ProAV/Digital Signage PROPOSAL GUIDE (Template)
Putting together a great digital signage proposal is
one of the most important skills you can achieve for
your business. But where do you start if you haven’t
created one before? We know it can be daunting to
create your first proposal, so Ingram Micro put
together a template—along with a real-life example
for reference—to help you get started. Make sure to
reference both files prior to getting started.

The revisions history is where you keep revisions of the project as it develops. Here, you’ll note times and dates as the project progresses. This section is designed to be a detailed overview for the project. You’ll also add changes with milestone events, such as location visits, site surveys and discoveries. See example below.

2. Summary
The summary is designed to be the place where you have an executive briefing on description of project. You’ll place and explain items, such as key locations, high-level technology overviews and how to accomplish end users’ needs
No need to be overly technical. See example below.
XXX Hotel would like to have displays throughout the building in video wall layouts and along units. This solution allows for full control over all screens, where you can have different content on every screen. This also gives you the ability to distribute the same content across all screens simultaneously.
This proposal includes a high-definition camera to be installed in the lobby and little theater and a live feed to be broadcasted to the 2x2 and 1x4 video walls.
Content will be distributed to the displays via media players located behind the displays through VGA, DVI or HDMI (depending on the screen). Sound will be available, wire piped to overhead speakers.

3. ScopeThis is where you spell out specific components and fully explore business needs and drivers. It’s where you spell out the “what” and “why.”
Screen placementScreen placement information goes here, such as where and why. How the screen will be placed and any environmental factors that may affect the unit.
Content sourcesWhat types, such as standard media playas, IP cameras, DVD or Blu-ray players.
Content informationThis is information about what each player will be displaying day to day. Be very descriptive and label each topic, such as “Announcements,” “Schedules,” “Branding,” “Activities” and “Menus.”
Content typesDive deeper and explain the exact format the content will be played in, such as HTML5, JPEG, Office formats (PowerPoint).
AudioThis is a “yes” or “no” answer. If “yes,” what type of speakers and sound reinforcement will be used.
AdvertisementsAgain, “yes” or “no.” If yes, how much and how often will the content have advertising (e.g., paid material will be on 34% of the screen for 1 hour per day in 5-minute increments).
User experience
Insert Company name, contact information and logo (if desired) into the Header/Footer
3. Scope
Are screens designed for touch or interactive? Also, what experience will the user get out of seeing the screens?Operator experienceHow easy or difficult is it to use the software system? Will the operator need to have a background in IT, or is it less technical?
System useHow long will the system be on? Is it designed to be 24/7 or less? Be descriptive.
Content distribution and hardwareExplain how the media players will distribute content and what type you’ll be using. For example, will you be using an 8x1 distribution amplifier to send video 100 feet away to a remote display?
Camera installationThis is where you put any information about IP cameras or other external peripherals (e.g., RFID readers, cameras for data collection). You would advise on what the cameras would be viewing and how security is addressed.
Installation by displayUse this chart to advise where each display in a project will be placed specifically and any important information about each display. You should call out the wall type (e.g., brick, drywall), electric voltage and plate along with IP/Data jack number.

3. Scope
Signage architecture and designThis is where you should not only explain but provide an illustration of how the systems will run to main IDF or IT closets.
Content creationContent creation information goes here and should call out specifics about who and what are involved with the visual elements. Answer questions like, “Will you or the end user design content?” “Will it have live info? If so, what type and source (RSS, clock, weather)?” “Is there a cost involved?”

4. Costing
This is where you begin to add solutions for easy review. Sometimes, prices are for reference only and don’t reflect actual prices; those instances should be called out. Breaking it down is the best approach and makes it easy to understand.
