PURPOSE

This document provides the most up-to-date information about the Cyber Recruiter Updates to the product. Updates offer all improvements on existing features, processes and system as well as client requested changes and other post additions between major releases. For a full listing of items included in Version 7.0 (main version and all post-release versions) please review the Version 7.0.0 Release Guide as well as this document.

VERSION 7.0.27 (2) – JUNE 23, 2011

Item 1: Single Sign On

When the Single Sign On (SSO) is turned on (Admin > System Setup), the password box does not display on the Cyber Recruiter Login Page. It just pulls the windows login information.-------------------------------------------------------Item 2: SSN Field Update

Couple of changes to the Applicant File > Demographics Page > EEO Tab with the 'SSN' Field:a. The 'SSN' field now reads 'SSN/SIN'b. The field format is now an open text box instead of 3 segmentsc. Additionally CR is now passing over the 'key' for this field when transferring to Abra so that Abra can do

the conversion to figure out what the field should be in that product.

Item 1: Disabled Approval Level when Copying Requisitions

When users choose to 'Copy a Requisition' to make a new one AND there is a disabled approval field on the approvals page of the create requisition process, that disabled field is now copied over as is to the new requisition. Previously this only occurred if the approval field was set to 'enabled'.-------------------------------------------------------Item 2: Req List & Inbox - Sort Order

When the Req List or the Inbox is re-sorted by a particular column, that new sort remains in effect until the user re-sorts the page again. This holds true even upon leaving the page and/or logging out of the system. -------------------------------------------------------Item 3: Highlight 'Employee Referrals' Applicants in Requisition File

Applicants listed in the Requisition File > Applicants Page who are 'Employee Referrals' now display with a highlight of PINK to make it clear that they are employee referrals.-------------------------------------------------------Item 4: Highlight Employees Everywhere

Applicants with the overall status of 'Hired', now display with a highlight of GREEN to make it clear that they are employees. This supersedes the 'Employee Referral' highlighting. -------------------------------------------------------Item 5: Search Box Option on the Website Layout

The 'Search Boxes' on the 'Intro Page' of the website are now stacked (one on top of the other) instead of next to each other to provide additional room for titles. -------------------------------------------------------

Item 6: Inbox - New Option 'Score'

A new option was added to the 'Inbox' view to allow for the requisition question's score (per requisition) to displays. When this option is selected, a hyperlink score displays and when clicked, the score report for the requisition displays.

How to Enable:1. Go to Admin > Page Builder > Applicant > Inbox2. Select the 'Attached Reqs (Desc: Score) option for Recruiter and/or Hiring Manager Inbox3. Click Save Changes

OR

Keep the default as is and alert each User to the fact that he/she can use this new option in his/her preferences:

1. Home Page > My Preferences > Inbox Tab2. Select the 'Attached Reqs (Desc: Score)3. Click Save Changes

The 'Signature' merge field was added to the 'New Applicant Email' stored in Admin > Page Builder > Correspondence > Standard Templates-------------------------------------------------------Item 9: Letter Templates - Company Name Merge Field

The 'Company Name' merge field was added to the letter templates when editing stored in Admin > Page Builder > Correspondence > Custom Templates-------------------------------------------------------Item 10: Applicant Referral Source Report

The 'Applicant Referral Source Report' stored in Reports > Applicant > General was updated. The 'Position Desired' column was removed and the 'Other Source' column was added. -------------------------------------------------------Item 11: Applicant File - Hover Over Applicant Name

The pop-up information when you hover over the applicant's name in the banner at the top has been fixed so that you can see all the details of information included.-------------------------------------------------------

Item 1: Find Requisitions & Organizational Levels

If the organizational levels have dependencies such that when a requisition is created, the list filters, this now is extended to the find requisition feature. In adding this to the rind requisition, one can select an org level and have the other org levels filter per the setup. -------------------------------------------------------Item 2: Self Service Module: Previous Employment Order

The Applicant's view of the previous employment's records in the Self Service system is now displayed in order of the employment date. It is recommended that Applicant's enter in the date as YYYY/MM/DD format so it will sort chronologically.

Client Suggestion: Add wording to the previous employment page suggesting how the employment dates should be added. Admin > Website > Career Portal > Online Application Tab > Edit the Previous Employment page to add the wording AND/OR Admin > Website > Career Portal > Self Service > Edit the Previous Employment page.-------------------------------------------------------

The ability for applicants to receive their applicant acknowledgement upon submitting an online application with the advanced parsing resume feature has been corrected. -------------------------------------------------------Item 2: Advanced Parsing & Requisition Questions

When the advanced parsing enabled with the online application, the ability for requisitions question answers to be saved has been corrected. -------------------------------------------------------Item 3: Requisition History – Applicant Name

When applying to positions through the Self Service, the Requisition Files > History Page now displays with the applicant's name hyperlink instead of ( , ). -------------------------------------------------------Item 4: Careers Page & Keyword Search

The ‘Keyword’ search feature on the first page of the careers page can now handle apostrophes. -------------------------------------------------------

Item 1: Advanced Parsing & Primary Email

The Primary Email Field defaults to HOME when parsing applicants into the system. Previously, the flag was not set and though the emails were parsed the system did not have a way to distinguish between HOME and WORK emails thus, applicants could not log into the Self Service Center.

