1 INTRODUCTION

1.1 About the projectThis project is aimed at developing an online Sales and Inventory Management System for fafa food

factory. This system can be used to store the details of the inventory, update the inventory based on the

sale details, produce receipts for sales, generate sales and inventory reports periodically etc. This is one

integrated system that contains both the user component (used by salespersons, sales managers,

inventory managers etc) and the admin component (used by the administrators for performing admin

level functions such as adding new items to the inventory, changing the price of an item etc).

This system runs on multiple terminals, offers a GUI interface to its users and connects to a common

database(s).

1.2 Background

FAFFA Food Shareholder. Company is a pioneer of food processing industry in Ethiopia. It was established in 1962 as an Ethio-Swedish joint venture with the objective of reducing the risk of malnutrition among children in Ethiopia by producing low-cost and high protein weaning food.

In 1974, the factory was expanded to a modern way with the investment of Birr 4.2 million, provided by Swedish government. As a result, the capacity had risen from 400 MT/year to 12,000 MT/annum. As the importance of the products was recognized by the public and their demand increased the factory was renovated and expanded in 1984 by Swedish Government and the company itself with the investment by birr 4.4 million to meet the rising demand. As a result, the capacity had reached 21,600 MT/annum.The factory has been reestablished as a share company on October 11, 1999 by transforming the previous public enterprise with a total capital of birr 38,594,000. It had also undergone rigorous expansion and innovation works to satisfy the ever-growing demand of the society and currently the capital has grown to birr 48,710,752 the company also has implemented integrated food safety and quality management system. (ISO 22000-2005), certified by RSA SABS.

At the moment the company is privatized to Pet ram Plc. and different renovations product type and design change with quality is undergoing by the capital of 63,500,000.00.

2 STATEMENT OF THE PROBLEM

3 SCOPES

The scope of this system is that to provide user efficient working environment and more output can be generated through the system.

This system provide user friendly interface and knowing each and every usability future of the system

This system provide helps tracking records so that past records can be verified through them and one can make decision based on the past records

This system completes the work in a very less time Each record can be retrieved and can be verified for future transaction. The system provide high level of security no one can insert to the system until it verifies

the user login id and password

4 Project objectives

4.1 General objective

This system can be used to store the details of the inventory produce receipts for sales generate sales and inventory reports periodically This is one integrated system that contains both the user component and

the admin component Keep records of the complete inventory A corresponding outflow of product inventory. Automatically update the inventory from completed sales orders in the

System so manual entry of sales is minimized. Handle item price discounts at the customer level. To decrease the human power and to increase the speed of the company

performance Provide source document control over stock transactions entered into

the computer by establishing batch numbers

Should generate the bill System should inform the pending order and make changes if the order is dispatched. Should report any invalid login error There are registered people in the system (sales people working in the shop,

inventory managers, admin et al). Each one of them may have some exclusive privileges

6 MODULES

This project is aimed at developing an online Sales and Inventory Management System for a

departmental store.

The Project has the following modules

Sales Manager

Sales Person

Inventory Manager

Admin

A sales person should be able to

Login to the system through the initial screen of the system ,Change the password after logging into the system ,See the status of the inventory, ie, whether a particular item is available or not ,Search for a particular item by typing the initial letters ,Enter the items purchased by a customer and produce a bill for the same

Cancel the produced bill, in case of error in entering the details, and produce a new one ,Take back an already sold item that is not satisfactory to the customer (the shop allows that) and produce a receipt for the same

Inform the inventory manager about the items that are not available, so that they can be stocked

The inventory manager should be able to

Login to the system/change his password after logging , Check the status of the inventory , See the reports from sales people about items that are not available and need to be kept in the inventory.

The sales manager should be able to

login to the system/change his password after logging in e.t.c, Check how many bills

have been generated in the day so far ,Check how much money is transacted in the day so

far , Check how many bills have been cancelled so far in the day(due to wrong entry by the

sales persons) , Check how many items have been returned so far in the day.

The administrator should be able to

Login to the system and change his password after logging in ,Add new users to the system , ,Change the price of an item

9 Methodology SDLC(system development life cycle):-this is the conceptual model used in

software development project.in this method there is a possibility of combining to or more project management for the best outcome .SDLC also heavily emphasize on the use of documentation and has strict guide lines on it

Use case diagram: - simplest representation of a user's interaction with the system that shows the relationship between the user and the different in which the user is involved. A use case diagram can identify the different types of users of a system and the different use cases and will often be accompanied by other types of diagrams as well.
