In this document, we’ll look at the many ways of affecting the selling prices of your products.

Customer Maintenance Pricing levels and customers are deeply linked. Your best customers will logically be entitled to your best prices. Other customers may be allotted other price levels. How do we indicate which price we will use on an invoice? Let’s take a look at the customer maintenance screen.

There are several fields that can affect the ultimate price of an item – but for now, we’ll look at the Price Cd field. In each product, there are six levels of regular pricing – 1 thru 6. Level 7 is replacement cost. Level 8 is actual cost. Here in the customer record, we can indicate which one of these price levels we wish to assign to this particular customer. More on these product pricing levels later. Also notice the Disc Struct field. This field indicates if a special discount structure has been assigned to this customer. We’ll cover creating those discount structures in the Discount Maintenance section below. We’ll come back to customer maintenance after we’ve created our pricing structures.

Discount Maintenance Using discounts will allow you to customize product price levels assigned to particular customers or group of customers. At it’s simplest, a discount can be set up that uses a different price level for certain vendors or product classes. Or, you may specify a percentage factor above or below one of the existing price levels. If you enter a product number, you will be able to enter the exact price to always charge a customer for a specific product. Discount Maintenance is Option 10 on the Product Pricing Menu, which is accessed from the Product Maintenance Menu or Option 5 from the Customer Maintenance Menu.

There are two ways to organize discount information: By customer number or by Discount Structure number. Set control record DISCCNTR to N to reference the discount by customer number, or Y to use the Discount Structure name. This second option is more flexible – allowing you to create Discount Structures that will apply to more than one customer. If you choose to use the customer number, a prompt is available to look up the customer's number by name.

Notice that our usual selections are available on either screen. We can Show only to locate structures for a particular vendor (if you grant discounts by vendor and control record DISCKYV contains Y), for a particular product class (if control record DISCKYC contains Y), for a particular product type (if control record DISCKYT contains Y) or by product number. Of course, we have the usual options: 2-Edit, 3-Copy, 4-Delete, 5-View and 9-Print. At the bottom of the screen we find functions to F4-FIND, F9- Print. In our example, we are going to add a new Discount Structure, so we’ll press F6-Add.

In this example, we are creating Discount Structure number 90. This structure will calculate discounts for all products for vendor number 9. The discount calculation will use price level 3 from the product file and multiply this amount by a factor of .90. This will give a 10% discount from price level 3 for vendor number 9.

If you are assigning product type codes by vendor (VNDTYPYN set to Y), the combination of vendor number and product type is validated against control record VT888999 (where 888 and 999 is a product type (or construction/line)). You must enter both a vendor and type code.

You will remain in insert mode, ready to enter additional Discount Structures. When finished, press F3 to return to the Work with screen.

Now we’re ready to assign our Discount Structure 90 to this customer.

From this point forward, when this customer purchases an item associated with Vendor 9, his price for the item will be price level 3 multiplied by the .90 factor. This same structure could be assigned to other customers, giving them the same discount.

If you wish to assign this structure to a group of customers, you can use the Set Customer Fields option on the Customer Maintenance Menu. This function starts with the standard store number select. The customer select screen is next.

Here you can narrow the group of customers whose records will be changed. Perhaps you might select the customer class for your government sales customers to give them a uniform Discount Structure number.

Discounts in Point of Sale or Order Entry When we sell a discounted product to a customer, the discounted selling price appears as a highlighted field to alert you that there is a discount in effect.

Here we see the discounted price of $93.14 for a Vendor 9 product sold to our customer with Discount Structure 90.

Discounts in Product Inquiry If control record DISCY/NQ is answered Y, the discounted prices will also appear in product inquiry.

Note the “d” beside the price in the Price for 1 column. This indicates that this price reflects a discount. Since this discount view performs a calculation, it will run a little slower than regular inquiries.

