PURPOSE OF APPRAISAL
St Mary’s is committed to retaining, nurturing and developing talented individuals no matter what their seniority and position within the University. The Appraisal Process provides the framework to do this. It is an opportunity to reflect on the personal contribution made by individuals during the last 12 months and to look forward to the coming year. The process should cover the value individuals bring to their current position and discussion about position(s) that would best suit their skills into the future. In addition, it should include the identification of development individuals require that will
enable them to flourish.
PROCESS
It is important that individuals understand how their contribution adds to the overall success of St Mary’s. This leads to motivated and engaged staff who are committed to their own development and progression. The diagram below sets out the stages and timeframes for University wide, departmental and individual level objective setting and the cascade of these into appraisal.

UNIVERSITY VALUES
Our four core values define St Mary's and underpin all we do as a University. As an
organisation which prides itself on its values, striving to embody St Mary’s Values in our day
to day work is a core expectation for every member of staff. Embodying our values is just as
important as meeting other annual objectives, and our appraisal process recognises this
explicitly, by asking staff and managers to consider how their behaviours and attitudes have
demonstrated a commitment to St Mary’s Values over the past year.
The reasons for doing this include:
• Keeping St Mary’s values at the forefront of all we do
• Recognising staff for their contribution to making St Mary’s values a lived reality and
therefore creating our desired culture
• Addressing performance issues relating to a staff members behaviours and attitude if
actions fall short of St Mary’s values through a transparent and fair process
Our core values are:

• Excellence
These values have corresponding behaviours which are examples of how they can be
embodied. The Values and Behaviours guide provides definitions of the values and the
corresponding behaviours.
On the online Appraisal Form, there is space for staff to say whether they have Met, Partially
met, or Not met, a given value, with comment boxes for reflections. This space should be
used to provide examples of how you have embodied the values and therefore the reason
for your self-rating.
PREPARATION FOR THE APPRAISAL
Please note as this is the first year of online appraisals you will need to enter last year’s objectives prior to beginning the online appraisal form for this year. Please refer to Section 2 – Adding new objective (page 10) for guidance on how to do this on PeopleNet.
The following points should be considered when completing your online appraisal form in preparation for an appraisal meeting:
SECTION 1 – Looking Back (see Section 3.1 for PeopleNet guidance)
• How well were the objectives met – what worked well, what are the learning points, what could be done differently in the future?
• If objectives were not met, what were the reasons for this and what can be done to ensure that future objectives are realistic?
• Are there any areas of achievement outside of the objectives to be included?
• How did you embody the University Values last year?

This section has a self-rating and an Appraiser rating. You can add your self-ratings per objective (Met, Partially met, Not met) and have an opportunity to write any additional comments in the free-text boxes at the end of this section. You will also be required to rate how you think you have performed overall using the ratings below.

SECTION 2 – Face to Face/Zoom Appraisal Meeting with Appraiser
(see Section 3.2 for PeopleNet guidance)
This meeting is essential to an effective appraisal
Step 1 - Review the Looking Back Objectives and Ratings and discuss the Appraisee’s
reflections on how they embodied the University Values (discuss the information entered
onto PeopleNet in the relevant section and agree the final ratings for each one)
Any objectives that were not completed from the previous year should be carried forward in the Looking Forward objectives. Where the Appraisee has been rated at 1 or 2, a performance improvement plan will be put in place to support them. Importantly, the appraisal meeting must not be the first time the Appraisee hears that his or her contribution has not met the required standard.

Step 2 - Setting Looking Forward Objectives Objectives must be SMART: Specific – What is it that you will be doing? Hint: Include a verb (e.g, evaluate, prepare,
develop etc)
Measurable - How will you know that this has been achieved? Hint: describe the
performance standard that tells you that this has been effective.
Achievable - Is this a stretching and challenging goal within the person’s capacity and
capability? Hint: Have a joint discussion to check this.
Relevant - Explain how this objective relates to and supports the departmental plans.

