Introduction of Manakamana Business Accounting (MBA) Manakamana Business Accounting processes real time financial transactions of recording and distributing data up to date from one terminal to another and then synchronizes transactions in entire network terminals for consistency and maintains accounting and inventory in wide-range of various natures of business organizations. Every organization needs proper records that show where its money comes from, where it goes, and how the organization is performing financially. Manakamana Business Accounting, we developed is one of such computer accounting system that does all of your accounting transaction itself. However, computers only do this work if they are properly programmed. MBA 10 is approved by Tax Office in 2071 and 2074 BS.

Security Systems The Security Portion has high security for accessing in software. If you have the user name and password then you can access otherwise you cannot access to the software. User can access only specified portion and control by the Administrative.
Type of Module of Manakamana Business Accounting (MBA) There are two type of module. They are given below: 1. Inventory Management Systems (IMS) 2. Accounting Systems (FAS)

1. Inventory Management Systems (IMS): Inventory Management Systems (IMS) is used to keep the real time goods details information with calculate the stock. There are specially used for purchase records, sales records, purchase return records, sales return records, physical stock counting and opening stock. Stock will be maintained
and calculated by following methods:
(a) When purchase the goods, goods quantities will be increased. (b) When sales-return the goods, goods quantities will be increased. (c) When sell the goods, goods quantities will be decreased (d) When purchase returns goods, goods quantities will be decreased (e) When you doubt to know stock is not accuracy, you can count the physically goods and
calculate the Shortage and Surplus goods quantities. If appear the goods surplus, goods did not purchase by purchase department. If appear the goods shortage, goods will be lost or theft.
(f) Opening Balance will be generated when fiscal year is closed and new fiscal year is started.
1.1 Group of Goods (Categories) The Group of goods are categorized in following in Supermarket, Department Store, Mini-Mart, Importers, Distributors, Wholesales, Cloths Shop, Fancy Store, Medical Shop, Restaurant and so on. If the goods nature does not support for you, you can categorize according to your need. There are two types of group or categories. 1.3 Type of Invoice In Nepalese market we have different types of invoice. Some of them are legal and some of them are illegal invoice. According to the government rules and regulation every company should have their own PAN No. and registered in VAT or PAN only. For that reason company must release only PAN Invoice for PAN Registered Company and Abbreviated Tax Invoice/ Tax Invoice for VAT Registered company.
1.3.1 Abbreviated Tax Invoice This is also a legal Invoice for those companies which are registered as VAT Registered Company. Abbreviated Tax Invoice is limited because you can prepare Invoice upto Rs. 5000/- Amount. This type of invoice is accepted by Tax Office but included the VAT on Invoice like VAT (13%) for example given below: Sales Price = 100.00000000

1.3.2 Tax Invoice This is also a legal invoice for those companies which are registered as VAT Registered Company. Tax Invoice has not limited. Tax Invoice accepted by the Tax Office but VAT is excluded with you can prepare million of cost of invoice amount. There are two type of Tax Invoice. They are given below: (a) Tax Invoice – Before Discount for example given below: Sub-Total Amount: 100.00 Discount Amount: 2.00 Taxable Amount: 98.00 VAT (13%) Amount: 12.74 ----------------------------------------------- Grand Total Amount: 110.74 (b) Tax Invoice – After Discount for example given below: Sub-Total Amount: 100.00 VAT (13%) Amount: 13.00 Total Amount: 113.00 Discount Amount: 2.00 ----------------------------------------------- Grand Total Amount: 111.00 Note: Tax Invoice will be printed with 3-copies like Tax Invoice, Invoice and Invoice. 1.3.3 Pan Invoice This is a legal invoice for those company which are registered as PAN Registered Company. And those companies (taxable+non-taxable) transaction should not cross over the 2 millions (20 Lakhs).

