Executive Summary of the Internship

Temporary job is the essential piece of BBA degree Program. It is necessary

to do 6 weeks internship in the end of 6th semester. I have done my internship

in the HR (Human Resource) & Finance Department of Pakistan

Telecommunication Limited (Say Hello to the future) Regional Office Saddar

Rawalpindi. Internship is important to investigate the organizational world in

for all intents and purposes and gain from day by day assignments of the

association.

This entry level position report contains all the data about my

work involvement with the PTCL I invested great energy in learning and had

great time in taking in the association's way of life, its workplace and the way

they work. I learnt to deal with different situations and have experiences of the

organizations working environment which affects an employee performance

and attitude towards work and had good time in learning and performing

duties as HR & finance Intern

The HR bureau of the PTCL has set up and the most important branch of the

PTCL. The primary motivation behind the report was to audit the HR

functions, strategies and methodology embraced by the association. PTCL

satisfaction motivates them to work hard and provide better results. It was

1. Introduction

This report is on my internship at Pakistan Telecommunication Limited covering

the period of 6 weeks.

PTCL is a largest telecommunications provider in Pakistan. PTCL also continues

to be the largest CDMA operator in the country with 0.8 million V-fone customers.

The company maintains a leading position in Pakistan as infrastructure provider

to other telecom operators and corporate customers of the country. It has the

potential to be an instrumental agent in Pakistan’s economic growth.

As an internee in Pakistan Telecommunication Limited the main focus of

my study was in Human Resource. The stand point of working in the organization

is to have an idea of practical implementation of principles and strategies

especially of finance concern.

Thus, the during my internship period I carried out with the following objectives:

In PTCL (Human Resource and Finance) branch laptops and PC’s were

provided to all employees, the facility of Internet was available there all the time,

so that employees can complete their daily tasks and send and receive records,

files and information on the time without any hurdle. Filtered water was available.

Tea was also offered for refreshment of employees. ALL employees in PTCL

Human Resource and Finance branch were very humble and friendly. They

treated me in very nicely. The overall environment of the both branches was

quite disciplined and peaceful.

SIR Saleem was the supervisor IN PTCL (Human Resource Management) ,

sadder RWP.HE direct and train the internees of that branch. Sir SALEEM

AKHTAR was on the position of UDC (Upper Division clerk) in this branch. He

was also a temporary coordinator of that branch. He provides a link between us

and branch manager. He checks, guide and assign activities to internees of that

department. He was very humble person and treats all the internees in a good

manner and appreciates me on my work.

Data compilation

“Data compilation” was the first assignment which was given to me in PTCL. Sir

Saleem was the supervisor who assigned me that work. Almost 30 files (in hard

form) of employees were there and I had to enter data of employees in Micro soft

Excel. Actually I had to make pension account of the employees in Micro soft

Excel. serial number, Name ,age, region, national I.D card number, cell phone

number was entered of each employee. It was a great experience for me to use

Micro Soft Excel for the organizational purpose. Some difficulties occur while

compiling data but Supervisor Sir Saleem resolved the problems and tell me how

assignment to the supervisor, he checked the assignment and appreciate my

Gathering and Updating

Next day a group assignment assigns us. There was a group of three members

(Hira, Iram and me). In this assignment we had to gather information about the

post and reward, incentives or any kind of achievements in last five years of the

employees in the RTR (Rawalpindi Telecom Region). It was also a new

experience for me to call each employee and talks about their achievements. A

telephone was provided us for this purpose and a list of employees number

(personal and office).Some employee respond to our calls immediately and talk

with us in a good way but some of them don’t received our calls so our work

remain pending to the next day. Some employees don’t want to give their

information to internees. It was a big challenge for us to face this situation. We

report this condition to Sir Abid Hussain who assigned the work to us; he called

those employees and said to cooperate with internees.

It was a great experience for me to talk to each employee. I learned how to deal

and gather information from employees.

This was my third assignment to update employee data in Micro Soft Excel. It

was also a group assignment now there are four members (Me, Iram, Hira and

junaid).Above 700 files (in hard) were given to us for this assignment. It was very

There is a proper method to avail the medical facility by the employees of

PTCL. First of all employee show his/her employee service card the hospital

with which contract is made .Hospital make a proper bill slip of the expenses,

date , time a and diseases and send it to the HR department, Sir Tanveer

who is the medical supervisor forward these bill slips to head quarter

ISLAMABAD for approval. After approval payments are made to the hospitals.

The maximum limit of the medical which can be given to an employee is

450,000 by the Pakistan Telecommunication Company Limited.

Sir Tanveer assigns the work to maintain medical record on SAP. He logged-IN

by his User –ID and give it to us for assignment. I entered Name, Date, EPI

number and payment amount on the SAP, the software uploaded the data and

shoe the balance of medical allowance.

Recording leave data on SAP

In PTCL a proper record of employees leaves are maintained in HR department.

