CHANGES MADE TO PAYROLL POSTNG

Important Note

Some of the agencies handle more than one Business Area. Due to this, some employees are being transferred from one Business area to another within one payroll period. Even though it was possible to update the status of those employees, payroll posting was not possible. Therefore, from now on posting will be done by Cost element and not by Cost center as it was previously carried out. To enable this, a new GL code has been created namely 911996 (instead of 511998) and 911997 (technical account which enables the cost split between business areas).

The major differences from the previous posting steps is that you will need to take a new posting variant from the drop down menu of Posting Variant. By choosing this, more than one document will be created (split by cost element). The last document will be the one with all the clearing codes.

Posting Instructions

1. Fill out all the important columns and make sure the correct posting variant is being selected. Also it is very important that you select the correct date for Posting date and Document date. Otherwise the expenditures will be taken up by the wrong period. This date should be the day posting is carried out.

Live posting should be done only after simulation run is verified.

2. When you display the document overview, notice the multiple documents created. The last one is the one with all the clearing amounts but please verify all documents before doing a live posting run.

3. Below is an example of an employee who is being transferred from Business Area 1005 to 1058 during the month of July.

(a) Display of first document – the total amount spent for Business Area 1005 is credited to 911997.

(C)Display of third document – This is the document containing clearing items. Please take note that 911997 is NOT a clearing account. It is a technical account which enables cost split between business areas. The figure represented by 911996 is the amount being cleared for Bank. If there are any other clearing items (e.g.: Loan schemes, Scholarship repayment, Pension etc...) all these will be included in this document.