Discount List

Option 11 on the Product Pricing Menu is the Discount List. This option generates a listing of all the discount structures set up on your system. You may select which Discount Structures are listed by selecting the Structure Number, Price Code, Vendor, Product Class, Product Type or specific Product Number.

Note the standard function F4-Find. Use this function to display lists of Discount Structure Numbers, Price Codes, Vendors, Product Classes or Product Types.

ZERO PRICE FOR A SPECIFIC PRODUCT A zero price for a specific product will be allowed via Discount Maintenance if control record DISCALZP is set to Y. To make this work, you must set the customer record to a Price Code of 0.

This works very well but could create a new problem. A zero default price code could lead to other items being priced at zero. To avoid this problem, simply create a discount record for all possible products by adding a discount record with the customer’s default price code with no product vendor, class, type or number.

Price Maintenance Now we’ll look at the ways we can maintain our product selling prices.

Product Maintenance The most basic way of maintaining product prices is thru Product Maintenance.

Note the Replacement Cost, Actual Cost and Vendor Supplied Cost fields are accessible through the F7 key. Actual Cost and Replacement Cost can be maintained by the system using control records discussed in the Inventory document. With control record PRICECK answered N to allow pricing maintenance in Product Maintenance and control record UNPRTPRC answered N, you have access to these cost fields and can manually change the values in product maintenance. In the Downloads/Uploads document, we detail how to upload the Vendor Supplied Cost from your vendors along with the 6 Selling Prices, Replacement Cost and FET.

The six Selling Prices are on the bottom of the screen. These different levels are used to create a price spread for different types of customers. If you wanted to change the pricing levels for a single store, on a single product, you could just perform Product Maintenance on that item. If you were highly motivated, you could do Product Maintenance on all your products to change all their prices. But we have an easier way by making use of the Price Structure field.

At the heart of the Tire Dealer System product pricing is a pricing calculation form known as the Price Matrix. We create and modify matrices thru Option 2, Price Matrix Maintenance.

Price Matrix Maintenance Enter the Store Number for which you are creating the matrix. As with most of our maintenance options, you will also have the option to send the maintenance to other stores if control record PRCMTCHG is answered Y.

Notice the copy changes message in the upper right corner of the screen, indicating we are copying this maintenance to other stores. F14 – Where am I sending changes? is available behind the F24-More keys function. Remember, you may press F24 to see more functions, but a function need not be displayed on the top screen in order to use it. Also notice the S-Send to Selected Stores option at the top of the screen. If you have created a matrix for a particular store, you can ‘send’ that matrix to another store using this option. For our example, we will create a new matrix, so we’ll press F6-Add.

First, we’ll give our matrix a name by setting the Price Code to PR1. We’ll add a meaningful Description to make this matrix easy to find on our matrix list: Pricing for Goodday passenger. Now we’re ready to set up the actual calculations used to affect pricing. The first column is headed Base. This represents the existing price level to be used as the base price upon which the calculations will be performed. Notice we have choices of Price 1 – 6 (for the six price levels found on the product record), R (Replacement Cost), A (Actual Cost) or V (Vendor Supplied Cost.). Here, we’ve chosen the Vendor Supplied Cost as our base to change Replacement Cost and Price levels 1 thru 5. In our example, no base has been entered for price level 6, so no pricing changes will be generated for Price level 6. When we run Product Pricing, we could generate a change to the Replacement cost, then use that newly calculated replacement cost amount as the base price for other price levels changes within the same matrix. To use this feature, control record PRCNWRPB must be answered Y. If we are using this feature, the word Replacement is highlighted to denote this. If control record PRCNWRPB is not answered Y, and we choose to change the replacement cost and change other price levels based on replacement cost, the calculations for the other price levels will be performed on the replacement cost that existed prior to any matrix operations.

