MediaDent for CHC


Objectives

• Review features within MediaDent that have been part of a release during the last calendar year

• Be able to identify specific features that your practice could use to help streamline workflow and improve user satisfaction


VERSION 10.10


Configuration Changes – Completed Items Tab

• Reset Defaults

– Removes all existing config and replaces it with the MD default config

• Add New Tool Defaults

– Allows the user to edit existing defaults while maintaining current configuration


Configuration Changes – New Perio Settings

• Enables Users to customize the pattern direction in which Perio charts are displayed

• Users may then link the pattern direction to a standard reading type


Default Perio Settings

• Below is the default setting for reference:


New Single Chart Layout

• The previous Exam, Work and Plan charts were consolidated into a single chart

• The Odontogram represents a graphical analysis of all these charting items.

• The Line items within the tooth info grid will display Existing, Planned and Completed work in a textual representation.

SCRP Tab added within Chart

• At the bottom of the instrument tray, a new tab representing SCRP has been added.

• When selecting the tab, the view will change to display a soft tissue view of the current patient’s chart. (Note – it’s not a new chart, just a different view of the chart data).

• This view is broken down into Sextant• Planned items will outline the tooth in RED• Completed items will outline the tooth in BLUE• As this is a treatment, Existing items are not available.


Odontogram – Images icon

• An associated images icon has been added to the Odontogram that will display for each tooth that has an image associated to it.

• Select the icon to view the image

New Icons and Login Screen


Appointment Center

• The eye icon will determine if the HIPAA cloak is active

• When off, the bottom left corner will show the other lists


Medical Alerts

• Previously known as Medical Properties/Patient Medical List

• Current and Historical alerts have been combined into a single dialog

• By default, the last active alert record will display

• The Previous alerts list will show other alerts and users may click on the appropriate row to view alerts associated to that entry

Calendar

• Select a date on the calendar to put that date in focus for the Appointment book

• Drag across dates to select multiple dates


Creating an Appointment

• Select a time slot and double click the cell to launch appointment properties

OR• Use the Search

Available Appointment Time icon in the toolbar

• Select the appointment time from the list and click OK

Adding a New Patient

• Bolded fields are required

• Once the patient information is added and saved, the patient will appear in appointment properties

• (Coming Soon…v11.15 will auto check the New Patient checkbox within Appt. properties when adding patients from this dialog)


Patient Search

• Options include Patient ID, External Patient ID, DOB, First or Last Name, SSN, or Phone Number

• Entering any of this information in the search will show all patients that match the data typed in the search box.

• Example: Search for 1234 and results include:


Rescheduling or Working Lists

• Drag and Drop functionality has been added to help simplify the workflow

• Simply drag the appointment to a new time slot or drag and drop from the Hot, Hold, or Reschedule Now list

• Users can also drag an existing appointment from the Appointment book to one of the lists in the navigation pane


Undock Charting Tabs for multi-monitor setup

• PLEASE NOTE THE FOLLOWING: ASP clients MUST have their screen resolution set to FULLSCREEN and the Span Monitors option enabled (checked) on their HB login screen (as in the following illustration) in order for the tab undocking to function across dual monitors

• Simply click the tab and drag it to the second monitor.

• It will undock and become its own dialog.


Re-Dock the Tab

• To re-dock a window in the Charting window, click and drag the window to the middle square in the dock panel and release the mouse button.


Multi-Procedure Config dialog

• If multiple codes are associated to a given procedure, a new alert will now display asking the end user which code they wish to add.

• This replaces the old method of adding them all and the user having to remove ones they did not want to document.


Tooth Info, Filters Saved

• The Tooth Info filters for viewing completed, Existing, Planned or Today’s Work only will now persist fro the logged in user


Walk Out Dx Code updates

• Diagnosis codes on the Walk Out screen now have to be entered in order (no blank Dx fields)

• As a result, certain Dx fields may be disabled until a Dx code is entered in the preceding field (Dx 4 is disabled if Dx 3 is blank)

• Changing the selection in any Code field to the Blank selection will clear all data in any subsequent code fields (If data is present in Code 1, 2 and 3 and the user clears 2, data will be removed from 3 as well)


Walk Out Dx Code updates

• A new Copy all Dx codes to all line items button has been added

• Clicking this button will copy all diagnosis codes entered on the selected line item to all other line items on the visit.


