Dear Network,

We started our term as Network Commission already on April 5, when we were still in

Gijon, all full of ideas and enthusiasm, looking forward to all adventures and

challenges the upcoming months will bring. With the beginning of our term, we also

had to face our first challenge as a team – joining all these ideas into a coherent vision

and transforming them into our Work Plan.

And here we are proud to present to you the vision we developed for our term.

This Activity Plan defines our goals and priorities for the upcoming months. It presents

a variety of improvements and initiatives we intend to carry out during our term. We

are all already working hard on them and looking forward to continue working for and

with you till the end of the term. So for any needs or ideas, please contact us on

[email protected].

And, also like our page on Facebook, as well as constantly check our pages on

Members Portal, especially the Activity Reports every first week of the month for

updates on our progress through this plan.

Antenna Criteria

Antenna Criteria for dummies

Create a clear and understandable description of antenna criteria. This antenna

criteria description is to be made available in the Members’ Portal.

Standardising assessment of Active Communication criterion

Currently it is up to each Network Commissioner's personal judgement whether an

antenna fulfils the active communication criterion. To prevent large discrepancies in

judging to which extent this criterion is accomplished, NetCom together with the

Network Director will develop a common measurement of active communication.

Defining and implementing assessment process of LTC criterion

To ensure that the content delivered during Local Training Courses complies with the

HR Strategy of AEGEE-Europe, an assessment process of the content of LTCs is to be

established. Together with the Comité Directeur and EQAC, NetCom aims to start

creating this assessment process to be used for the whole Network.

Network Unification

Map of Local Activities

Based on repeatedly voiced interests, NetCom aims to develop a platform which

shows local events all over the Network. If possible, NetCom would like to

incorporate this map of local activities into the new Online Membership System.

Present a Long Term Strategy for Network Unification

At Agora Kyiv, the Network Commission aims to present a three year strategy which

counteracts recent tendencies of nationalisation and regionalisation present within

our Network. NetCom strives to encourage cooperation among antennae which are

not located geographically close to each other. By promoting activities such as best

practice Skype meetings, antennae from all over the Network can get to know each

other and create new cross-national cooperations.

Network Development

Support with Strategy for Learning & Training implementation

NetCom aims to support the implementation of the new HR strategy of AEGEE-

Europe. In this regard, NetCom will help antennae in the process of organizing Local

Training Courses featuring the content outlined in AEGEE-Europe’s HR strategy.

Create strategies to support locals in big cities

The Network Development Research results demonstrate that antennae in big cities

face unique challenges and tend to struggle more than antennae located in smaller

cities. NetCom aims to create a platform for sharing best practices which can be

used to create a strategy for antennae located in big cities.

Network SWOT Analysis

NetCom aims to establish an overview of the strengths and weaknesses featured in

different parts of our Network. To achieve a periodic Network status overview, a

standardized SWOT analysis is to be created and conducted for all antennae.

Collaboration

Effective collection of information from locals for use of European Bodies

Collect information directly from all locals through a single means so as to reduce

repetitive and multiple periodic surveys.

Establish clear Collaboration Policies with more European Bodies

Evaluate NetCom’s current relations with European bodies and define overlapping

fields of action among these bodies. Collaboration policies are to be created

together with these bodies in order to ensure effective cooperation.

Support clear task division during events organised between European

Bodies and locals

To avoid confusion regarding the responsibilities of local organizers and European

level bodies when organizing European events such as Network Meetings, NetCom

aims to create task agreements for NWMs, and possibly templates for the use of

locals and European bodies during their joint projects.

Qualitative Analysis of current external collaboration of AEGEE locals with

universities

Collect the current status of collaboration between antennae and universities on a

local level. Using this information, NetCom aims to inform the Network about

current collaborations as well as possibilities to increase future cooperation with

universities.

Qualitative Analysis of current external collaboration of AEGEE locals with

other NGOs

To promote greater collaborations with other NGOs, the current extent to which

antennae collaborate with other NGOs is to be collected, before recommendations

for strengthening future cooperations can be made.

Analysis of national level collaborations between locals in collaboration

with the Comité Directeur

Create a proposal for Agora Kyiv which identifies the stakeholders of national level

collaborations and clarifies the competences necessary to address these tendencies

of nationalisation.

NetCom Projects

Implementation of Pro-Active Local Founding

Follow-up on the Pro-Active Local Founding strategy which was established during

the previous NetCom term. The aim for this term is to start implementing the

existing strategy to actively identify places where new Contacts of AEGEE-Europe can

be founded.

