The International Society for Heart and Lung Transplantation (ISHLT) invites you to exhibit at our next meeting, the ISHLT35th Annual Meeting & Scientific Sessions, April 15-18, 2015 in Nice, France.

The ISHLT membership is comprised of over 3000 members from over 45 countries, representing more than 15 different disciplines involved in the management and treatment of end-stage heart and lung disease, including mechanical circulatorysupport, pulmonary hypertension and infectious diseases. Our members are consumers of a wide variety of medical and pharmaceutical supplies, devices and services. Our meeting offers exhibitors direct contact with medical professionals whomake or heavily influence decisions regarding the purchase of products and services provided by businesses such as yours.

The ISHLT meeting will feature the latest research results through Featured Abstracts, Satellite Symposia, Concurrent Abstract Sessions, Poster Sessions and Invited Lectures presented by scientific leaders. Exhibits will be open Wednesday April15, Thursday April 16, and Friday April 17.

We are expecting approximately 3000 delegates in Nice, so please don’t miss the chance to market to this valuable group. Initial assignment of space will be made on January 15. PURPOSE OF THE EXHIBITION

The exhibits portion of the meeting is designed

to update the health care professional’s knowl-

edge of products, services, literature and equip-

ment pertinent to the fields of heart and lung

transplantation, advanced heart and lung failure,

mechanical circulatory support, infectious dis-

eases, pulmonary hypertension and related dis-

eases and therapies. There is no better or more

direct method of reaching these key contacts

than the ISHLT Annual Meeting and Scientific

Sessions.

PROFILING THE AUDIENCE

Who comes to the ISHLT Annual Meeting? We are

estimating from previous meeting attendance

that we should have approximately 3000 dele-

gates, 88% of whom are medical professionals

and 75% of whom are physicians.

Information About The ExhibitionMEETING LOCATION

The ISHLT 35th Annual Meeting and Scientific

Sessions will be held at the Nice Acropolis

Congrès Centre, 1 Esplanade Kennedy – 06300

Nice, France. The Acropolis is nestled in the

heart of downtown Nice, just 15 minutes from

the airport and a few steps from the Mediter-

ranean Sea.

EXHIBIT LOCATION

The exhibition hall will be located in the Rhodes

area, 2nd Floor of the Nice Acropolis Congrès

Centre. A preliminary floor plan is printed in this

booklet. The final Exhibit Hall floor plan will be

designed to accommodate actual exhibitor

space requirements.

HOTEL RESERVATIONS

ISHLT has arranged group rates at a number

of local hotels and reservations are being

coordinated through Glaude Travel Services,

http:www.ishlt.glaudetravel.com. Hotel informa-

tion, rates and online booking information will be

available in October at www.ishlt.org. Group hous-

ing blocks should be coordinated directly with

Glaude Travel, [email protected]. Room

blocks are being held only through January, so

please book early.

WHAT’S INCLUDED IN THE EXHIBIT FEE?

The single booth price includes one 2.5 m x 3 m

booth exhibit modular stand shell, an identifica-

tion sign listing the company name as ordered,

exhibit booth carpeting and unlimited exhibit

personnel badges. Individuals registered as

exhibit booth personnel must be employed by

the exhibitor and may be required to provide

proof of such. The exhibit booth personnel badge

allows access to the exhibit area only. Individuals

desiring to attend any of the scientific sessions

must register for the meeting at the appropriate

registration rate.

CONTRACT AND ASSIGNMENT OF SPACE

Applications for exhibit space must be made on

the Official Exhibit Application Contract. Initial

assignment of space will be made on January

15, 2015 and will be based on prior engagement

with the Society, prior participation in Society

exhibitions, date of receipt of application, booth

size requirements and location of space requested.

Assignment of space to exhibitors applying

after January 15, 2015 will be made in order of

the date of receipt of the application. Exhibitors

wishing to avoid assignment of space adjacent

to that of a particular competitor should note

that on their applications. Careful consideration

will be given to all such requests, but accommo-

dation of such requests is not guaranteed and

can affect booth assignment.

