Greetings and welcome to the premier issue of Ramboll India’s employee newsletter.

Ramboll’s biggest strength is its employees. The company, since its inception, has taken a number of initiatives that are focused on empowering and engaging staff. We envision the newsletter to provide one of the key platforms for two-way communication between the management and you.

As Ramboll grows, it is crucial that we have coherent means of sharing information and getting to know more about our employees – the real catalysts of growth.

Speaking of growth, I would like to share with you that Ramboll India’s contribution to the overall financials of the company has increased significantly over the last few years. Our commitment to continue this growth calls for increased focus and investment in your development. This is a prime reason why we have realigned the training and development strategy for the year. The HR function has the mandate to conduct trainings that add value in the context of a creative learning process. In the first half of this year, over 10,000 training hours have been delivered and I hope that most of you have been able to benefit from this. Our target for the second half of the year is almost double of the H1 hours.

I have been on board with Ramboll for two and half years years but never had the true opportunity to have the “Copenhagen Quality” or Nordic heritage which we often refer to our staff and

clients. Recently I spent four days with my family on a vacation in Copenhagen – which by some accounts is the world’s most liveable city. I was very impressed with the simplicity and practical design of the infrastructure while maintaining a connect with the people and the historical architecture. The community and participative context is displayed very well through the social and physical infrastructure. I felt proud to ride the classic Tivoli Ferris wheel, which actually is one of the first projects designed and implemented by our founders - Professors Rambøll and Hannemann. I now have a much better appreciation of the highly principled and community based environment that our company belongs to and believes in.

Closer to home, as you are aware the population living in Indian cities is steadily increasing and causing significant pressure on the quality of life. The current situation calls for urgent planning and design solutions to change cities so that they are liveable, today and for posterity. It is also important that India looks for smarter ways to manage complexities, reduce expenses, increase efficiency and improve the quality of life. For the same, the Government of India has recently announced its plan to set up Smart “Liveable” Cities across the country. We at Ramboll are known to have played a central role in development of some truly world-class cities including Copenhagen and have worked on high profile liveable cities projects globally. The business and political environment prevailing in the country is conducive to fuel Ramboll’s growth by collaborating with the States and Central government for these Smart “Liveable” Cities project.

With this note, I wish to reaffirm my belief in our performance and continued growth. I urge you to take charge of your and the Company’s destiny, by ensuring your own development and in the process taking the Company along with you.

Welcome to the inaugural issue of EXPRESS, Ramboll India’s quarterly newsletter. At the outset, I would like to thank you for the tumultuous response to the newsletter name competition. It is absolutely delighting and encouraging to note that we received 133 suggestions from all across.

The purpose of this publication is to enable and strengthen communication among colleagues across our offices, businesses and teams in India. Each quarter, the publication shall bring forth interesting and informative stories on key updates at Ramboll India.

With any publication there is an editorial team. The editorial team of RIN newsletter comprises Amit Guin, Ravi Gupta and myself. As you page through the newsletter, we hope that you discover the company, teams and your colleagues better.

Meet Ramboll India’s IT team which is also interestingly known as Team 2825 (earlier these were the last four digits of the IT helpdesk number in Hyderabad) which plans, operates and supports Ramboll India’s IT infrastructure, thus enabling employees to carry out their functions efficiently, productively and securely. With consistent support from Global IT, the department enables smooth project management and delivery of projects to the clients. Pramesh T U leads the ten-member team of which seven are in Gurgaon, two in Hyderabad and one in Mumbai.

Support Services

To help employees make the most effective usage of the IT resources, the team serves them with various forms of support. After the installation of any new software, applications or network facilities, the IT team provides guidance to the end-user so that they can efficiently make judicious use of the new resources. The team provides consistent support to employees through a helpdesk. A major achievement which merits a mention here is that the team’s Turnaround Time (TAT) in resolving the remedy tickets sent by employees at the RIN IT helpdesk is one of the fastest in the company. “I feel proud to be part of this team and really appreciate the amount of hard work we all have put in to reach this milestone”, says Akrosh Saxena, Director, Finance.

