The Tau Beta Pi Association Chapter: MN-A Chapter Project Report Project number: 4

INSTRUCTIONS: Please complete each of the seven sections below. Any additional information which may be helpful to another chapter would also be appreciated, but do not send extraneous material that would not be useful to other chapters. Project name: Scavenger Hunt Date(s) of Project: Friday, October 19, 2012 Project area: __ Community/ __ University/ __ Profession/ X Chapter/ __Education/ Liberal Culture College Engineering Social Prof. Dev. Number of persons who participated in this project Members: 14 Electees: 3 (Please attach a list of names.) Hours spent on this project. Organizing: 10 Participating: 3 DESCRIPTION: I. General Description: TBP members and non-member affiliates were invited to participate in a 1 hr-photo scavenger hunt around the University of Minnesota- Twin Cities campus. All teams were given a list of targets and their point values, which was organized by one of our officers (so the rest could participate). Following the return of all teams, the photos were judged and the winning team was given gift cards to the university bookstore. During the judging, food was provided. II. Purpose & Relationship to Objectives of TBP: The goal of this event was to promote interaction between members of our chapter. It was primarily a social event and is related to the objective of TBP because it contributed to a sense of community for our chapter. III. Organization & Administration: (in conjunction with another group?) ___ Yes X No This event was organized and administrated by our chapter. The organization of the event (planning of the locations, assignment of point values) was done by 1 officer. All other officers were then allowed to participate in the event. The administration of the event (judging, prizes, food) was undertaken by the officers- some were in charge of getting prizes, others were in charge of getting food, and the organizing officer was in charge of judging the photos from each team. IV. Cost & Personnel Requirements: Main costs were associated with food provided after the event and prizes given to the winning teams. Besides the duties outlined above (III), there are no additional personnel requirements. V. Special Problems: The event is outdoors, so rain could be an issue. Also, participants should be warned not to be too rowdy or deface any public property. VI. Overall Evaluation/Results (Be Specific): Our members seemed to enjoy this event. It was fun and easy to plan. We got a decent turnout, despite the fact that it was lightly raining. I would recommend this event to other chapters, since it’s also a good way to learn more about your campus. VII. Index of Exhibits: None

Number of persons who participated in this project Members: _4_ Electees: 0 (Please attach a list of names.) Hours spent on this project. Organizing: _1_ Participating: _4_ DESCRIPTION: I. General Description: Our chapter decided to participate in a CSE student organization fair.

II. Purpose & Relationship to Objectives of TBP: Participation in the student organization fairs allows us to make our name more known on the campus. This also helps incoming initiates be more knowledgeable about the organization and its role in the University. III. Organization & Administration: (in conjunction with another group?) ___ Yes __ No We coordinated with the organization fair holders so that we would have a table available. We then made sure that a few of the officers were able to attend the fair and that we had a presentation board ready IV. Cost & Personnel Requirements: The cost was zero, aside from the initial preparation of the presentation board. A few officers were required to be present to present TBP to passerby students. V. Special Problems: VI. Overall Evaluation/Results (Be Specific): We think that these fairs are a good way to get our name more known. On our campus, the TBP name isn’t as well-known as we’d like it to be. We think these fairs are a good way to change that VII. Index of Exhibits:

The secondary purpose of the meeting was to unite everyone together for general announcements, etc. III. Organization & Administration: (in conjunction with another group?) ___ Yes __ No We first reached out to Turck to see if they were interested in participating in the meeting. After we got their interest, we coordinated a date that worked best for everyone. Then, we found an available room and sent emails out to our membership. Day of, we got the pizza ordered and delivered it to the room. The pizza was paid for by Turck. IV. Cost & Personnel Requirements: The cost was zero, as the pizza was paid for by Turck. The room was available free of charge as well. A few officers were required to introduce the company as well as give general announcements. V. Special Problems: VI. Recurring Project name: Chocolate Soiree Date(s) of Project: 11/09/2013 Project area: X Community/ X University/ Profession/ X Chapter/ Education/ Liberal Culture College Engineering Social Prof. Dev. Number of persons who participated in this project Members: 11 Electees: 9 (Please attach a list of names.) Hours spent on this project. Organizing: 5 Participating: 3 DESCRIPTION: I. General Description:

A night of fun and service. Attendees were asked to assist with a service project and mingle amongst each other. Chocolate fondue, other snacks, and drinks were provided.

