The Campion Group Business Continuity Plan – COVID-19 Safe Workplace Policy

3 The Campion Group Business Continuity Plan – A COVID-19 safe workplace, Version – 1.2 - 7th August 2020

1. Purpose

This document aims to provide guidance on the response to the COVID-19 outbreak, more specifically the requirements for each Campion Group sites to create a safe workplace to address the risks of COVID-19 transmission by identifying and through practical measures controlling these risks.

It provides specific information to address the following functions:

· Reconfiguring and restructuring worksites to make jobs safe ensuring COVID-19 safe physical distancing and hygiene

· The steps to be undertaken in the event of a COVID-19 related incident in the workplace.

· The steps to be undertaken in the event of a COVID-19 related incident to return that safe to a safe workplace as quickly as possible.

· How staff will be communicated with to ensure there is a clear understanding of their role in either keeping safe whilst continuing to work in their workplace or on returning to the workplace.

The requirements in this document shall be in addition to and not in substitution for any other requirements under the applicable legal requirements, company rules, regulations, policies or any other procedures. Should there be any inconsistency between the requirements in this document with other applicable legal requirements, company rules and regulations, policies or any other procedures, the more stringent requirement, in consideration of human safety, health and emergency control, shall prevail.

2. Scope

This policy covers all Campion Group activities, all Campion Group sites, all Campion Group employees, suppliers, contractors and customers.

3. Ensuring a COVID-19 safe workplace process

3.1 Workplace risk control assessment

All Campion Group sites will be required to complete a COVID-19 risk control checklist as early as practical.

3.2 Requirement to self-isolate

Campion will follow a protocol to identify team members who are not suitable to return to work due to meeting ongoing self-isolation criteria (see below). Team members who must self-isolate will not be able to return to work until they fulfill government and medical requirements. Return to work criteria will vary depending on the circumstances that triggered the need for self-isolation. For example, self-isolation and return to work requirements will be higher for individuals who have contracted COVID-19 and will be less stringent for those who have not displayed symptoms however have required self-isolation due to close contact. The three key current criteria for self-isolation (as at 29.05.2020) are:

- Individual symptoms consistent with COVID-19 and whilst awaiting medical advice/diagnosis

- Have undertaken international travel within the last 14 days or close contact* with someone who has returned from international travel

- Individual contact where an individual is living with, caring for or other exposure to someone diagnosed with COVID-19

In addition to the above, it is strongly recommended that older workers or those with the identified higher risk pre-existing health conditions should self-isolate, given the very serious health risks should they contract COVID-19. Where older workers or those with identified pre-existing health conditions are required to work Campion Group sites will ensure they are prioritised for action should a confirmed case of COVID-19 be identified.

Refer to appendix H which outlines steps to be followed for each of the self-isolation criteria.

3.3 Confirmed COVID-19 cases

Campion will follow a strict protocol following the notification of a confirmed case of COVID-19. This will include:

- Affected person to self-isolate with strictly no access to Campion work locations / team members - Identification of any Campion personnel who may have had close contact with the affected

person and may also require self-isolation - Disinfect any work zones that may have been contaminated or closure of site (depending on risk) - Full medical clearance required before the person can return to work

* Close contact definition: Close contact means being within approximately 2 meters of a COVID-19 case for a prolonged period of time (≥15 mins facing

or 2 hours in the same room); or Caring for, living with, visiting, or sharing a healthcare waiting area or residence with a COVID-19 case; or Having direct contact with infectious secretions of a COVID-19 case (e.g., being coughed or sneezed on); or Living with another person who has been similarly exposed.

3.4 Emergency Contact List

An emergency contact list, which will include the following shall be developed: a) Site Manager In Charge b) Relevant Business Leader(s) c) Emergency services

i. Nearest hospital ii. Local health authority hotline, if available iii. Cleaning and disinfection contractors

3.5 Critical Incident Management

Where there is a loss of critical mass of staff or suppliers’ service disruptions, please refer to the site- specific Business Continuity and Critical Response Plans.