Sis Abid Hussain was the in-charge who deals with the leaves accounts on SAP

and update information on daily basis. the leave must be approved by the Head

Quarter ISALAMABAD after approval Sir Abid Hussain update the leave.IN SAP

total leaves in the service life , remaining leaves and salary is given of each

employee.

Sir gave us a brief lecture on the types of leaves. There are some types of leaves

in PTCL which are:

Medical leave

Due to any reason of disease, injury and accident, the leave should be approved

by the Head quarter ISLAMABAD along with medical certificate.

Casual leave

Due to urgent piece of work, employee can absent from the work. Casual leaves

are given to employees of 28 days per year.

Special leaves are given to the female employees of the Pakistan

Telecommunication Company Limited. Special leaves are given to the female

employees, of 130 days.

Leave Encashment

If an employee saves his /her leaves and don’t avail it so PTCL give him/her six

months’ salary along with actual salary.

Maternity Leave:

3 months leave for the pregnant employees.

After the lecture he gave me 10 files to upload their leave along with the reason

of leave on SAP and also check the leave balance. It was so interesting and

knowledgeable experience for me.

Posting/transfer orders

Sir Sleem gave me assignment to enter the name , qualification, region, EPI

number and new posting location and supervisor name in the EXCEL sheet and

send it to the Assistant Manager (Fozan Khan).

This was very interesting task and he appreciates me on my work.

Sir Fozan told me how to cut or crop and attach the pictures of employees in the

mail

1.4.7 Summary of learning

I started my internship for the reason of completion of BBA program. I selected

Pakistan Telecommunication Company Limited (PTCL), which is the Pakistan’s

leading and one of the oldest telecommunication company, for my internship.

This internship is one of the most memorable, knowledgeable and informational

experience in my life. This internship provides me experiences, lessons, skills

and tools which will help me in my professional in future.

In PTCL my learning process started from the interview ,this was the first

interview in my life, I learnt a lot of things like how to prepare myself for interview,

how to present myself in a good way, how to explain my qualities and skills.

MIYAN SAHAB was the person who conducted the interview in ISLAMABAD

Head quarter.

I joined the office according to the joining date; the first day of internship was full

of excitements and hopes for the future. In the very first day an orientation was

conducted and a brief lecture was delivered by the Sir FOZAN about the office,

its staff members, their ranks and positions, functions of the department, and the

timings of the office. I observed the environment of the office and it was quite

friendly. Through orientation and lecture I easily understand the authority line of

the department and functions of the Department. The HR department deals with

the recruitment, selection, training and development, pension fund, Reward

system, Promotion, Demotion and Medical allowances. About all these thing I

learnt before, in my course but now I learnt how these things really works and

different kind of funds and accounts can be treated.

The First assignment which was given to me was to maintain data of employees

on Microsoft Excel. Before this I have some knowhow of the Excel but my

supervisor briefly explained me how to pass entries in the Excel sheet, how to

make portions, change the size of the cells and how to Named the cells, this give

me a great learning of using Excel and after completing assignment my skill

developed on it. Now I can easily use the Excel. I maintained data of employees

by entering their names, CNIC number, Designation, address, phone numbers,

age and Post etc.

By this assignment I actually realize that how personal information of each

employees is recorded in the offices.

Next assignment was about the reading personal profiles of the employees which

were in hard form. Copy of CNIC, Degrees, other certificates, cell number, EPI

number and diplomas etc was attached in each file of the all employees. It was

our assignment to check how data is maintained in offices.

By this assignment I understand which documents are needed to maintain the

personal profiles in the organization. Organization can easily approach the

employees by using information which is recorded in personal profile.

Next assignment was about to data gathering from employees. It was quite

interesting and new experience for me to talk with company’s employees and ask

them about their previous rewards and incentives. From this assignment I

learned how to talk and gather data and information from the employees through

telephone. Challenges gives lesson to the workers, I also face challenge in this

assignment that some employees are not willing to share their information to

internees as they have no authority in the organization, to cope with this

challenge was a great learning for me.

Another assignment I done in PTCL was updating data of 700 employees for the

promotion. It was a heavy assignment but also a great source of learning. I

updated employee’s personal information on which bases their promotion was

made

After completing this assignment I understand that how personal data is

maintained and on which basis promotions are made.

It was my first experience to work on SAP; it is German software which is used

round the glob for the business purposes. Sir Tanveer and Sir Abid describe

briefly about the SAP, its importance and how to use it and for which purposes. I

passed entries for medical allowances and check the balance amounts. Now it is

clear In my mind how and through which ways an organization provides medical

facilities to employees and its family members.

SAP is also used for the purpose of leave; a proper record of leaves of each and

every employee is maintained on SAP. Sir Abid gave a brief lectures on leaves,

types of leaves, minimal number of leaves, rules and policies regarding to leaves.

It was so informational for me.

A meeting was conducted by the assistant manager Sir Fozan, about the

performance of the employees, he told us about the payrolls and it is the duty of

HR department to receive and check the performance of all departments of

PTCL. If any department doesn’t send its employees performance report so HR

department can demand for it.