Business Continuity

Companies these days do not store information in large file rooms. Rather all data and documents are stored digitally. This helps the data to be available for everyone in the company regardless of their location. The RIN IT team takes a backup of the data on an hourly basis, which further gets replicated to a server in Copenhagen. For this, they have in place systems and tools to procure, store, manage, secure and distribute data. This infrastructure setup has given a complete changeover to the performance of the organization and is a major initiative towards business continuity. Barring only one instance when the network went down, the availability time was in fact cent percent in the last one year.

Security

Data security management is one of the major tasks undertaken by Global IT. In India, the team works in tandem with Global IT to ensure the safety and security of the infrastructure and business-critical data against attacks from viruses among other threats. “We very well understand the fact that any harm to the IT infrastructure and data can have an immense negative impact on the business

operations with a consequent impact on customer service. To avoid such situations, the Global IT has put stringent security policies in place to minimize the risk and impact of security breaches,” said Pramesh.

Strengthening GEC

The team ensures that the right level of technological resources and infrastructure are available to bridge the gap between the demand and supply of the business units. When the company’s Global Engineering Centre (GEC) was established in January 2014, the team worked very closely with Global IT to plan and launch a seamless infrastructure that continues to be the lifeline for cross-country collaboration on projects between the GEC and the Principal Business Units. GEC employees can now actually see the change while working on projects in collaboration with the PBUs.

Collaboration across borders

The team while working with different CBUs discovers and explores latest technology. Today they possess skills in the field of networks, servers, CAD support, SACM, among others to cater to the needs of the staff members. Sooner or later, the Indian IT team will merge with the global setup. The team in India also appreciates and welcomes the support they get from the Global IT team. “Global IT

has actually played a very vital role in bringing the change we see today,” said Pramesh. The members of the team understand the fact that improving and maintaining the IT infrastructure in India has an underpinning effect on the robust growth of the company. And this motivates them a lot to be an important cog in the wheel of growth of the company.

On 18 June 2015, Ramboll India issued a press release to the media stating its continued commitment to the Indian market and plans to invest bigger in the region. The press release was covered by some major online news portals including Press Trust of India, India Today, The Telegraph, Zee News.

Here is an excerpt from the coverage of the news:

Ramboll Group CEO, Jens-Peter Saul who recently visited India met the Minister of Urban Development, Government of India, M Venkaiah Naidu and Denmark’s Ambassador to India Freddy Svane, key clients and select partners. The meeting with the Embassy and Ministry officials was focused on potential areas of collaboration where Denmark and Ramboll could contribute to the country’s 100 Smart Cities Project.

“Ramboll has acquired a prestigious client base in India over the past decade. We have firmed up our investment plans and stay committed to our clients and community to achieve sustainable solutions that impact the end-users and society as a whole,” said Pawan Maini, Managing Director, Ramboll India.

“Cities have become the engines of economic prosperity and development. Ramboll’s vision of developing smart liveable cities envisages a balance between governance, economy and urban planning to physical infrastructure, sustainable buildings, climate adaptation and environment”, said Srinivas Chekuri, Head of Transport Planning, representing Ramboll at the “Smart India – Smart Solutions for Smart Cities” conference.

A joint initiative by the Government of Andhra Pradesh, Andhra Pradesh Tourism Development Corporation and the Confederation of Indian Industry, the conference was organized in Vizag on 26 June with the objective to create awareness of Smart Cities, challenges and opportunities present in making our cities smart.

In his session, Srinivas noted that Ramboll supports cities in all aspects and at every stage of their development - from the creation of visionary urban concepts to the development of cities. He also shed light on the projects in which Ramboll was involved such as Chicago Lakeside, Bishan Park, among others. The day-long conference was attended by around 300 participants representing various government and private sector companies.

The Buildings team were recently awarded the contract to provide structural engineering services for Amazon’s Indian Headquarters in Hyderabad. The 70-metre high building spanning 3,500,000 square feet comprises two towers - North Tower and South Tower and is connected at all levels with a three-bay overlap.

“During the initial discussions, Ramboll had proposed the expansion of the joints between the two towers to cater to the temperature loads,” said Satish Shankar Hawal (photo inset), Team Leader, Civil/Structural Engineering. But, Amazon, after revisiting their scope of work, requested Ramboll’s team to look at the possibility of eliminating the joints as they were worried about maintenance and operational issues. Based on their inputs, Ramboll did a number of iterations in coordination with the architect and avoided the provision of the expansion joint by taking advantage of three-bay overlap, which was appreciated by the client.

