Background
About this document
This document contains useful information, case studies, examples and a quick user guide on
using Planning & Performance Measurement (PPM) Pivot Tables, for Student Enrolments and
Student Load or Teaching Load. These are accompanied by screen shots which show the relevant
filters, parameters and/or fields being used in the case study’s examples. This document aims to
provide an overview of where to find the pivot tables, definitions, and how to use these pivot tables
in for certain contexts, for both beginner to intermediate and advanced users, who have experience
in using the Ms Excel pivot table function.
The case studies and examples are designed to be followed as steps and guidance to get the data
as required.
Planning and Performance Measurement Division (PPM) Student
Pivot Tables
A Pivot Table summarises large amounts of data using the selected fields / criteria / parameters /
options, grouping and/or calculation method (i.e. count, sum, average, proportion).
Student data are based on official validated data reported to the Department of Education and
Training (DET), some of the student information is based on data extracted from the production
systems (e.g. Weekly Enrolment Monitoring or WEM and Admissions Reporting) and are
provisional. ANU student data collections include pivot tables for load, enrolments, program
completions, progress rates, retention rates and attrition rates. Data collections contain official
information as reported to DET as well as provisional information for the current year.
PPM Student pivot table files have two (2) tabs or worksheets each: the data tab which contains
the pivot table data (Enrolments or Teaching Load tab accordingly) and the Definition tab which
contains useful definitions of the fields in the data tab.
IMPORTANT: It is advisable to review the “Definition” tab in the file.
Note: PPM Pivot Tables use the Classic PivotTable layout option.

Accessing the student pivot tables
Student pivot tables are available for all ANU staff, through staff login access.
The preferred browsers are Internet Explorer or Chrome.
The link to the ‘Staff and student pivot tables’ can be found from ANU homepage > Services >
Planning & governance > Performance measurement webpage, in the ANU Statistic section.

Tip:
If you are saving the pivot table, it is advisable to also add the last updated date to the file
name. For examples: “Enrolments_2014_2018_05Nov2018.xlsm” or
“Enrolments_2014_2018_20181105.xlsm”.

PPM Student Pivot Table: Enrolments
When opening the Enrolments pivot table, by default it will show the number of ANU enrolments
(reportable to the Department of Education or DET) for the last five years Full Year census period,
by Program Career and Commencing in Career indicator, where the status of the current year will
be as at date of the pivot table, as shown below.
The data show unique headcount number of students for each census year (IMPORTANT: ‘ANU
Primary Program’ is set to ‘Primary’, as a student may be enrolled in more than one program,
setting this parameter to Primary means the student is only counted once based on their primary
enrolment or the enrolment with the most load consumed in the census year).

Case study 1: ANU – Number of enrolments in a specific census
year
The Enrolments pivot table allows users to view the data for a specific census year only, by
selecting the required year from the ‘Census Year’ filter.
Example 1.1, to view the number of ANU Enrolments for 2017 by Program Career and
Commencing in Career indicator: select ‘2017’ from the ‘Census Year’ filter. See below.
Note: the pivot table may take time to re-load and update the data the first time.
Case study 2: Number of total and commencing enrolments by
Program Career
The Enrolments pivot table allows users to view the data by Program Career overall and by
commencement status breakdown or by selected commencement status using the ‘Commencing
in Career’ filter (IMPORTANT: ‘Commencing in Career’ indicates whether a student is enrolled in
their program career for the first time at ANU; a student will be labelled as commencing in Career
for the entire census year; Y is for commencing and N is for continuing).
Example 2.1, to show the data by Program Career and Commencing in Career with overall figures
for each of the Program Career: right-click on a cell in the Program Career column then select the
‘Subtotal “Program Career”’ menu from the pop-up list – the pivot table will add an additional row
for each Program Career item. See below table for how the table should appear.

Example 2.2, to show the data by Program Career only, without the breakdown by Commencing in
Career indicator, drag the ‘Commencing in Career’ field up to the Filters area. In this example,
drag and locate the field to be above the ‘ANU Primary Program’. See below.
Note: dragging the field outside of the pivot table area may remove or hide the field and it may
seem to disappear (HINT: a “delete” icon will appear when dragging outside of pivot table area).
It is also important to note that if you have filtered the field, and then move it to the Filter’s area, the
filters will not be reset. This means that even though you are not seeing the data in the Pivot table,
the filter is still affecting the output.