Implementation of Mentorship Project

Continue working on the implementation of the mentorship project by matching

antennae which can share best practices and support each other.

Increase in Twinning Antennae contract signing

NetCom aims to foster more cross-national cooperation among antennae by

reviving a new ‘dating concept’ for antennae to take part in. Through the promotion

of virtual, as well as live meetings, a common ground can be established between

antennae and ultimately lead to more antennae signing twin contracts.

Visibility & Transparency

Increase presence and reach on Social Media and Members Portal

Actively use social media platforms such as Facebook to increase the visibility of the

Network Commission and the Network among AEGEE members and beyond. Also,

move information to NetCom’s section in the Members’ Portal and update this

information regularly.

Individual Work with Locals

SubCom Team We will each appoint and work with an adequate team of Subcommissioners according

to our needs and those of our assigned locals. Subcommissioners are now also signing

Non-Disclosure Agreement to further safeguard the privacy of every local.

Communication We will each build our communication strategies with our locals in the best way to fit

our and their way of working. Good communication is the most fundamental asset of

our work with individual locals.

NetCom Trips Getting to know the members we’re working with face to face and build that personal

connection is also important. Depending on resources and needs, we will try to reach

out your cities to get full grasp of your local situations.

NWM We will each organise a NWM close to our locals focusing on sharing best practices,

updating about last progresses in AEGEE and launching initiatives. The Network

Meetings will improve the functioning of the locals, increase cooperation between

them, and inspire and renew the motivation of active members.

Local Development We will support our locals with own initiatives and advice, provide information for their

functioning, and encourage them to organise and participate in European Events and

Trainings.

Collaboration between locals We will promote cooperation and integration between all locals in the network,

especially through our NetCom Projects.

Antenna Criteria Fulfilment We will follow, help and make sure that every antenna fulfils all the criteria up to its

potential.

Follow the tasks as stated by the Working Format of the Network Commission

Most of the points we normally write on the individual work plan are already stated in our Working

Format which we are bounded to, therefore not to be redundant, I will just quote it.

Furthermore, to safeguard neutrality and the network as a whole, I expanded my ideas towards the

whole network, and together with the team, I will promote initiatives and improvements which will

benefit to the network, reducing the separation effect and regionalism that sometimes can be

perceived by a NetCom's locals.

Work on and implement the Work Plan of the Network Commission within the Network

Instead of inventing 11 different wheels every term, with the whole team, I will aim to invest more in

contributing to the assembly of more wheels working together moving towards a common direction

- at least in the form of a bicycle.

Communication Strategy

The Network Commissioner will communicate to his assigned locals through

announcements via the locals’ official email address.

Each local or board member shall contact the Network Commissioner through the

designated facebook chat comprising the Network Commissioner and all board

members of the local. The local is responsible of and shall update the people in the

chat with every change in the board.

Each local can request a meeting appointment via Skype call.

With the help of the boards, the Network Commissioner will keep the members of his

assigned locals informed with the latest important happenings in AEGEE.

Work Plan

Finishing the NetCom trip in the area

In my previous term, I put an emphasis on getting to know the locals personally - I would like to

continue with this, and visit the rest of the locals who has been off the list so far.

Organizing an Autumn Network Meeting

After NWM Brno, I plan to organize an Autumn Network Meeting in the area as well to continue the

process and the flow that has been started in Budapest and continued in Brno for the locals. I want

to once more create a Network Meeting that is according to their needs and fulfils their

expectations.

Continuing the improvement of the area with the locals

I believe that after the last period, my area is starting to improve and stability is starting to get

steady. I would like to keep the communication flow that was working in last term (e-mails,

Facebook group and increasing Skype activity). I would also like to support the locals' individual

ideas about collaborating (shared workspace, etc.)

Implementation of LTC criteria

As now organising an LTC is compulsory for locals, I would like to give my assistance in the thematic

part of LTC-s. I plan to help out locals by assisting them with the content of the LTC-s, and if

possible, give trainings as well.

Putting emphasis on internal NetCom work

As I have been elected as one of the Vice-Speakers of Network Commission, I would like to put more

effort into our internal work as well.

The working plan is in a big part based on the work of previous Network Commissioners (Arsenis Tselengidis

and Lia Tuska) as it is my goal to create a consistency for the area.Many goals remain the same, but will be

expanded and/or improved depending on the feedback and comments of the locals and the experiences of

what worked or didn’t in the past.