Step 3 – Development & Growth and Career Development
This section is about having a good quality conversation about development needs and the support needed to enable progression so that we maximise the potential of all staff at St Mary’s. This is where any future training needs to support performance and development in the current role are recorded. It may also be used to capture discussions on career development plans and aspirations. Development activities are not restricted to training courses and may include opportunity to
participate in projects, exposure to new areas/experience, coaching, mentoring, activity
related to professional associations, line management support or any other appropriate
activity with a view to enhancing the skills, knowledge and behaviour required to support
individual development and future performance.
Academic Staff: The areas of Teaching, Research, Enterprise, Professional practice and
Administration may be useful to reflect upon/inform discussion on future professional
development.
SECTION 3 - Post meeting
(see Section 3.3 for PeopleNet guidance or Section 4.4 for Manager
guidance)
The online Appraisal Form should only be ‘Submitted’ once all objectives and ratings have
been agreed and entered on to the system. Prior to this you should only click the ‘Save’
button. This means that the form can be updated and amendments can be made. Once
submitted, a notification will be sent to the Appraiser and they will be able to add their
comments on to the form.
If the appraisee has more than one position/manager all managers should contribute to the
Appraisal Form before it is submitted.

PEOPLENET GUIDANCE FOR APPRAISEE
Completing your appraisal online via PeopleNet will enable you to add information and new
objectives on your appraisal form without having to complete paper forms as well as
providing you with access to your Line Managers comments. A great feature of having online
appraisals is that it allows you access to your objectives, appraisal and all personal and job-
related details from one location. To support this written guide, an online video guide is
available to help you navigate your way through the system and can be found on StaffNet.
SECURITY
As PeopleNet includes some very sensitive information about you, it is important that you
ensure the security of your personal information is maintained. You should therefore always
log out of PeopleNet once you have finished using it and should never let anyone know your
username & password.

HOW TO ACCESS PEOPLENET
You can access PeopleNet from any internet connected computer device. You can access it
via your St Mary’s computer or device, your own home computer, laptop, tablet, iPad,
iPhone or Smartphone.

Once you have accessed PeopleNet, you will see the login screen below:
• Login with your PeopleNet user name (your seven-digit payroll number i.e. 0502554)
and password then click Login.

1. NAVIGATION OF PEOPLENET
The Menu Tabs at the top of the page take you to various areas in Employee Self Service
(ESS) relating to your personal details and employment. To add objectives or view your
Appraisal Form, click on the Goals & Performance tab.

2. ADDING A NEW OBJECTIVE – Outside the Appraisal Form
This screen shows your current objectives and Appraisal. To add a new objective outside
your Appraisal Form, click on the + Add Objective icon on the Objectives section.
Clicking on + Add objective will load the Objective details page.
You must complete all the mandatory fields marked with a blue dot and then click Save to
add the objective to your record.
Once you have added your objectives(s) they will appear on the objectives board.

3. COMPLETING YOUR ONLINE APPRAISAL FORM
You should already have an Appraisal Form available under the Review Lifecycles section
below the Objectives section. The type of Appraisal Form you have will depend on whether
you are on an Academic or Professional Services contract.

To start completing the first part of your appraisal, select Looking Back/Looking Forward
from the left-hand panel and then click Complete appraisal ahead of meeting.

Once the Appraisal Form has generated you will see the below summary screen. Click the
Start button to view the Looking Back section of your appraisal.
Complete all the relevant sections and mandatory fields of the Looking Back page. You can
save the form at any time and return to it later.
The Looking Back section of your appraisal form covers three key areas:
• Looking Back Objectives - Review your last year’s objectives and provides a self-
assessment against each objective.
• University Values - View the Corresponding Behaviours Guide and discuss how you
have embodied the University Values in the last year
• Summary - Rate your overall performance in the last year and add your comments
and reflections

3.2. LOOKING FORWARD
The Looking Forward section of your appraisal will display as shown below.
Complete all the relevant sections and mandatory fields of the Looking Forward page. You
can save the form at any time and return to it later.
The Looking Forward section of your Appraisal Form covers three key areas, as described in
detail in Section 2, Step 2 of the Process Guidance:
• Objectives and Priorities - identify up to 5 agreed objectives/priorities for the next year, these objectives should be set in discussion with your Line Manager. The objectives should be SMART in format, embody the unique mission and values identified in Vision 2030, and support your Departmental objectives.
• Development and Growth - record personal development undertaken and future career development plans, including any support needs which may be identified.
• Career Development - capture discussions on future career development aspirations. This information will be important to the Maximising Potential exercise.