Example 2.3, to show the data of commencing students only by Program Career, select ‘Y’ from
‘Commencing in Career’ filter. As a result, see below.
Case study 3: Number of enrolments – Total only
The Enrolments pivot table allows users to be able to view data in Total only, either overall or by
selected filters, without any breakdown in the table.
Example 3.1, to show the data on commencing student in Total only view, without break down by
‘Program Career’, drag the ‘Program Career’ field up to the Filters area. In this example, drag and
locate the field to be above the ‘Commencing in Career’. As a result, see below.
Example 3.2, to show the number of all ANU enrolments data in Total view (e.g. not
commencement only), select ‘(All)’ from the ‘Commencing in Career’ filter. See below.

Case study 4: Number of enrolments by demographic indicator
The Enrolments pivot table allows users to be able to view data by or for certain (selected)
demographic and/or other enrolment attributes, for example, gender, citizenship status, indigenous
indicator, etc.
Note: the Enrolments pivot table has colour coded fields to group the purpose of the fields; fields in
lighter green colour, are fields for the students’ details or demographic information. The exception
to this is citizenship status which is in purple.
Example 4.1, to show the number of all ANU enrolments data by citizenship status, drag the
‘Citizenship Status’ field down to the Rows area. See below.
Example 4.2, to show the number of all ANU enrolments data by citizenship status and program
career, drag the ‘Program Career’ field down to the Rows area, next to the ‘Citizenship Status’.

Example 4.3, to show the number of all ANU enrolments data by citizenship status and program
career, as well as by gender break down, drag the ‘Gender’ field down to the Columns area, to be
under ‘2017’. See below.
For this example, the ‘Gender’ field now appears right next to ‘Census Year’.
Example 4.4, to show the number of all ANU enrolments data for Domestic students only for
selected program careers of Higher Degree Research, Postgraduate Coursework and
Undergraduate only (excluding Non-Award and Enabling), without gender break down: drag the
‘Gender’ field back up into the Filters area, then select ‘Domestic’ option (or unselect other
options) from the ‘Citizenship Status’ field and unselect ‘Non-award’ and ‘Enabling’ options from
the ‘Program Career’ field.

Example 4.5, the pivot table will also allow you to sort the data by selected field, for example to sort
the Home country of International students by selected program career(s) by the most number of
enrolments in 2017:
1. Prepare the base data set by:
a. dragging ‘Citizenship Status’ and ‘Program Career’ fields up to the Filters area
b. selecting ‘International’ from the ‘Citizenship Status’ field
c. unselecting ‘Non-Award’ and ‘Enabling’ from the ‘Program Career’ field
d. dragging the ‘Home Country’ field down to the Rows of data table area
2. Click button, select ‘More Sort Options…’ of the ‘Home Country’ field
3. Tick Descending (Z to A) by: option, select ‘Enrolments’ option from the drop-down-list
(Hint: the Summary section will be updated to reflect the selected option), then click OK
button to proceed.
As a result, see below.
Example 4.6, to show the top 5 countries and display the rest as ‘Other countries’:
1. after the ‘Home Country’ items are sorted based on the number of enrolments, find the top
5 country items,
2. select all of the other countries or the non-top five items

3. right-click the selected items and select ‘Group…’ – a new column will appear with a
similar name with number ‘2’ of the field being grouped which in this case is ‘Home
Country2’ field and ‘Group 1’ appear in this column
4. click on the ‘Group 1’ then type to rename ‘Group1’ to ‘Other countries’,
5. then move the ‘Other countries’ down to the bottom (Hint: by clicking and dragging the cell,
or using the right-click menu)
As a result, see below.
Example 4.7, to get top 5 countries and display the rest as ‘Other countries’ with proportion or
percentage compared to total enrolments of the selected International students and Program
Career(s), right-click on one of the values in the ’2017’ column, hover on ‘Show Values As’ then
select ‘% of Column Total’ option. As a result, see below.