Speaking on the uniqueness of the project, Satish remarked that compared to other regular projects, the controlling factors in the Amazon project are different. “There is primarily a need to control the serviceability limits. To cater to this requirement, we have provided a number of options to limit, control and finalize the options after getting accord of all level reviewers.”

With the sole objective of controlled loading on telecom towers, Ramboll has been executing tower loading validation activities (TLVA) on all Indus telecom sites since January 2010.

Indus Towers, the world’s largest mobile infrastructure company, has more than 110,000 towers in India, which they use for their own JV partners and rent out to other operators. Initially, the tenancy ratios at the sites were around 1.2, whilst the requirement to break even was around 2. Tenancy ratio is the number of operators or tenants who have installed their antennae and other active infrastructure on the towers.

To accommodate the rise in the number of tenants, and also improving earnings at the Indus sites, Ramboll undertakes activities like structural inspection, site recommendation along with strengthening/ rectification works and provides 24/7 technical support on feasibility of additional loading. A classification is done for all Indus telecoms sites into design families and a data bank is maintained to keep a tab on the existing tower loads in order to establish how much more load may be permitted on these towers. “Initially we faced challenges pertaining to data management. But our team members used customized applications like iTowers and Rambase to increase the turnaround time,” said Srinivas Tanuku, Head – TLVA Design Department, Ramboll India Telecom. Ramboll has validated 50,000 towers to date, and has suggested strengthening solutions for 17,000 sites to increase the capacity for tenancies at these sites. Indus has been appreciating Ramboll’s valuable support in terms of engineering consultancy provided to them. Indus also values Ramboll’s efforts in achieving the targets and smooth handling of the projects.

The GEC helps in seamless collaboration to promote a strong culture of trust and confidence between the PBUs and the Global Engineering Centre

Owing to globalisation, most companies worldwide are making efforts to become more competitive, and thereby improve their market share. To this end, Ramboll launched a programme called the Competitive Platform, of which Global Engineering is an essential component. Accordingly in 2013, Ramboll developed a business plan outlining the foundation for the necessary decisions to be taken towards the implementation of Global Engineering Centre (GEC) from 2014 to 2016.

The plan envisages bringing in international expertise, technical collaboration and knowledge to provide sustainable solutions in Buildings and Transport to the six Principal Business Units (PBUs) namely Denmark, Finland, Middle East, Norway, Sweden and UK. A Global Engineering (GE) Advisory board was constituted as the advisory body for the overall operation, management and development for GEC.

Among others, the GE Advisory Board consists of members from the Principal Business Units. The PBUs are represented within the Advisory Board by the MDs or an Executive Director nominated by the MD. The Operational Committee with representatives from all PBUs are established for Transport and Buildings unit to create a forum for operational coordination. The Centre is headed by

the Senior Director Iftikhar Drabu, who is responsible for implementing all decisions on management, operation and development of the GEC made by the GE Advisory Board. He is assisted by Market Directors for Buildings and Transport.

During the inauguration of the GEC in Gurgaon in June 2014, Knut Akselvoll, Group Executive Director, Country Units, Ramboll, said that “the initiative to start this Center is our strong commitment to provide support solutions to the world and India and our plans for continued growth in this dynamic market.” And this is what GEC has been doing since its inception. A GE Board meeting was also held the same month which deliberated over the overall operation, management and development of the GEC. In the Operational Committee meeting held in September that year, the members agreed upon on the operational framework in regards to the GEC.

“In 2014, GEC had employed 123 staff and delivered 85,000 hours out of the Gurgaon office. In the Business Plan for 2015, GEC has envisaged delivering 288,000 hours of work and with a staff strength of around 340.”

Earlier this year, the GE Board approved the business plan for further strengthening GEC which focuses on ramp-up plan, consolidation of the project delivery model, developing infrastructure, analyzing and enhancing its efficiency, and developing existing and preparing for new services. The vision with which the GEC was set up is finally seeing the light of the day as it is increasing competitiveness of the PBUs, improving their profitability, thereby supporting the growth of all of its businesses wherever possible.

