Bodwiser Gym offers a unique way of achieving both fitness and happiness at the same time. Being the Burguan Group’s newest venture, the three-storey fitness complex is lo-cated at the heart of Bonifacio High Street in Taguig City. Through the visionary mindset of its CEO, Adrielle L. Mendoza, Bodwiser Inc. aims to redefine the health and fitness industry. By pro-viding the most modern gym equipment and excellent health instructors, the company also aims to promote an increased awareness of the importance of health and fitness to all ages.
Aside from state-of-the-art gym equip-ment, the fitness center also boasts of an Olym-pic-size swimming pool which is available not only for cardiovascular trainings but also for family bonding activities. After a strenuous workout, the center also offers an avenue for its members to relax through its steam baths and spa treatments. BUSINESS ACTIVITIES
The business activities of the gym can be basically categorized into two: management of members of the club and minor activities. The activities under the management of members are enumerated as fol-lows, with the first four being part of the system:
Management of members Application Process
Clients of Bodwiser may ap-ply for individual accounts, family accounts or corporate accounts, with their membership privileges being non-transferrable. In addition to the health and fitness benefits that the clients of Bodwiser will gain, additional benefits include discounts depending on the members’ level of activity and perks brought about by Bodwiser’s tie-ups with other com-panies. Updating of Membership Status
Under this activity is the up-dating of records of the members, their usage of facilities and equip-ment, the services they availed and their progress if enrolled in certain health programs. This activity also encompasses renewals, cancella-tions, and freezings of membership.
The facilities of Bodwiser
include an Olympic-size swimming pool, steam bath/sauna, courts, spa, and a kids’ area. Among the services offered by the gym are group exer-cise classes (such as yoga, pilates and aerobics), martial arts training (which is also offered to children),
personal training, nutritional therapy and health consultations. As for the equipment, the gym offers treadmills and weights, among others.
One unique feature of Bod-wiser is its high-technology facilities: members are provided with swipe cards which allow them to access the facilities and equipment of the club. These swipe cards make it easier for the members to time–in and –out of the gym, while at the same time mak-ing it more convenient for the mem-bers and Bodwiser alike to keep track of members’ progress.
Members who wish to renew
their membership must apply for re-newal at least two weeks prior to the expiration of their existing member-ship. However, should existing mem-bers wish to cancel their member-ship, they should give a written no-tice – preferably within 4 weeks – using the form available at the club. Also, if any member plans to tempo-rarily relinquish their membership rights, they can opt to freeze their membership for a minimum of 4 weeks (in multiples of 2 weeks) or one month (depending on what is applicable) to a maximum of 14 weeks or 3 months per calendar year.
Scheduling of Classes
Enrolling in classes can be done either at the club office or through the website. The schedules of the trainers may be viewed online.

A website will be maintained by the club for the members’ easy
access. Through the website, mem-bers can access personal details, pro-gram progress and schedules of classes. They can also enroll in a class they intend to take through the web-site. Promos and special offers will also be posted there.
Those who wish to apply for membership may fill up the applica-tion form through the website, after which they will be contacted for the schedule of their physical examina-tion.
The website will also be used
to post job vacancies of the company and requirements of the open posi-tions.
Billing
Membership is payable in advance through Direct Debit of ei-ther the member’s bank account or credit card on a fortnightly basis. Short term memberships can be pur-chased up front and paid over the counter.
Administrative activities
Minor activities that will be covered by the system are those dealing with people who are not members of the club, including walk-ins. Whilst the services, facilities and equipment are primarily for the use of the members, reservations by non-members are also entertained by Bodwiser. This is subject to the avail-ability of the service, facility or equip-ment that the non-member wants to reserve; if there are members sched-uled to use them, they are given first priority.

Problem Our Health and Fitness Center gives top priority to
members; thus, the management must maintain a database for members to grant them access to the facilities. In line with this, the database system must also be able to address issues such as membership types (years, visits, perks), re-newals and cancellations effectively. In addition, the business must also take into account the assignment of instructors to members to ensure efficiency and effectiveness. A proper scheduling of classes must also be done to prevent conflict in room assignments and instructor’s availability. Furthermore, it is often a challenge in this line of business to monitor each member’s activities and provide him/her real time access to his/her up-to-date progress. With respect to the administra-tive activities, it is important that the system efficiently keeps track of reservations. Specifically, we want to address problems and issues in the following areas: Database for members and other consumers
Tracking of active and inactive members Tracking the frequency of visits in a month Updating membership status Matching programs for weight loss: Goals, weigh-in Trial

