex: assistive reading program/talking word processor, graphic

organizer program, phonetic reading program, etc.) please add assistive

technology as a service following steps 3 thru 11 and then clicking on save.

Please do not fill in frequency, duration or setting for AT services

19. If the student required special transportation during the school year please add

the same transportation service indicating the types of special accommodations

that are needed (ex: mini bus with a car seat).

Do not fill in frequency, duration or setting for transportation services

Complete the ESY Special Education Transportation Form on the SPS

website (Departments>Spec Ed>Staff>Forms).

20. Identify the annual goals that need to be addressed during ESY by selecting the

checkbox next to the goal.

21. Click Save.

22. Once parent has signed consent, Finalize the IEP document.

23. Select Return

24. Complete a Written Notice for the ESY revision.

25. Place original in the student’s cumulative record. Provide the parent a full copy

of the IEP revision and Written Notice.