One of the first employees to join GEC, Anuj Maitrey, Manager –Operations feels that GEC’s journey has been “eventful and interesting till now.” Since its birth, GEC, according to Anuj, has been successful in having a continuous dialogue with the PBUs, synergizing its resources, and ultimately developing it as a centre of technical excellence. Recently, Narinder, who is “very excited to work on bridge projects”, joined as the 200th employee in the Bridges department of the Centre.

One of the first completed projects delivered by GEC was the Manchester Smart Motorways Phase-I project where its Bridges team with Senior Design Engineer Prakash Sahoo as the team leader executed an independent check for the gantries in collaboration with Ramboll UK. Prakash recollects that it was an enriching experience working with RUK on the project. “The feedback from the PBU

was very positive. We gave high quality deliverables on time,” says Prakash.

Late last year, employees from GEC also participated in Ramboll’s employment satisfaction and engagement survey. The survey outcomes indicated that most of the employees are aware of Ramboll Project Management model and are cognizant of its business strategy. One of the conclusions drawn from the survey was the continued engagement and investment in employees which has made the GEC a workplace employees are proud of.

Iftikhar is of the firm opinion that there are fantastic opportunities for employees in the GEC to work and learn alongside colleagues from different cultures and backgrounds. Apart from holding regular interactions with the stakeholders, GEC organizes skill enhancement sessions for its employees. Global Engineering on-boarding sessions have also been implemented for the employees where they are made aware of the various aspects of working in Ramboll in general and GEC in particular.

GEC is now the cornerstone of the organisation’s Competitive Platform, where it is meeting the challenges of the ever-increasing global competition, while maintaining the high standards and quality benchmarks of Ramboll.

A centralised mailbox for mobility support

Bengaluru employees delighted by team building workshop

The Coffee with Director programme was launched with much fanfare and has evoked positive response from employees. Himanshu Singhal, Senior Manager, Global Business Applications (GBA) India feels that these meeting give the fellow colleagues room to interact in an informal environment with the Directors. “There is a personal touch in this programme. I got to know about Pawan Maini’s feedback and suggestions to enhance the productivity and visibility of our department,” says Himanshu. For Shweta Sharma, Application Support Analyst, GBA India, it was one of those rare moments when she got an opportunity to chat with Pawan Maini. According to her, over a cup of coffee, she had an easy-going discussion with him where she shared her thoughts on various aspects and got to know about his views on several subjects. Gaurav Tripathi, Senior Project Manager, National – Site Engineering Department, Ramboll India Telecom (RIT) discussed periodic trainings and skill development programmes apart from other topics with Pankaj Sachdeva, Director Telecom over lunch. Ankit Neema, Deputy Manager, Radio Frequency Engineering Services, RIT and Sunil Kumar Srivastava, Assistant Engineer, Site Engineering Department, RIT, had e-Coffee meets with Pankaj.

The programme will commence in August for GEC Buildings & Operations, Buildings and Transport units.

Ramboll India Mobility team has recently launched an e-mail ID for the smooth functioning of the mobility services. Employees visiting India or moving to other PBUs can now contact the team at [email protected].

Employees moving to India can use the e-mail ID to know more about the taxation and entry formalities, apart from the facilities management system and contract matters. On the other hand, the ID helps the outbound employees in matters related to documentation, visa application and extension and renewals, among other things.

The Mobility team makes all efforts to ascertain that invitation letters are provided for those moving for short duration. It also helps in coordinating and supporting in oversees visa application process for all business travellers, short-term and long-term assignees to Ramboll PBUs.

Ramboll India’s Bengaluru colleagues recently participated in a day long outbound workshop on team building at The Woodrose Club in the city.

Fun-filled collaboration and team bonding exercises were organised for the colleagues who started the day with an ice-breaker session. The workshop rolled out across the day with a number of other outdoor activities.

Appreciating the initiative, Design Engineer in the Civil/Structural Engineering Department Akshata Subramanian said that she “loved attending the workshop.” “It was a very good and constructive session. All the activities were amusing and insightful,” noted Girish Parthasarathy, Project Manager Level 2, PMC Team. The workshop saw the staff members mingling in an informal ambience over games, activities and delicious food at the club.