Client Impact:If you have been using the parsing system since an upgrade to Version 7.0, please run the following scripts as needed to pull the Primary Email default into the Applicant File.

1.) Log into Cyber Recruiter.2.) In the Address link (URL) it should read something like: http://www.visibilitysoftware.com/cyberrecruiter/Main.aspx 3.) Change it to read: http://www.visibilitysoftware.com/cyberrecruiter/Query.aspx 4.) In the text box provided, enter following statements (one at time): Update applicant set primaryemail='H' where status not like 'HIRED%' (This one updates all Applicants in the system NOT at a HIRED status to have the Primary Email Default equal HOME

Update applicant set primaryemail='W' where status like 'HIRED%' (This one updates all Applicants in the system at a HIRED status to have the Primary Email Default equal WORK 5.) Click Submit Button(NOTE you can switch out the ‘H’ with ‘W’ or vice versa as needed)---------------------------------------------------------------------------------Item 2: Advanced Parsing & Duplicates

The duplicate records of work experience when using the advanced parsing feature has now been corrected to only pull in the work history once.

Previous employment dates are open fields and dates can be written in as needed for the ability to write ‘Present’. However with the advanced parsing, dates are now pulled in yyyy/mm/dd so that there is an order to the days and they can sort better in the system making it easier to look at information.---------------------------------------------------------------------------------Item 4: AAP Totals by EEO Class Report

The AAP Totals by EEO Class report now calculates the right totals for the Females and Males at the end of the report.---------------------------------------------------------------------------------Item 5: Routings & Supervisor Checkbox

The checkbox for 'Route to supervisor of this requisition' on the Applicant File > Activity Page > Routing Tab > Add New Record is fixed. It now selects the Hiring Manager to route the applicant too without having to manually select the name from the list.---------------------------------------------------------------------------------Item 6: Routings w/ Applicant Status Changes

The new applicant status for the requisition now updates in the system from the routing email generated from the requisition file > applicants page when only the 1st (allow response from email) and 3rd (update applicants req status) options are selected.---------------------------------------------------------------------------------Item 7: Routings & Multiple Requisitions w/ Multiple Requisition Questions

When an applicant has multiple requisitions attached with requisition questions for each requisition, upon routing the applicant to someone only the requisition questions for the requisition selected will show in the routing when the merge field {ReqQ} is used. Previously it pulled in all requisitions attached to all requisitions.---------------------------------------------------------------------------------Item 8: Routing Options – Updated Logic!

The 'Email Response to Sender' and 'Update Applicant Req Status' options are now available regardless of the email option selected for routings. This allows this actions to happen when responding to routings via the Home Page.---------------------------------------------------------------------------------Item 9: Job Browsing Page & Org Level 3 Column

Using Org Level 3 as a column in the Job Browsing Page – Single Table format, no longer generates an error when sorting the table by that column.---------------------------------------------------------------------------------Item 10: Military History Date Fields

These date fields will now accept any range of dates. ---------------------------------------------------------------------------------Item 11: Job Alerts Internal vs. External

If there are internal candidates (Applicants at a HIRED status) with job alerts setup, then the email for the new positions will be sent to them when the position is posted internally. External candidates do not see these alerts. NOTE: This enhancement was added in 7.0.19 but was not working correctly in 7.0.21.---------------------------------------------------------------------------------Item 12: Applicant Searches & Email Attachments

There is now the ability to add attachments to an email as needed after doing an applicant resume search.

The login page now allows for a long message to display with the frame of the page adjusting accordingly.---------------------------------------------------------------------------------Item 14: Docx Resumes loaded from Website

Docx (Word 2007) resumes can now be uploaded and saved through the Careers and Self Service modules. The text resume is not created from the docx file. Thus if a text resume needs to be created or update, this needs to be done in addition to the upload.---------------------------------------------------------------------------------Item 15: Misc Fields & New Hire Process

When Misc Fields are used in any of the four (4) available emails in the New Hire Process, the description of the code is now pulled into the email instead of the code.---------------------------------------------------------------------------------Item 16: Offer Approval Report (Standard)

The Offer Approval Report no longer generates an error when trying to filter by offers with no approvers.---------------------------------------------------------------------------------Item 17: Requisition Note Attachments

Requisition Note Attachments now reflect the format in which they were created, i.e doc, docx, etc. and open properly. Previously they were saving as .dat or .bin.