Expected Result With the implementation of the system, it is ex-pected that the gym will already be at par with other well-known gyms in the metro by its first year of operations. Through the development of a system that would keep track of its members’ status and progress, the trainers and the staff will be able to interact better with the members to be able to address their needs and wants. By establishing better relationships with its members, it is also expected that cus-tomer loyalty to the company will be promoted. The contin-ual implementation of the system is then expected to in-crease the gym’s market share, and by the end of five years, Bodwiser will be a market leader in the health and fitness industry. To be able to assess the system’s effectiveness, both the gym personnel and the members have to be interviewed regularly for feedback. The gym personnel can provide the relevant information as to whether the system can be easily used and whether the system accurately tracks the mem-ber’s progress and membership status. On the other hand, the members can provide information as to whether their accounts have been accurately maintained and whether they receive important notifications on time.

System Overview iBod The system provides an efficient way of membership application. Applicants’ personal information and physical ex-amination results are entered and stored in the database for easy retrieval as needed. This makes updating of membership (renewals, cancellations and freezings) easier to accomplish.
For actual visits, the gym will be making use of top of
the line technology. Each member will be given a card uniquely encoded with his name. It will serve as a key to the gym and its facilities. The entrance will have a turnstile, similar in function as those in entering MRT or LRT stations. The technology will auto-matically recognize the holder of the card and will send this in-formation to the system. Through this, visits of the members would be accurately monitored.
All facilities will have a built-in card holder. Just as
some hotels have rooms that require the hotel keys to be in-serted in a slot for a room to have electricity, every one of the equipments can only be activated through inserting the card in the holder. This system will be used to keep track of each mem-ber’s usage of the equipment in the gym. Significant data for both the company and the customer’s use will be efficiently col-lected.

The system will also be used to organize and schedule classes and training to efficiently match trainers and instructors to members and students. Classes include martial arts, dance, aerobics, yoga and pilates. Given the number of rooms available, each room’s capacity, and number of people enrolled in a certain class, the system will find the optimal assignment of a class to a room in a given time. It will also send insight of certain times when rooms are idle.
The system will be fed with already researched data regarding the usual times that members who avail of training visit
the gym. With this information, the system will be able to come up with the optimal number of full-time trainer and part-time trainers to hire that will appropriately address the demand of the members at all times.
Scheduling shall also be done for the reservation of facilities. For walk-ins, temporary cards will be given to be utilized
in the same fashion as the members’ cards, except these are for single use only.
Website With the use of this website, members can avail of the many services offered by the gym. It will also serve as a sup-
port for the database of the company. The purpose of this website is not only to promote the gym and the many facilities it will include, but it also aims to
be able to help with the registration process of the customers. The idea of registration and payment is very much like the sys-tem used in various airlines, where the customer will be able to settle payments and avail of membership to the exclusive gym through the use of the World Wide Web. Of course, this makes it more convenient for the members themselves, who can become a member or choose to extend their membership in the comfort of their own home. They can also register for differ-ent types of classes offered by the gym, as well as hire a personal trainer.
It is through the website that each member can easily access information ranging from their individual progress in
the gym to perks and premium packages offered to them by the company. Again, this support system is very much consistent with the goal of the company, which is to offer the best customer service available.

System Benefits The goal of the system is to be able to serve
and give security to both the management and the members. Also, it will help in the easier maintenance and management of the gym and its members. The information from the technology can give insight as to which kind of machines are frequently used, and would be advantageous to buy more of. Knowing the time of usage can further aid management to better schedule maintenance (what time and how frequent) of each equipment and even the system itself. This prevents gym facilities from breaking down at inop-portune times. Keeping track of the visits of each member will also help in following packages set by the company in each type of membership (i.e. bronze membership allows only twenty visits a month). Tracking the activity of the members will also help the management determine proper strategies to be implemented (i.e. promotions, perks, rewards).
Knowing the peak times and idle times of
rooms will help management explore alternatives in maximizing the use of these facilities, and thus, aid them in earning more profit. Also, efficient hiring of full-time and part-time trainers will level the staff complement to an optimal number, and, thus, would aid in reducing expenses.
The company will be able to benefit signifi-
cantly in their goal to create a brand new type of gym never yet seen in the Philippines. We believe that with these two objectives in mind, we will be able to get a sizable market for the gym and to achieve our aim to break into the industry.

advertising and providing information. Relevant infor-mation about the gym is at the tip of everyone’s fin-gers. From the history, to the facilities, to the classes, to all the services that the company offers, everything can be effortlessly searched, giving the company easy reach to its target market.
This support system of the gym, much like the
main database, will be very beneficial. It will be able to ease the process of registration for both potential and existing members. Through the website, individu-als interested in availing the services of the gym, not only get to register, but may pay online as well. The same goes for those who wish to renew their mem-bership.