Communication

Have regular and direct communication with the locals with skype or (if possible) live

meetings.

Keep active communication with all the locals through e-mails and facebook.

NetCom trip to visit all my locals (at least once).

Have “in depth” meetings with my locals (live or through skype) where they can give

feedback, offer their suggestions, discuss their problems and the help they need, and

the ways they would like to work with me at least twice/once per “term”.

Improve communication and co-operation between the locals of the area and

strengthen their bonds.

Create venues where people from all locals of the area can communicate. (facebook

page,mailing list).

Create facebook group with representatives of locals so I can have direct

communication with the local boards.

Support the locals

Assist the locals with fulfilling the criteria.

Help the locals prepare for the Agora by informing them of the deadlines, make sure

they have a Local Agora to elect delegates and discuss the proposals and pre-Agora

meetings to prepare the delegates.

Promote "Twin Antennae" and Mentorship System with the locals.

Ensure proper knowledge transfer for the new board members (making sure they are

aware of their tasks, have proper task distribution etc) and help them with their Activity

Plan.

Promote training of old and especially new members through the organization of RTCs

and LTCs (at least once a year) and encouraging the members of the local to attend

Create a “Common Materials” database with Knowledge Transfer and helpful

documents on the subjects of HR,FR,PR etc where all the locals can have access.

experiences, best practices, input on problem solving etc.

Work Plan

Inform locals about the activities of AEGEE’s European bodies

I will make sure the locals know what is happening around them in AEGEE, both in European bodies

and in other locals, who are organizing international events. I will have one Subcommissioner who

will help me with this.

Have at least one Skype meeting or face-to-face meeting per local

These meetings will be between me, a local and their Subcommissioner. They will be organized to

help the local with any problems they have, answer their questions, get updated and also to get to

know each other better.

Have at least three Skype meetings together with all the locals

This will give the locals a place to contact each other, share practices, help each other, but also to

contact me and the Subcommissioners. The first one will be more about getting to know each other,

the second one about their plans for autumn and the third one will be preparation for the Agora.

Help new contacts grow

There are quite a few contacts and contact antennas that are very motivated to grow. I will do my

best to try to help them in any way and to give them even more motivation to go far in AEGEE.

Help antennae with their problems

Many antennae have problems with for example motivating members, getting new members,

organizing international events or filling the antennae criteria. I will try to give the antennae a

personal approach and help them with the things they find the most problematic.

Promote trainings

As organizing an LTC is now an antenna criterion, I want to make sure that all the locals are aware

of that and know how to organize one. Besides that I will also promote organizing RTCs and

encourage people to attend them and also European trainings. I will also have one

Subcommissioner helping me with this task.

Put more emphasis on contributing to the Action Agenda

I will have one Subcommissioner whose task will be to encourage and inspire locals to contribute to

the Action Agenda and of course, first of all, to make sure that all the locals know what the Action

Agenda and the Strategic Plan is. I will of course be working closely with the Subcommissioner and

also try to strengthen the connection between locals and the ACT, thus hopefully pushing more

locals to seeing the importance of this.

Visit some of my locals

Some of the locals need instant attention and I believe it’s best to have meetings in person. If there is

a possibility, I will definitely attend to those who need my help the most. I will try to visit all of my

locals by the end of my term, but probably it will mostly happen after Agora Kyiv. Before Agora Kyiv I

will try to visit the Baltic locals and maybe also Scandinavia.

Make sure new boards have the proper Knowledge Transfer

It has happened many times that after the board election a lot of problems arise just because of an

improper or missing knowledge transfer. I will contact all the locals after they have elections to

make sure the new board is informed and ready to work.

Organize a NWM

One NWM has been organized by the Nordic locals for many years after the fall Agora and it has

worked well to, besides everything else, discuss the results of the Agora. But if locals wish to do it

before the Agora, we will change that. I will issue an open call very soon.

Try to find mentors for locals

Mentorship can be very useful and motivating for smaller and/or weaker locals to get inspired and

get some help from bigger/stronger locals. I will try to pair up a few locals and build some stronger

bonds.

Since Balkan locals have problem with it, together with my SubCom team we will collect interesting

ideas and successful local activities of the rest of our locals and send them the guidelines

when Mayri will send us the final list of what should be improved, I will push my locals to

change/improve it

NetCom trip

My plan is to visit at least half of the locals until Agora Kyiv, but it also depends on locals

This following Work Plan has been developed by the Tripulacion 7.0 which is a team of hard workers and

motivated people that I introduced you here above, along with the locals they will be responsible for.

