15 awesome pro tips for composing more compelling, cleaner & effective emails

Ahh, the email! The most professional form of contact we have.

In the world of business, you're expected to send, read and respond to emails on a daily basis, but, do you know how to formulate a good sounding email? Be honest.

We all despise receiving that long-winded, text heavy email, that leaves you baffled; most of us are also guilty of writing the same horrendous email.

The truth is, it's not your fault. You probably weren't taught how to write a compelling email in school.

The ability to compose an effective and efficient email is a super useful skill to have in the professional world - especially if you rely on people responding to you.

Below I've compiled my top tips and rules for writing an effective, professional sounding email. The points and tips I share cover the most common pitfalls and mistakes I see people making in an email.

Stick to these 15 rules and you'll notice dramatic changes in your email game!

1. Is this email necessary?

First things first, ask yourself, do I really need to send this email?

Professionals are busy people and they receive many emails every day. Do not be the person who wastes everyone's time with pointless emails.

Think carefully before sending an email.

2. Always be nice

Remember to say "please" and "thank you". Basic manners go a long way in an email.

Negativity is not permitted. No matter who you're emailing, there's no excuse for rude behaviour.

Even if you're emailing a company to complain about their service or lack of service, it's important to keep your cool.

Put it this way, if the recipient reads your hate-filled email, they probably won't respond. So technically, you wrote a rant to yourself.

Remember the 3 P's: Polite, Positive and Professional.

3. Know the recipient's name!

Seriously! Don't be lazy, do what you gotta do to find out the receivers name.

We live in a world full of handy resources, use them! Here are a few ways I find someone's name:

LinkedIn - this site is great for finding professionals. Simply search the company and position; nine times out of ten, you should find the right name.

Google - the world's biggest search engine. Try a few relevant keyword combinations (Company name + managing director) and see what Google comes up with; you'll be surprised with the results.

Check the companies website - many businesses will include a "team" page on their site. You may find everything you need there. It's worth a look.

Call reception - when all else fails, ring the companies main number. You'll be put through to the receptionist. Ask the receptionist for the name of the person who works in the position you require.

4. Never say ‘Just.’

How many times have you read an email where the opening words were “I am just emailing to say…” or “I was just wondering…”?

Professionals never “just” do anything. Refrain yourself from using “just” phrases and get people to take you seriously. If you are “just” looking for a chat, use WhatsApp instead. “#JustSaying”

5. Spelling and Grammar are important

I know it may seem like common sense, but if you want to look smart in your emails, the ability to spell correctly is a must. Good grammar is also important.

Now, most computers and devices have auto-correction, but don’t count on it; I've seen a few stubborn words sneak through in my day. You might want to keep and eye out for duplicate words too.

So always proofread. No exceptions.

Also, use the appropriate punctuation. Commas and full-stops scream professionalism.

6. Get to the point

Professionals are busy people, and they certainly don’t have the time to read through your 10 minutes of gibberish.

Get straight to down business, to avoid the reader skipping your email.

You should explain your intentions, and who you are, within the first line of an email.

7. Paragraphs help

The countless times I've opened an email, only to see a huge block of text on the screen. **sighs**Having a proper email structure is super important, and it could be the difference between someone reading your email or not.

Remember this:

Paragraphs are your friend; they help to break up your email, and it is much more pleasing to the eyes.

For every new topic, start a new paragraph.

8. Professionals use subject lines

Am I correct in assuming that you want the person to open your email and respond, as quickly as possible?

Not only is a subject line the perfect opportunity to outline what your email is about, but it is also how other people determine what emails they will open first.

Use it wisely. Think of your subject line as a news headline. Give the recipient as much detail regarding your email as possible while making it enticing.

9. Your presentation matters

If your email contains a link, don’t copy and paste an ugly URL, make it a beautiful text hyperlink instead.

Something else to check is your font. Make sure your font and size are consistent the whole way through.

Oh, and stay clear from the standard Arial, that shouts “hey, I’m boring and so is

That said, don’t go overboard - no fancy fonts or colours, please! Keep things sensible; that is the professional thing to do.

It may sound like a lot of fuss, but the 30 seconds of care will have a great impact on the aesthetics of your email. Plus, the person reading your email will be more inclined to respond with the same amount of care.

Dear SBPL family:

I am happy to write this editorial for the 3rd issue of our monthly magazine. On the ushering of the new year I wish you and your loved ones a great year ahead. This past 9 months of FY 15-16 has been troubled where the company witnessed drop in sales, collection and rising over dues. I will need to urge the team to look into the same and try and regain the strength of the company. As you have noticed that we have taken up the space downstairs on the ground floor and also a new premises 3 house s away. The idea is to give more space to all the family members to be able to work. The next door premises will house the GYM & Canteen where the food can be made to be able to healthy. I also propose to start a guest house for the sales and other people traveling from outside Bhubaneswar.Activities from the various products team is continuing. We need to gear up our last 2 months of this FY to reach sales and targets and start planning for the new FY ahead. We need to increase our sales and presence in various districts which have seen a demand rise such as Koraput and also focus in some 2nd level towns and villages where the demand seems to be rising. The company will in coming months focus on services as I personally believe that margins and sustainability will come from providing services in the product ranges. I need your suggestions and advice in all the spheres to be able ot grow this initiative. We did many a event. The boys participated in Tata Steel Marathon where MD, himself was present and participated which speaks very high of him. From his schedule if he could find time to come to Bhubaneswar and participate why cannot we find time to keep ourself fit by exercising ? We need to bring this to our daily lives. Fitness is what should now come to gain the most important part of our lives. Please feel free to give any suggestions in this regard. As I had indicated my travel will be very hectic and my time in Bhubaneswar has been to minimal, I am still available on phone for all your need. Please wish all our Customers who have their Birthday and Anniversary this month on my behalf. My Happy Birthday wishes in advance to Pradeep Dash and Bansi this month. Also by heartiest Congratulations to Binaya, Bipul Layek , Tuku Babu , Subhadeep and Gautam on the occasion of their Marrriage Anniversaries which is falling this month. The Nature of Problems

