EXECUTIVE SUMMARY
Objective
To stage a cross-‐cultural Christian Music Festival from 12 to14 October 2018 in Cullinan, Tshwane with a line-‐up of Christian Artists, Choirs and DJs where young people and families can camp out for the weekend, or attend as day-‐visitors.
Goals
To raise funds for the Viva Village Independent School in the Alaska Informal Settlement, Mamelodi East, promote South African Christian talent and stage the first of an annual, dynamic and well-‐supported event in the Tshwane Metropolitan Area.
Project Outline
A Weekend Music Festival with the following main features: • Camping for youth and young families from Friday to Sunday • Musical line-‐up featuring a palette of established, well-‐known Christian musicians, bands and choirs, as well as up-‐and-‐coming artists and Christian DJs.
• Vendors, Exhibitors and Sponsors will have the opportunity to market product, services and brands from food vendors, to merchandisers, companies and corporations at a reasonable fee.
• The aim is to establish an annual event. • Profit will be donated to the Viva Village Independent School, operated by the Viva Foundation of South Africa, a registered NPO and PBO. The school is a privately funded institution providing quality education, care and nutritional support, to extremely vulnerable learners in the Alaska Informal Settlement, Mamelodi East.
• The Viva Foundation of South Africa will issue tax-‐deductible 18A Certificates for donations, cash sponsorship and donations-‐in-‐kind.
• The media partner is Impact Radio, offering interviews and airtime to sponsors, for their involvement, depending on the extend of the sponsorship.
Request for Sponsorship
The organisers are requesting sponsorship and donations to fund the cost of staging the event. Profit from ticket sales, will be donated to the Viva Village Independent School and donations to the cause will likewise be deeply appreciated, however much of the expenditures and payments will be due prior to the actual event.
Sponsors will receive extensive advertising and branding opportunity during and leading up to the event. As mentioned, tax-‐deductible 18A Certificates will be issued for all cash donations and donations in kind.
Background
1. The Viva Foundation of South Africa
The Vision of the Viva Foundation is to be instrumental in the transformation of informal settlements into stable and safe neighbourhoods where a community can thrive, offering education, care, services, business and employment opportunities and culture, sport and recreation facilities for all age groups.
The organisation is duly registered as a Non-‐Profit Organisation with the Department of Social Development and a Public Benefit Organisation with 18A Exempt Status with the South African Revenue Service, and has 4 focus areas:
a) CHILDREN
Services to Vulnerable Children and Youth: Viva Kids Early Learning Centre, Viva Orphans and Vulnerable Children Care, Switch On Youth Development and the first Viva Village Independent School, launched in Alaska Informal Settlement, Mamelodi East in 2013.
b) POVERTY ALLEVIATION
The Viva Enterprise Development Programme aims at facilitating access to the economy to the underprivileged and disadvantaged.
c) THE ARTS
Promoting the Arts [Music, Visual Arts, Performing Arts and Film] in underprivileged
communities.
d) SEXUAL VIOLENCE PREVENTION & RESPONSE
The Viva Rape Response Protocol poster and booklet, distributed to provide victims and the public with knowledge of the process from ‘incident to guilty verdict’. Panic buttons have been deployed to the Alaska Informal Settlement community, with trained community respondents to prevent and respond to sexual violence.
2. Media Partner -‐ Impact Radio103FM
One of the largest Community Radio Stations in Pretoria and surrounding areas, including Midrand, as well as worldwide via Web streaming, Impact 103FM has a strong following on social media with over 124 000 followers on Facebook and reach up to 60 000 listeners, in the target area.
Impact Radio has a unique relationship with its listeners, who tend to tune in more often for longer, proving that Impact 103FM has a loyal listenership and dedicated audience. The event is being promoted via 150 advertisements from August to October 2018, plus interviews and on the Impact Radio Social Media platforms and Sponsors, Vendors, Exhibitors and Artists will receive optimal exposure for their involvement.
3. The Music Festival
In April 2018, role-‐players from both Impact Radio and Viva realized they share a dream of a Christian Music Festival in Tshwane and the new Viva Connect, Cullinan offered an appealing event arena. Furthermore, the opportunity to stage a weekend-‐long event, made sense in the light of the optimized impact and exposure, for artists, visitors, vendors and exhibitors alike.
Camping will be available for the duration of the weekend and day-‐visitors will be welcomed from 12:00 on Friday to Sunday. On Friday Evening the event will focus on the Youth, with DJ’s and music acts as well as a bon-‐fire and drumming circle at the camping site at the closing of the concert.
Saturday will offer fun activities for the whole family, with an exciting line-‐up of well-‐known and up-‐and-‐coming South African Christian artists. Vendors will offer food, merchandise and exhibitions. On Sunday morning the festival will continue with a Gospel Service followed by more live music. Families are welcome to join and picnic on the lawns at the venue. The event will close on Sunday afternoon at 16:00.
4. Benefit to the Sponsors
A comprehensive marketing campaign launched on the 1st of August 2018 with radio and Social Media promoting the event, the musicians and our sponsors. Billboards, TV ads and Posters are added to the campaign.
A comprehensive marketing plan and benefit package, is offered to sponsors, depending on the extent of their donations. The benefits include free vendor-‐, or exhibition space, free access to the event, radio interviews, banners at the venue and your advertisement on the main screen aired at the event.
Budget Sponsorships in the form of Cash and Donations-‐in-‐Kind, to the cause and costing of the event, are needed.
