I was recently asked by one of our division heads if it would be ok to create a separate email domain for theirdivision for marketing purposes. So instead of my email being [email protected] it would [email protected] . So if you worked in the consulting department you would end up with twoSMTP email addresses which would send mail to the same mailbox.

Preparation

Purchase the new Domain Name1.On your external name server configure the mx records for the new domain name that you purchased. For2.

instance, if you hosted your domains and DNS with Media Temple you would edit the DNS records from theMedia Temple site. When setting up the MX records change the TTL value as low as you can for faster DNSpropagation.

Domain.com IN MX 10 mail.domain.com | paulslager.com IN MX 10 mail.paulslager.com1.If you are using Postini or some other spam filtering service it may look like this:2.

yourdomain.com. IN MX 100 yourdomain.com.s5a1.psmtp.com.

Exchange 2010 Configuration

I am using Exchange 2010 but if you are using Exchange 2007 then the configuration is going to be pretty close tothe same.

The first thing you want to do is open up the Exchange Management Console, Microsoft ExchangeOn-Premises (Server FQDN), Organization Configuration, Hub Transport, Accepted Domains.

Under the Actions Menu on the right, click the New Accepted Domain Link to launch the wizard.Name: Identify the domain1.Accepted Domain: your new domain name2.I want email delivered to this domain so I set it to Authoritative Domain3.

You can now either create an email address policy or you can manually add a secondary SMTP address to theusers that you need to. If there is a pattern for who is going to be getting which domain as their email addressthen you want to setup an email address policy.

Exchange Management Console, Microsoft Exchange On-Premises(serverFQDN), OrganizationConfiguration, Hub Transport, Email Address Policies tab

Under the Actions menu on the right click the New E-mail Address Policy link to launch the wizard2.Give a name to your new email-address policy, doesnt matter what it is, and then click next3.

The next screen that comes up allows you to choose from a variety of different conditions. In our casewe wanted to give the consultants a different domain name (paulslagerconsulting.com). We based thisoff of which department users were in. So if the users Department in active directory was equal toconsulting then this email-policy applied to them.

Place a checkmark next to Recipient is in a Department. This allows you to then click onspecified which is highlighted in blue. The Specify Department window opens. Type inconsulting and click the Add button, click the Next button. Lamer note: use the departmentthat you want to match. The department has to be filled in for the users AD object.

The next screen asks you to enter the E-Mail Addresses, you want. Start by clicking the Addbutton. Match the email address based on your requirements, I used First Name initial and LastName (pslager). Finally specify the FQDN of the email address, paulslagerconsulting.com. Clickthe Ok button to continue.

You should now see a screen similar to the one below. The %1g%s just means I am using firstname initial last name. Click the Next button to continue.

Schedule the policy implementation date/time or run the policy immediately.4.

If you want your users to have two email addresses with different domains it might be easier to not evencreate the email address policy. Instead you simply need to add the second domain as an Authoritive accepteddomain (see directions above) and then create a secondary SMTP address for your users.

To create the secondary SMTP address open the Exchange Management Console and drill down toRecipient Configuration, Mailbox, right click a user, properties.

Click the E-mail Addresses tab, click the Add button, type in the new email address for the user, forexample [email protected].

Testing the New Domain

Start by trying to send an email to the new domain, [email protected] from an outside emailprovider like Gmail or Yahoo. If the email is not successful it may be because the MX records have propagated yet.Use www.mxtoolbox.com to check your MX records and ensure everything is running properly.