Let us first focus on problems. If we analyse and observe, we will find that situations in life are what become problems. If you are comfortably sitting in your own house and begin to feel hungry, the hunger does not pose a problem. There is food in the kitchen; if not, you just go to a restaurant. But if you are in a remote place and food is not available, or you don't have enough money to buy food, then hunger becomes a problem, because you don't know how to deal with it. Whenever there is an inability to handle the situation, then that situation becomes a problem.

If you don't understand the situation, it becomes a problem. If you understand it, but find no remedy, then again it becomes a problem. If the remedy is there, but it isn't within reach, then also it becomes a problem. If everything is within reach, but you don't know how to make use of it, then of course it remains a problem.

Human beings have a peculiar ability -whatever we touch becomes a problem. It is the Midas touch - whatever he touched turned into gold, whether it was his clothes, his food or even his own daughter. Even the fulfillment of his wish became a problem!

and Radha Madam were also present at the venue. As matter of fact Sunil Sir preponed his flight to earlier one to reach the venue by 7.15 am and be a part of this prestigious event. It was a proud moment when he met the MD of Tata Steel and exchanged pleasantries.

Some of our employees also participated in the 10 km category and some of them also finished the race which was worth a big applause. Debasish Mishra, Rakesh, Gopal, Manoj Singh, Manoj Tarasia, Chittaranjan and Ajit were our participants in the race. Rakesh was the first to complete the race and others followed. Win or loosing was not important and what mattered was the spirit and the positive attitude. Congratulations to all participants for the right spirit.

The event was spectacular with the presence of host of Ministers and Government Officials along with leading Odia film actors and actress, Sports personalities and medal winners of Odisha and others along with the legendary Bachendri Pal – First Indian woman to conquer Mount Everest. Gautam Brahma and Jhilam Roy enjoyed it being a part of the event along with the marathon participants from Sagar Business. A small request : We urge all other Sagar Business team members to participate and let's make our presence felt in such outdoor activities arranged by Tata Steel in the future.

10. Have a signature

What professional doesn’t have an email signature?

Make it as easy as possible for your recipient by leaving your name (that’s obvious), contact number, business address (if appropriate) and any social links or relevant sites you may have.

11. NO SHOUTING PLEASE!

Did you know you CAPITAL WORDS is the equivalent of shouting at someone?

You maybe think you’re doing the person a huge favour by making the keywords stand out in capital letters, but that person may take it an entirely different way. So no shouting please, it's not very professional.

12. Don’t forget to KISS

No, I’m not talking about that kind of kiss! I mean, K.I.S.S (Keep It Simple Stupid).

Keep emails ultra simple to read. Don’t be under the impression you need to use long fancy words and sentences to sound professional.

Use as few words as possible, and use plain English that even a child would understand.

13. No text language

Yes I know, we live in a mobile world, but please, leave the text speak for an actual text message.

When it comes to writing a professional email, all “LOL’” and “OMG” use is banned.

The only acronyms you get away with is FYI (for your information) & FAO (For the Attention Of).

14. No emoji use either

The same rule applies for emojis. These mobile icons are the worst thing to use, for two reasons:

1. The fact you need to use an emoji shows your lack of ability to express emotion through words.

2. There's no guarantee the recipient will open your email on a device capable of reading you 'cute' emoji.

If you have the urge to send an emoji in an email, walk away to compose yourself, have a nap, or do whatever it takes to stop yourself.

15. Kind regards? Best wishes? Your faithfully?

When is the right time to use each one?

If you're anything like me, you always forget the correct way to end an email. Stick to this simple explanation and all will be okay:

Dear Sir or Madam = Yours faithfully

Dear Mr Smith or Mrs Smith = Yours sincerely

Hi Richard, Hey Lisa = Best wishes or Kind regards

When in doubt, go with "Kind regards", it seems to be the most commonly used ending on emails these days.

Here are a couple of email examples using the tips above.

Example 1:

Subject Line: Financial report due tomorrow. Meeting Wed 2 pm?

Hello Richard,

I'm emailing you for an update on the finance reports.

Please send them through as soon as you can.Can we also schedule a meeting? Is next Wednesday at 2 pm good for you?

Let me know.Kind regards,LouisLouis JohnBlogger, Social Media Consultant, Speaker & Gym UserLocationLondon, United Kingdom