Note: Pan Invoice will be printed with 1-copy with carbon copy. If you print again, Print Duplicate Copy likes Duplicate Pan Invoice.
1.3.4 Estimate Invoice This is only estimate for customers. Nepalese are used Estimate Invoice as Invoice but it is not unacceptable by Tax Office. Customer must claim PAN Invoice, Abbreviated Tax Invoice or Tax Invoice after the Estimate Invoice.
1.3.5. Plain Invoice Plain invoices are not legal invoice. Plain Invoices are not accepted by the Tax Office and penalty (fine) will be charged Rs. 500000 Lakhs according to Law of Tax. Plain Invoices are Cash/Credit, Gate Pass or not identifying anything like plain paper. Gate Pass is used for entry in compound or dispatched goods to outdoor.
2. Accounting Systems The bookkeeping methods involved in making a financial record of business transactions and in the preparation of statements concerning the assets, liabilities, and operating results of a business. The people, procedures, and resources used to gather, record, classify, summarize and report the financial information of a business, government or other financial entity.
2.1 Functions of Accounts The main function of Financial Accounting: - It keeps a systematic and permanent record of all financial transactions of the business. - It keeps a record of incomes and expenses in such a manner so that net results of the
business can be quickly known for any period. - It keeps a record of assets and liabilities in such a way that financial position of the business
can be readily had at any point of time. - It protects the property of the business by designing systems of accounting, which may be
helpful to achieve this purpose. - It keeps a track of all changes in the value of assets and liabilities. - It keeps a control on expenses in order to minimize the same - It communicates the results of the business to various categories of persons as owners,
investors, creditors, employees, management, government etc. - It provides information for meeting various legal requirements as income tax returns, return for
sales tax etc. - It helps in making decisions concerning the acquisition, use and preservation of scarce
resources. - It helps in devising remedial measures for the deviation of the actual performance from the
planned performance.
2.2 Classification of Account Accounting can be classified into the following categories:
2.2.1 Financial Accounting The main purpose of this type of accounting is to record business transactions in the books of accounts in such a way that operating results for a particular period and financial condition on a particular date can be known for the information of the various groups of persons.

2.2.2 Cost Accounting It relates to the collection, classification, ascertainment of cost and its accounting and cost control relating the various elements of cost i.e. materials, labours and overheads.
2.2.3 Management Accounting It relates to the use of accounting data collected with the help of financial accounting and cost accounting for the purpose of policy formulation, planning, control and decision-making by the management.
2.3 Double Entry Systems Every transaction has two accounts known as double entry systems of accounting. Of the two accounts, one account is taken debit and another account is given credit with an equal amount.
2.3.1 Rules of Double Entry Systems There are separate rules of the double entry systems in respect of personal account, real account and nominal accounts. 2.3.1.1 Personal Account These accounts record a business’s dealing with persons or forms. The person receiving something is taken debit and another person is giving something is given credit. Shortcut rules Debit the Receiver and Credit the giver. 2.3.1.2 Nominal Account These are the accounts of assets. Asset entering the business is taken Debit and asset is leaving the business is given Credit. So the rule is: debit comes in and credit what goes out. 2.3.1.3 Real Account These accounts deal with expenses, incomes, profit and losses. Accounts of expenses and losses are Debit and accounts of incomes and gains are Credit. Thus, the rule is Debit all expenses and losses and Credit all incomes and gains. 2.3.1.4 Final Account Affection:

6. Getting Started Manakamana Business Accounting (MBA) - Double click on the Manakamana Business Accounting (MBA) or Business Account on the
Desktop Icon. - Appear the Splash dialog box:

- Type the user name and password like User Name: admin Password: admin
Note: User Name and password are case-sensitive
If you want to change the password you can change the password - Type the User Name

- Click Change Pass or press F9 to appear a dialog box
- Type the Old Password - Type New Password - Type Re-Enter Password - Click Change to change the password
- Wait for until appear the Company Selection
- Select Company Name, Branch Name, Fiscal year and Terminal (PC) and click Open or press

7. Creating the Categories, Products and Ledgers These options are contains in Master Menu.
7.1 Creating Group/Categories See the 1.1.1 and 1.1.2 Categorized information for products goods. You can create the group of products from this option.