VERSION 11.10


Progress Notes Configuration

• System Administration (previously called Settings) has a new tab for Progress Notes

• All existing templates will still remain

• Edit and View tabs are identical – no changes

• Templates/Macros tab – allows the user to build new or modify templates and build or modify existing macros

• Macros were previously called Paragraph/Remarks


Macros

• Select New or Existing from the ribbon

• The green bar will indicate to the user which mode they are in (Macro vs. Template)

• Users may now add form fields within a Macro


Form Fields

• Several new form fields were added

• They include:

– Patient Data (pre-load patient demographics into the template to avoid additional clicks when seeing patients)

– Existing Work (will pull existing work to the note)

– Planned Work (will pull planned work to the note)

– Completed Work (will pull completed work to the note)

Note: If a form field placeholder is added to a macro or template and that data is missing (i.e. email address), the placeholder will remain in the note but appear RED


Form Fields

• For the new Work form fields, users have a configuration option to define what data should pull (today’s data or all data)

• If the procedure code associated to that work type has auto notes configured, you must also have the Include Auto Notes checkbox checked above for those notes to pull to the note/macro

• The work form fields will display in a table format and include the following information:


Input Fields

• These fields enable users to “input” data in the note. It triggers a prompt when the note is launched.

• Previously users would get multiple prompts if these existed.

• The Input fields now all appear in one consolidated dialog.

• When configuring these fields, you can select Required. If this is selected, the user will not be able to close the dialog without data documented.

• Note required fields are RED in the user screen and must be completed

• If the user attempts to Insert Data before data is entered, a warning will display

• A new icon “Data Input” has been added as a way to open this dialog in the event its accidentally closed and needs to be re-launched


Auto Notes Configuration

• Auto notes have been removed from System Files –Fee schedules

• All auto note configuration is now found in MD Console – System Administration – Auto Notes

• When the tab is selected, all codes associated with the main practice fee schedule will appear

• A “note” column was added to show the user if an auto note already exists for that procedure code

• Auto Notes are also now available for Pathologies and Materials

• Select the appropriate tab and the individual item you wish to add an auto note for and enter the auto note in the free text area

• Users may now insert Macros in the Auto Notes field as well.

• Save


Headers

• Previous to this version, a template was selected as a base and other templates built upon the base template.

• With the rewrite, a template is the base and selecting another switches the template.

• This change will require headers be added to each template to prevent header loss.

• We recommend configuring a header using the Macro feature and inserting the Macro in the header section of each template used in the practice.


Documenting a Progress Note

• To start a note, select New and choose from one of the drop down items



• The selected template will load and the note will then be Locked

• A green display bar will show who has the note locked

• All other users may view the note, but only the user that has the note in Edit mode may make modifications

• If modifications have been made and not saved, the user can use the green bar or the SAVE icon in the ribbon to save the note



• Once the note is saved, the green bar will no longer appear.

• To Edit the note, select Edit in the ribbon (this will lock the note again to prevent other users from making edits while the current user is making edits)

• To switch templates, use the options in the ribbon


Spell Check

• Not only do users have the Spell Check icon in the ribbon, but now an auto spell check feature is available within Progress Notes.

• Any misspelled words will have a red jagged line in the note and the user can right click to pick the correct spelling or choose to ignore


Progress Note Recovery

• In the event a loss of internet or connectivity should occur, we’ve added a new Progress Note Recovery feature to retrieve the document

• Select the new icon to launch a dialog that will show any notes not saved so the user can “recover” the document and save it.

• Upon login, if any recovered documents exist, a new dialog will alert the user.

• The user can choose a note to save and continue editing it, ignore the dialog or choose to delete the recovery history.


Compare Versions - Audit

• For every edit/save to a given note, a version will be associated to it (Initial save, V1 and subsequent saves become V2 and so on.)

• Once there are at least 2 versions of a note, a new tab called Compare Versions will appear

• This allows the user to view any modifications to the progress note.

• By default the most current version and the previous version will appear

• Users may use the arrows to select different versions to compare (example – original to the latest to see all edits)

• Green – added text

• Pink – text that was removed


Imaging

• Users now have the ability to View/Drag and Drop images from the Navigation pane into the progress note

• Single left click to view and single left click to close the viewer


Reporting

• Select the dates and use the Generate Report button in the ribbon to generate the report before choosing the action of print or email.

• To email a report now requires Strong passwords


Security

• New User Level Security added for Progress Notes


Chart

• New Refresh option allows users to refresh Chart

• Perio – All bleeding button added

• Selecting the diamond for each section will document bleeding for only that section


Odontogram, Select/Deselect all option

• Select the blue Maxillary or Mandibular buttons to select all teeth in that area of the mouth


Clear/Undo Saved Chart data

• Back by popular request, the ability to Undo chart data that has not yet been saved

• Patient Search enhanced to mimic Appointment Center previously mentioned.

• Date of Service and Guarantor data have been added to the Navigation pane – Patient data section


Lab Work

• Added to Chart and within Appointment properties dialog

• Central location to view all lab work within Chart

• Add new lab work from chart or Appt book (if added from appt, it will be linked to an appt)

• Lab work is auto saved – tab through the fields to save the data entered