Any objectives from the 'Looking Back' page that have not been completed will be carried
forward and be shown on this page under the ‘Objectives and Priorities’ section shown
below, you also have the option to update/add more objectives directly to this page.
To set up a
new objective

This will load the Lifecycle Objective details page. Complete the mandatory fields in this
form and then click Save.
Once you have saved the objective, the page will re-load and display all your current
objectives as shown below. You can go back to the Looking Forward section of the appraisal
by clicking ‘Click here to return to the performance review form’ above the ‘changes
have been saved’ notification.

You should now have your new objective added to your appraisal. You can repeat the
above steps to add more objectives to the Looking Forward section.
Complete the rest of your Appraisal Form by adding your Development/Training Activities
and Career Development information. Once you have made all the entries that you wish to
make and completed all mandatory fields of the form, click the Save* button and then
Summary button to return to the summary page and Submit* your appraisal. Please note
you should only submit your appraisal once objectives have been agreed.
*Once you click Save please wait for this page to reload before clicking on Summary
*Once you have submitted your appraisal your entries cannot be changed
3.3. DOWNLOAD YOUR APPRAISAL AS PDF
To download all the sections of your completed appraisal form as a PDF document, click on
the Summary button to return to the summary page. Once the appraisal Summary has
loaded, click on the blue Print button. Please do not submit your appraisal at this stage
A pop-up window will appear, click OK to save the file into your Downloads folder.

3.4. SUBMITTING YOUR APPRAISAL
To submit the Looking Back/Looking Forward section of your Appraisal Form, click on the
Summary button to return to the summary page. Once the appraisal Summary has loaded,
and if all mandatory questions have been completed, a Submit* button will be available.
* Once you have submitted your appraisal your entries cannot be changed
Once submitted, a message will pop up to confirm the submission. Click OK to continue with
your appraisal submission. The page will reload confirming that ‘your form has been
submitted’.
The Looking Back and Looking Forward sections of the form will have a green tick
icon next to them. You can now exit the form; your line manager will receive an email
notification to let them know you have completed your Appraisal Form and enable them to
complete the Manager’s Comments section of the form.
Your appraisal Lifecyle card will also update to show that the current stage is at ‘Manager’s
Comments’. You have now completed the Looking Back/Looking Forward part of your
appraisal.

PEOPLE MANAGER GUIDANCE
Completing appraisals online via People Manager will enable you to review your employee’s
comments and objectives on their appraisal form without having to complete paper forms as
well as providing you access to enter your comments on the appraisal form. A great feature
of having online appraisals is that it gives you access to your employee’s objectives,
appraisal and all personal and job-related details all in one location.
To support this written guide, an online video guide is available to help you navigate your
way through the system and can be found on our StaffNet.
The following functionality will be available for People Managers:
View your employee’s appraisal
Add/update objectives for your employee
Submit your comments on appraisals
Run development reports i.e. Employee objectives, Overdue actions, Appraisal
completions.
SECURITY
As People Manager includes some very sensitive information about your employee, when
you have finished using People Manager please always ensure that you logout. It is also
important that you never let anyone else know your username and password as this
information would allow people to access information on you and your staff, exposing a risk
of identity fraud.

HOW TO ACCESS PEOPLE MANAGER (iTrent)
You can access People Manager from any internet connected computer device. You can
access via your St Mary’s computer or device, your own home computer, laptop, tablet,
iPad, iPhone or Smartphone.

Once you have accessed People Manager, you will see the login screen below appear.
• Login with your PeopleNet user name (your seven-digit payroll number i.e. 050255)
and password then click ok.

• The login screen will refresh to allow you to select which role you want to access.
Select People Manager from the drop-down menu provided.
4. NAVIGATION OF PEOPLE MANAGER
Once you have logged into People Manager, you will be taken to the Home Page.
The sections on the right-hand side of the People Manager homepage take you to various
areas of People Manager relating to your reportees personal and employment details.
Once your reportee has submitted their appraisal form, you will receive an email notification
letting you know that you can add your comments via People Manager profile on iTrent. To
view a reportees appraisal form and submit your comments, click on the People section
from your People Manager homepage.