- Click Master, Category (Group) Creation to appear the following screen
- Click CATEGORIES - Click New or press F2 - Type the Category Name - Select the Category Type: Category Only or Category Contains. If you select the Category
only, create the sub-group of category. If you select the Category contains, it contains the products or items.
- Click Save or press F3 to save
7.2 Creating Items/Products When you create the products or items, you should know about products type. The products type is define by the Tax Office. The Product Types are VAT and Non-VAT. - Click Master, Products (Items) Creation to appear the following screen:

- On the Under Category, type the name of category or group then press Enter to display the
category name on the right corner of screen - Select the category from the list and press Enter to display the products or items on the
screen. - Press F2 or click New - Type the Product Name, Bar Code, Min Qty, Max Qty etc. - Select Product Type: VAT or NON - Type Purchase Price, Discount, Cost Price, VAT Rate, Retail Price, Wholesales Price etc. - Press F3 or click Save to save products or items
7.2.1 Remove Products If you have not purchase, sales, purchase return or sales return the items or products, then you can remove otherwise you can not remove. - Select an Item or Product from the list - Click Remove or press F5 to appear the dialog box
- Select the items or products again - Click Yes to remove

7.2.2 Search Products - Click Search or Press F7 on the Products creation to appear a dialog box
- Select Where Search: - Type the according to Where Search - Click Search to display the items or products if found.

7.2.3 Change Products If you want to change the products or items information, you can change them. - Click Change or press F8 to display the dialog box
- Select Find Category - Select Items or Products - Now what you want to change select options - Click Replace to change

8. Configuration of Business Accounting Configuration is used to set default setup of software. We can setup the systems according to our need. The following setups are configured a time and then they work continue.
8.1 Printer Setup Printer setup is used to set default printer that printer will be used when printing the Invoice, vouchers and reports. - Click Master, Printer Setup – Current Printer to display a dialog box
- Select the local or Network Printer - Select the Printer Port - Click OK to set the default printer
8.2 Page Setup Page setup is used to set the default paper size that paper size will be used while printing invoices or reports. - Click Master, Page Setup – Paper Size to display a dialog box
- Select the Paper size according to need. - If you have Parallel Port (LPT1), select DOS Print, otherwise select Windows Printer - If you have got AutoCut POS Printer, you can select Paper Auto-Cut Enable (ON) - If you have got the Electronics Drawer, you can select Drawer Open Auto-Enable (ON) - Click OK to set the selected option for paper.

8.3. User Security Permission Setup You can create and specify the privilege of users those users can open and use the software otherwise can not open and use the software. - Click Setup, Users Security Permission Setup to display a dialog box

8.4 Retail or Wholesales Invoice Setup You can set the default Retail Sales Price or Wholesales price for while selling the goods. - Click Setup Retail or Wholesales Invoice Setup to appear a dialog box

8.5 Users Default Windows Setup

8.6 Sundry Debtors Credit Limit (Customers Limit) It is used to sell the goods to customers on upto credit limit amount. - Click Setup, Sundry Debtors Credit Limit to appear the dialog box

8.7 Customers Discount Scheme Setup This is used to set the customers discount scheme for selling goods. There are different type of discount scheme as follows: 1. Member Discount Scheme 2. Casual Discount 3. Items-wise Discount 4. Date-wise Discount 5. Time-wise Discount 6. Amount-wise Discount - Click Setup, Customers Discount Scheme Setup to display a dialog box

- Click Yes or press Enter to suspense the Invoice
9.10 Retrieve Suspense Invoice When customer comes to counter, you can retrieve the suspended invoice. Then you can enter due items on the suspended invoice. - Click Retrieve or Press F12 to appear a dialog box with suspended Invoice list
- Select a Suspended Invoice No. to display the items - Click Yes or Press Enter to retrieve the suspended Invoice for billing - Now you add and remove the items on invoice with you can print, receive amount, discount the