Certain interfaces will be disabled for other users of the system depending on their position in Bodwiser. The ones shown below are for the master account. In contrast with the Bodwiser site, iBod will not be an on-line system but will be a centralized one which will only be accessible within the premise of Bodwiser Gym and Fitness Club.
Employee Log-in
The Integrated Bodwiser Operating Database system is the main site for the management functions of Bodwiser Gym and Fitness Club. For the employees to be able to log-in, he/she must type in his/her username and password in the fields provided and click the log-in button. When an employee types a username that does not match with the password or vice-versa, the system will prompt the employee that the username and password do not match.

Should management decide to add another class, they can do so by clicking the Classes Tab. Employees can select the type of class, check the days the class will be held, select the time for the class, enter the instructor name, and select the room in which the class will be held. Website Homepage
The Bodwiser website is simple and easy to navigate even for first-time users. Members will be able to sign-in through this page and keep updated with their progress hassle-free. The tabs above are seen in every page for trouble-free navigation. Moreover, users will also be informed of the latest promotions of Bodwiser here in the homepage.

Application Form – Individual Account
This interface allows the users to apply at Bodwiser in a few minutes since only relevant information about the applicant will be asked (i.e. personal information, contact details). After filling out the application form, the user simply needs to click the Submit button. The same goes with the succeeding forms for other processes.

After filling out the application form, the user will be able to verify all the information previously given before the information is forwarded to the database. This will ensure that all information contained in the application form is correct.

Application Form – Family Account Principal
Same as with the interface for individual application, only relevant information will be asked for the application of the principal. The only difference is that for family accounts, at least one extension should be added. This page has a link which will transfer the user to another page for the input of information about the extension.

The principal applicant will be transferred to this page (upon clicking the link) wherein the user will be asked for the pertinent infor-mation of the extension. After the user provided all the relevant information, the user will be transferred back to the principal page by clicking the link.

Create Web Account Form
In order to keep track of personal updates and enroll to classes offered by the gym, members can create their own web account. The usual information is asked from the applicant, with the addition of a username and password. Moreover, to ensure that there are no spam applicants, two words have to be typed by the user. This measure is for security purposes of the company and other interested parties.

Create Web Account Notification Report
Once the web account application form is properly filled-out and submitted, a message will appear confirming such and users will need to validate their account to be able to sign-in. The activation message will be sent to the member’s email address.
Web Account Activation Email
After the creation of the web account, the member will need to validate his/her account by clicking the link provided in this email. Also, the username and password of the member is sent for reference.

Member’s Homepage
After signing-in, the member will be able to view the latest promos for members and news about Bodwiser. For easy navigation, the user will simply have to click the tabs provided at the top of the screen. Links for more news and promos may likewise be clicked at the bottom.
View Profile
In this interface, the user will be able to view his/her profile containing the information that the user provided in the Create Web Account Form. There is a link which will transfer the user to a page where this profile can be edited.

Edit Profile Form
In order to edit the profile, the application form previously submitted by the said member will load and the information can be edited to reflect any changes. Once done, the user needs to click the Submit button to record the information.

Once the member is finished editing the information, the member will be asked to verify whether the information provided is cor-rect. This is to allow checking in case of any typographical errors.

Member Progress
Through this the Progress page, members can keep track of their progress. Physical exams are done monthly and the results can be viewed by the members through the website.

Class Enrollment Form
Members can also opt to enroll in classes offered by the gym. To do so, they can click the Enroll tab, select a class from the drop-down box, and choose a schedule from the list available. Once the member is done, clicking the Submit button will complete en-rollment.

Once the member has completed enrolling, a notification message will appear stating that the member has been enrolled in a class.

View Class Schedule
By clicking on the Classes tab, members can view the schedule of classes they are currently enrolled in. At the bottom of the page, there is a link which will enable the user to remove a class.

Just like in the View Class Schedule Page, the schedule of the member’s classes are shown but this time, a link to remove the class is available for each class.

Remove A Class Verification Form
Upon clicking a Remove link in the Remove A Class Page, the member will be asked to verify his intent of removing the class from his list.
Remove A Class Verification Report
After verifying the member’s intent to remove a particular class, a prompt will be shown that the member has successfully re-moved himself/herself from the class. In addition, the member will be asked if he/she wants to enroll in a different class. If yes, he will be transferred to the Class Enrollment Form that has previously been shown.