Item 1: Advanced Import Updates

The Parsing Tool (aka Advanced Import) was updated to run twice as fast and use half as much RAM. This was done so that the tool could handle more variations of PDF and older Word files. In addition the parsing accuracy was improved in the following ways:

- To support bulleted/numbered lists and common bullet-like characters when using Module1 to convert from DOC/DOCX/RTF/ODT/HTML to PlainText, HtmlFormatted and HtmlPlain.

- To handle indent levels in bulleted/numbered lists- To handle symbol fonts.

Requisition questions with the drop-down answer type can now have apostrophes in them without any trouble. ---------------------------------------------------------------------------------Item 3: Invalid Column Name – ‘agreementneededtexttemp’

Invalid column name 'agreementneededtextemp' no longer comes up for some applicants when they try to log in to the Self Service Center.---------------------------------------------------------------------------------Item 4: Email Log – Requisition Notes

Previously when a note was added to the requisition, the Email Log indicated that it was sent to the Hiring Manager even when it was sent to someone else. The Email Log was updated and corrected.---------------------------------------------------------------------------------Item 5: Requisition Standard Reports

1. The ‘Req History’ and ‘Req History by Recruiter’ reports now run appropriately without error2. The ‘Req Approvals’ returns all approvers for each requisition properly

The Applicant File Banner Pop-up was updated to increase efficiency within the Applicant Pages in an effort to reduce the slowness.---------------------------------------------------------------------------------

Item 7: Job Notification Email & Login

When the {Resume} variable is omitted from the New Position Notification Email, the login to Cyber Recruiter is faster. If the variable is used in this particular email, expect to have a longer delay when logging into the system.---------------------------------------------------------------------------------

Item 1: Inbox with Attached Reqs Column

With the possibility of having many attached requisitions, attached req columns have been expanded to show more rows so that more information can be displayed appropriately in the Inbox.---------------------------------------------------------------------------------Item 2: EBI – Reference Page

The Reference page is now displaying in the EBI process when selected as it should.---------------------------------------------------------------------------------Item 3: Correspondence & Offers

The Correspondence Page is now allowing letter attachments as it should when sending (emailing) an offer from this area in the system.---------------------------------------------------------------------------------Item 4: Required Requisition Questions & ‘Complete’ Status

The ‘Incomplete’ or ‘Complete’ status given per position in the Applicant Self Service Center > Home Page pertains to requisition questions. The ‘Complete’ status is now given when all required requisition questions are answered instead of all requisition questions answered. Otherwise, an ‘Incomplete’ status is given until all required requisitions questions are answered.---------------------------------------------------------------------------------Item 5: Job Alerts & ‘Open’ Status

Job alerts only go out when the position changes to “Open” status for the first time for posted positions.---------------------------------------------------------------------------------Item 6: Applicants Applying & Acknowledgement Email

Applicants no longer receive multiple acknowledgement emails, rather receive one each time they apply to a position as configured in the admin setup.---------------------------------------------------------------------------------Item 7: URL Re-direction: Posting Rules & Status

The careers site now takes into account both the requisition status and the posting dates to determine if a re-direct URL from another website (or when typed in manually) is valid to open up the job posting.

If a requisition:- Status is ‘Closed’ OR; - External Posting Date is in the future of Today’s Date OR;- Remove Date is in the past of Today’s Date;

Then the re-direction URL is to the first page of the Career’s site instead of the Job Description Page. This prevents people from being able to apply to the job. ---------------------------------------------------------------------------------Item 8: Requisition Questions in the Self Service ModuleWhen an applicant applies to a job via the self service module, the following rules are followed in regards to requisition questions:

Position has NO requisition questions: The record is written to the Applicant File > Activity Page > Assigned Requisitions Tab AND ‘Actions’ field (Click on the Edit Icon on this Tab for the position) is set to YES. This triggers the routings and emails as setup AND the applicant status assigned is the ‘acceptable’ status.

Position DOES have requisition questions: The record is written to the Applicant File > Activity Page > Assigned Requisitions Tab AND ‘Actions’ field is set to NO. The status assigned is the ‘starting’ status. When the person completes all required requisition questions, THEN the ‘Actions’ field changes to YES. This triggers the routings and emails as setup AND the applicant status is changed to the ‘acceptable’ status based on how the questions were answered.

NOTE: If the person tries to come back after the process is completed and change the answers to the requisition questions, this DOES NOT change the status or resend routings and other emails because the ‘Actions’ field is already set to YES telling the system all the actions are done.

Job closes PRIOR to the Applicant answering the Requisition Questions: Nothing changes or updates in the ‘Actions’ field. Thus, the actions of routings, emails and changing status are ignored. All is held constant to where the applicant was when the job closed.