IMPORTANT:
There are some fields which should be used together due to the context, for example:
o Australian relevant information, such as Home State, ATSI or Indigenous indicator,
Low SES indicator, and Regional/Remote status (Remoteness Area) to be used
together with Citizenship Status Domestic
o Home Country to be used together with Citizenship Status International
Case study 5: Number of enrolments in a specific college (College
Enrolments)
The Enrolments pivot table allows users to be able to view data on number of enrolments in a
selected or specific college. In the pivot table, there is a field to indicate which program and
enrolment belongs to (or owns by) each College within ANU: College of Asia and the Pacific (CAP
Program field), College of Art and Social Science (CASS Program field), College of Business and
Economy (CBE Program field), College of Engineering and Computer Science (CECS Program
field), ANU College of Law (ANU COL Program field), Joint Colleges of Science (All Science
Program field), and for Other portfolios which includes National Centre of Indigenous Studies or
NCIS (Other Program field).
Note: Joint Colleges of Science (All Science Program field) includes College of Health and
Medicine (CHM) and College of Science (COS). The individual field for these are available from the
right-hand side PivotTable Fields list and can be dragged into the pivot table area.
Example 5.1, to get number of enrolments in CAP for all Program Career and all citizenships, drag
all fields from the data table area (e.g. Home Country) back to Filters area, select program career
and citizenship to all, then select “Y” from ‘CAP Program’ field.

Example 5.2, to get number of enrolments in CASS by Program Career and Commencing in
Career status, select “Y” from ‘CASS Program’ field (IMPORTANT: ensure that other College
Program fields are set to “(All)” and only CASS Program being filtered to Y), drag the ‘Program
Career’ field down to the Rows area, drag the ‘Commencing in Career**’ field down to the
Columns area under the “2017” and show the subtotal by ‘Census Year’. As a result, see below.
IMPORTANT:
If listing number of enrolments for each college, the sum of college enrolments does not equate to
total ANU enrolments, as one enrolment may contribute to more than one college. For example:
BARTS/BINSS - B Arts/B International Security Stud program, will be counted for both CASS and
CAP.
Case study 6: Number of enrolments by enrolment attribute
The Enrolments pivot table allows users to be able to view the number of enrolments by enrolment
attributes details, for example, attendance type, attendance mode, program type, program the
student enrolled in, program’s Field of Education (FOE), and so on.
Example 6.1, to get the number of ANU total enrolments for all Program Careers by Attendance
type (Full Time (FT) / Part Time (PT)), ensure all College fields are set to “All”. Drag the
‘Attendance Type’ field down to the data table Columns area (drag the Commencing in Career

drag ‘Field of Education Broad Description’ field from the right-hand side PivotTable Fields list to
the data table Rows area. See below.

Example 6.3, to get the enrolment numbers of a specific program (Program Enrolments), in this
case for a Postgraduate Coursework – Master of Accounting Program (owned by CBE), drag
Program Career field up to the Filters area (select “Postgraduate Coursework” option from this
field), drag the ‘Mapped Program Name’ field down to the data table Rows area then search and
filter for “Master of Accounting”, additionally select “Y” from ‘CBE Program’ field. See below.
Note: there are three (3) fields related to the programs:
Four Digit Program is the code and program used by Admissions and to enrolled the
student on SAS / ISIS.
Program/Plan is the specific program and/or plan that the student enrolled in.
Mapped Program is a field to map historical programs across the years.
Further to this example, dragging the Four Digit Program and Program/Plan Name and Code fields
will show the related information for the Mapped Program. See below.

Example 6.4, to show the data of commencing students by Program Career and census period,
drag all program fields up to the filters area, drag the ‘Program Career’ field down to the data table
Rows area, click and drag the Census Period field down to the data table Columns area – to be
under the Census Year, then select all options in Census Period field. If the Subtotal by Census
Year appear in the table, remove this column by right-click on the Total column and selecting
‘Subtotal “Census Year”’. As a result, see below.
IMPORTANT:
“Census Period” groups data by the census date of the course by half year period: Census dates in
the first half of the year (January to June) fall in Period 1, and census dates in the second half of
the year (July to December) fall in Period 2. The number of enrolments by these half year period
cannot be totalled to get the number of students in the year, therefore use the Full Year period
which represents a single count per student per program per year.