I learnt a lot of things from group tasks, how to manage the group and work

together for a common purpose. I have learn many things by just sitting in the

office about the environment, how staff member talks and share ideas with each

other, how manager assigns takes to the workers, how manager check the

activities through his round and how to resolves the problems of each other.

One important thing which I noticed that our Assistant Manager was the only

female in the office, sometimes it is difficult to work in that environment in which

all staff members are of opposite gender. But she was so confident and punctual

lady. She deals with all the staff with a good and polite manner. I learnt from her

that how women can treat, dress up, assign work and deals with its staff member

in a good way. I learnt a lot of things from her; she was an inspiration for me.

Internship In PTCL was a most valuable learning experience in my study life

.Now I can easily relate my concepts with the reality which increases my

knowledge and learning ability. I hope this internship will help me in my further

studies and professional life in future.

I learned about how to manage files in sequence, and label these files. I

also learned from Ma’am Shabana and Sir Fozan who were the assistant

manager in PTCL, how to manage, treat and assign work to employees.

Internship developed computer skills in me; I learned how to maintain

Save data, attach the files, match the files, edit, crop and attach the

pictures.

I also learned how to use and enter data on SAP.

Communication Skills

Before the internship I had no idea how to talk in a professional way, this

internship gave me confidence to talk to supervisor and discuss the

assignments, I also learned how to communicate with employees while data

gathering.

Time management is very important for every aspect of life. During my

internship period I learned how to complete my work on time. The employees

are punctual so by their punctuality I learned to come to office on time.

Business Ethics and manners

I learned how to behave and communicate in business environment. How to

talk to the supervisor and other staff members in a professional manner?

It was my duty and responsibility to compile data on Micro Soft Excel.

I assigned the duty to gather information and data from employees to update

their information and records.

It was my responsibility to maintain data of employees on Excel. I maintained

their name, age, qualification, CNIC, designation. Region and rank etc

Helping the Supervisor

It was also my responsibility to help Sir Saleem in his work, in arranging and

compiling files. I also helped him in other tasks.

Providing guidance to new internees

It was also our responsibility to guide the new internees about the environment,

timings and staff members of the PTCL.

Helping the internees in their work

It was also my duty to provide guidance to the new internees about their work

and assignments. I also resolve their problems. It was my responsibility to check

their work.

1.4.10 Influence of internship on my future carrier plans

My future career plan is to get a reasonable position in corporate sector. Before

experiencing this internship I had no idea about the organization environment,

strategies, processes, tasks and policies. This internship was a great source of

knowledge and information of organization working in practically.

This internship give a clear vision of organization working, policies and

strategies and also direct me to achieve my future career plans in successful

manner. Now I know what is the importance of each deferment, how to deal with

employees, how to gather and maintain data, how to use international software,

so this internship will lead me to get a better position in this felid in future

In my study life I learned what is an organization, what is organizational

environment, how to gather data from employees, medical allowances ,reward

experienced it in practically which was much interesting and informative for me,

But some things are learned in PTCL about which I’ve never hear

before Such as SAP. In our daily classroom activities we are not learned about

the professional business software’s but I learned how to use it in PTCL.

2.1 summary of key conclusions

For the completion of the BBA degree program, I have done my internship in

Pakistan Telecommunication Company Limited (PTCL). This was a great

experience which provided me a treasure of knowledge and information. Now

I can realize that what is the importance of each department in an

industry is very important for the economic development of our country; PTCL

has a major contribution in GDP. Improvements in Telecommunication

industry leads to better country’s economy.

Firstly I worked in HRM office. Human asset office is exceptionally

critical for each association since they manage HUMAN and people are the

building blocks of any Organization. HR department deals with recruitment,

selection, pension funds, penalties, rewards, layoffs and transfers of

employees.

I spend two weeks in Finance department. In this office I learnt about its

fundamental capacities. I learnt about checks, vouchers, instalment slips,

accounts data and seller's bills and so forth.

My experience of internship was so good in PTCL.I learn. They line of

authority was very simple and clear. The environment was very friendly so

every member can easily communicate with each other and discuss their

tasks.

The entire faculty was highly qualified and performed their duties on time.

This internship is one of the memorable experiences in my life from

which a treasure of knowledge is gained.I would like to suggest the students

who want to do internship in future, to come to PTCL because it is a great

organization of learning.

organization in the Pakistan, which provides a number of telephonic and

internet facilities and services to its customers. PTCL provides its services in

all major cities of Pakistan. The head quarter is located in Islamabad which

handled all issues, conveys orders and approves the leaves, bills and pays

etc.

I worked in two major departments (HRM & FINANCE) of PTCL. The

both departments are very important to the organization’s success. HR

department deals with the employees which are the building blocks of the

organization. Hr department makes policies, strategies, reward system and

promotion system for employees. While the Finance department is also very

important for any organization because it deals with capital, expenses and

profits.

PTCL focuses on the up to date and quality of work through qualified

and experienced employees. Experienced employees are the valuable asset

of the PTCL.

leading organization and they make improvements and innovations with the

time. The slogan says all about the PTCL (say hello to the future), its shows
