Overview

� The 2017 Annual Allocation ordering process will open on 27th March,2017 and close 28th April, 2017.

� Only staff who are employees as at 31 December 2016 will be entitled toorder the 2016 Allocation. All other employees are classed as newstarters.

� All allocations are based on shifts/hours worked per fortnight andcontracted role.

� Allocations work on a two year rotating basis – Year 1 and Year 2 –2017 is a Year 1, year

� Year 1 (this year) is the larger allocation year and includes items suchas knitwear and jackets for selected roles (2015, 2017, 2019). Year 2 isa top-up year (2016, 2018, 2020)

� 2017 Annual Allocation garments will be delivered to your “home”facility early September.

Moving to the new Regis Logo in 2017

� The new Regis logo will be present on your uniform order and anysubsequent uniform orders.

� All staff will be required to be in full uniform with NEW logo only, bythe end of 2017.

� Until that date, staff may wear garments that have either the old ornew logo.

Return and Exchanges are completed online

� A reminder that Returns and Exchanges can be completed on line byeach staff member.

� Staff will need to click on ORDERS and select the item(s) they wish toreturn/exchange, and then follow the prompts.

Deadlines and tasks for all staff employed BEFORE Dec 31,2016

The 2017 Annual Allocation ordering process will open on 27th March andclose 28th April 2017.

� Each staff member must place their own order by the due date, using theonline process that is explained in this document.

� No online order = no annual allocation for the whole of 2017.� Fittings will take place at all facilities for staff who wish to be fitted – this

is not compulsory and orders must be placed on-line, regardless. Note –sample packs can be provided to some regional sites in lieu of fittings.

� No paper orders will be accepted.� An email receipt will be sent to you once your order is placed – keep

this, it is your record of order.� All allocations are based on shifts/hours worked per fortnight and role as

per details outlined in Time Target. If your details are not correct in TimeTarget the uniform allocated to you via the online system may also bewrong – if this is the case you still need to place an order andexchange the garments later. If you order nothing you run the risk ofgetting nothing.

Your facility has been allocated a Fitting Day

� Each facility will be allocated a set day for the uniform fittings.The allocated time for this fitting will depend on the number ofstaff at your facility. Your facility will already have been advised ofit’s allocated fitting date. If you don’t know it, please ask your OC.

� This fitting is for staff to try on garments should they feel theyneed to – it is not compulsory for those who have been fittedbefore and know what they require

� A fitting form is available on the intranet for each role soemployees can write down the garments they like before orderingonline

� Fitting forms are just that – they are not order forms and will notbe accepted by the fitters nor can they be sent to NNT

Uniforms for New Starters, who have commenced on or

after 1st January 2017

� Only staff who are employees as at 31 December 2016 will beentitled to order the 2017 Allocation. All other employees areclassed as new starters.

� New starters will have / will be fitted at Corporate Orientation

� New starters can be fitted during your facility fitting but they willnot be able to order on this day – fitters will not be accepting anynew starter paperwork

� New starters should attend Corporate Orientation with the correctpre-populated uniform order form for their role

� New Starter Order Forms are available on the intranet Sales &Marketing > Marketing Resources > Staff Uniform

Exceptions (staff working more than one role)

� Staff who permanently work more than one role are entitled to have theirannual allocation split or mixed to cover these roles

� Staff are not entitled to two full allocations. They are entitled to a combinedallocation reflecting shifts worked in each role, i.e. Karen works part time (5Laundry and 2 FSA) and is therefore entitled to 2 shirts in her allocation.Under this rule Karen will receive her choice of a mix of Laundry shirts andFSA shirts (total 2) – lower garments are the same

� ‘Sometimes shifts’ and additional shifts allocated through Staffing Servicesdo not count as permanent shifts

� Facilities have already been asked to provide a list of staff permanentlyworking more than one role. The list is to be returned by 16th February

� Staff who are approved for a mixed allocation under these rules will stillneed to order their allocation online for their primary role but will beprovided with a special order form for their secondary role which needs tobe returned directly to [email protected] by 28th April 2017

Six Month ‘Top Ups’ (for New Starters to Regis only)

� A new Regis employee’s six month top up allocation will appearonline in the month following their six month anniversary – i.e.anniversary date 23 November, allocation will appear inDecember

� During the annual allocation period six month top ups shouldcontinue to be ordered as normal – so if you have a top up andannual allocation you should order both or you may miss out

� If you do not order your 6 month anniversary allocation within 3months of your anniversary you run the risk of it being taken offthe system

� All staff eligible for their 6 month top up will receive a reminderemail from NNT advising their allocation is available to order

� E-Learning computers in each facility have a link to the online ordering sitewww.pbworkwearonline.com.au

� It is each staff member’s responsibility to place their own order

� All orders must be placed online – no paper orders will be accepted. An email receipt will be sent once your order is placed – keep this, it is your record of order

� When you log-in please update your details including facility location, email address and phone number

� You will only be able to order what you are entitled to – should you try and order additional garments, or not enough, a warning will appear and you will not be able to finalise your order

� No Annual Orders will be able to be placed after the order cut off date – 28th April 2017

Online Ordering – How To

2. Log in using the following prefix and your employee number

3. Check you are listed at the correct facility and either update or accept.

4. Your order options will show, including two or three self purchase packs

available here; Footwear, Uniform and Maternity – these require payment

via credit card

5. Click on your 2017 Annual Uniform Pack and begin selecting

your garments as per the number outlined

Online Ordering – How To continued

6. You may see some garments labelled “discontinued” these are garmentsthat are being phased out but still okay to order if you prefer this style –not all sizes will be available

7. Once you have selected all garments and proceed to check outEnsure you go to the bottom of the Check Out page and click “PlaceOrder”. If you don’t do this your order will not be processed

8. Once your order is successfully completed you will receive a

confirmation email – if you don’t receive this, either your details are

incorrect or you have not successfully completed your order

Additional Information

� Maternity wear is available – it is still compulsory for pregnant staff to be inuniform.

� Special (Made to Measure) garments are not personally tailored to you theyare made to the next size which best fits your measurements.

� Items supplied in a faulty condition or incorrect size in comparison to thatordered will be exchanged free of charge. Incorrectly ordered sizes will alsobe exchanged. All returns must first receive a “Return AuthorisationNumber” from the supplier so your exchange can be tracked. Note – thiscan now be completed on line

� Garments must be returned to NNT before a replacement / exchangegarment is distributed.

� Garments for return / exchange can be placed in the facility mail (AustraliaPost) – overnight bags are not to be used and costs will be charged back toyour facility.

Summary and key points

� ALL staff are required to be in uniform and options are available to suit all tastes,sizes and work streams.

� Self-purchase of additional items at an agreed Regis price is available on line.

� The annual order period is available only to staff that started at Regis before 31st

December 2016. New starters will be fitted at corporate orientation and receive their“starter kit” uniform within three weeks of this fitting.

� Garments can be returned following the correct Regis Return/Exchange process

� All orders must be completed on line within the 2017 Annual Allocation orderingperiod opening 27th March and closing 28th April 2017.

� The login password has changed effective from 27th March. See instructions withinthis pack for details

� Uniforms will be delivered to your allocated “home” facility in September