For details of where to find the load pivot table see pages 4-5 of this document.
When opening the Load pivot table, by default it will show the number of ANU study / teaching load
or Equivalent Full Time Study Load (EFTSL) (reportable to the Department of Education or DET)
for the last five years. The filters that are active are: Full Year census period, by Program Career
and Commencing in Career parameter, as shown below.

Case study 1: ANU – Total of EFTSL in selected census years
The Load pivot table allows users to view the data for selected census years, by selecting the
required years from the ‘Census Year’ filter.
Example 1.1, to view the total load consumed by ANU students for 2016 and 2017 by Program
Career and Commencing in Career indicator: select ‘2016’ and ‘2017’ from the ‘Census Year’ filter.

Case study 2: Total EFTSL by commencement status and selected
or specified Program Career
The Load pivot table allows users to view the data by a combination of commencement status and
selected Program Career, by selecting and/or group the required Program Careers from the
‘Program Career’ filter.
Example 2.1, to view the total EFTSL in 2016 and 2017 by Program Career and Commencing in
Career indicator, where Non-Award and Enabling are grouped together: select ‘Non-award’ and
‘Enabling’ from the ‘Program Career’ field, right-click and select ‘Group…’, rename ‘Group 1’ to ‘N-
award/Enabling’ (by changing the name in the Formulas box) then move the ‘Program Career’ field
up to the Fields area and get the subtotal by Program Career by selecting ‘Subtotal “Program
Career2”’ from the right-click menu in the Program Career2 field. See below.

The Load pivot table allows users to view the data by a combination of commencement status,
selected Program Career, and the students’ demographic indicator, for example Citizenship Status.
Example 3.1, to view the total EFTSL in 2016 and 2017 by the Commencing in Career indicator
and Program Career, for selected Postgraduate Coursework and Undergraduate and Citizenship
Status column breakdown, drag the ‘Citizenship Status’ field into the Column area under the
Census Year field. See below.

The Load pivot table allows users to view the data by the Funding group (the group of funding
source type – how the student pays their fees for a course (or unit of study) that they were enrolled
in).
Example 4.1, to view the total EFTSL in 2016 and 2017 by Funding Group, drag the Funding
Group field down to the data table Rows area. As a result, see below.

Case study 5: Total EFTSL in a specific College (College Owned
Programs and/or Teaching College)
The Load pivot table allows users to view the data in a selected college program and/or Teaching
College. There is a field to indicate which programs are owned by each College within ANU:
College of Asia and the Pacific (CAP Program field), College of Arts and Social Sciences (CASS
Program field), College of Business and Economy (CBE Program field), College of Engineering
and Computer Science (CECS Program field), ANU College of Law (ANU COL Program field),
Joint Colleges of Science (All Science Program field), and for Other portfolios which includes the
National Centre of Indigenous Studies or NCIS (Other Program field).
There are also other College related fields which indicate which unit of study being delivered or
taught by which College (Teaching College field), School (Teaching Faculty/School/Centre field)
and AOU (Teaching AOU).
Example 5.1, to view the total EFTSL in 2016 and 2017 for a selected College owned programs,
select the ‘Y’ option from the required College name Program filter. For example, select ‘Y’ from
“CAP Program” filter. See below.
Example 5.2, to view the total EFTSL in 2016 and 2017 delivered by a selected Teaching College,
select the required College name from the “Teaching College” filter. For example, for CAP, see
below.

