1 OIW-EX Series – Data logging Handbook

1.1 Introduction

This handbook relates to Version 4 and above of the Advanced Sensors Software for the OIW-EX Series. Please contract Advanced Sensors or your agent for Handbooks that relate to previous versions of the Advanced Sensors Software for the OIW-EX Series There are two ways to access the log files for the OIW-EX Series

1. Directly from the OIW-EX Monitor’s PC (this will require physical access to the EX Monitor’s PC), or

2. Remotely from a Desktop/Laptop PC via Ethernet. This data logging handbook provides user information on how to locate the data log files, an overview of the data within the log files and how to view the data. The Advanced Sensors’ Software described here is free to use in conjunction with Advanced Sensors’ Analyzers.

CAUTION: This manual describes the data logging features of the unit NOT the installation. Ensure that the unit has been correctly installed in line with the Installation Handbook prior to use. CAUTION: No options should be altered without a full understanding of the change being made.

1.2 Health & Safety

WARNING: This document relates to electrical equipment of substantial weight. Health and Safety section of the Installation Handbook must be read carefully and understood before using this equipment. 2 Log File Locations and Types The log files can be found in a directory called OIWlogs, located in the shared documents area on the system’s drive.

2.1 Direct Access

The path to access data directly, e.g. to copy directly from the OIW to a USB Memory Stick or Thumb drive, is shown below.

2.2 Remote Access

Windows XP and Windows Vista each provide slightly different ways of locating the shared documents area.

2.2.1 Windows XP

2.3 OIW Log Files - overview

Within this folder there are three types of sub folders, as shown in below, Figure 5.

The three types of folders are: • Monthly Data_Logs – these folders contains the data recorded by the unit during the

operation of the unit; • System_Logs – contains the System Logs which holds a summary of key events that

have happened during operation of the unit; • OilType_Backups – contains the backups of Oil types.

Each Monthly Data log folder may contain three types of sub folders, as shown in below, Figure 5.

The three folders are: • Data_Logs – contains the primary second by second data logs during the operation of

the unit; • Spec_Logs – this will only be present for the OIW-EX Series units that contain a

Spectrometer1 and contains the spectrometer readings – see Spectrometer Handbook for more details on these files;

• US_Logs – contains the US Logs which holds information relating to the Ultrasonic unit;

All data log files are stored in .csv (Comma Separated Values) file format. This means that they can be viewed with a simple text editor such as NotePad that comes with Microsoft Windows. However, if these files are opened with a program which accepts .csv files (e.g. Microsoft’s Excel, OpenOffice’s Calc etc) then they can be viewed in a tabulated display format.

2.3.1 Log Files - Filename format

The file “SN00038-05_Mar_09-08_07_58_Thu_OIW_Data.csv” may be used to show the filename format,

text based files output in .csv format (comma separated values). This means that they can be opened in a plain text editor such as Notepad (included with Windows) or more sophisticated mathematical analysis tools such as Microsoft’s Excel application.

The picture below (Figure 6) shows the same file viewed in both Excel (left) and in Notepad (right).

As the OIW is run on a standard Microsoft Windows XP Pro operating system the user can display the files and arrange the files in a variety of ways. The diagram below (Figure 7) shows examples of some ways the data can be sorted and viewed. It is beyond the scope of this document to detail Windows’ functionality.

3 Data - Log Files Log files are created to capture a comprehensive record of all activities in the system. There are five circumstances for which a new data log file will be created, they are:

1) When the unit starts up; 2) At midnight, a new file is created; 3) At midday (optional – turned off as default); 4) When the configuration is changed and saved; 5) If the system software can’t for any reason write to the current log file. e.g. the

user has deleted the file, moved the file during a backup, or opened the file to view it while the OIW software was trying to open it, then a new file will be created to ensure that no data is lost.

Each data log file filename will start with the Serial Number of the unit being logged, followed by the date and time of file creation, followed by the day of the week (for quick reference) and ending in _OIW_Data, as shown below, Figure 8.

