Section 1 - Logging in and your enrolments

Step 1 How to access the Academy

Go to http://tescopropertysafety.academyhq.com/

Enter your username and password into their respective fields and click the sign in button.

Section 2 - Purchaser user guide

This user guide will show you the ease with which you can operate this system as a user. The first step of this process is clicking the “Purchase” Feature.

Purchasing the courses you need

Login and click on the Purchase tab

Then you must select the courses you wish to enrol your members in.

CSV Template

You will then need to download a CSV template spreadsheet by clicking “this template”. Open up the template file that you downloaded from our site and fill in each of the fields for the members you wish to import. The ‘email’ field can be left blank but all other fields are required in order to import the members successfully. We would strongly recommend including emails for future use and automated notifications.

Upload Members

Once you have filled in your spreadsheet and saved it, return to the Import Members page. Click the browse button, then navigate to where you saved the file and select it. Click the ‘Upload new Members’ button to begin importing.

Errors

If an error message appears when uploading your new members it will be because the Username or Email address already exists. For the Username you will have to change it on the

Spreadsheet but for the Email you will need to confirm an alternative with the user. If the user only has one email, you can contact Academy Support (details below) who will help to address this issue.

Once you have completed Importing the new members click the “continue to Order Summary” button to proceed to your Order Summary overview.

Payment

In order to complete your order, review each line of your summary and then click the “Pay with Credit/Debit card” button when you are satisfied to continue. If you need to go back, you can click the “Go back and change my order” button.

Once you have clicked the payment button, a box will pop up and prompt you to enter your card details. You have now successfully registered your new members for the Academy. Your members have been set up and enrolments created.

Purchasing Licenses - Existing members

Please select the purchase tab while on the dashboard

Once on the purchase tab please select the courses you would like to purchase.

After click continue, please select the ‘Refresh Existing Members’ option.

Step 1: Select the “Refresh Existing Members” option.

Step 2: Type the names of the members that need to be enrolled (one by one).

Step 3: Select the each member from this list and click the “Add” button.

Step 4: Review the list of selected members. Then Click “Enrol Selected Members” button.

Enter your country code - GB for Great Britain or IE for Ireland.

Please also enter your VAT Number.

Once you have purchased the courses, the selected members will be automatically enrolled in the courses.

Section 3 – Common User Issues

CSV files v EXCEL files

We use CSV (Comma Separated Variable) files because the format is very simple and is supported by almost all spreadsheets and database management systems. However, a common error made is to upload an Excel file without having saved the file as a *.csv file. You must ensure that your file is saved as a *.csv file to upload the file to the Academy.

Error – Can’t upload the users – username exist or email exist

Firewall If you or your staff are trying to complete the course in work place or if you are using company machine please check your security settings and fire wall configurations. As our courses carry video and other multimedia elements your company Firewall may be set to block this kind of content. The following links may need to be unblocked from the company firewall by your I.T. department are listed below:

Slides freezing One of the most common reasons for freezing slides is that your internet connection is not stable or is too slow, and we recommend you use a fixed broadband connection such as office broadband or wifi. Should the problem persist please contact your Academy Administrator who provided you with username and password or email us.

Course not playing

The QR code

The QR (Quick Response) code is a multimedia barcode which is sent to the operative’s phone when they have registered to take the courses. When the operative arrives on site, they show the QR code to the Site Manager who will scan it to verify their training records.

There is a button on the enrolments page of the Tesco Property Safety Academy called ‘I NEED SUPPORT’ this will connect you to the Support Team through intercom – support will respond within 2 hours from logging the issue – Monday - Sunday – 24/7

Outside of these hours your query will be answered the same evening or first thing in the morning should you place a call after 10pm on a Saturday.