The second column, Plus FET, indicates if we wish to add FET to the base price prior to performing the calculation. If Y is indicated, the base amount becomes the base price plus FET. After the pricing calculation, the FET is subtracted back out so it is not included in the new product price. If the PLUS FET field is answered N, The base will simply be multiplied or divided by the factor. The Multiplied or Divided column indicates the arithmetic operation that is performed on the base price amount. The Factor is the amount by which the base price amount is multiplied or divided. The ‘+ or –‘ column may contain +, - or blank. This field determines an additional calculation to perform on the newly calculated price. The matrix can add or subtract an amount from the final result of the pricing calculations. It can do this operation after the calculated price has been rounded to a level you choose. The amount you wish to add or subtract is found in the Amount column. You could add or subtract up to 9999.99 dollars from the previously calculated new price amount. A more likely amount might be the .01 we used in our example. Since we are rounding to the nearest dollar (more on this in a minute), our subtraction of .01 will result in all our new prices ending in .99. If these fields are left blank, no action will be performed on the calculated price after any rounding. The Rounded At values are: 1 = Nearest Penny 2 = Nearest Nickel 3 = Nearest Dime 4 = Nearest Quarter 5 = Nearest Fifty Cents 6 = Nearest Seventy-Five Cents 7 = Nearest Dollar The final field, Always Round, indicates which way rounding will go, if you have entered a value in the Rounded at column. By entering a value here, we can either round up or down to the nearest monetary denomination indicated by the Rounded At field. The default value is to round up. For example, if we are rounding to the nearest nickel and set Always Round to U, a calculated price of $24.03 would result in the price $24.05. If we set Always Round to D, this same $24.03 calculated price would result in the price $24.00. Our matrix is finished, so we’ll press enter to store it.

If we desire, we can set our product records to point to this matrix for pricing. An easy way to do this for a group of products is thru the Product Maintenance Menu option Set Product File Fields. This option prompts for the usual store number, and product selects. In this case, we’re going to select for products for Vendor 9, our Goodday vendor.

The Set Product File Fields allows us to enter the name of the Price Structure we are assigning – PR1.

Be sure to answer Y in the change Y/N column. Press enter to submit this job.

We have two methods of pricing that use the Price Matrix: Auto Product Pricing and the Product Pricing Menu options.

Auto Product Pricing Auto Product Pricing is Option 9 on the Product Maintenance Menu. This option will immediately change the prices on the products we select. Since a problem with product selection or the set up of a price matrix could be difficult to reverse, we recommend that you save the product file before running Auto Product Pricing. To use the Auto Product Pricing, control record PRICECK must be answered N. The option has the usual store selection and date screens. The product selection screen is very important for Auto Pricing.

In this example, we have selected Vendor 9. All the pricing calculations to follow will be performed for every Vendor 9 product at the selected store(s). If we fail to enter a selection, the pricing matrix will be applied to EVERY PRDUCT at the selected store(s). BE CAREFUL. There are no second chances.

The final screen presents a choice of Pricing Matrix to use.

By default, the option uses the Price Structures we have set on individual product records. In our example, we used the Set Product File Field option to set all Vendor 9 products to the Price Structure PR1. Subsequently, when we run the Auto Product Pricing and allow it to default to the product record Price Structure, pricing will be generated for the selected Vendor 9 products using their PR1 Price Structure. If we choose to use a Price Structure different from the default product record Price Structure, we can enter the name of the Price Structure in the Use this Price Structure to Generate Prices field. If we have selected some products that have no Price Structure on their records and we do not enter a Price Structure name in the Use this Price Structure to Generate Prices field, no pricing will be done on those products. When we press enter, the Auto Product Pricing job is submitted to the job queue. Remember, this job will immediately change the prices on the products we have selected.

Product Pricing Menu If you would like a little more control over generating pricing changes, you might consider using the date sensitive pricing options on the Product Pricing Menu. To use these, control record PRICECK must be answered Y. You cannot use both the Product Pricing Menu options and Auto Product Pricing, so a decision must be made before the control record is set.

Our first step is to Generate Prices using Option 5.