SECURITY

A security guard will be furnished during all hours

that the exhibit hall is closed. However, the safe-

keeping of the exhibitor’s property is the respon-

sibility of the exhibitor.

POST-MEETING MAILING LIST

A complete delegate list, including names and

addresses, will be furnished to all exhibitors after

the meeting.

Official Exhibit Service ContractorISHLT has selected Nice Acropolis Exhibit Services as the official Exhibit Service Contractor. They

will furnish all exhibitors with an Exhibitor Information and Service Manual in January 2015. The

Service Manual will contain order forms for labor, booth furnishings, accessories, spotlights, signs,

audio-visual, electrical, telephones, shipping, etc. It is requested that orders be submitted by March

PAYMENT AND CANCELLATIONSWhen applying for space, the Exhibitormust submit payment in full with theapplication. No space assignment willbe reserved, held or made prior to receipt by ISHLT of payment in full. This contract may be cancelled by theExhibitor by written notice to ISHLT. Refunds will be made for cancellationsas follows:

BOOTH CONSTRUCTION AND DIMENSIONS The single booth price includes:

The single booth/standard size is 2.5meters x 3 meters minimum, or multi-ples thereof. All furnishings, equipment,services, lighting, electrical, internet,audio/visual, etc., required by each Ex-hibitor shall be at his/her own expenseand responsibility and may be orderedthrough the official Exhibit ServiceContractor. Signage must be part ofthe exhibit booth structure. Signs maynot be suspended from or attached tothe exhibit hall.

Inline exhibits must conform to the following standards: Exhibitors mustarrange exhibits so as not to obstructthe general view or hide other exhibits;no sidewalls or counters may exceed 1meter in height; no partitions other thanthe back and side dividers provided bythe Exhibit Service Contractor will beallowed unless specifically approved byISHLT; obstructions more than 1 metertall may extend no more than 1 meterfrom the back line of the booth; back-grounds are limited to 2.5 m in height.

ISLAND DISPLAYSIsland booth prices include the floorspace only. Ceiling heights vary de-pending on the location of your booth.Floor load tolerances cannot exceed350 kg per m2. Please contact NiceAcropolis Exhibit Services for more information regarding ceiling height

dimensions, floor access, weight limitsand storage. Island booths must beconstructed so that there is at least 50%visibility of the exhibition hall from anyone side. The following restrictions arewaived for island booths: 2.5 meterheight restriction, 1 meter side wall restriction Island booths that are 6m x6m and larger must submit a floor planto ISHLT and Nice Acropolis ExhibitServices by March 1, 2015 for approval.

INSTALLATION AND DISMANTLINGOF EXHIBITSExhibitors must install all exhibits anddisplay materials by the opening hourof the exhibition. Under no circum-stances will the delivery or removal ofany portion of an exhibit be permittedduring the exhibition without writtenpermission from ISHLT. Under no cir-cumstances may dismantling occur before 4:30 pm, Friday, April 17, 2015.Exhibitors will have until 11:59 pm on Friday, April 17, 2015 to remove their exhibits from the facility.

SUBLETTING OF SPACEThe Exhibitor agrees not to assign,sublet, or apportion the whole or anypart of the space without the knowl-edge and written consent of the ISHLT.

The exhibit booth application, properly executed by Exhibitor, shall, upon written acceptance and

notification of space assigned by ISHLT, constitute a valid and binding contract. The following rules

and regulations have been designed for the benefit of all exhibitors.

USE OF BOOTHS/LITERATURE DISTRIBUTIONThe Exhibitor is permitted to demon-strate equipment and to make informa-tional presentations regarding productsor services in his/her booth only. Alldemonstrations and exhibits must beconfined to the exhibit booths respon-sible for such demonstrations or exhibits.All literature and promotional materialsmay be distributed only within the boothspace assigned.