A typical data log file is shown over page, Figure 9. Each data log file consists of two main sections – the configuration data header for the first part of the file, and the data itself, separated by data headings to help identify the data value. The configuration data header information reflects the current unit configuration. If discrepancies start to occur in PPM readings this header allows the user to quickly check what has changed. More importantly, should the systems hard drive fail then (provided the data logs have been backed up regularly) the replacement unit can be quickly re-configured from this header. In the example below the reason this file was created (line 1) was Software Started. By comparing this header with the header from the previous file we can see exactly what was changed and when. Similarly, what software version, how long the laser has been running and what oil type this unit was configured for can all be seen from the configuration header.

The data consists of eight columns of information. They are as follows: • Time the time of the reading in Hours, Mins and Seconds; • ppm the PPM value at that time;

• ppmC the compensated PPM reading (this column will be blank if trending compensation is not enabled, as in the above example);

• Raw the raw florescence value from which the PPM value was derived, • Temp the temperature of the sample chamber; • AvMea the average measured value – this is the average of all the measured seconds

in the current measurement cycle and will be written in the first second after the measurement phase is complete (in the example above, line 52), Note: as the ppm value is latched during measurement the AvMea value will NOT be the average of the ppm values during the measurement phase.

• State – this indicates the measurement cycle phase abbreviated to three letters as below: HOM homogenisation; SET settling; MEA measuring; FLU flushing; HOL holding; FRE frequency tuning; CLO valve closing; OPE valve opening; FLO flowing; CLE cleaning;

• Comments – the last column(s) will occasionally provide additional information. In Figure 9 the word ‘START’ can be seen in this column, this tells the user that someone started the system at that time. Other comments are:

Overall Comments: SW START the software was started;

START the start button was pressed;

STOPPED the stop button was pressed;

Ultrasonics Related Comments: Fset<frequency> the homogenisation frequency was updated to this value;

ATEnd Frequency tuning has ended;

ATAbort Frequency Tuning Abort ;

Measurement Related Comments2:

Spectrometer Related Comments:

SysMsg-<xxx> System Log written to SysLog file with message xxx, where xxx is a number representing the message written.

More than one of the above messages can occur in any one second; if this happens then each message will be placed in a separate column. When Trending is set to ON then every second of data will be logged to the log file. When Trending is set to OFF then the log file only stores every second of the measurement phase; for all other phases only the start time of that phase is captured (see User Handbook for details on how to turn Trending On or Off).

4 Custom Data Log Files The data logs mentioned in the previous section are fixed and can not be altered. However, to accommodate users who may not want a configuration header, or maybe want a file with only ppm values and a time stamp, the OIW software provides the opportunity to create a secondary ‘custom’ data log. To access the configuration tab for custom data logs type your password, see Figure 10 , and click the “Login” button”, see Figure 10 and click the “Log File Setup” tab, see Figure 12.

Now click the General Button and select the Custom Log Files tab on the General Configuration window that will appear.

Custom log files are default to disabled – if not required then they will take up unnecessary disk space and should therefore remain off. To enable custom log generation simply select the tick box in the middle left that states Custom Log Files Enabled (Figure 12 ) when this is done the upper section, which is greyed out as default, will become active as shown above.

Un-ticking the various data columns (Figure 12 ) will disable them from being printed to the custom data log. For example, un-ticking everything except Time and ppm will generate a two column custom data log. Two further options available for the custom data log are Record configuration data at start of file (Figure 12 ) which disables the recording of the configuration data header from the custom log file; and Record Only Measured Values (Figure 12 ) which, if ticked, will exclude all trending data and only display the average measured values. At the bottom of this window is a section marked Data Log Frequency (Figure 12 ). This section has two options 1 file per day (starting at midnight) or 2 files per day day (starting at midnight and midday). Changing this option will affect both the custom data log and the master data log. If 1 per day is selected then a new log file will be generated at midnight every night and will record 86,400 lines of data (as there are 86,400 seconds in a day). If 2 per day is selected then a new log file will be created at midnight and another one created at midday – each holding 43,200 lines of data. This allows users to open data log files in third party programs that have a limit on how many lines they can handle. NOTE: Advanced Sensors LogView program can open a 24 hour data log. Custom data logs will be created in a subfolder on the data folder, their location can be seen in Figure 7.

