Policy & Procedure Manual

13.0 MILEAGE

Employees who drive on company business are required to hold a valid driver's license.

Traffic violations such as tickets for speeding or parking are the responsibility of the individual

receiving them.

13.1 Provided there are no company vehicles available, Winmar will pay a mileage allowance of

.39¢ per kilometer for business use of a personal vehicle, provided that prior approval has

been given by Management for each trip. Mileage is tracked from place of business to the

business-related destination, not from home to place of business.

13.2 To obtain a refund cheque a "Mileage Reimbursement Request" must be completed and

signed by the Employee and the Manager who authorized the expense.

13.3 When employees use their own vehicles on Company business and/or to transport

customers, any claim or damage arising from an accident will be covered by the employee's

insurance policy. It is therefore the responsibility of all individuals to arrange for appropriate

coverage with their insurance companies when using their own vehicles for Winmar business.

13.4 When employees rent vehicles on Company business, waive the insurance coverage if the

individual Franchise insurance policy covers rental vehicles. In the case of a claim, the

Franchise would have to pay only the deductible charges.

(E.G. - Some insurance policies cover rental vehicles to a maximum weight of 4,500 kgs and

only to a maximum value of $30,000.00 and only for 21 days - per vehicle.)

It is therefore important to be aware of the limits of your insurance policy.

13.5 To create consistency in our billing practices Winmar Franchise Corp. is suggesting that all

individual Franchises charge out their mileage at the following rate:

FOR EASE OF MATH THE RATE 0.39¢ per k.m.plus gst

QUOTE THE AMOUNT OF REIMBURSEMENT AT .4134¢ PER KM INCLUDING GST ON
