Assignment of SpaceApplications for exhibit space must be madeon the Official Exhibit Application Contract.Initial assignment of space will begin on December 11, 2018, and will be based ontotal support for the Society, prior participationin Society exhibitions, date of receipt of application, booth size requirements, boothheight, and location of space requested. Assignment of space to Exhibitors whosecontracts and payment are received afterDecember 11, 2018, will be made in order of the date of receipt of the application. Exhibitors wishing to avoid assignment of space adjacent to that of a particular competitor should note that on their applica-tions. Careful consideration will be given toall such requests, but accommodation ofsuch requests is not guaranteed and can affect preferred booth assignment.

The exhibit booth application, properly executed by Exhibitor,shall, upon written acceptance and notification of space assignedby ISHLT, constitute a valid andbinding contract. The followingrules and regulations have been designed for the benefit of all Exhibitors.

Booth Construction/Dimensions The single inline/corner booth priceincludes the following:• One 8'x10' inline booth• 8' high draped back wall• 3' high draped side rails• One identification sign listing the company

name as ordered on the contract

Island booth prices include the following:• Exhibition floor spaceonly

Inline exhibits must conform to the following standards: • No sidewalls or counters may exceed 40

inches in height• No partitions other than the back and

side dividers provided by the ExhibitService Contractor will be allowed unlessspecifically approved in advance by ISHLT

• Backgrounds are limited to 8 feet in height• Side walls and obstructions more than

40 inches tall may extend no more than3 feet from the back line of the booth.

• Signage must be part of the exhibit boothstructure. Signs may not be suspendedfrom or attached to the exhibit hall.

All corner booths, inline booths largerthan 8'x10', and all booths opting not touse the provided back and side dividersmust submit a floor plan and designspecifications to GES and ISHLT for approval.

The floor plans must include an overview layout, front view layout, and the height of all components. The floor plans and design specifications must be sent by March 6, 2019 for approval to Lisa Edwards, ISHLT: [email protected] & Theresa O’Brien, GES: [email protected].

Island exhibits must be constructed so that there is at least 50% visibility of the exhibition hall from any one side of the booth.

All island booths must submit a floor plan and design specifications for approval. The floor plans must include a birds-eye overview, a view showing the booth’s orien-tation in the exhibit hall, a view from each side, and the length, width, and height of all components. The floor plans and design specifications must be sent by March 1, 2019 for approval to Lisa Edwards, ISHLT [email protected] and Theresa O’Brien, GES: [email protected].

Payment and CancellationsWhen applying for space, Exhibitors must submit full payment with the application. No spaceassignment will be made or reserved prior to receiptby ISHLT of payment in full. This contract may becancelled by the Exhibitor. by written notice to ISHLT. Refunds will be made for cancellations as follows:

Installation and Dismantling of ExhibitsExhibitors must install all exhibits and display materials by the opening hour of the exhibi-tion. Under no circumstances will the delivery or removal of any portion of an exhibit be permitted during the exhibition without written permission from ISHLT. Under no circumstances may dismantling occur before 4:30 pm, Friday, April 5, 2019. Exhibitors will have until 12:00 pm on Saturday, April 6, 2019 to remove their exhibits from the facility.

Subletting of SpaceThe Exhibitor agrees not to assign, sublet, or apportion the whole or any part of the space without the knowledge and written consent of the ISHLT.

Use of Booths/Literature DistributionThe Exhibitor is permitted to demonstrate equipment and to make informational presentations regarding products or services in his/her booth only. All demonstrations and exhibits must be confined to the exhibit booths responsible for such demonstrations or exhibits. All literature and promotional materials may be distributed only within the booth space assigned.

Handouts/GiveawaysNo bags of any kind may be distributed from any Exhibitor’s booth. Distribution of descriptive product literature, notepads, pens, and pencils is permitted. Other items may be distributed from the booth only if approved in writing by ISHLT. Requests for such approval must be received in writing by ISHLT no later than March 1, 2019. No unapproved items may be distributed. Any Exhibitor found distributing unapproved items will be required to cease distribution. Exhibition Handout/Giveaway Approval Forms can be obtained from the ISHLT web site (www.ishlt.org)

Sale of Goods in Exhibit BoothsExhibitors shall not conduct or permit anysale of goods or services of any kind in theexhibit or Annual Meeting area. Order takingis permitted.

Exhibit Hall Staffing/AccessExhibits must be staffed at all times duringexhibit hours. Exhibit personnel will be per-mitted on the exhibit floor one hour prior to opening and may remain in the hall onehalf-hour after closing. ISHLT will have solecontrol over all admissions of persons tothe Annual Meeting and the Exhibit area.

Objectionable Material and ActivitiesAll booth personnel, models, and demon-strators must be registered as ExhibitorPersonnel. Except for a Society scheduledevent, no alcoholic beverages are permittedin booths or elsewhere in the Exhibit Area.ISHLT reserves the right to require modifi-cation of any questionable exhibit or activityand to refuse to permit distribution of souvenirs,advertising matter or anything else whichit may consider objectionable. Contests,games of chance, lotteries, and raffles arestrictly prohibited.

Rejections and PenaltiesISHLT reserves the right to restrict, reject,prohibit or eject any exhibit or Exhibitor which,because of noise, safety hazards, or for otherprudent reasons, becomes objectionable, orfor breach of any of these rules and regu-lations. Such termination may become effective during the meeting, at which timethe Exhibitor agrees to close his/her exhibitupon receipt of a notice of termination, andthereafter remove his/her exhibit from theexhibition hall as soon as possible withoutdisruption of the meeting. Expulsion of anExhibitor shall not give rise to a claim for arefund of the fees paid by such Exhibitor.