5 System Log Files System log files (referred to as SysLogs) record key events that happen during the operation of the software and track any concerns about the normal operation of the unit. These log files allow Advanced Sensors Ltd to be proactive in preventing customer affecting issues during maintenance checks and to diagnose the root cause of a problem should a fault occur. There are two circumstances for which a new SysLog will be created, they are:

1) When the unit starts up. 2) If the system software can’t for any reason write to the current SysLog file.

e.g. the user has deleted the file, moved the file during a backup, or opened the file to view it while the OIW software was trying to open it, then a new file will be created to ensure that no data is lost.

SysLogs can be found in the System sub-folder of the OIWlogs folder, see section 2.Log File Locations and Types. A typical folder is shown below, Figure 13. As can be seen, the format of the file is <date of creation>-<time of creation>_SysLog.csv (note: depending on Microsoft Windows settings the file extension may be hidden, as show in Figure 13.).

A typical SysLog file is shown over page, Figure 14. Figure 14 shows the SysLog (file in background) together with the Data log (file in foreground). As can be seen the SysLog file provides a summary of the events in a concise form. In normal operation, where the unit is left to run continuously over a long period of time the SysLog will span months or even years and allows a long term view of the operation of the unit. As the SysLog is a summary file, to save file size, it will not continually log a recurring alarm i.e. in the example below the Valve Anomaly alarm that occur at 15:36:50 and lasted for 11 seconds was only reported once in the SysLog file.

Should the system software detect a problem in either the hardware or software operation it will log it in the SysLog file and in some circumstances display a message to inform the user via a pop-up window on the screen. As previously mentioned the SysLog file will indicate that an error has been logged. It is strongly recommended that remote Ethernet access is given to Advanced Sensors Ltd so that prompt diagnostics can be performed to minimise downtime.

6 Using LogView LogView is Advanced Sensors software tool used to view the data log files. Note: as mention previously the files can be view with a variety of tools such as Notepad and analysis can be done in programs like Microsoft’s Excel program.

6.1 Starting LogView

To start LogView simply locate the LogView icon on the desktop, shown below, Figure 15 . Once the software has started the screen will be as shown, Figure 15 .

6.2 Loading a data log File

To load a file select the button marked Click to Load Log File highlighted in red, Figure 16 . When this is selected a standard Windows load dialogue box will appear. Simply navigate to the data directory and select a data log file, as shown below, Figure 16 .

When the file loads the red button will change to display the filename it has loaded (Figure 17 ) and the data within that file will be displayed as a chart (Figure 17 ). Two tables; one table for the measure data, (Figure 17 ), and one for System Notes, (Figure 17 ). In addition all buttons and selection options will be enabled (Figure 17 ) (prior to loading a file these options will be greyed out, as seen above Figure 16), and the next button in line (blue button (Figure 17 )) will also become enabled.

The table for measure data (Figure 17 ), may be tailored via the Select data to display group of controls, see Figure 18.

Ticking ppmC and un –ticking Temp controls in the Select data to display has updated the table to show ppmC and hide Temp.

Once the second (blue) button has been enable the process can be repeated to load a second file into LogView – and in turn the third (green) button will be enabled, allowing the user to load a third data log. Figure 19(left) below shows 72 hours worth of data loaded into LogView for easy viewing. The colour of each line on the graph corresponds with the colour of the file name on the load button.

As mention previously, a new data log will be created for various reasons one example being if the user was backing up a data log file and the OIW could not write to it. In these circumstances no data will be lost, as a new data log file will be created with a file name representing the time (and date) of creation. With this in mind, LogView can not only display multiple days but can allow the user to view multiple logs for one day. An example of this can be seen in Figure 19 (right). EXAMPLE EXPLAINED - In this example a data file for unit (serial number) SN00385 was created at midnight, but another file was created at 07:31:53 in the morning. Selecting the View Header button indicates the reason this file was created was “Previous File Locked” as the data logs are backed up every Monday morning (and this is a log file for Monday) it is most likely that this is not any kind of fault condition, but just part of the users backup procedure inadvertently caused the OIW software to start a new file to ensure no data was lost. As can be seen the two files have been loaded into LogView to get a full day view of events. Note: as no ppm data was log in the midnight file after 07:31:52 (red filename/line) the red line will drop to zero ppm after this time. Similarly the 07:31:52 file (blue filename/line) will display zero ppm up until this time – as can be seen in Figure 18 above. See 6.2.1 Several OIW Files on the same day for the Same Analyzer show an alternative way to deal multiple files.