Example 5.3, to view the total EFTSL in 2016 and 2017 for a selected College and break down by
Teaching College, grouped by the same college owned program or non-college owned program.
For example, for CAP owned programs and showing EFTSL delivered by CAP or colleges other
than CAP:
1. Select ‘Y’ from “CAP Program” filter
2. “Teaching College” to have all items selected then drag this field into the Data Row area to
be the first column
3. If ANU College of Asia and the Pacific is not at the top row, move this item to the top row,
select all other items (HINT: use [Shift] key and select all except ANU College of Asia and
the Pacific), then from the right-click menu select “Group…”
4. Teaching College2 will appear with “Group1”, drag Teaching College back to the Field/Filter
area
5. Click the Group1 and rename to “non-CAP”, by editing the name in the Formulas box or on
the cell

Case study 6: Total EFTSL by enrolment attribute
The Load pivot table allows users to view the data by selected enrolment attributes, for example:
attendance type, attendance mode, program type, program the student enrolled in, the unit of
study’s Field of Education (FOE or known as Discipline).
Example 6.1, to view the total ANU EFTSL in 2016 and 2017 FOE (course or unit discipline broad
description), ensure that the filters are set to All for the College Program, Teaching College and
Program Career fields. If no other details are needed drag the fields from the data table Rows area
up to the Filters area and drag the Discipline Broad Description field down to the data table Rows
area. As a result, see below.

Example 6.2, to view the total ANU Commencing EFTSL in 2016 and 2017 by Program Career and
census period, replace the Discipline Board Description field with the Program Career field, select
“Y” from the Commencing in Career** field, then drag the Census Period field down to the data
table Columns area under the Census Year and show the subtotal by Census Year. As a result,
see below.
Note: on the Load pivot table, the EFTSL for Census Period 1 and 2 can be totalled to get the total
EFTSL for the Full Year.

Saving and using the data for your report
The data displayed on the pivot table can be copied and pasted to another document in a required
format, for example to another MS Excel file.
The data then can be translated into graphs or charts as needed.

Pivot tables usually show the table by row item, as shown below.
However, PivotTable Tools allow the user to adjust the layout of the data, for example to show all
items of the row by selecting Design > Report Layout > Repeat All Items Labels. As a result, see
below.
Pivot tables also allow the data to be shown in various calculations, from the right-click menu
select “Show Value As”. For example, select “% Column Total”, to show data in percentage or
proportion of each year. See below.

Glossary
This glossary consists the frequently used measurements and fields in Student Pivot Tables.
Measures / Values Definition
Enrolments [Enrolment]
Records the student enrolment in a program plan for a reporting period and a student can have more than one enrolment in a reporting period
EFTSL [Load]
The student load attributable to a course (unit of study) or to a set of courses. This Equivalent Full Time Student Load (EFTSL) measure indicates the notional proportion of the workload which would be applicable to a standard annual program for a student undertaking a year of full-time study. A 6 unit course equates to 0.125 EFTSL, with 48 units totalling 1.0 EFTSL.
Fields / Parameters Definition
Age group This grouping is based on student age as at the end of the year before census date/reporting period. The grouping is based on published Department of Education and Training (DET) student datasets for Australian Universities.
Attendance mode This identifies the mode of attendance by which the student undertakes a unit of study: internal (e.g. class room based), external (e.g. online) or multi-modal.
Attendance type Groups by the full-time or part-time status of the student enrolments. This field is based on the student’s total EFTSL reported in the reporting period (excluding HDR students). For Higher Degree Research (HDR) students, this is the last reported value of attendance type for that reporting year.
Basis for admission [Enrolment]
This identifies the main criterion used in granting an offer/admission to an applicant.
Birth Country The reported student’s country of birth as defined by Standard Australian Classification of Countries (SACC).
Course Commencement date [Enrolment]
The earliest commencement date of a course in a program the student enrolled in.
Course Commencement date [Load]
The commencement date of a course the student enrolled in.