Item 1: Adding a Requisition & Routing Simultaneously

Users are now able to add a requisition to an applicant and route the applicant at the same time without producing an error.---------------------------------------------------------------------------------Item 2: Change Status on Activity Page > Assigned Reqs Tab

A red message now appears on the page when globally changing the status for assigned requisitions to list the requisitions that will NOT change because the user doesn't have security rights to do so.---------------------------------------------------------------------------------Item 3: Email Templates & FireFox

Merge fields in correspondence templates were updated so that the addition of a field does not overwrite the whole text box when using FireFox.---------------------------------------------------------------------------------Item 4: Applicant Status Change Email & Merge Fields

the applicant requisition status is changed via the Applicant File > Activity Page > Assigned Reqs Tab using the Change Status button with checkbox, all merge fields populated as expected now into the Applicant Status Change email notification.---------------------------------------------------------------------------------Item 5: Advanced Parsing & Formatted Resumes

When adding applicants via Applicant > Advanced Import > From File option, the formatted resume is saved to the Applicant File.---------------------------------------------------------------------------------Item 6: Requisitions Questions Defaults & Groups

Multiple requisition questions can now be added to existing Requisition Files keeping defaults and grouping information intact.---------------------------------------------------------------------------------Item 7: Print Application & Applicant Templates

If there is more than one applicant agreement, the one signed by the applicant appears on the Print Application.---------------------------------------------------------------------------------Item 8: Offer Approvals & Restricted Security

The group security offer approvals now allow users to see only their offer approvals in both the applicant file and the Home Page > Open Activities – Pending Offer Section when set to ‘Owned Only’. Additionally when users have group security for offer approvals set to ‘Update’, users can now see the pending offers on the Home Page with the filter checkbox for ‘Show Mine Only’. It now filters to view to show that user his/her pending offers.

When the Demographics Page is restricted to 'View Only' via group security, users still have the ability to click on the resume. However, there is no 'save' button to this page, so no changes can be made rather this is an effort to see more information about the applicant on this page. ---------------------------------------------------------------------------------Item 10: New Hire Process & New Hire Email Template

In order for this email to work correctly, the applicant must have an email address on file as well as indication as to which email address is the primary one (work or home), otherwise the New Hire Email is skipped.---------------------------------------------------------------------------------Item 11: New Hire Process & Applicant History

Item 1: Update to the Express Level Cyber Recruiter System

The Express Level system of Cyber Recruiter was updated to prevent users from being both a Recruiter and a Hiring Manager. Additionally, the option to change the data label captions for Recruiter and Hiring Manager is now read only and can no longer be edited.

Client Impact:

Clients on the Express Level Cyber Recruiter System who have users set up as both Recruiter and Hiring Manager will not be able to login. They will receive a ‘Login Failed’ error. To fix the login error or avoid it prior to performing the upgrade the following actions:

1. Go to Admin > Security > User2. Edit the User who is setup in the dual role3. Select the appropriate radio button for the Recruiter and Hiring Manager so that one role is set to YES and

the other role is set to NO.4. Click Save Changes Button.

---------------------------------------------------------------------------------Item 2: Report Writer Update

Report Writer engine was re-designed to utilize less memory, thus not taking up as much RAM on the hard drive. Visibility Software upgraded this feature in Cyber Recruiter for all to take advantage of this speedier and condense tool.

Recommendation:

As always, larger reports are more time consuming and take more energy to pull together. It is recommended to utilize filters to make the reports smaller with the right condensed information. There will always be a max limit to what a tool can process and if the max is hit, an error can occur. ---------------------------------------------------------------------------------Item 3: New Requisition History Record

When users make changes to the following fields: Salary Grade, From Salary and To Salary, History is created to note the change.

Item 1: Returning Applicants applying to additional Requisitions

The system has always had a way to for returning applicants to know if they fully completed additional submissions to other positions with the Complete/Incomplete column in the Self Service on the Home Page. It appears with each requisition the applicant applies to if the requisition has requisition questions. This was put in place in case the applicant applied to the position and closed out the browser before answering the requisition questions.

Now there is a new feature to help users of the system to know the difference as well. Returning applicants who apply to additional positions can now start at one status and achieve another status upon fully completing the submission. The additional configuration below is needed for this feature to work:

Client Impact:1.) Go to Admin > Website > Career Portal > Self Service Tab > 2.) Click Edit Icon for the ‘Main’ section3.) Click on the ‘Browse Open Jobs’ Tab 4.) Scroll down the page and set the two last fields as needed:

1. Rehire process no longer includes the fields for email address or EEO information.2. Job Change process no longer includes the fields EEO information or demographic information but is

displayed in a ‘read only’ manner for easy recall.The reason these pieces of information are not being pulled from the Cyber Recruiter during these two processes is to eliminate the possibility of overwriting Abra information with out-dated information.