6.2.1 Several OIW Files on the same day for the Same Analyzer

The example shown above assumes that you wished to open each file individually. In this sub-section we will show how to open a several files for the same unit for the same day in one go and some of the advantages of doing so. In Figure 20 we can see that there are eight files for 15th Jun 2009. If we select any of the files for the 15th and click the OPEN button we will be presented with a dialog box asking whether use all the files for that day, see Figure 21. If you answer Yes to the dialog box show in Figure 21 the results will be as shown on the same chart, see Figure 22 .

The data from all the files are loaded and displayed on the chart, see Figure 22 . The advantage of loading several files at once can be shown because we can see a gap in the chart, see Figure 22 ; the gap was created by a user stopping the Analyzer at 09:04:08, see Figure 22 . The number of files that make up the days data is shown below the Analyzer number and date, see Figure 22 , and headers for each file may be viewed via the View Header button, see Figure 22 .

When the View Header button is click a window will appear showing the headers, see Figure 23. You may choose amongst the various headers by using the Time the File Started control, see Figure 23 . Only Show Differences checkbox will allow you to focus on the changes, see Figure 23 . All differences are shown in red, see Figure 23 .

6.3 Scaling the PPM level

As in the example in Figure 17 the default scale of 0-100ppm will not show much detail. The use can scale the ppm axis to provide them with a more detailed view, as shown below, Figure 26.

6.4 Scaling the Time Axis

As with the ppm scale the time axis can also be adjusted. With the scale set to 24 Hours (default scale) a full day can be displayed in the graph area – as previously shown above. This view is compressed – each point on the screen will be made up of several seconds’ worth of data. The user can change the time scale by selecting a time in the drop down box marked Visible Area, Figure 27 .

By changing the visible area the graph is expanded so that the selected setting is shown in the graph window. For example in Figure 27 the visible area the LogView screen to the left has been set to 3 Hours. This means that at any one time 3 hours worth of data can be seen on the screen at one time. Notice that on this setting (compared to the 24 hour setting of Figure 26) the scroll bar has reduced in size. This has happen because a complete 24 hour graph has been drawn on the graph area. By dragging the scroll bar to the right or the left the complete graph area (24 hours of data) can be seen – 3 hours at any one time. The selection choices are 24 Hours, 12 Hours, 6 Hours, 3 Hours or Zoom In. The final setting (Zoom In) differs slightly to the others (Figure 27 right). When this option is select each point on the graph represents one second of data. As this represents 86,400 points of data, the visible area will cover just 9 minutes. To avoid scrolling excessively the graph area covers only 6 hours of data. There are two methods of displaying data beyond the initial 6 hours. Using the drop down box labelled Set Start Time (Figure 27 )the user can select the start time that the graph is drawn from – for example selecting a start time of 15 Hrs will draw the data from 15:00:00 to 21:00:00 on the graph (with 9 minutes visible at any one time on the screen). Note: the maximum setting in this drop down box is 18 Hrs – the reason being this will produce the final 18:00:00 to 23:59:59 graph. The alternative method of selecting time is to use the increment-decrement arrows (Figure 27 ). Every time these arrows are selected the time line will move along another 1 hour.

The button to the right of the load log file button is named View Header. This button when selected will open a text window that displays the header content, as shown below, Figure 28.

6.6 Hiding Individual File Data

Moving to the right, there is a tick set of tick boxes next to the View Header button – a set of tick boxes being available for each file loaded. The first tick box is labelled Hide Current Plot (Figure 29 ). Ticking this option will remove the line from the graph. Figure 29 shows the first file (red line) has this option ticked and in turn it’s line has been removed from the graph.

6.7 Viewing Measured Readings Only

The next tick box is label Show Measure Only, Figure 30 . As can be seen in the graph area of Figure 30 when this option is ticked only the measured results are displayed. Again this option is available for each individual file loaded i.e. in the example below this option is ticked for the blue line only.