Work Plan

Keep on improving our proactiveness towards the antennae

Even though we try to be present in the daily work of locals and provide them help when needed,

there is still a gap sometimes in communication, as some locals tend to keep their problems and fail

at solving them because they are not letting us know them.

We will try to arrange more Skype meetings and even visits if possible to keep on getting closer to

these locals which aren’t still cooperating perfectly with us.

Pay attention to weaker antennae

We will support them so they get to be more active in the local level and encourage them to

organise local and even regional events to try to increase their members number and motivate the

ones that they already have.

Define a strategy together with newly elected Network Commissioner Tereza Tokmajyan (currently

living in Portugal) and former Subcommissioner of Portuguese locals Mário Branco for reviving the

already existing antennae in the country (Porto Invicta, Madeira) and supporting the possible

creation or refoundation of other possible locals.

Keep on supporting the French locals that are going through a tough time, so they can survive.

Encourage them to organise at least one RTC for French speaking antennae.

Improve knowledge transfer and knowledge management

Keep on stressing out the importance of transferring the knowledge among experimented members

and new members (active ones, board members) to ensure the efficiency of the work within an

antenna: encourage locals to include this matter as a session in their future LTCs and RTCs, so best

practises can be shared and common strategies defined among them. Also encourage locals to have

a Board roles Knowledge Transfer document or template, in case they still don’t have created one.

Spread a cooperation feeling not only among the locals of the area but among the

whole Network

We will keep on spreading the use of the shared document folder we have with all the material, files

and data available for everyone on the area (that could be opened for the whole Network if

wanted).

Keep encouraging locals to cooperate with each other and not just for TSUs or RTCs but for growing

with the help of other’s experience, such as including helpers from other antennae in their events

(especially those who come from weak locals, so they can learn how other antennae work and

perhaps implement it in their own local).

We will also keep on working on making the Mentorship System appealing and successful, so new,

developing or weak locals, or even new members willing to grow fast as an AEGEE member, can be

matched with some experienced member from other antenna (not necessarily from the same area)

or even the proper antenna to help the local through administrative issues, conflict resolution and

other things that they might need.

Particular attention will also be given to encouraging locals to find a Twin antenna thanks to

tWinder and make this union fruitful and lasting, so both locals can learn from each other and

become more open minded about cooperating with antennae that are not from the same area.

Promote and improve the quality of training events

Since each local should organise at least one LTC, we will help them to develop useful material for

these events, to develop the program for the trainings according to the new antenna criteria, to find

trainers and support them in the follow up.

For Renove, a weekend event that is held in September every year focused on the activation of new

motivated members after Summer Universities, we will rethink about the concept of the workshops

given as we want them to be a more present part of the event, useful for experienced and

inexperienced attendees.

For autumn NWM, our priority is keeping on involving locals in the process of defining the content of

the event, which we want it to be as bidirectional as possible (promote discussion and debate). For

example, one new session we will include will feature the presentation of the activities organised by

each local during those months as a sharing best practises session related to events and activities.

We will keep on encouraging locals to become partners of the different programs included in

Erasmus +, as hosting or sending organisation.

We will also keep on informing the members about training opportunities within AEGEE as well as

trainings organized by AEGEE partners: we will check the training opportunities and inform the

antennae using subealanave mailing list, La Nave Facebook group and adding them to the monthly

AeGEeNDA (newsletter that summarizes all the events the members can apply for, available in

French, Spanish and Portuguese).

We will investigate the need of a common calendar or a map for local activities.

Stress the importance of Action Agenda and Strategic Plan to antennae

Encourage locals to use the Guidelines that ACT has developed to help them to understand and

implement it, and also stress the importance of organising activities and event related to the aims

and goals gathered in them. We think that the new session in autumn NWM will be helpful in this

sense.

Prepare actively for Agora Kyiv

We will make sure that the boards prepare their delegates to Agora and clear all doubts for visitors,

organising at least one board meeting with them.

We will also create a Facebook group in order to discuss the proposals and candidatures with all

delegates of the area and other members (attending or not to the Agora) that want to join.

We will organise a Skype meeting if needed.

Presence of AEGEE in Youth Councils

Keep on remarking the importance of being actively present in the different Youth Councils (regional

and national) and making bigger our cooperation with them.