Generate Prices The Generate Prices option starts out with the familiar Store select and Message/Date screens. The Product select screen next appears where we can narrow the group of products for whom pricing will be generated.

Note the Price Structure field. Here we have selected only products whose product record Price Structure fields match our new pricing matrix PR1.

Sale Pricing One of the advantages of using the Pricing Menu pricing options is that you can use a Start Date and a Stop Date. This allows you to create sale prices that expire at the end of the sale period. We’ll discuss how sale prices are maintained by the system in a later section.

Enter the Price Start Date for the day you wish to have the prices take effect. Enter the Price End Date for the last day the sale prices are to be in effect. Here we are doing sale pricing for a five-day promotional special. If you want the pricing changes to be permanent, leave the Price End Date blank.

The final screen presents a choice of Pricing Structure to use.

In this example, we chose only products with the Price Structure PR1 on the Product select screen. Since only those products are selected, there is no need to enter a Price Structure name on this screen. The pricing program will look at only PR1 Price Structure products, and use that structure to calculate pricing. When we press enter on this screen, the Generate Prices option is submitted to the job queue.

New Price Listing A second advantage to using the Product Pricing Menu options to change prices is the ability to see the generated prices BEFORE they affect the product file. Option 6 on the Product Pricing Menu is the New Price Listing. The usual Store input, Message/Date and Printer selection screens are available. This option generates a report showing the Product Numbers and Descriptions along with the start and end dates for pricing and the new Replacement cost along with new Prices 1 through 6. RB TIRES

By carefully reviewing this report, you will be able to catch mistakes in either the Pricing Matrix Maintenance or in the selects used to run Generate Prices. Notice the Price levels for the products starting with 124 through 009. These don’t look very profitable. If we looked at the product records, we’d find some incorrect replacement costs. (Remember, in our matrix we set the replacement cost equal to the Vendor Supplied Cost –which is correctly reflected here. Since control record PRCNWRPB is answered Y, the calculations for the price levels 1 through 5 in our matrix were based on the newly calculated replacement costs.)

Delete New Price Work File If a mistake has been made, Option 8 – Delete New Price Work File deletes the pricing, so you can start over.

If everything looks okay – except for just a few changes you wish you could make, update the prices and read on.

Pricing Maintenance We have generated prices and updated them to the pricing file. Here they await their start date to be applied to the product records. If we decide there are a few changes we’d like to make to one of the pricing records, we can do so through Option 1 – Pricing Maintenance. Again, we see the Store select screen and can choose to send changed to other stores. We can Start at Product number to quickly access the product pricing record we wish to change.

Here, we’ll take Option 2 to Edit the product pricing record for product 004244.

Here we can change the End Date, Replacement Cost. Vendor Supplied Cost, Price levels 1 – 6, and Federal Excise Tax. Note that you cannot change the Starting Date. If you need to change a Starting date, add another pricing record with the correct date. Changes made to records with Start Dates of today or prior immediately affect the product records just as if you had done product maintenance.

Take special note of the zero prices in our example. When we enter on this screen, additional fields appear, if control record UPD0PRC is set to Y. The Update Zero Amount Y/N? column prompts you to confirm your desire to update zero amounts to one of these fields. Normally, as here in the case of our Price 6, a zero price means no pricing changes were desired. Change the default value of Y to N if you do not want a zero value updated to a cost or price in the product record.

Apply Product Prices We have two methods of updating prices to the product records. We can take Option 9 – Apply Product Prices NOW to immediately post these changes to the product file. Additionally, if control record PRCAPUP is answered with Y, we can have the nightly update apply the prices. If you have entered a start date of today, intending to have new prices in place for the beginning of business tomorrow, the nightly update option allows you to retain existing prices throughout the current day. The standard Store input and Message/Date screens appear. Finally, we have an Enter Date screen to input the date for comparison with the dates found in the product pricing records. When the Apply Product Prices program is run during the nightly update, this date defaults to the next day’s date. When the update is finished, the new prices are in place for the new day.