3.6 Temperature and Flu-like Symptoms Screening for Employees, Subcontractors and Visitors

a) Given COVID-19 is severe and easily spread but is not currently widespread across each state a temperature checking program will be in place

i. Dependent on the size of the site there will be temperature testing equipment available to be used to test temperatures on entry to site

ii. Where the equipment is not available it is a requirement that staff take their temperature prior to leaving their homes

b) Anyone found with fever and/or flu-like symptoms shall put on a surgical mask and seek medical attention, and not enter a Campion office or operational sites. All employees are required to carry out their own self-check before they leave their home to work.

c) Flowcharts and forms are available in the appendices. d) The Site Manager in Charge will nominate and ensure appropriate training of staff (the number of

which depends on the staff at each workplace) to administer and provide the workplace temperature testing function.

e) Recorded data shall be kept under the charge of the Site Manager In Charge for a minimum period of 2 months and the collected data are limited for the purpose of contact tracing should a confirmed case arises.

3.7 Employees’ Work Arrangement

a) The review of the employees / workforce’s arrangements aims to minimise close contacts between employees, which impacts business operations when someone in the team is confirmed with being at risk of developing COVID-19.

b) Possible approaches include: i. Minimise large groups of employees by having employee activities segregated. For

examples: - Separate workforce into teams and allocate to separate work zones to reduce

likelihood of physically proximity - Limit employees’ movements into other work zones - Segregate shared facilities such a canteens, toilets, etc. - Stagger mealtimes. - Stagger shift start/finish times.

ii. Rotation of office-based staff on a periodic basis to work from home or the office in smaller groups (e.g. 50% of staff in the office at any one time)

iii. Where practicable reduce the movement of staff between multiple sites c) Campion to prepare to enable offsite operations should any site be closed because of COVID-19.

For example ; i. Identify works that can be operated offsite. ii. Assess readiness for such arrangements, e.g. availability of laptops, VPNs, Wi-Fi.

Page 7: The Campion Group Business Continuity Plan

The Campion Group Business Continuity Plan – COVID-19 Safe Workplace Policy

7 The Campion Group Business Continuity Plan – A COVID-19 safe workplace, Version – 1.2 - 7th August 2020

iii. Have an up to date business continuity plan in place that identifies and prioritises all possible workplace arrangements to either continue daily operations, minimise daily operations, cease all operations or part thereof.

3.8 Key summary points for employees

Coughing / Sneezing Procedure

If you have signs or symptoms of a respiratory infection (regardless of the cause) you should always:

• Cover your nose/mouth when coughing or sneezing; • Use tissues to contain respiratory secretions; • Dispose of tissues in the nearest waste receptable after use; and • Wash your hands afterwards (this is the single most effective way to reduce the spread of germs that

cause infectious disease such as influenza)

How to wear a face mask There are two types of face masks you can use: cloth masks and surgical masks. Cloth masks are made of washable fabric and can be re-used.

Wearing a face mask protects you and your community by providing an additional physical barrier to coronavirus (COVID-19).

Wash your hands before putting on the mask.

Make sure it covers your nose and mouth and fits snugly under your chin, over the bridge of your nose and against the sides of your face.

Do not touch the front of the mask while wearing it. If you do touch the mask, wash or sanitise your hands immediately. Do not allow the mask to hang around your neck.

To remove the mask wash or sanitise your hands first.

Carefully remove your mask by grasping the ear loops or untying the ties. For masks with a pair of ties, unfasten the bottom one first, then the top one.

If your mask has filters, remove them and throw them away. Fold the mask and put it directly into the laundry or into a disposable or washable bag for laundering. Single use surgical masks should be disposed of responsibly.

Wash or sanitise your hands after removing the mask.

Appendix B – Cleaning and guidance

Safe Work Practice

All Campion Group locations SWP Scheduled cleaning and disinfection guidance

Written by: Campion Operations Approved by: Campion Senior Leadership Team

SWP purpose To outline a safe and effective method for surface cleaning Campion Group’s work environments Responsibility All team members are responsible for following the guidelines set out within this procedure Supervisor Responsibility

The line manager is responsible for providing ongoing supervision and instruction to ensure the team member is competent in this safe work practice (SWP)

Assessment method

Transfer of knowledge: Line manager to discuss and ask questions related to SWP and determine if team member has required knowledge and understanding to perform the task safely

Hazards

Biological hazards include viruses such as influenza Chemical hazards include some cleaning products. Exposure can occur through inhalation, skin contact and ingestion.

Personal protective equipment (PPE) (as required) Hand protection

Comply with any personal protective equipment recommended, particularly if chemicals have an open lid and need to be poured. In this case there is a risk of splashing chemical into eyes.

