Important functional relationships:

All staff based in Rangers Lodge, Kensington Gardens, Office Managers, Park Managers, other staff within The Royal Parks.

Important External Relationships:

Contractors, concessionaires and suppliers, National and local organisations and authorities e.g. Government Departments, Westminster City Council, Greater London Authority, the Military, Friends Groups, Park users, members of interest groups and other voluntary organisations involved with the park including event organisers, local charities and commercial clients.

Main Purpose of the Job:

To assist the Office Manager in the delivery and development of the parks’ administration and financial services. To assist in the administration of both Park offices, as well as liaising with a wide range of organisations and customers. To assist in monitoring the park budgets and work as part of a team to ensure that a high standard of customer service is provided for Park staff and users. To undertake specific administrative and financial functions under guidance of the Office Manager.

Main responsibilities:

Hyde Park, Kensington Gardens and Brompton Cemetery:

Support the Office Manager in the running of the administration and financial aspects of the Parks as delegated.

Assist and carry out financial duties in line with The Royal Parks best practice and procedures.

Raise Sales Invoices and Purchase Orders for Hyde, Kensington and Brompton and take responsibility for their filing and tracking, whilst demonstrating continual accountability.

Managing and tracking Sales Invoices and Purchase Orders through the Ebis financial system.

Assist in managing the filing and archive systems of the Sales Invoices and Purchase Orders.

Assist the Office Manager with the management of park contracts and concessions. Duties may include collecting revenue from concessions and chasing late payments.

Assist as required to monitor utility consumption in liaison with Works Officers and seek reduced consumption in line with Royal Parks targets.

Process Sales Invoices and Utility Bills for payment and deal with queries regarding Sales Invoices, Utility Bills and Council Tax.

Process and collate concession licences, invoicing, paperwork and revenue e.g. Bluebird Boats Concession.

Be main contact for smaller park Concessions, helping with queries and enquiries, arranging and taking minutes for Quarterly meetings.

To be responsible for the weekly banking reconciliation and registering itemised bills, e.g. Orange Mobile Phone bills.

Provide administration support to Hyde Park and Kensington Garden’s Management team.

Complete admin tasks with efficiencies and effectiveness, whilst being accountable for tracking assigned admin tasks.

Provide the required administrative support to the Office Manager in regards to the events programme for the Parks.

Providing administrative support to the Office Manager, drafting letters as necessary and tracking responses to complaints.

Assist visiting students with educational research into the park. Assist in general visitor management during events.

Attend and minute relevant meetings as directed by the Office Manager. To also provide written notes of the minutes to attendees within one week of the meeting.

Responsible for temporary vehicle permits and the issue of such permits, as well as a working template of the permits that TRP staff can access.

Responsible for the ordering of stationery through Banner. Maintain stationery levels as required by the staff of Rangers Lodge and adjust order where appropriate.

Responsible for paper functions within the office – managing the photocopier and its service requirements as well as recycling responsibilities.

To be aware of his/her responsibilities described in the H&S Manual and in particular:a. implement the Policy in their area of responsibility; andb. Ensure that health & safety issues receive the same priority as other