The People Search menu will display on the left-hand pane and your direct reports will be
listed here. If this list is blank, please click on the search field and do a blank search.
To view your reportees appraisal form, you must first select the employee you want to view
information on from the People Search menu. Once an employee has been selected, the
Person Summary screen will display on the main panel.
Scroll down to the bottom of the summary screen to view the extra folders and links.
Click on the Appraisals folder and then click on Complete/update appraisal form

4.1. APPRAISAL FORM STAGES
Clicking on the Complete/update appraisal form link on the personal summary screen will
load the current appraisal stages for your employee.
4.2. MANAGERS COMMENTS
Once you have reviewed the Looking Back and Looking forward sections of the appraisal
form with your employee, the employee should submit the form. You will not be able to
access or view details of the appraisal stages until your employee has completed and
submitted*** the Complete appraisal ahead of meeting section (Looking Back and
Looking Forward).

To start adding your comments use the grey drop-down menu at the top to navigate and
select Managers Comments.
Once loaded, the page will display the Managers Comments section as shown below. Your
reportees comments and reflections will be displayed on the left-hand side of the page and
you can enter your comments on the right-hand side free text field. You can also enter
the overall performance level (scores between 1 and 5) at this stage.

Once you have entered your comments and selected the overall performance level, click on
the SAVE button at the bottom of the page.
4.3. FINAL SUBMISSION
Once you have entered/updated your comments in the Managers comments section and
selected the overall performance level, click on the SAVE button at the bottom of the page.
Once the page has saved, you will see a Changes have been saved notification at the top
of the page.
Now click on the SUMMARY button at the bottom of the page to return to the appraisal
homepage.
If you have completed all mandatory fields then the sections on the left-hand side of the form
will have a tick icon next to it and a SUBMIT button will be available at the bottom of the
form. Click SUBMIT to submit your comments. Once submitted, a message will pop up to
confirm the submission.

A window will pop up to confirm the submissions, click OK to continue with your submission.
The page will reload confirming that ‘your form has been submitted’.
Once you have submitted the form you cannot make any changes.
Your reportee will also receive an email letting them know their appraisal form has been
updated with managers comments.
You have now completed the appraisal with your employee. The lifecycle for your
employee’s appraisal will update to show the first part of the appraisal has been completed.

Appraisal FAQs
Q – Who will use the Performance Management module in iTrent?
A – All Managers will be expected to use the new system for recording appraisals using
Manager Self Service (People Manager).
A – All University employees will be expected to use the new system for recording appraisals
using Employee Self Service (PeopleNet).
Q - What will my appraisal information be used for?
A – Appraisal information provides a structured way to reflect on the personal contribution
made by staff members during the last 12 months, to look forward to the coming year and
identify development activities to support this. All of this information enables managers to
ensure that staff are recognised for the work they do, understand their priorities for the coming
year and consider development options to support their team members. The information
gathered also enables the manager to consider the potential of staff members and how best
to support their career progression.
Q – I am still in my probation period do I need to use the new system to record
anything?
A- No, once you have completed your probation you can add your objectives for the coming
year onto the new online appraisal system so they are visible when you have your first
appraisal for the Looking Back part of the form. To be clear:
• Professional services staff who joined from 1st March 2021 do not need to complete
an online appraisal this year as you will still be in probation.
• Academic staff who joined from 1st September 2020 do not need to complete an
online appraisal this year as you will still be in probation.
Q – I’ve been on furlough; how will this affect my appraisal?
A- The appraisal write up should include acknowledgment of any agreed adjustments to
objectives, workload or working patterns, for individual members of staff. Where a barrier,
such as the impact of COVID-19 or lockdown, may have impacted on an individual’s ability
to meet agreed objectives from the previous year, it should not impact negatively on the
individual in terms of demonstrating good performance over the past year. Nor should their
revised working pattern/workload create a barrier to any learning and development
opportunities which have been identified as part of the appraisal process.
Q – How do I access the system if I don’t use a computer at work?
A – The system can be accessed from any device that has an internet browser (i.e. Laptop,
Home PC, Tablet and some large screen smartphones). For those staff who don’t own any
such device, you will be provided with access at work so that you can submit your appraisal
or you can liaise with your manager to decide how the information can be recorded on
PeopleNet.

