1 Background & Business Drivers

1.1 Background The purpose of this document is to provide COMPANY-X with a proposal to develop a web 2.0 tools that will be used as a means of collaboration and knowledgebase forum for Internal IT and Projects. This document provides overview and details of all relevant Web 2.0 technologies proposed for implementation of the COMPANY-X collaboration and knowledgebase hub. This includes business drivers, benefits, effort required and risks. Where necessary, this document will reference other web 2.0 documentation. However sufficient detail will be provided within this document to provide an overall Proposal.

1.2 Business Drivers

It is important that the collaboration and knowledgebase forum has business drivers for company-X, we have identified key business drivers for this implementation. The following are the main business drivers for the collaboration and knowledgebase forum.

- Company-X have a requirement for knowledge Management, existing systems do not provide adequate means of managing knowledge. This requires urgent addressing.

- There are a large number of emails sent by ICT staff members, these emails are related to issue been resolved or useful information for the team. A solution is required to reduce these broadcast emails, a knowledgebase forum where user can post the information or resolutions.

- Documentations are stored in shared folders, this is creating issues when searching for specific documents, in addition remote access to these documents is not flexible and require improvement. A centralized knowledgebase forum will resolve this particular issue.

- Company-X requires a collaborative dashboard where live questions are posted and then answered in real time. A persistent Instant Messaging dashboard will resolve this issue.

- Networked collective intelligence – Company-X requires the ability to conduct polls and gather opinions, internally this is done by sending emails or external surveys. The knowledgebase forum will provide space where polls are conducted and ideas are collected.

2 Business Objectives and Challenges

Company-x business objects are specific, the business require a solution where the CIT team are empowered with knowledge and information to make to improve customer service and operation of the ICT infrastructure. Uptime of the network infrastructure is critical to Company-x making informative decisions will contribute to the high availability of network infrastructure. The following are some key business objectives for implementing the proposed web 2.0 tool.

- To establish a ICT Team that functions at optimum capacity

- Improve customer satisfaction by 20% or more

- Build a reputation for quality, less mistakes and personalized ICT support team.

- Build space where knowledge is managed and optimally utilized

There are several challenges Company-X facing today, the proposed web 2.0 solution is expected to resolve most of the identified challenges. The following are some of the business challenges.

- Information Overload

- Luck of return on knowledge assets and knowledge management

- Luck of Networked collective intelligence

- Luck of a collaborative space

3 Investment Descriptions

In order for this project to successes Company-X will have to make several investments, brief summary of the investment description are as following.

Investment 1, Company-X will be investing on a Cisco UCS blade resource to host the collaboration and knowledgebase forum internally. This blade will be installed on existing chassis. The table below shows the hardware specifications.

Item Specification

Investment 3, Physical environment and storage will be required to host the collaboration and knowledgebase forum, Rack and Blade space are expensive these days, Company-X plan to host the collaboration and knowledgebase forum on primary Data centre, Company-X consider the web 2.0 implementation as important investment.

Investment 4, Company-X will also invest on human resource to assist with implementation of the collaboration and knowledgebase forum. Two systems engineers will be allocated to assist with installing the Operating systems on the UCS Blade. Ongoing maintenance of the collaboration and knowledge base forum will require some of the ICT members to undertake software upgrades, this will be carefully managed in order to avoid overutilization and burnouts of the ICT team.

4 Business Benefits

4.1 Strategic alignment

Since the early dot-com era organization where asking how web 2.0 can be aligned with their business strategy to improve productivity and revenue. At the early stages the definition of Web 2.0 and social media where not clear for many organization, decisions to align social media for internal and external business strategies deemed risky. In today’s internet era strategic alignment of web 2.0 and social media with business strategies is considered important, organizations ignoring the influence of web 2.0 and social media will face a dire consequence. This proposal will discuss the benefits of aligning the proposed collaboration and knowledgebase forum with Company-x business alignments.

4.2 Financial benefits

As the collaboration and knowledgebase forum will only be used internally by Company-x, interaction of public from the internet is limited. Although the financial benefits are not direct the following are considered to be financial benefit for implementing the collaboration and knowledgebase forum.

- Improved customer satisfaction and on time resolution of technical issues, reducing the number of support resources required to support Company-X ICT infrastructure.

- Knowledge Management, Company-x will benefit by managing knowledge and information contributed by the ICT technical experts. This indirectly reduces the costs involved in training and up skilling the ICT team.

- Collaborative space is expected to save company-x a lot of Money, a culture empowered by innovation and driven by collaborative space will reduce the costs involved in operating and managing the ICT infrastructure. Users of the system will also be efficient on their work achieving higher turnovers.

4.3 Non-Financial Benefits

The collaboration and knowledgebase forum also provides some non-financial benefits the following are considered to be non-financial benefit for implementing the collaboration and knowledgebase forum.

- Collaboration dashboard used as social interaction space, although the collaboration space is meant to be used for exchanging useful information to assist with resolving technical issues, there will be no restriction on other interactions as long as they abide by the company’s polices and regulations.

- General Discussion forums are also considered non-financial benefits to company-X, users of the knowledgebase forum will be able to post general information or news which is not considered of benefit to company-x financially.

5 How Benefits will be realized

Benefits of the collaboration and knowledgebase forum is expected to be realized in different ways, Company-x expects to have achieved the following in order to realize the benefit of the web 2.0 implementation (collaboration and knowledgebase forum)

- Successful customer improvement by receiving 20% more positive feedback from customers

- Successful engagement and contribution of ICT team on the collaboration and knowledgebase forum

- Improved productivity of if ICT team.

- Fast lookup of documentation

- Faster issue resolution

This is critical to the overall success of the web 2.0 tool. Company-x will be investing on hardware, software and human resource for this to succussed. Training and full participation of selected ICT team members will be important in ensuring the success of the web 2.0 implementation.

The core application will be implemented by the web 2.0 consultants and system Engineers; however resources from internal ICT team will be required to assist with testing and installation of some applications. The following table provide the effort required for each task and estimated costs.

7 Risks

Risk is inherent in all projects.

The Project Manager will take a structured approach to risk management and uses its Risk Management Procedure to identifying and managing risks effectively in order to ensure that web 2.0 project progress and success is not impeded.

The project manager will ensure Risk Management undertaken continuously throughout a projects lifecycle and hat all parties to an issue work collaboratively to identify and then address risks.

The Project Management Plan will define a detailed approach to the management of risk based on Compnay-X risk management procedure. An overview of that procedure is shown below:

8 Summary

In summery this proposal is for a robust collaboration and knowledgebase Forum for Company-X, where company-x will have state of the art collaboration and knowledgebase forum. Company-x strategic aligns of web 2.0 will be closely aligned to company-x overall business strategy. This will ensure benefits are realized easily.

Implementation of the collaboration and knowledgebase forum is expected to be completed in stages, the first go live will be the pilot testing. Training will be conducted as Train the trainer, a selected individuals from the ICT team will be trained and these individuals will train the rest of the team.

All risks will be managed carefully to ensure a successful implementation of the collaboration and knowledgebase forum. Strict procedure will be followed to manage risks; these procedures are based on existing company-x risk management procedures.

Once the implementation of the collaboration and knowledgebase forum is completed, company-x will benefit from a truly collaborative space where information is accessed and shared from any device anywhere.