Wear gloves if you have any history of allergies (e.g. contact dermatitis) and dispose of them after use

Other equipment or materials

Chemicals used by Campion team members must: - Use chemicals with a spray nozzle, pump action lever or otherwise which prevents the chemical

from freely flowing from the receptacle are recommended. This will reduce chance of chemical spills and product splashing into eyes during use

- Disinfectant surface wipes should have clear labelling with ‘disinfectant’ and have active ingredients such as sodium hypochlorite (bleach), ammonia, benzalkonium chloride and/or ethanol, etc.

Page 13: The Campion Group Business Continuity Plan

13 The Campion Group Business Continuity Plan – A COVID-19 safe workplace, Version – 1.2 - 7th August 2020

1. Before you start

Requirements: - Retail only: A full list of items should be documented (completed during the site assessment) and

attached to this SWP to ensure all team members are handed over information regarding the items that require cleaning.

Determine the most appropriate time for this to occur and maintain a regular routine Purchase suitable cleaning materials (if your site does not have these available) including:

- Disposable disinfectant surface wipes for cleaning electrical items - Surface sanitisers and disinfectants - Chux wipes (or equivalent)

Before you start, read manufacturers’ instructions including what concentration of the product to use, how to apply it and what personal protective equipment (e.g. gloves) is required

2. Areas that require daily clean and disinfecting

Electrical items: Frequently touched electrical items must be cleaned and disinfected at least once per day using surface wipes or other means (damp but not wet cloth) that will not saturate the electrical components of the equipment: - Computer keyboards, mouse and other IT equipment - Telephones and mobile phones - Eftpos machine, bio-metric scanning device - Light switches - Kitchen appliances (e.g. microwave door, kettle)

Non-electrical items: Other frequently touched items must also be cleaned and disinfected at least

once per day using surface sanitisers and disinfectants: - Doorknobs/handles (including fitting rooms) - Point of sale counter - Handrails on stairs - Taps and sinks

Spot cleaning: Spot cleaning will be required in cases where a visibly ill person has entered the work area (e.g. a customer) and coughed/sneezed without using a tissue or coughing into their sleeve. In this case, wait for the person to exit the area and then spot clean and disinfect items you are aware the person has touched.

General cleaning: All other areas of the Campion Group’s workplace must be cleaned at least once daily using products specifically designed for the purpose including toilet cleaners, surface sanitisers and disinfectants, mirror and glass cleaners and floor cleaners: - Toilets - Kitchens - Floors - Shelves

3. Cleaning process

Use disposable cleaning items where appropriate (e.g. Chux wipes, disinfectant wipes) Work from areas of light contamination to areas of heavier contamination Change mop heads, rags, and similar items and disinfectant solutions frequently during the cleaning

process Use a double bucket method (one bucket for cleaning solution, one for rinsing) for cleaning floors and

bathrooms Consider the environment when cleaning. This includes using surface wipes sparingly.

4. Cleaning equipment

Mops and other equipment used to clean must be: - cleaned with detergent and rinsed with water - rinsed with a fresh disinfectant solution - wrung as dry as possible; and - air-dried

5. Wash hands and clothing

Wash your hands and forearms thoroughly with soap and warm water Wash any contaminated clothing with hot water

Tools and forms Log any incident/injuries using the Campion incident reporting online form immediately or within 24 hours

15 The Campion Group Business Continuity Plan – A COVID-19 safe workplace, Version – 1.2 - 7th August 2020

1. Set up

Isolation area: - Identify a suitable isolation area. This should be a dedicated area accessible to the location where

temperature testing is being conducted and, should not be an area used by other personnel (i.e. not the first aid room)

- Ensure the room is cleaned at the start of each shift including floors and all surfaces wiped clean - Remove all soft furnishings where possible - Set up maximum of 3 chairs set apart at 1.5 metre spacing. Chairs must be plastic/vinyl or another

surface that can be easily disinfected - Face masks (disposable P2/N95 preferred)

Testing area: - Identify a suitable testing area which will allow people to enter the site in an orderly fashion and

maintain 1.5 metre clearance from one another - Mark out 1.5 metre spacings on the floor in the area where people will line up

Set up to include: - Tables / chairs - Pens - Logbook (printed or electronic) - PPE (Disposable gloves, disposable P2/N95 face masks, eye protection) - Bin - Cleaning products suitable to disinfect surfaces - Alcohol swabs for cleaning a person’s forehead and thermometer (as required) - Thermometer and spare batteries