Rolling up sleeves for society

Since its inception, Ramboll has strongly institutionalised responsible corporate business conduct in all its work. A business behaviour based on trust, integrity and professionalism combined with high ethical standards, responsibility towards society and thriving employees have always been the driving force in Ramboll.

Taking this quest for social value creation for the company forward, Ramboll India has recently implemented a Corporate Social Responsibility Framework which serves as the guiding document for Ramboll India’s endeavours to deliver CSR initiatives. The Framework was developed by a CSR Project Group comprising representatives from various business units and management. The Group is responsible for coordinating and implementing the plan with guidance of the CSR Executive Committee.

CSR in Ramboll India means the voluntary proactive approach the employees take in their daily workdays and beyond to meet or exceed the expectations of the stakeholder and the customers by integrating social, ethical, and environmental concerns together with the usual measures of revenue, profit, and legal obligation.

Ramboll India recently launched a Book Club, a platform for all book lovers who would like to share their favourite books with colleagues. The purpose of the Club is to discover new books and people, have informal discussions on books and the subject of reading, and lend books they have read while grabbing a chance to take something new back home.

Ramboll’s Book Club aims to make a successful intervention and contribution to establishing lifelong learning and critical thinking amongst the employees. It also aspires to give shape to a more creative and productive workforce in the company. Rashida G. Mohd, a Modeller with GEC is an avid reader and finds the concept of the Club as “an exciting initiative which helps in promoting a constructive activity.”

“I see enthusiastic colleagues sharing their books with others and hence creating a platform where they give a chance to others to read books hitherto unknown to them,” says Sarita Negi, who ideated

The CSR programmes will be charted out in India to encourage community support for the projects in the country. Along with it, the programmes will aim to contribute to the community’s socio-economic development and give Ramboll India the opportunity to form partnerships with Non-Governmental Organisations, governments and other relevant bodies.

If you could choose anyone, who would you pick as your mentor? And why?My mantra for life is “Believe in yourself and your karma, rather than following other’s footsteps. Yes, there are a number of people who have inspired me, but none is my role model.But I am inspired a lot by Pawan Maini because he is very positive and visionary. He knows how to live a balanced life. I would like to learn leadership skills from him. If you could learn to do anything, what would it be?When it comes to learning in career, I would like to learn more management skills. But personally, I would like to learn to ride a bicycle and play the guitar. What is the one thing you are proud of while working with Ramboll?Well, I feel proud every day as Ramboll has a good work culture and is employee-friendly too. But the best moment for me was when the management promoted me to lead the Recruitment Team.

Where were you educated and what majors did you specialize in? I graduated from Delhi University and also completed an MBA in HR from Symbiosis, Pune University.

What is your favourite quote?My favourite quote is “If you realized how powerful your thoughts are, you would never think of negative thoughts.”

What is your favourite pastime?Listening music, watching movies and reading novels.

What are the three things people would be surprised to know about you?I don’t like cooking. I want to go skydiving. And I am scared of lizards.

If you are allowed to live all over again, then what things would you do?I would have liked to be an interior decorator. Also I would have liked to re-start my career outside India, especially in Dubai, to design fancy high-rise buildings.

What is your favourite book?The Secret of the Nagas (The Shiva Trilogy Book 2).

What is your favourite movie?All parts of Final Destination.

Which is your favourite sport?Volleyball and Badminton.

What is the one thing you would like to do before you die? I would just want to hug my husband and parents.

Who is the one fictional character you would like to be?Vikram – Betaal. The best part of each story was that it ended with a moral question answered by King Vikramaditya.

What is your first memory of being really excited?I was excited when I got my first job and bought my own car.

What would you name the autobiography of your life?Shivi’s life.

It was 1945, the wake of the Second World War, when two pacifists opposed to war conceived a company that would portray strong humanistic, ethical and social visionary elements. Both - Børge Johannes Rambøll and Johan Georg Hannemann – cherished creating a company that would have shared responsibility towards the society and also be home to happy and content employees. The two founders advocated non-violence and with that thought in mind created a philosophy where their company would never work on military projects and abattoirs.