II. Purpose & Relationship to Objectives of TBP:

Service to the community by the creation and writing of holiday cards to be sent to nursing homes around the city.. Also helped build social relationships, including those with non members of TBP. Attendees were also asked to bring a non-perishable food item or monetary donation to benefit the Salvation Army,

III. Organization & Administration: (in conjunction with another group?) X Yes No

Event was hosted/planned with SWE. A room within the Student Union was booked and food permit applications were filed. Service project was selected from the Salvation Army and supplies were obtained day of. Food/drink were purchased from Costco, and Fondue machines were bought from Walmart, and brought to the event. Service project supplies and donations were returned to the Salvation Army at a later date.

IV. Cost & Personnel Requirements: Event cost somewhere around $600 including room rental and food/drink. The planning took a considerable amount of time, especially logistically figuring out the storage and transport of food to the event location, as it was perishable. Fondue was made by us, instead of catering, which reduced costs considerably. TBP and SWE split up the duties, about a 60:40 manner.

V. Special Problems: None VI. Overall Evaluation/Results (Be Specific):

Service project was popular. Members enjoyed socializing with each other and those from SWE/other student groups. However, student group grants were not provided by the college, and due to the amount of work required and the relatively little payoff, it is recommended that this project be cut or significantly modified.

Planning took a considerable amount of time, including the logistics of getting food from the purchased location to the event, as it was perishable and we were holding the event on a Friday afternoon.

V. Special Problems:

When bringing food, forgot to bring a vegetarian entree. VI. Overall Evaluation/Results (Be Specific):

Event went very well. Students had good discussions with professors and each other. Around 10 professors attended the event. Next year, ensure that all dietary preferences are met.

INSTRUCTIONS: Please complete each of the seven sections below. Any additional information which may be helpful to another chapter would also be appreciated, but do not send extraneous material that would not be useful to other chapters. Project name: General Body Meeting- Ingersoll Rand Date(s) of Project: 11/28/2012 (Wed) Project area: __ Community/ __ University/ X Profession/ __ Chapter/ __Education/ Liberal Culture College Engineering Social Prof. Dev. Number of persons who participated in this project Members: 16 Electees: 11 (Please attach a list of names.) Hours spent on this project. Organizing: 2 Participating: 3 DESCRIPTION: I. General Description: TBP members and prospective initiates were invited to come hear a presentation from Ingersoll Rand about their company and potential job openings. Pizza and pop were provided by Ingersoll Rand, who also had door prizes for almost all in attendance. II. Purpose & Relationship to Objectives of TBP: The purpose of this event was to give Ingersoll Rand an opportunity to advertise potential job openings to Tau Bates and also to give our members an introduction to the company and the opportunity to seek out job prospects. This is related to the objectives of TBP because it promotes networking and career development. III. Organization & Administration: (in conjunction with another group?) ___ Yes X No This event was organized by one of our officers, who has a personal connection to Ingersoll Rand. This officer was in charge of coordinating with the Ingersoll Rand representatives about the location and date of the event and about ordering food. There were no major administrative duties associated with this event. IV. Cost & Personnel Requirements: There was no cost to the chapter, since Ingersoll Rand paid for the pizza and beverages. Room rental was free. Besides the duties described above (III), there are no other personnel requirements. V. Special Problems: Although this was not a problem during this meeting, some guests for general body meetings tend to talk for a long time- this can create an awkward situation. Also, some companies do not pay for food. VI. Overall Evaluation/Results (Be Specific): This was one of the most successful general body meetings of the year. Ingersoll Rand gave an interesting presentation that held our attention and sent engineers to give the presentation, instead of human resources representatives. They were a big favorite because they also gave out t-shirts, mugs, etc. I would recommend that our chapter repeats this event next year. VII. Index of Exhibits: None

Project name: 2013-2014 Officer Elections Date(s) of Project: 04/30/2013 Project area: Community/ University/ Profession/ X Chapter/ Education/ Liberal Culture College Engineering Social Prof. Dev. Number of persons who participated in this project Members: 73 Electees: 0 (Please attach a list of names.) Hours spent on this project. Organizing: 2 Participating: 2 DESCRIPTION: I. General Description:

General Elections for officers next year. Positions were sent to the members and a ballot vote was held for each position. Candidates were given the opportunity to give a brief speech highlighting their qualifications.