Q – Why am I being asked to record my appraisal online even though I don’t normally
use a computer at work?
A – We are streamlining processes to make the best use of technology available by moving
appraisals online. This makes it easier for managers and employees to manage appraisals
and we will be able to effectively report how many staff are being appraised.
Q – What’s new?
A- The online appraisal is a replica of the paper version however:
• It now includes a new section on the University’s Values to enable consideration of
how individuals’ behaviours and attitudes have demonstrated a commitment to the
Values over the past year.
• We will be asking staff to add their ‘Looking Back’ objectives on the system to
capture objectives set last year as a one off during this transition period, these
objectives will then automatically load into your appraisal form.
• All staff will be expected to record their appraisals online via PeopleNet
• The same online form is visible to Appraiser and Appraisee so the confusion of
version control is removed
• Workflow reminders enable both parties to see what action is required of them after
the initial appraisal conversation preventing delays in completing the process
Q - I have an employee who has more than one line manager. How will this work?
A – Both managers will be able to log in to People Manager and view their employee’s
appraisal and make comments. They will, however, need to liaise with one another to finalise
the rating and to agree who does the final submission of the form.
Q – What’s a lifecycle?
A - Lifecycle is the term used to define the stages within the appraisal over a period of time.
On PeopleNet this will be either an Academic or Non-Academic lifecycle (appraisal).
Q – What’s expected of me as a line manager?
A – In discussion with your employee, you should provide comments on how you feel the
employee has performed against their objectives for last year. Has the employee completed
all of their objectives? Are some still outstanding? Your input at this stage is important to
enable the employee to complete their ‘Looking Back’ and ‘Looking Forward’ sections of the
appraisal before submitting the form.
Your comments here will help inform the overall performance rating for the employee. You
will also be required to provide an overall comment on how the employee has performed
against the University’s values.

Q – Why do we need to have a face to face meeting when we can complete the form
online?
A – The appraisal form is purely to record the outcome of a good quality appraisal
conversation. The face to face conversation is essential to helping staff do their best and for
relationship building. The conversations allow managers and staff to listen to one another,
provide personalised development and deepen rapport.
Q - What if I don’t have time in the cycle of July – September to complete my
appraisal?
A - In order for you to be able to do your job effectively and be clear on what you need to be
working on in the new academic year, you must have completed the appraisal process by
the end of September. It’s important to reflect back on the previous year as this will help to
inform what support/development will be required to achieve your objectives in the coming
year. The appraisal cycle takes place over a few months so everyone should have the
opportunity to complete their appraisal within this timeframe.
Q – What are the key appraisal dates?
A – The Performance Management module goes live on 14th July. The appraisal window is
19th July - 30th September 2021.
Q – Once I have submitted my appraisal can I make changes to it?
A – Once you have pressed ‘Submit’ there is no option to make further amendments. You
will have the opportunity to save any information you have entered and return to it to make
amendments.
Q - Who can access the information inputted into the appraisal form? Is this
information confidential to me and my line manager?
A – Once the appraisal has been submitted, both you and your manager will have access to
the full details of the appraisal form however you will not be able to edit it. There is no
intention to monitor or report on the content of the staff appraisal form.
Q- What if I get a new line manager?
A - If you get a new line manager, either because your line manager has left the University
or one of you has transferred to a different position, your new line manager will be able to
see all of your current and historical appraisals and content within them that are attached to
your profile within ESS.
Q- As a line manager, what access will I need?
A- You will need a People Manager role to access your employee’s details on the HR
system. If you do not already have this access you can contact [email protected]
to request access.

Q- How do I access my employee’s appraisal form?
A- You can access and view your employee’s appraisal form once the appraisal window
opens in July 2021. You will only have access to the information on the ‘Looking Back’ and
‘Looking Forward’ sections of the appraisal once the employee has submitted the form. You
will receive a Workflow Notification once they have done so.
Q- As a line manager, can I add objectives to the appraisal form?
A- You can only add/update objectives on your employee’s record outside the appraisal
form, if these objectives are updated before the employee has submitted their ‘Looking Back’
& ‘Looking Forward’ sections of the appraisal then the updated objectives will be included
within the appraisal. It is important that objectives are discussed and agreed by both parties
before the appraisal is finalised.
Q- When can I start adding comments to the appraisal form?
A- You will receive an email notification from HR Systems to confirm when you can start
adding manager’s comments to the appraisal form. This notification will be sent once your
employee has completed and submitted their ‘Looking Back’ and ‘Looking Forward’ sections
of the appraisal form.