HANDOUTS/GIVEAWAYSNo bags of any kind may be distributedfrom any exhibitor’s booth. Distributionof descriptive product literature, note -pads, pens, and pencils is permitted.Other items may be distributed fromthe booth only if approved in writingby ISHLT. Requests for such approvalmust be received in writing by ISHLTno later than March 1, 2015. No unap-proved items may be distributed. Anyexhibitor found distributing unapproveditems will be required to cease distribu-tion. Exhibition Handout/Giveaway Approval Forms can be obtained fromthe ISHLT web site (www.ishlt.org)under the Annual Meeting Exhibitionsection.

SALE OF GOODS IN EXHIBIT BOOTHSExhibitors shall not conduct or permitany sale of goods or services of anykind in the exhibit or meeting areas.Order taking is permitted.

EXHIBIT HALL STAFFING/ACCESSExhibits must be staffed at all timesduring exhibit hours. Exhibit person-nel wearing an ISHLT exhibitor badgewill be permitted on the exhibit floorone hour prior to opening and may remain in the hall one half-hour afterclosing. ISHLT will have sole controlover all admissions of persons to themeeting and the exhibit area.

OBJECTIONABLE MATERIAL AND ACTIVITIESAll booth personnel, models anddemonstrators must be registered asExhibitors. Except for a Society sched-uled event, no alcoholic beverages arepermitted in booths or elsewhere in theExhibit Area. ISHLT reserves the rightto request modification of any ques-tionable or objectionable exhibit or activity and to refuse to permit distri-bution of souvenirs, advertising matteror anything else which it may considerobjectionable. Contests, games ofchance, lotteries and raffles are strictlyprohibited.

REJECTIONS AND PENALTIESISHLT reserves the right to restrict, reject, prohibit or eject any exhibit orExhibitor which, because of noise, safetyhazards or for other prudent reasons,

becomes objectionable, or for breach of any of these rules and regulations.Such termination may become effec-tive during the meeting, at which timethe Exhibitor agrees to close his/her ex-hibit upon receipt of a notice of termi-nation, and thereafter remove his/herexhibit from the exhibition hall as soonas possible without disruption of themeeting. Expulsion of an Exhibitor shallnot give rise to a claim for a refund ofthe fees paid by such Exhibitor.

ASSIGNMENT OF SPACEAssignment of space shall constitutean acceptance of Exhibitor’s offer tooccupy space.

LIABILITIESThe Exhibitor, by signing this contract,agrees to hold harmless and indemnifythe International Society for Heart andLung Transplantation, the Societe d’Exploitation de l’Acropolis de Nice,and their respective employees, repre-sentatives, agents, successors and assigns, for any and all damages to itsproperty and for any and all injuries toany person resulting from its exhibitingat this Meeting. Exhibitors will be heldresponsible for any damage done tothe buildings by it or its employees. No nails, tacks or screws should bedriven into the floor, walls or woodworkof the building.

The International Society for Heart &Lung Transplantation, its agents andemployees, will not be liable for failureto hold the Meeting as scheduled. Payments for the booth space will bereturned in the event of cancellation of the meeting, except that any actualexpenses incurred or committed inconnection with the Meeting will beprorated and deducted if the Meetingis cancelled because of fire, an act ofGod, the public enemy, strike, war, epidemic or any law or regulation ofpublic authority which makes it impos-sible, or impractical, or illegal to holdthe Meeting.

FIRE AND SAFETY REGULATIONSExhibitor agrees to conform to all fire,safety, and other rules and regulationsas provided and interpreted by the of-ficial Exhibit Service Contractor and itsrepresentatives. All exhibit decorationsmust be fire retardant. No open flamesor tanks of gas may be used, nor maycanopies be erected over exhibits. Exhibitor agrees to take necessarymeasures to safeguard visitors fromany hazards associated with its exhibit.

FREIGHT HANDLING, DELIVERY,SHIPMENT AND STORAGE OF MATERIALSExhibitors agree to ship and store theirmaterials at their own risk and expense.