When the Apply New Prices option runs, the program looks for pricing with expiration dates. If the expiration date on a pricing record is less than the input date or update date, the original prices are reapplied to the product records.

Vendor Pricing Menu In the Downloads/Uploads document, we detail how to upload vendor pricing information from a file supplied by your vendor. Once we have this information on the A/S 400, we process it thru the Vendor Pricing Menu, Option 15 on the Product Pricing Menu.

Work with Vendor Pricing Transactions The Work with Vendor Pricing Transactions option allows you to view all products sent by vendors. You will need access to the pricing function to work with vendor pricing transactions. The Product Number selection screen confirms how your product numbering scheme matches the Vendor’s product numbers.

Do you want to use the manufacturer's product number as your product number? Enter Y if you have set the Manufacturer’s Product Number field in the product records to equal the vendor's product number. - OR - Do you want to use the Vendor Cross Reference Product? Enter Y to use the Cross Reference file for this vendor. Enter the Vendor Number. The Product Cross Reference file is maintained through the Product Maintenance function F14 - Xref by CST/VNDR (Cross reference by customer/vendor). This file

contains a cross reference product number, by vendor, that will be used to match the vendor’s product number. You must have the Data Exchange Module and access to use this feature. F-4 is available to find valid vendors. Only one of these questions can be answered Y. - OR - If the entries are not changed (both questions default to N), this indicates the product number in the product file is a direct match to the vendor's product number. The Work with Vendor Pricing Transactions screen shows the Product/Manufacturer Number, Vendor Cost, FET and Shipping Weight. The Cost, FET and Weight fields must NOT contain any special characters (such as a $ sign) to be valid data for product pricing updates.

Option 2-Edit allows you to change the data on individual records, if needed. Option 4-Delete’s an entry.

Vendor Pricing File Update After reviewing the Vendor Pricing file data, you are ready to run the Vendor Pricing File Update to move the Vendor Supplied Cost, F.E.T. and Weight into your product records. The screen offers an expanded version of the Vendor Pricing product questions we have seen previously.

The first and second questions should be answered in accordance with your previous work in the Vendor Pricing Transaction file. Do you want to write a special character to one of your user fields for updated products? You can write a special character to one of your product User Fields to aid you in determining which products have updated. This product User Field could be used as a selection on inventory reports. You might run reports showing only the products updated with a new Vendor Supplied Cost or, perhaps, as a selection in Auto Product Pricing or Generate New Prices. The default value for this question is N.

If so, which user field? What character? If you answered Y to the question about writing a special character, indicate the number of the product User Field you wish to use and the special character that will be written to that field. Do you want to update FET? It's up to you and your company whether to perform this option. The default value is N. FET is updated immediately to the product file. Do you want to update Shipping Weight? Again, it's up to you and your company whether to perform this option. The default value is N. Do you want to update all stores? You may run the update for all stores, one particular store, or an entire region. If you answer this field N, you must enter the Store or Region number that is to be updated. The default value is N. If not, which store/region? If you answered N to the Update all stores question, enter the Store or Region number. Region is maintained by control record RGIONR99. Store and Region numbers must be valid entries in the Store Maintenance File.

Divide Vendor Price by 100 for 2 decimal places? If you are updating vendor prices, this prompt is always displayed. Answer Y to divide the price by 100, indicating decimals were not included in the cost fields in the pricing transaction records and you wish to update with two decimal places. Answer with the default value N if you want the price to post as it was received. Divide FET by 100 for 2 decimal places? If you are updating FET, this prompt is also displayed. Answer Y to divide the FET by 100 indicating decimals were not included in the FET fields in the pricing transaction records and you wish to update with two decimal places. Answer with the default value N if you want the FET to post as it was received. Since these calculations are for all records in the Vendor Pricing transaction file, it is best to update one vendor pricing file at a time to insure each update uses the same numeric format.