Census year The year of the Census date and reported to DET.
Citizenship status Groups students' citizenship and residency status into Domestic and International. If multiple values of citizenship have been reported for a student during a reporting period, the value of citizenship with the most recent census date is used. If there are multiple values of citizenship for the same student with the same census dates, the lowest value of citizenship code is used.
Commencing at ANU Indicates whether a student is enrolled for the first time at ANU. A student will be labelled as “commencing at ANU” for the census year including both first and second half reporting periods.
Commencing in career Indicates whether a student is enrolled in the program career for the first time at ANU. A student will be labelled as “commencing in career” for the census year including both first and second half reporting periods.
Commencing in Program Indicates whether a student is enrolled in the program for the first time at ANU. A student will be labelled as “commencing in program” for the census year including both first and second half reporting periods.
Course [Load]
ANU Course Code and Name (Unit of Study).
Disability status Groups students’ disability status based on the Department of Education's rules for disabilities. If different values are reported for a student in both reporting periods in a year, the code indicating a disability is used.
Discipline (field of education for a course) [Load]
This information is based on the Discipline code of the course and the Field of Education classification (Australian Standard Classification of Education (ASCED)) used to describe the subject matter being studied in the course (unit of study). The classification groups into Broad (2 digit), Narrow (4 digit) as well as the Detailed code (6 digit).
Field of Education (program/plan) [Enrolment]
This information is based on the Field of Education classification (Australian Standard Classification of Education (ASCED)) used to describe the subject matter being studied in the Program/Plan. The classification groups into Broad (2 digit), Narrow (4 digit) as well as the Detailed code (6 digit).
Gender Gender is based on the first reported value for a student.

Home Country The reported student’s earliest home address country as defined by Standard Australian Classification of Countries (SACC).
Home Region Groups of students’ Home Countries by area of the countries.
Indigenous status This field indicates if a student has identified themselves as Indigenous. Note: to be used together with “Citizenship residency status” filtered to “Domestic” for Aboriginal and Torres Strait Islander (ATSI) indicator.
ANU Primary Program or Is primary program
Groups the data based on ANU's definition of a "Primary" program and this concept is utilised where a student is concurrently enrolled in more than one program in a reporting period. The "Primary" program is identified as the highest career level program that a student is enrolled in. This field (filtered to “Primary program”) is used to extract a head count as opposed to an enrolment count. If there is more than one program with the same career level, the "Primary" program is defined as the one with the greatest Equivalent Full-Time Student Load (EFTSL). If a student is enrolled in only one program, that program would be their "Primary" program.
Language (home) The reported student’s language spoken at home as defined by the Australian Standard Classification of Languages (ASCL).
NESB This information follows the DET’s Non English Speaking Background (NESB) Indicator specification and indicates when a student who has arrived in Australia less than 10 years prior has a Language code that is non-English.
Postcode locality (commencing)
The reported student’s home address postcode, which are grouped, for example, to Australia or Overseas, State and Locality or area, etc.
Postcode locality (term) [Enrolment]
The reported student’s term address postcode, which are grouped, for example, to Australia or Overseas, State and Locality or area, etc.
Program (4-digit) This is derived from the ANU student information - the Program that the student is enrolled in at the ANU at the census date, based on four-digit program code (not plan).

Program plan The reported program/plan (code and name) the student is enrolled in and consumed load in reporting year. Note: the Department of Education’s term is “Course of Study”.
Program plan college owner
This indicates college ownership of the Program plan (or co-ownership for combined programs). Note: a student program plan enrolment can be owned by more than one college and a student can enrol in more than one program plan, therefore one enrolment may contribute to more than one college.
Program Type The type of program in the program career.
Census period This is derived from the Census date associated with student enrolments and is grouped into first half year (January to June) and second half year (July to December) based on the calendar month. Note: The total of First Half Year and Second Half Year enrolments do not equate to the total number of enrolments for the Full Year as a same student will be counted twice if enrolled in both first half and second half year.
SES (Australian) This Socio-Economic status (SES) is derived from the Postcode locality (commencing) mapped to Socio-Economic Indexes for Areas (SEIFA) classification and grouped to “Low SES” and “Not Low SES”. If the postcode is in Quartile 1 of the Index of Education and Occupation (IEO) the indicator will show as being “Low SES”. Note: to be used together with “Citizenship residency status” filtered to “Domestic”.
Student funding [Load]
The reported student status that affect the funding (student payable fee status) associated with the course (Unit of Study) the student enrolled in. Note: Citizenship residency status can change during a reporting period and consequently domestic and international breakdown of citizenship residency status may be at odds with this field.
Teaching AOU [Load]
The reported Academic Organisational Unit (AOU) associated with teaching all or a part of the course (Unit of Study) the student enrolled in.
Teaching College [Load]
The College associated with the Teaching Academic Organisational Unit (AOU).
Teaching School [Load]
The School/Faculty associated with the Teaching Academic Organisational Unit (AOU).
