Food and Beverage
Enclosed are various selections of menus to accommodate a variety of pallets. If you wish to have menus
tailored to your specifications, please inquire with the Catering Department. All food and beverage prices
are only guaranteed from the time a Banquet Event Order for your event has been established and signed.
Menu prices are subject to change without notice. All food, beverage, audio visual and room rental prices
are subject to applicable tax and service charge (currently 8.25% and 22% respectively). All food and
beverage must be purchased through the hotel.
Any left over food or beverage may not be taken from the hotel. Prices are subject to change without
notice and will be confirmed six months prior to the event. Food service based on one and a half hours of
continuous service. The Embassy Suites requests all menu and meeting requirements be submitted at
least 21 days in advance of the event.
Guarantee
The hotel will require a final guarantee 72 hours prior to the event. This will be the
minimum guarantee, not subject to reduction. Meals will only be prepared for the number guaranteed,
every effort will be made to accommodate any additional guests. If actual attendance exceeds the
guarantee, the actual attendance will be charged.
Vendors
The Catering Department is pleased to offer suggestions of entertainment, florist, photographers and
decor for the event. When selecting a vendor please have them contact your Catering Manager to discuss
needs, entry procedures, electrical requirements and applicable service fees.
Signs
The Embassy Suites will post your program in the public areas, unless otherwise instructed. Signs and banners must be professionally produced and may only be placed in function areas with prior approval. Signs are prohibited on guest room floors and in the elevators
Conference Materials Please inform your Catering Manager of any deliveries, so the Embassy Suites will be prepared to accept and store packages applicable fees apply. All packages must include the name of the conference or event, the Event Manager’s name, meeting planner name and event dates. Deliveries will not be accepted more than three days in advance.
Function Rooms As other groups may be utilizing the same room as you, prior to, or following your function, please adhere to the times agreed upon. Should your time schedule change, please contact your Catering Manager and every effort will be made to accommodate you. You agree to begin your event promptly at the schedule start time and agree to have your guests; invitees and other persons vacate the designated event space at the end time indicated on the final BEO. You fur-ther agree to reimburse us for any overtime wage payment or other expense incurred by us because of your failure to comply with these regulations.
Should extensive meeting room set-ups or elaborate staging be required, there will be a set-up charge to cover Hotel costs and additional labor. If equipment is necessary that extends Hotel’s inventory, then you agree to pay for the costs of renting this additional equipment. You agree to indemnify us for any damage caused to any materials as a result of drayage related to your event, whether caused by you, your agents, employees, contractors, or agents. Any function room set up changes the day of event will incur a $200.00 change fee.
Security The hotel cannot accept any responsibility for the damage or loss of any merchandise, or articles left in the hotel prior to, during, or following your function.

Cash Bar Service
The Event Planner will contract to have a bar available to their guests and each person is responsible for the payment for their own beverages. If per bar sales are higher than 400, there is no charge to the Host, should sales fall below this, the Host is required to pay a fee of 100.