Assignment of SpaceAssignment of space shall constitute anacceptance of Exhibitor’s offer to occupyspace.

LiabilitiesThe Exhibitor, by signing this contract,agrees to hold harmless and indemnify the International Society for Heart and Lung Transplantation, the Loews MeetingComplex at Universal, and their respectiveemployees, representatives, agents, succes-sors and assigns, for any and all damages to its property and for any and all injuries toany person resulting from its exhibiting at thisMeeting. Exhibitors will be held responsiblefor any damage done to the buildings by it or its employees. No nails, tacks, or screwsshould be driven into the floor, walls or wood-work of the building.

The International Society for Heart & LungTransplantation, its agents and employees,will not be liable for failure to hold the Meetingas scheduled. Payments for the booth spacewill be returned in the event of cancellationof the meeting, except that any actual ex-penses incurred or committed in connectionwith the Meeting will be prorated and de-ducted if the Meeting is cancelled becauseof fire, an act of God, the public enemy, strike,war, epidemic, or any law or regulation ofpublic authority which makes it impossible, orimpractical, or illegal to hold the Meeting.

Fire and Safety RegulationsExhibitor agrees to conform to all fire, safety,and other rules and regulations as providedand interpreted by the official Exhibit ServiceContractor and the Loews Meeting Complexat Universal representatives. All exhibitdecorations must be fire retardant. No openflames or tanks of gas may be used, normay canopies be erected over exhibits. Exhibitor agrees to take necessary measuresto safeguard visitors from any hazards associated with its exhibit.

Exhibit LaborAll work involved in the erection, touch-uppainting, dismantling, and repair of all exhibits – when this work is done by persons otherthan your full-time company personnel – willfall under union jurisdiction. This work is toinclude wall coverings, floor coverings, pipeand drape, painting, hanging of signs and/ordecorative materials from the ceiling, place-ment of all signs, and the erection of platformsused for exhibit purposes.

Freight HandlingAll work involved in the loading and unload-ing of all trucks, trailers and common andcontract carriers, as well as the handling ofempty crates and the operation of materialhandling equipment, is under union jurisdic-tion. The union also has the jurisdiction of theunloading, uncrating, unskidding, leveling,painting and assembly of machinery andequipment, as well as the reverse process.

Full-time employees of exhibiting companiesmay ‘hand carry’ material provided they donot use material handling equipment. Whenexhibitors do choose to ‘hand carry’ material,they may not be permitted access to theloading dock/freight door areas. Global Experi-ence Specialists, Inc. will not be responsiblefor any material we do not handle.

All exhibitors are expected to comply withany union requirements in effect and asoutlined in the “SHOW SITE WORK RULES”section of the Exhibitor kit.

GratuitiesGES work rules prohibit the SOLICITATIONOR ACCEPTANCE of tips in cash, productor gifts in kind by any employee (union ornon-union). GES employees are paid appropriate wages denoting professional status, therefore tipping of any kind is notallowed.

Independent ContractorsExhibitors who plan to use a service con-tractor other than GES must notify ISHLTin writing no later than March 1, 2019. An Independent Exhibit Contractor form can be obtained from the ISHLT web site(www.ishlt.org). Such contractors are re-quired to comply with all rules and regula-tions of the show. Such contractors mustsupply a Certificate of Insurance and formto ISHLT no later than March 1, 2019.

Exhibit Personnel RegistrationISHLT registration badges must be worn atall times during meeting/show hours. AnExhibit Personnel Registration Form will beprovided to exhibiting companies in February2019. All individuals affiliated with an ex-hibit booth must be registered as exhibitpersonnel. Individuals registered as exhibitpersonnel must be employed by the Exhibitor.The exhibit personnel badge allows accessto the exhibit area only. Company employ-ees and consultants desiring to attend anyof the scientific sessions must register forthe meeting at the Industry registrationrate. Exhibit personnel badges must bepicked up on-site at the Exhibitor Registra-tion Desk during published registration hours.If desired, Exhibitors may arrange to haveone representative from the company collectall of the exhibit personnel badges for thecompany. Please indicate this on the ExhibitPersonnel Registration Form.

Music LicensingThe Exhibitor shall be responsible for securing all necessary licenses or consentsfor and paying all royalties and fees for anyuses of copyrighted works or intellectualproperty owned by a third party and used,directly or indirectly, by the Exhibitor.

Corporate EventsA Corporate Event is any activity which involves any physi-cian, surgeon, or allied health delegates attending the ISHLTAnnual Meeting and which is funded, organized, or offered byany for-profit commercial organization and held in the Or-lando metropolitan area between and including Monday,April 1 and Saturday April 6, 2019. Companies wishing toconduct a Corporate Event must submit the CorporateEvent Application Form to ISHLT for approval. This appli-cation form can be obtained at www.ishlt.org

Industry Theater SessionsAn Industry Theater Session is an excellent opportunity for exhibiting companies to expand upon their exhibit presence byproviding attendees with clinical updates and information oncurrent therapies and products in meeting space connectedto the exhibit hall. These sessions are a great way to increasethe attendees’ level of interaction and engagement with yourcompany. Only companies exhibiting at mayconduct an Industry Theater Session. Companies wishing toconduct an Industry Theater Session must submit the Industry Theater Session Application Form to ISHLT for approval. Thisapplication form can be obtained at www.ishlt.org.
