NEW INSTRUCTIONS FOR SILENT AUCTION CLOSEThe Silent auction closes when the Auctioneer circles the item and the bidder number.

Closing begins 15 minutes after the oral auction has ended. Bidding may continue until the auctioneer arrives to close the item. If more than one person is bidding when the auctioneer arrives, he will conduct a mini oral auction until one of the bidders out bids the other. Once

the auctioneer circles the highest bidder number, that item is closed for any further bids.

Gift Certificate Pick up ONLYA volunteer in each section will have the gift certificate for that section.

If you are the highest bidder for that gift certificate, do the following: Take the pink bid sheet associated with the gift certificate along with your bid card with

pre-paid sticker or receipt of payment, to the volunteer. Sign the pink sheet indicating you received your certificate.

Gala coordinators, Marianne Spiros, Suzanne Nicholas, Kate Kleski and their superb team of parent and alumnae volunteers have worked tirelessly to make this 35th annual Elms Gala a tremendous success for you and for our students. Ralph L. and Florence A. Bernard Scholarship Fund

The Ralph L. and Florence A. Bernard Scholarship Fund was established at Our Lady of the Elms to help Elms students gain access to an academically rigorous Catholic education. Mr. Ralph L. Bernard, Sr. was one of Our Lady of the Elms’ longstanding and dedicated supporters. His generosity and altruism are legendary. We at the Elms greatly miss him since his passing in November, 2009.

We are most grateful to Mr. Ralph L. Bernard, II and Mrs. Anthony (Regina) Dain, trustees of the R.L. and F.A. Bernard Foundation, for continuing their parents’ legacy by issuing a challenge to the Elms community to raise money for scholarships through Elms Gala 2012. This year, the 35th anniversary of Elms Gala, Ralph and Regina agreed to increase their challenge from $25,000 to $35,000 and will match funds raised dollar for dollar, with a contribution to the R.L. and F.A. Bernard Scholarship Fund.

Both Ralph and Regina are determined to help provide an Elms education to deserving students. We hope that you will accept the challenge and pay a vibrant tribute to the legacy of Mr. Ralph L. Auction Rules1. The values for the items being auctioned are estimates provided by the

donors. They have not been warranted by the Elms Gala 2012 Committee or Our Lady of the Elms School for tax purposes or general value.  

2. Please be aware of expiration dates on auction items.  Unless otherwise specified, all items and services are to be used within one year of the event, expiring March 16, 2013.

3. All auction items are to be accepted “as is”.  Please respect the restrictions set forth by donors and not request changes to items.

4. Our Lady of the Elms School expects all auction winners to provide payment by the evening of March 17, 2012.  Payment may be made by Cash, Check, MasterCard, Visa, American Express or Discover.  

5. Although much care and consideration has been employed to describe all items accurately, the auctioneer and Our Lady of the Elms School are not responsible for the correct description, authenticity, genuineness, or defect in any item and do not consent to any warranty in connection with an item.  No exception will be made, nor sale reversed, for an error in catalogue descriptions or mistakes not seen here.  In addition, all items are being sold “as is” and no deduction will be allowed on any damaged goods.

Silent Auction Procedures•  All items in the silent auction have bid sheets attached.  Bidders must write their bidder number and the bid 

amount on each item sheet.

•  Each increase in bid must equal or exceed the minimum bid stated on the card in order to constitute a valid bid.

•  Each new bid must be written on the topmost blank line on the bid card.

•  There is now a “BUY IT NOW” option.  The “Buy It Now” value is listed at the bottom of the bid sheet.  Should a bidder want the item without a bidding war, they may “Buy It Now” at the “Buy It Now” price. Be sure to place the bidder number on the appropriate line. All other bids will be voided and the “Buy It Now” bidder is the winner.

•  The first category of the silent auction will close 15 minutes after completion of the oral auction.  Subsequent silent auction categories will be closed as the auctioneer proceeds through the sections.  Bidding continues until the auctioneer circles the highest bid.  Should two or more bidders want an item, the auctioneer will hold a mini oral auction. Once all bidders are satisfied with their bids, the auctioneer will award the winner of the item to the bidder with the highest bid.  The closed bid circled by the Auctioneer/Elms Gala Official constitutes the winning bid.  

•  Under no circumstances may the auction bid card be removed from the bidding table.

•  Payment by the successful bidder should be made as soon as the cashiers are open or by express checkout.  Payments may be paid by cash, check, MasterCard, Visa, American Express or Discover.  Payment in full is mandatory at the close of Elms Gala 2012 unless otherwise stated.
