1.0 INTRODUCTIONVivi is a wireless presentation tool that enables teachers and students to share, display, annotate, capture and save information in real time. From any application and any device in the classroom.

Built exclusively for the education sector, Vivi allows today’s tech-savvy students to access learning content effortlessly, engage more actively and collaborate more effectively. Vivi is compatible across all devices and operating systems including Windows, Chrome, Mac and iOS. We aim to ensure the security of your school’s network as well as Vivi’s and to minimise the strain on network resources.

2.0 CONFIGURE VIVI ON YOUR NETWORK

STEP 1: CABLE CONNECTION

1. The power cable is the main power supply to the Vivi unit.

• Plug the power cable into Power port (see Ref 1A - Vivi Box).

The power cable has been included in your Vivi package. You will require a Ethernet and HDMI

cable to succesfully connect Vivi to your Network.

2. The ethernet cable connects the Vivi unit to your school’s network.

• Plug ethernet cable into Ethernet port (see Ref 1A - Vivi Box).

3. The HDMI cable connects the Vivi unit to the main display.

• Plug the HDMI cable into HDMI port (see Ref 1A - Vivi Box).

STEP 2: POWER UP THE VIVI UNIT

When the Vivi unit is powered up, an image (see Ref 2A) will immediately display on the screen for 5 seconds.

This will indicate the power is on and Vivi is the selected input source of the screen or projector.

Ref 2A - Blue Screen

After a minute, the screen will then change from the “Starting...” text to the Room name.

This indicates that the operating system has loaded (see Ref 2B).

STEP 3: CONNECT TO THE VIVI WEB CONSOLE

To connect to the Vivi web console, you need access to the Vivi wireless Hotspot from your laptop or any Wi-Fi enabled device. If you are connecting for the first time, connect via Hotspot.

1. Connect to the Vivi Wi-Fi network:

• Enter the password v!v!adm!n and tap the Join button to connect (see Ref 3A).

Please note that the Vivi Wi-Fi AP will remain active for 5 minutes after powering on.

2. Connect to the Web Console:

• Open browser and log onto the network admin interface of the Vivi unit at addresshttp://192.168.123.1

• Login with:

• SSID (Match the unit ID shown on display)

• Username = admin

• Password = v!v!adm!n.

STEP 4: CONFIGURE VIVI NETWORK

1. Verify on Web Console that both HTTP & HTTPS have ticks (see Ref 4A). If so, you’ve successfullyconnnected to the Web Console. Skip to 3.0 - Connecting to Vivi (see page 8).

2. If there is no tick next to HTTP:

• Ensure external network requirements (see page 9, 4.0) are satisified - e.g. ports are unblocked.

• If the Vivi unit needs a static IP, assign one in the Network settings page (see Ref 4B).

• If Proxy Authentication (see 5A below) is not possible (e.g. captive portal), allow the Vivi unit tobypass it.

3. If there is no tick next to HTTPS

• Check that the time showing is correct.

• If incorrect, update by clicking the “Set Time to Now” button on Web Console (see Ref 5B).

• If MITM SSL certificates are required, install them on the Proxy Settings page (see 5A above).

4. To save your updated preferences, reboot the Vivi unit by clicking the Restart Box button on WebConsole (see Ref 5A - Web Console).

Alternatively, If you have previously connected, you can connect to the web console via LAN:

Connecting via LAN is encouraged to debug internal HTTP access issues related to a firewall.

• Open browser and log onto the network admin interface at http://(Unit’s Mac address on box)

If you cannot connect via LAN, contact your network administrator & attempt to connect via Hotspot.

3.0 CONNECTING TO VIVI

3.1 DOWNLOAD THE VIVI APPLICATION INSTALLER

Ensure you have downloaded the correct Vivi installer as it is specific to your device:

• MAC Interface: https://api.vivi.io/mac

• Chrome Interface: https://api.vivi.io/chrome

3.2 START USING VIVI

1. Plug the Vivi unit into the LCD or projector display in your room, using a HDMI cable (see page 3, Ref1A - Vivi Box).

2. Ensure the unit is configured to your school network (see page 3, 2.0 Configure Vivi on your network).

3. When the Vivi application is first run, teachers or students need to Sign Up.

They will be asked to enter the following information:

• Full Name

• Email

(Please use the user school email suffix [email protected]).

• Password

• Presenter Code

Tap the “I’m a Teacher” checkbox, where you will be presented with a field to enter yourPresenter authorisation code provided by your IT department).

4.0 NETWORK REQUIREMENTS OVERVIEW

4.1 NETWORK REQUIREMENTS

The Vivi unit requires the following ports open between client devices and the boxes on your local network:

• TCP 80, 443, 5000, 7000, 7100, 8000, 12800, 12801, 12802

• UDP 8001, 8002, 8003

If the proxy is unable to authenticate with your Vivi box, you can add an exception for the following domains:

• api.vivi.io over HTTPS port 443

• logstash.vivi.io over HTTP port 80

The Vivi unit talks to our cloud servers for:

1. Access control: such as authorising a user as a presenter vs. student.

2. Discovery: instead of using multicast Bonjour, the units report their meta-data to our cloud on startup, andthe client devices discover units on your network by querying the cloud. This has the following advantages:

• You avoid flooding your network with multicast packets, which can degrade network performance.

• We can present only the device you’re currently connecting to as an AirPlay device on iOS, asopposed to a long list of rooms.

• It’s easier to discover devices across VLANs. For example, if students are on a different network,since no multicast routing rules are required.

• We can also use the cloud connection for remote management and monitoring, and could use it inthe future for features as they are developed, such as session recording and centrally-administeredannouncements.

3. Logging: live monitoring of usage of the Vivi box for technical support and access information.

No media or student data flows via the Vivi Cloud, so there is no large network overhead; it is configuration and management meta-data.

Refer to the Troubleshooting section of this guide (see page 10) if you are still unable to configure your Network after following these steps.

5.0 TROUBLESHOOTING

5.1 USER CAN NOT CONNECT TO A ROOM

If the user can not connect to a room, they will be presented with the following message. Proceed through the following troubleshooting steps:

• Check the Vivi box has both HTTPS and HTTP access to WAN. If the box does not have access, refer to thesetup instructions in Step 4 (see page 6).

5.2 USER CAN NOT MIRROR SCREEN

If a user is experiencing screen mirroring issues, there could be a number of causes which need to be explored.

• Check all ports are unblocked (see page 9, Network Requirements Overview).

• If you are using a Windows device, check the device’s firewall settings.