2. Before you start

Read instructions for operating thermometer carefully Identify if the device is pre-programmed to alert (e.g. ‘beep’ or red warning light) if a ‘high’ temperature is

recorded. Also, what °C reading will trigger the alert. If possible, set this to 37.8°C For the purposes of this procedure, a ‘high’ temperature is considered 37.8°C and above (this is

essentially 38°C +/-.2°C). Test device and ensure batteries are working Personnel who are conducting the test to wear gloves, face mask and eye protection

3. Person arrives on site

Person’s to be instructed to enter testing area in orderly fashion and wait on a designated line marking on the floor at 1.5 metre distances

If testing area is ‘full’, instruct those waiting to queue outside and maintain 1.5 m distances from one another

4. Taking a temperature reading

Forehead thermometer: - If person has visible sweat or dirt on their forehead, provide them with a wipe and ask them to wipe

the area clean. Ask them to dispose of any used wipes in bin provided - Ask the person to pull back any hair that is covering their forehead area - Instruct the person to keep their head steady - Take temperature by following operating instructions - Do not touch thermometer to forehead. Most devices can take a reading with the thermometer held

at a distance of 2 cm

5. Initial test indicates the person does NOT have a temperature

If the person does not have a temperature, allow the person access to the site to commence their shift

6. Initial test indicate the person DOES have a temperature

If the person does have temperature, guide person to the waiting room to take a seat Take their details (employee name/number/department) and record in the logbook Record the initial temperature reading and time it was taken in the logbook If the person looks visibly hot/sweaty due to recent exercise, allow them 5 minutes to rest before taking

the second test

Page 16: The Campion Group Business Continuity Plan

16 The Campion Group Business Continuity Plan – A COVID-19 safe workplace, Version – 1.2 - 7th August 2020

Advise person that a second test will be undertaken to ensure accuracy. Note: Where possible, this will be done using a different method (i.e. forehead thermometer device to be held on skin rather than at a 2 cm distance) or using a different device (ear thermometer)

Ask person the following questions: - “Do you feel unwell with a temperature?” “If Yes, how long have you felt unwell?” - “Do you have any symptoms consistent with being unwell?” (unusual cough or hardness or

shortness of breath, sore throat). “If Yes, how long have you experienced these symptoms?”

- “Have you returned from an overseas trip within the past 14 days?” “If Yes, where have you travelled?”

- “Have you had Close Contact* with an individual diagnosed with a coronavirus (influenza or COVID-19, or someone who was exposed to an individual with a coronavirus within the past 14 days?”

If they answer YES to any questions, ask the person to don a facemask Record relevant information in the logbook

7. Second test indicates the person DOES have a temperature

Second temperature reading to be taken Record the second temperature reading and time it was taken in the logbook If the person does NOT record a high temperature from the second test AND they answered ‘No’ to

the questions regarding their health, then instruct them to access the site to commence their shift If the person DOES record a high temperature from the second test, advise them of the following:

- “The test that has been completed today is an initial test of temperature which can be an indication a person is unwell or has an infection. It is not a diagnosis of any particular illness, nor has the test been conducted by a trained medical practitioner”

- “As a precaution, and in the interests of your health and safety, you will not be permitted to enter the site today”

Campion Group’s team members only: - “We ask that you see your medical practitioner and obtain a medical clearance certificate

before returning to work - “Team members who require diagnostic testing of an influenza will not be permitted to

work again whilst awaiting test results. After which time, a medical clearance certificate will be required before returning to work”

Provide the person with relevant information including Coronavirus Health Information Line (24 hours, 7 days a week): 1800 020 080

8. Spot and surface clean of isolation room

Once the person has left the isolation room, ensure that spot cleaning has occurred. This includes all surfaces, chair, door handles and other surfaces the person touched

Use disposable cleaning items where appropriate (e.g. Chux wipes, disinfectant wipes) and dispose of in the bin provided

Tools and forms Temperature logbook

In summary

ALWAYS Always use personal protective equipment provided Always follow the thermometer operating guide to ensure an accurate reading NEVER Do not provide medical advice or a diagnosis

* Close contact definition: Close contact means being within approximately 2 meters of a COVID-19 case for a prolonged period of time (≥15 mins; or Caring for, living with, visiting, or sharing a healthcare waiting area or residence with a COVID-19 case; or Having direct contact with infectious secretions of a COVID-19 case (e.g., being coughed or sneezed on); or Living with a family member who has been similarly exposed.
