Access System Administration to build progress note templates.
The Edit and View tabs are exactly the same – no changes!
These tabs are shared between the builder and progress notes.

Modes
Initially the builder will not load a
“mode”
• Modes determine what icons in the ribbon are available.
Modes available:
Macros or Templates
• Once a user chooses if they are editing existing or creating a new template or macro, a green label will appear so the user knows what “mode” they are in.

Builder - Macros
Existing icon launches a list of existing macros (previously called paragraph remarks)
Macros are in alphabetical order, A-Z
Users can delete macros by using the delete icon in 1 click
To edit existing macro, double click macro name.

Once the macro is selected, it will populate the editor page.
Both Save and Save As are enabled. Save will save edits made to the existing macro.
Save As is to be used to “copy” a macro, edit it and save it as with a new macro name.

Selecting one of these fields will allow users to
further define if they want ONLY that visit’s data to pull to the note, to pull all documented data
Whether you are creating a NEW
macro or editing an EXISTING macro, the
Form field icon in the ribbon can be
used.
Can also choose to pull auto-notes for procedures that are
“completed” that have auto-notes
available (i.e. user chooses completed work; do they want
only completed work for that visit? Or ALL previously
documented completed work?)

Templates
Just as Macros, we have the ability to edit existing templates or create a new template.
In addition, we have an Open icon to allow users to browse to their local PC and import templates.
The same icons (Save or Save As) are available in Template mode as well.
Form fields also work the same in Template mode.

Templates
Template Names are in alphabetical order
Users can delete templates by using the delete icon
To set a practice default, simply check the box associated with the template. Only 1 practice default is allowed.
Using the Save as function also has a Default setting so that the template you are saving can be set as default.

Form Fields
New form field: Patient Data
This allows users to build form fields in their templates to auto pull patient demographic
data to the note.

Auto Notes
Moved to MD Console – System Admin (no longer in System Files –Fee schedule)
All existing auto notes still present – no need to rebuild
Procedures shown in auto notes table pull from main practice fee schedule ONLY
NEW – can now associate auto notes with pathologies and materials
NEW – Macros can be used within an auto note

Select the procedure, pathologies, or materials tab to build auto notes for an individual item
If an auto note is associated to the item, a checkmark will display in the Note column.
To pull a macro into an auto note, use the macro icon in the ribbon.
If that procedure is documented on a visit AND the form field has include auto notes checked, the notes will automatically pull to the note.

Progress Note
Initially, use the New icon in the ribbon to determine what template you want to use (default, blank or choose an existing)
Once a template is selected, all other icons will be enabled and the template will load into the viewer.

Edit Mode
If a user has selected a template, they are considered to be in EDIT mode.
While a user is in EDIT mode, others users can view the note, but they cannot edit.
Once the user in edit mode has saved the note, then others can edit the note.
A green label will appear to alert users if a note is in EDIT mode and what user has the note locked.

Switching Templates
Once the user selects New to initially load a template, the New icon will disable.
If the user wishes to switch templates, use the applicable icons in the ribbon.
If there are unsaved edits, the user will be notified before the switch is made. Choose save changes to save and switch or choose discard to NOT save and switch
Select template – shows the user a list of all active templates to choose from
Recent templates – displays the most recent 10 templates used

Input fields
If the template selected has form fields that require the user input, a SINGLE input dialog will display. It will list all input fields.
Fields with a RED box indicate the field is required per configuration rules.
Once all required data (minimum) is complete, the user can hit insert data to close the dialog and insert the data in the note.
If the user wishes to trigger the dialog again, use the Data Input icon.

Insert fields
Insert fields are also known as form fields that pull data into the
note (such as patient demographic data or provider
data)
If a form field is added to a note and the data is not available (i.e. patient email address is missing), the field will appear RED in the note so the user can decide to
manually enter it or to delete it.
Insert Data pulls when the note is loaded so if data is added after
the note is created, it will not pull for that visit.

Ribbon Tools
Odontogram - previously called Chart – will insert the most recent version of the
Odontogram into the note
Tx Plan Items – will display a dialog to show any items in a Tx plan to insert into the note
(existing feature)
Macros – previously called paragraph/remarks – gives the user to ability to pull in macros on
the fly
Patient Data/Misc Data – allows the user to pull in patient data/provider data on the fly. If data
is not available, it will be disabled in the list

Review/Lock Notes
User based Security introduced to
determine what users can review, lock or edit
notes after lock
New – For users with access, if a note is
edited after lock, the lock will remain on the
note. Edits after lock will be considered addenda
data and can be reviewed in compare
versions auditing.
New – If a note is edited after reviewed, the
review status will drop so that a user can
review the note again with the latest changes.
New – Review is not required to lock a note.

Reporting
By default, the reporting tab shows a
list of all progress notes on the left side of the
screen.
First select the notes you want generate the
report for.
After they are selected, you must choose
generate report from the ribbon BEFORE selecting an action such as print/email

Reporting
Use Shift or Control to select multiple reports
from the list
Now select Generate report to show the report on the right
After the report has been generated, the
user can select Print or Email.

Compare Versions
NEW Tab added to track changes to
the note.
Once a note has been edited, a new tab will appear in
the ribbon.
Selecting this will allow the user to all
the different versions of the
note.
Each time a note is edited and saved, it is considered a new
version.
Users are able to compare versions to determine data that was added or removed, user and
date/time of the change.

Security
A new mode was introduced called Security
mode
Currently the only feature is user level security for
progress notes
To access Security mode, while in MD Console,
select the new lock icon

Security
After selecting Security, the user will have user level
configuration in the navigation pane. Select the user from the
user drop down.
Determine what that user needs access to and drag those items
from the left to the right (denied to allowed)
•Progress Note Administration – determines if the user can build templates in system admin
•Edit after Lock – determines is the user can edit a note after it’s been locked
•Create/Edit, Delete, Lock, Review – determines if the user can create or edit, delete, lock or review notes
•Progress Note reporting – determines if the user can view the reporting tab

Tooth Info
Sort order has changed
Primary teeth (A-T) will be sorted as the corresponding Adult tooth number and will display before the adult tooth. For example, a primary/adult sort for the
first six teeth will display in order as 1, 2, 3, A, 4, B, 5, C, 6.
Changing items from Existing to Planned/Completed will update
the line items with the appropriate procedure codes