Shipping, storage, freight handling anddelivery arrange ments may be madewith the shipper provided by the officialexhibit services contractor, Nice Acrop-olis Exhibit Services. Complete shippingand freight handling information willbe included in the Exhibitor ServicesManual and available in January.

INDEPENDENT CONTRACTORSExhibitors who plan to use a servicecontractor other than Nice AcropolisExhibit Services must notify ISHLT inwriting no later than March 1, 2015. AnIndependent Exhibit Contractor formcan be obtained from the ISHLT website (www.ishlt.org) under the AnnualMeeting Exhibits section. Such con-tractors are required to comply withall rules and regulations of the show.Such contractors must supply a Cer-tificate of Insurance and form to ISHLTno later than March 1, 2015.

EXHIBITOR PERSONNEL REGISTRATIONISHLT registration badges must be wornat all times during meeting/show hours.An exhibitor personnel registration formwill be provided to exhibiting compa-nies in February 2015. All individualsaffiliated with an exhibit booth must be registered as exhibit personnel. In-dividuals registered as exhibit personnelmust be employed by the exhibitor. Theexhibit personnel badge allows accessto the exhibit area only. Individuals de-siring to attend any of the scientificsessions must register for the meetingat the regular registration rate. Badgesmust be picked up on-site at the Ex-hibitor Registration Desk during pub-lished registration hours. If desired,Exhibitors may arrange to have onerepresentative from the company collect all of the exhibit personnelbadges for the company. Please indi-cate this on the Exhibit Personnel Registration Form.

MUSIC LICENSINGThe Exhibitor shall be responsible forsecuring all necessary licenses or con-sents for and paying all royalties andfees for any uses of copyrighted worksor intellectual property owned by athird party and used, directly or indi-rectly, by the Exhibitor.

CORPORATE EVENTSA Corporate Event is any activity (so-cial, education, marketing, etc.) whichinvolves any physician, surgeon or alliedhealth delegates attending the ISHLTAnnual Meeting and which is funded,organized or offered by any for-profitcommercial organization and held inthe Cote d’ Azur Metropolitan areasbetween and including Monday, April 13and Saturday April 17, 2015.

Companies wishing to conduct Corpo-rate Events must submit an applicationfor such to ISHLT and receive approval.Upon receiving approval, companiesmay contact their preferred venue tomake arrangements. All costs for cor-porate events are to be borne by thecompany. When space in the NiceAcropolis Congrès Centre is used, spacemay include complimentary use of AVstaging and equipment in place for theISHLT Scientific Sessions, if available.

Corporate Events may be conductedonly during approved times. Only com-panies exhibiting at the ISHLT 2015 An-nual Meeting may conduct CorporateEvents. AFFILIATE EVENTS/MEETING SPACE REQUESTSAffiliate events include:

• All non-ISHLT-sponsored, non-com-pany-sponsoredfunded events/meet-ings/activities conducted by or fordelegates at the ISHLT Annual Meetingand taking place in the Nice/Cannes/Villes Franches Metropolitan areas be-tween and including Monday, April 13,2015 and Saturday, April 17, 2015. Suchevents include meetings and events or-ganized for working groups, universityalumni, special interest group events,institutional meetings, etc.

• All events/meetings/activities con-ducted by commercial interests at theISHLT meeting and involving only company employees/consultants/investigators/board members, and

taking place in the Cote d’ Azur Metro-politan areas between and includingMonday, April 13, 2015 and Saturday,April 17, 2015. Such events include salesand/or staff meetings, advisory andother Board meetings, and meetings ofinvestigators for registered clinical tri-als. Educational, marketing, social andother activities that are conductedby commercial interests and to whichISHLT delegates are invited are notconsidered affiliate events. Compa-nies wishing to conduct such eventsmust submit a Corporate Event RequestForm available on the ISHLT web site(www.ishlt.org).

Requests for corporate and affiliateevents will not be approved unless thecompany is an exhibitor. Exceptions will be considered for companies whichdo not have an approved product.
