Printer Driver Rebootless Update Procedure

1. Introduction Ricoh provides PCL, PCL5e/5c and PCL6 printer drivers that can be updated without the necessity of rebooting servers running Windows 2000 Server/Advanced Server/ Professional (Win2K), Windows XP Professional/ Home Edition (WinXP) and Windows Server 2003 (Server 2003). These drivers are referred to as “rebootless” drivers. This document describes the procedure for updating the PCL5e/5c and PCL6 rebootless printer drivers without rebooting the server operating system. This is important to server administrators since it is not necessary to reboot a server to install the driver. NOTE The first time a rebootless driver is installed on a server, replacing a non-rebootless driver, the server will have to be rebooted.

2. Hardware/Software Requirements 2.1. Workstation Operating System:

Windows 2000 Server/Advanced Server/ Professional (Win2K), Windows XP Professional/ Home Edition (WinXP) and Windows Server 2003 (Server 2003). The PCL5e/5c and PCL6 printer drivers for Windows NT 4.0 do not support the rebootless update feature.

NOTE Information concerning non-supported models is included in the Readme file. Non-supported models will require rebooting the server when replacing the driver. 2.3. Hardware Requirements: A Windows workstation PC—or server terminal—running Win2K WinXP or Server 2003 connected to your network. 2.4. Who Should Read this Document? This document was written for end users who need to replace the PCL5e/5c/6 printer drivers on their servers with versions that do not require rebooting the servers. 2.5. Driver Requirements: The rebootless update feature is available for the PCL5e/5c/6 printer driver versions listed in Table 2.1. Many of these drivers were released in February 2004. Some PCL5e/5c/6 printer drivers, that support the rebootless update installation were released starting in March 2003. All PCL5e/5c/6 drivers for applicable devices released after March 2003 are rebootless. NOTE To use rebootless updating, both the new driver and the old driver must support rebootless updating.

3. Installing the Drivers The information in this section details the procedures required to install the Rebootless Update drivers in Win2K, WinXP and Server 2003.

NOTE The rebootless update procedure will also be described in the Readme file of the next version release. 3.1. Checking the Printer Driver Version: The first step to be taken in this procedure is determining the version of the existing printer driver and whether or not it is a rebootless driver. There are several ways to do this and the procedure is very similar for all of the operating systems covered in this paper.

NOTE Be sure to use the methods described below to determine the driver version both before and after you perform the update procedure. If the change is noted when performing all of these procedures, the update can be considered successful.

From an Application:

! In all three operating systems, select Print from the File menu in any application (e.g., MSWord).

! Click on the Properties button (Win2K) or the Preferences button (WinXP/Server 2003).

! Click on the About button. The alert box shown in Figure 1 will appear. Once you have taken note of the driver version, click Ok.

From the Control Panel:

! Navigate to the Control Panel using the Start menu.

! Once the Control Panel is open, double click on Printers (Win2K) or Printers and Faxes (WinXP/Server 2003).

! Select the printer whose driver version you want to determine and right click.

! Select Properties from the menu.

! Click the Printing Preferences button and then About button. The alert shown in Figure 1 will appear.

NOTE Right clicking on the desired printer also allows you to select Printing Preferences from the right click menu. This will take you directly to the Printing Preferences dialog which holds the About button.

NOTE The driver version can also be determined by printing the printer test page by clicking the Print Test Page button on the General tab of the Print Properties dialog.

3.2. Upgrade Installation Procedure for Win2K, WinXP and Server 2003:

! Log in to a user account with sufficient rights to load and install printer drivers.

! Navigate to the Printers and Faxes folder via the Start Menu or Control Panel.

! Right click the printer whose driver you wish to replace and select Properties from the menu.

! Click the New Driver button. The Add Printer Wizard will open.

! Click the Next button. The Add Printer Wizard advances to the Printer Driver Selection dialog where you can select the manufacturer and printer whose driver you wish to update.

! Click on the Browse button and navigate to the *.inf file for the chosen driver. Select the file and click on the Open button.

! The rebootless printer drivers will be updated.

! Close the Printer Properties dialog and the Printer and Faxes folder.

! Log out of the Windows user account and then log back in again. Once you log back in, the update should be complete. Repeat the procedures in section 3.1 for the operating system of your environment.

NOTE If you do not log out and back in again, the printer driver version and information on the printer test page will not be properly updated even if the information described in section 3.1 is updated. Trying to access Printer Properties without logging out and then back in to the user account may cause a protection fault. Rebootless update is also available for the Point and Print environment. To print with a driver that was installed by point and print, log out of the user account on the client PC and then log back in.

NOTE The Replace button on the Server Properties Dialog in XP Professional and the Reinstall button on the same dialog in Server 2003, will not update the printer driver. The Replace button attempts to replace the existing driver with the driver originally included with Windows, while the Reinstall button attempts to reinstall the existing driver.