6.8 Viewing Notes and the Data Display

The next tick box is labelled Highlight Notes, Figure 31 . When this option is ticked if any notes or comments have been written to the file by the OIW software then they will show up as small vertical marks at the top of the graph, Figure 31 - note how each coloured line has its own set of indicators slightly displaced from each other. When the cursor is move over the graph area it turns from the standard pointer to a cross-hair symbol. Clicking the left mouse button on the graph will list the data associated with that point on the graph in the data area at the right of the screen Figure 31 with data in the measured information in the top most table and system notes in the lower table. Note: the amount of data displayed in the data area will up to two hours worth of measuring data and all the system notes that have been loaded. With the highlight notes selected, i.e. with the vertical indicators displayed (Figure 31 ), the user can left click the cursor on these indicators to display the data for that point in time. As can be seen in Figure 31 clicking on the first blue indicator ( ) within the data displayed is a note stating “SPEC TIME” – indicating that time dependant spectra was taken at 00:02:44. If a note can not be found it could be that the user left clicked on the wrong point of the graph. To correct this the user can either left click on anther point of the graph, or they can use the Nudge data arrow buttons (Figure 31 ). With an area of data selected selecting these buttons will ‘nudge’ the data up or down one graph point in time.

6.9 Viewing Data with Multiple Files Loaded

With more than one file loaded clicking on the graph will display data for one file only. The radio button marked Data Line Select (Figure 32 ) allows the user to select which file should be shown in the data box. As well as the radio button displaying which file has been selected the colour of the text in the measurements and System Notes tables will turn the colour of the filename and graph line it is displaying data for (Figure 32 ) and the upper right title will display the words Displaying Data For <filename colour> Line – two examples are shown in Figure 32.

6.10 System Notes and SpAn

The System Notes panel in LogView displays system events that have occurred for the OIW Analyzer, Figure 33 . LogView integrates with SpAn and this will be of benefit to those how have a Spectrometer fitted3. If one or more System Notes are selected, Figure 33 , and that selection includes a System Note showing that Spectrum was generated4 then the Launch Span button will be enabled, Figure 33 . The Launch SpAn button will launch Span with the Spectra files that match the System Note events. You may use the Configure button to inform LogView about the location(s) of the Spectrum files, see Figure 33 .

When the Spectra Options’ Configure button is clicked LogView searches for all the disk drives that are accessible by the user. LogView presents a dialog box that allows the user to search some or all of these disk drives for Spectra Files. This will allow LogView to find the Spectra files ready for SpAn. The dialog box has two main areas

1. The List of Drives it has found, Figure 34 , and 2. Search Results Area, Figure 34 .

When the desired disk drives have been selected and the Search Drives button is click LogView will search each of the selected drives for Spectra Files. Figure 35 show the Configure window while searching for files.

7 SamTrack 7.1 SamTrack Overview

SamTrack assists with correlating the OIW Monitor with samples that have been sent to a laboratory for analysis; by knowing the time and duration the laboratory sample was taken SamTrack will calculate the average value of the data stored in the OIW data log file. SamTrack is useful when calibrating the OIW Monitor when it is initially commissioned or when the process has changed. See Appendix 2 – Calibration Procedure for information about the Calibration Procedure

SamTrack maintains a list of the Serial Number that have been used. You may type in the Unit Serial Number or select from the list provided by the Unit Serial Number drop down list. Feedback relating to the Serial Number is shown in the Errors and feedback for the user area, see Figure 36 . Set Path To Sample Files allows you to specify the path to the files created by the Advanced Sensors’ Analyzer. If the Path To Sample Files has been set for a particular Unit Serial Number then when that Unit Serial Number is selected again the Path To Sample is re-stored. For SamTrack to calculate the amount of oil in the sample you will need to specify the date and time that the sample was taken. The time of the sample may be defined as the start time and the end time or start time and the duration of the sample. Feedback relating to the sample’s date and time is shown in the Errors and feedback for the user area, see Figure 36 . When SamTrack has enough valid information to calculate the amount of oil in the sample the Results section will become enabled, Figure 36 show the Results section in the context. This allows the user to use the Calculate The Sample Average button. See Figure 38

When the user clicks the Calculate The Sample Average button SamTrack will user the information that has been entered in the Sample Details to Calculate the sample average and results are presented in the area below the Calculate The Sample Average button, Figure 39.