II. Purpose & Relationship to Objectives of TBP: Election of qualified officers III. Organization & Administration: (in conjunction with another group?) Yes X No

Arranged for room, food, food permit. Also emailed members regarding the details of the event, and details of the officer position descriptions. Organization of the membersʼ desired positions were also collected.

IV. Cost & Personnel Requirements:

About $100 for food. Ballots were collected and counted by current, outgoing officers. V. Special Problems: None VI. Overall Evaluation/Results (Be Specific):

The meeting was described as mandatory, and so those who were able to come (others had class and other prior commitments) came. We had a very large turnout, and there were many members who wished to become officers. 6 outgoing officers will be replaced by 7 incoming officers, with 2 officers remaining. A revote was needed since we had a tie for one of the positions. An officer transition meeting was held afterwards and a document containing a list of necessary information was compiled by current officers and provided to the new executive board.

VII. Index of Exhibits: None

The Tau Beta Pi Association Chapter: MN-A Chapter Project Report Project number: 28

INSTRUCTIONS: Please complete each of the seven sections below. Any additional information which may be helpful to another chapter would also be appreciated, but do not send extraneous material that would not be useful to other chapters. Project name: Pi Mile Run Date(s) of Project: Friday, May 3, 2013 Project area: __ Community/ __ University/ __ Profession/ X Chapter/ __Education/ Liberal Culture College Engineering Social Prof. Dev. Number of persons who participated in this project Members: 14 Electees: 8 (Please attach a list of names.) Hours spent on this project. Organizing: 15 Participating: 3 DESCRIPTION: I. General Description: The Pi Mile Run is an annual 3.14 mile (approximately 5 km) run/walk organized by Tau Beta Pi and held at the University of Minnesota- Twin Cities campus. The event is open to all students, and ideally takes place during College of Science and Engineering Week. Runners receive pie and a t-shirt with their registration fee, and the top finishers also win gift cards to restaurants on campus. II. Purpose & Relationship to Objectives of TBP: The purpose of this event is to provide an opportunity for engineering students and students of all majors to socialize and to work together to raise money for a charitable organization. This year, proceeds from the run were donated to the Ronald McDonald House. These goals are related to the objectives of Tau Beta Pi because they promote character in engineering, as well as fellowship among our members. III. Organization & Administration: (in conjunction with another group?) ___ Yes X No This event was organized and administered primarily by one of our officers. This officer took care of reserving the 5k space, ordering t-shirts, securing sponsors for prizes, and buying food (mainly pie) for the event. All of the officers helped out on the day of the event to make sure that it was run smoothly. This event was run solely by our chapter without aid from other student groups. IV. Cost & Personnel Requirements: The costs of this event included insurance ($65), t-shirts ($900), pie ($250), bottled water ($5), prizes ($140), and other miscellaneous items such as race numbers for the participants to wear ($25) and safety pins to attach the race numbers ($5). Because of the high costs of this event, we applied for grants from the College of Science and Engineering for this event, which was able to cover our costs. Besides runners, other personnel required for this event included volunteers. About 15 volunteers are needed on the day of the race to stand along the race path and guide runners in the right direction and to help cut pie. This year, we were not able to obtain 15 volunteers, so we were able to run the event with about 10 instead, which worked out fine. V. Special Problems: Since this event is outdoors, weather is always a stressor, and it happened to rain again this year. In addition, due to the construction on the University of Minnesota- Twin Cities campus, 5k runs are hard to schedule during the day.

Page 61: The Tau Beta Pi Association - Tau Beta Pi About Recruit · Scavenger Hunt Page 7 Student Organization Fair Page 9 General Body Meeting -Turck Page 11 Feed My Starving Children Page

VI. Overall Evaluation/Results (Be Specific): This event is the hardest and most labor intensive to plan of any of our events at MN-A. It requires that the officer in charge be well-organized, which did not necessarily happen this year. We considered this year’s event to be a success; even though it was raining, we were able to get 30 runners, not all of whom were affiliated with Tau Beta Pi. In addition, we had to reschedule our event to avoid rain, so we were not able to hold the run during CSE week, which we think would have helped with our turnout. Hopefully the weather is a better friend next year! I would recommend this event be repeated at our chapter and I would recommend that other chapters also try this event as well. VII.