Clear Vendor Pricing File After updating the Vendor Pricing transaction file, you should clear the file to make way for the next time. You are asked to confirm the clearing of this file. Answer Y to clear the data.

Upload PC Pricing Files We have one additional source of pricing information: Pricing files uploaded from PC spreadsheets. The Downloads/Uploads document details how to move a spreadsheet pricing file to the A/S 400. To process this information, we’ll need to take option “13. 6 Price Upload Menu” on the Pricing Upload Menu which is on the DownLoad/Upload Menu, located on the Other Options Menu. Access the Other Options Menu from the Tire System More Options Menu. Option 1 allows us to Generate Prices from PC File.

Generate Prices from PC File Once you have successfully uploaded your spreadsheet to the AS/400 you will be ready to generate prices from your PC data. You must have access to pricing in order to take this option. This program will generate an error list to report any products that are not found in your product file or any products that are cost percent products. Cost percent products cannot be updated with this option. The Generate Prices from PC File option will write to the same files used by the Product Pricing Menu option Generate Prices; however, this option will create the prices from your PC file rather than generating them using a Price Matrix. The standard Store select and Message/Date screens appear.

Enter the dates you want the prices to be in effect. If this is a permanent change, enter only the Start Date. Once the prices are created, take Option 3 - Product Pricing Menu to use the other Product Pricing Menu options as if you had generated prices from Tire System files.

Clear PC Price File Once the pricing process is completed, it’s a good idea to return to the Download Menu and take the option to Clear the PC Price File to be ready for the next time.

Pricing Report A new report, Price List with Profit, can be found on the More Inventory Reports Menu. “Pricing” authority is required to run this report. This report is the same as the Formal Price List with actual and replacement cost, profit dollars and profit percent included.

ZERO PRICES 1 – 6, FET OR WEIGHT IN THE PRODUCT FILE You can now zero prices, FET and/or weight in the product file. This option is found on the Product Misc Menu. As you can see below, you choose which fields to zero out. Standard product selects are available for this option.

Hot Sheet Pricing

Overview Hot Sheet prices are usually sale prices for products you want to move. A customer will be charged the lower of his discounted price or the Hot Sheet price for a product. A customer’s discounts, if any, will not be applied to the Hot Sheet price. A customer can be flagged to not allow Hot Sheet prices. Also individual products can be flagged to not allow a Hot Sheet price to be entered. Hot Sheet prices are input by store. Hot Sheet prices are entered manually. If you want to run a sale on an entire line of products, you are probably better off using one of the date sensitive auto pricing functions. Hot Sheet prices are not intended to be used for mass pricing. Instead Hot Sheet prices are intended for the, hopefully, relatively fewer over stocked or discontinued items that may exist. Hot Sheet prices can be set to expire on a certain date, after available inventory drops below a specific quantity, or when manually deleted.

Disallow Hot Sheet Pricing for a Customer

If ‘Allow Hot Sheet’ is set to ‘N’, then the customer will not be allowed to view current Hot Sheet prices nor will the customer receive the benefit of Hot Sheet prices. ‘Allow Hot Sheet’ can also be set via the ‘Set Customer Fields’ function.

The Work with Hot Sheet panel allows you to add, change, delete, or display Hot Sheet Prices. You must have authority to access Hot Sheet Maintenance. Access to Hot Sheet Maintenance is granted via Access Control Records. When using (F8) Change View, the description is swapped out to show Expiration Date and Quantity for the item. In this example, our comparison price to the Sale Price is Price 1. You can now specify which price level you want to see from the product file based on a control record. Control record HSPRODPR contains the price level to display or print, 1-6 for price levels 1 through 6 and 7 for replacement and 8 for actual cost. The default is price level 1.

Enter the sale price and optionally an expiration date and/or quantity. If no expiration date or quantity is input then the Hot Sheet price must be deleted to be removed.

