Accessing your Admin Tools
• There are lots of behind-the-scenes functions
on the SU website that may be useful to you
as a committee member
Return to Menu
When you log in to cardiffstudents.com, you
should be able to see a little hammer in the top-
right corner.
On mobile, the hammer should appear in the
bottom-right of the screen.
Only committee members can access admin
tools. Contact Societies or the AU if you can’t see
the hammer or get an error message.
Clicking on the hammer will reveal all the
organisations you can access. Click on the one
you want to look at.
You will now reach the admin tools page for your
organisation.

Editing Your Webpage
• Each Group has their own webpage to sell
memberships, link to your Social Media,
display your committee and so much more.
• Stick to our Style Guidelines – we may amend
your page if you don’t!

Your webpage is your home on the SU Website.
Go to your admin tools to make amendments to
the page content.
You can amend the content on your webpage
using Edit Details.
This is your URL – we give it to you when your
Group affiliates to the SU. Share it online to drive
people to your webpage.
Logos give your Group an identity online. If you
update your logo, you can upload it here.
You can email members directly from your
webpage. Put your email address here to do this.
You can link to an external website by including
the address here. The link will appear under your
logo.
Use this space to sell your Group to potential
members. We recommend 250-300 words about
who you are and what you do.
Add photos to liven up your webpage.
Skip Adding Photos
Photos need to be uploaded to the server before
they can be added to your page.
Upload new pictures here. Once you’ve uploaded
a new picture, select it from the list of existing
photos to add it to your page.
Add a description of the photo in case it fails to
load for a viewer.
Don’t forget to save the updated text.
Add links to your Social Media Platforms. Links
will appear under your logo. Don’t forget to save
each one.

Check all your updates by clicking on the link.
The SU controls the Committee Members

Adding News Articles
• You can add news to your webpage to let your
members know what you’re up to.
Return to Menu
You can add new articles to your newsfeed or
review existing articles here.
Click here to add a new article.
Add a title to the news article – make it short and
easy to understand.
Add the Group’s name to show where the News
is from.
Add a short description to show people what the
article is about.
Do you want non-members to view this article?
You may want to advertise a new campaign to
everyone, but announce new committee to
members only, for instance.
Use the dates to set when the news is visible
online. Note that articles will appear at 12:01am
and disappear at 11:59pm on the day selected.
Use this box to archive articles after they expire.
Use these options to allow readers to interact
with your news.
Use tags to help readers find your article when
searching cardiffstudents.com. Separate tags by
comma or by line.
Add an image to your article. The image will be
used as a thumbnail in news lists and as an
image in the actual article.
Images are automatically stretched to fit a 5x4
aspect ratio. Use the drop-down if you want to
display the image in its original aspect ratio.
Some viewers have images disabled or images
may fail to load. Use this text to quickly describe
the photo.
Add a caption to your image.
Add a short caption to your image.
Add the main body of text for your article in this
section.
Use the options bar to format text, add links and
photos and spell check your text.
Use this box to approve articles.
Don’t forget to save your article.
Once saved, the URL box will appear at the top of
the page. Use this to create a unique URL for
your news article.
Back in News Admin, use the arrow boxes to drag
and drop articles to create a preferred order.
The news article will appear at the URL you
created.
Students can find your news articles by
searching for your Group on the website.
News will appear in Search Results List.
We can add News Widgets to your webpage.

news here.

Your Members
• Everyone who buys a membership to your
Group is listed under your admin tools

You can find a list of all your members here.

people on this list are members.
You can separate members into different types
using List Members by Group.
Only committee members in Standard
Membership or another membership grouping
have paid to join their Group.
Committee members who don’t pay their
membership will have admin access revoked
during the Autumn Semester until they pay.

• You can email all your members directly from
your webpage
• Not all members will be on a mailing list
from the Freshers’ Fair!

Click here to write and send a new email to your
members.
Select the email address you want to use to send
the message from. We recommend using your
Group’s @cardiff email to send this.
Select the email address you want members to
reply to.
Click here to select who receives the email.
Use Lists to send to groups of members.

Add recipients to the message here.
Recipients appear here.
Add an email subject here.
Attach files here to be emailed out.
Choose files to upload. Don’t forget to attach
them. Attachments have a total size limit of 5Mb.

when they have been attached. Go back to the
message when you have uploaded all files.

Send your message, reset the form, save a draft
or send a test email here.
Look at previously sent messages on the
Messages Admin Home Page.

Member Groups
• Create groups of members

You can create groups of members here.
Give your new Group a name.
Most Groups will be a list of members. You can
also create a new role – these are not new
committee members.
The new group appears in the Active Groups
table. Click on the name to add members to the
group.
Current members appear in the top table. Add
new members to the group using the bottom
table.
Rename the group using the pencil and paper
icon.

Resources
• Store core and useful documents for current
and future committee members to use
• Display documents on your webpage for
members to view

You can store core and useful documents under
the Resources section for other committee
members to see
Name the Resource you are uploading. This will
be the name user click on to view the Resource.
Give a short summary of what the Resource is to
help users.
You can use tags to help people find the
Resource. These are not compulsory.
Upload the chosen file to the website.
You can choose who can view Resources if they
are displayed on your Group’s homepage. We
recommend selection “Only members…”
Don’t forget to Upload Resource.
Existing Resources appear in the bottom table.
You can track how many times a Resource is
accessed.
You can amend Resources using the pencil and
paper icon. Remove resources using the X.
Resources can be displayed on your homepage.
This should be in the template but contact
Societies or the AU if this is missing.

Your Profile

• Each student has a profile on the SU website.
• As committee members, yours is slightly more
visible.
You can check your profile by clicking on the
head and shoulders icon in the top-right of the
screen on computer or mobile.
Your profile lists all your memberships, including
committee positions. Make sure you have bought
a membership for your group!
You can check the emails you have received from
the website on your profile. You can also update
your contact details.
You can edit your profile here.
Contact Societies or the AU if you have if you are
concerned about being outed as a member of a
group by having a photo on your profile.

Make sure you check your Privacy Options. It is
fine to uncheck every box.
Don’t forget to click Update.