7.2.4 SamTrack Interface – Results File

The Results File area is only enabled when enough valid information has been entered for SamTrack to calculate the amount of oil in the sample and a result has been calculated. The Results File area allows the user to save the average calculated by SamTrack and the result recorded by the laboratory in a file for future reference. The Save The Results to a File will prompt the user to select a file if the Current Results File area is blank. SamTrack saves the value in Current Results File and associate it with the OIW Serial Number used ready for use in the future. The Clear The Current Results File Path will clear the value stored in the Current Results File and when the Save The Results to a File is next used it will prompt the user for a file location.

8 Appendix 1 – Retrieving Files Directly from an OIW-EX Series Analyzer 8.1 Gaining Direct Access to the OIW PC

NOTE: PLEASE READ ALL SECTIONS BEFORE STARTING.

If you have remote Ethernet access please read the Remote Access Handbook for the most convenient method of access all data. If you do not have network access to the OIW Analyzer you will need to gain direct access to the OIW. With the unit energised (NOTE: a hot work permit may be required) remove the 14 bolts that secure door of the OIW, see Figure 43.

8.2 Using the OIW PC

Plug the keyboard and trackpad that Advanced Sensors provided with the OIW Analyzer into one of the other spare USB ports.

Plug your USB storage device into one of the spare USB connector on the OIW PC. Please wait while the OIW PC attempts to mount the USB storage device. When the OIW PC has completely finished installing the USB storage device the OIW PC will display the following screen, see Figure 45. The USB storage device will be assigned a “drive letter” by Windows XP, in our case “D:”. The drive letter that Windows XP assigns to your USB storage device may be different.

Now access the required log files and copy the files to the USB storage window. 9 Appendix 2 – Calibration Procedure 9.1 Sampling Procedure

9.1.1 Important points

In order to ensure that the sample sent to the laboratory is consistent with what the OIW Analyzer has measure the follow points need to be observer.

• It is recommended that the sample point be positioned no more than 1m from the analyzer,

• Samples should be extracted from the sample point during the Flow period of the schedule,

• At least 4-5 samples should be taken over a 12 hour period to complete calibration, and • The Sample should be taken after the OIW Analyzer

9.1.2 Steps

1. When the analyzer is in the FLOW period of the cycle, extract the sample from the sample point over a period of 30-60sec.

2. Record the time when extraction of the sample STARTED and the time when extraction of sample STOPPED.

3. When all samples have been taken use the SamTrack utility to obtain the average ppm value for the extraction period.

NOTE: It is very important that the STARTED and STOPPED Times are taken from the clock on the OIW Analyzer.

9.1.3 Calibration Steps

When all samples for calibration have been analyzed carry out the following: 1. Stop the analyzer cycle using Stop button. 2. Select the Enable Measuring checkbox box in the Measure When Stopped group

under the Oil Calibration Tab of the main menu. 3. Open the flow valve using the Manual Valve Control option Open Flow under the

General Settings Tab of the main menu. 4. Turn on Ultrasonics for 5-10sec using the Ultrasonic IF Tab of the main menu in order

to clean measuring chamber. 5. Wait for 5-10sec. 6. Close the flow valve using the Manual Valve Control option Close Flow under the

General Settings Tab of the main menu. 7. Turn on Ultrasonics for 5-10sec using the Ultrasonic IF Tab of the main menu in order

to homogenize sample in chamber. 8. Wait for 5sec. 9. Record the ppm reading. 10. Multiply this reading by the Average Difference (see examples results below) value

obtained during the sampling procedure. Record this value. 11. Adjust the Gain using the Gain Control under the Oil Calibration Settings Tab of the

main menu until the ppm reading equals the value obtained in step 10.

13. Select Save Changes & Logout Button to save. 14. Start the analyzer cycle using Start on main menu.