To set a sale price to be removed when the last unit is sold, set the ‘Expiration Quantity’ to a fraction. During the nightly update, if available inventory (‘On Hand’ less ‘Allocated to Customers’ plus ‘On Order from Vendors’) is less than the ‘Expiration Quantity’ then the Hot Sheet price will be deleted. Hot Sheet prices with a null, zero, expiration date and quantity are not automatically deleted. Hot Sheet Prices with a zero price and zero expiration date and quantity will be removed nightly.

Hot Sheet Report The Hot Sheet Report list selected products with a Hot Sheet sale price. Sale price, price level 1, and actual cost are listed along with expiration date and quantity and current on hand inventory. Standard product sorts and selects are available for this report. Hot Sheet Pricing in Product Inquiry

Hot Sheet prices will display in product inquiry if a customer is allowed Hot Sheet prices. The lower of the current Hot Sheet price or the customer’s price with any discounts applied will be displayed. A customer’s discounts, if any, will not be applied to the Hot Sheet price. On some panels a lower case ‘h’ will display next to prices that are the Hot Sheet price just as a lower case ‘d’ will display next to discounted prices. This will allow you to know which price was used.

Hot Sheet Pricing Inquiry

A list of all products on the Hot Sheet is available from the initial Product Inquiry panel, if Hot Sheet prices are allowed for the customer.

As in Product Inquiry, products with Hot Sheet prices are listed by size or by class by size. Within size they are listed as they are in Product Inquiry. The control records used to determine presentation order are the same for Product Inquiry by Size and Hot Sheet Inquiry. See control records PQSORT, INQSIZE, and INQSTRA. Hot Sheet Inquiry is available to LOE users if the customer is set to allow Hot Sheet products. All views of the Product Inquiry by Size are available to the Hot Sheet Inquiry. If you have limited LOE customers or you limit users to particular views, only those views will be available to the customer or user.

Sending Price Files to Customers When a formal price list is run, a file containing the customer’s prices can be created and later sent to the customer. The requirements for this feature are that the Data Exchange Module must be installed and control record CRTPRCSN must be set to Y. Each customer that you wish to send prices to must be set up via the Create Sell to MCI FTP Tran option on the Miscellaneous Data Exchange Menu. Also, these customers must also be a MaddenCo Customer using the Tire Dealer Software.

When the formal price list is run, a specific customer must be selected. Please note that this screen will only be displayed if control record PRCLDISC is set to Y.

A screen will be presented asking whether or not to create a pricing file to send and if so, whether or not to add to the existing file or start a new one. You may need to run multiple price lists to get all of the prices to send to a customer. If a product is added to the price send file a second time, the price will be replaced. To send the file immediately, go to the Vendor Pricing menu and take the option to Work with Pricing Files to Send.

The price send files will be accumulated by customer and can be sent either one at a time or all at once. The files are sent via FTP. Option ‘S’ will send selected files individually. The Send All Files function will send the files with a status of ‘R’ and try to resend all with the status of ‘E’. The Send All Files function can also be set up to run automatically using the job scheduler. The command to use is CALL PGM(GPTIRLIB/PTTFRPL). A file with a status of ‘S’ has already been sent to the customer and will not be sent again. These are the files that were sent individually using option ‘S’. They will be removed from this list the next time the Send All Files function is run. Status code ‘R’ means that the file is ready to send. A status code of ‘E’ indicates there was an error encountered when trying to send the file and the file transfer was unsuccessful. An entry is made to the system error log whenever this occurs.

Notifying your customer a new price file has been sent

Email messages can be sent to your customer to notify them that a new pricing file has successfully been sent. To set this up, add each email address through the Email Addresses function in Customer Maintenance and use the Price file notification document type.

Customer Receives Pricing Send File

When the customer receives the file, they can then take the option from the Vendor Pricing Menu to Copy Prices from Wholesaler. The price send file will then be copied into the vendor upload file. The prices can then be reviewed and applied to the vendor supplied cost field in the product file. For more details on applying these prices, see the Vendor Pricing Menu discussed previously in this document.
