GUIDELINES TO THE APPLICANT
FOR SUBDIVISION/CONDOMINIUM APPLICATION, APPLICATION FOR A ZONING
AMENDMENT AND/OR LOCAL OFFICIAL PLAN AMENDMENT
To ensure timely processing of this application, please ensure that all sections of the attached form, including any required authorization(s), are fully and accurately completed.
The application will not be considered complete and consequently not processed without the following information:
o Completed Application Form with original signatures (Current Application Forms are available at
the Planning Department or online at www.milton.ca) o Required Fee(s) (Please be advised that cheques accompanying application will be cashed upon
receipt and does not deem the application to be either active or complete).

o Fifteen (15) survey plan and one (1) reduced copy (max. 11” x 17”) of the subject lands. o Fifteen (15) copies of the concept plan (24” x 36”) and one (1) reduction (11” x 17”).
o Collate the plans/drawings into sets without binding or staples. All Plans and drawings must be
folded to 8.5” x 11” with the title block exposed. Plans/Drawings that are not folded will not be accepted.
o Ten (10) copies of all supporting planning, technical and background information reports shown as
required by the Preconsultation Form (Appendix 3)
o Three (3) compact discs and/or USB’s with all drawings and reports in pdf format. Electronic copies of the requested documents are now required at submission. Digital files must be in .pdf format and generated directly from the software used to create them (AutoCAD, Softplan, Revit, etc.) using a PDF printer or converter (no scanned copies). All .pdf files must have the document properties/restrictions/ security settings/permissions set to allow, “Printing” and “Adding Markups”. o USB, CD, or DVD must only have the PDF files for the application, uncompressed (i.e. no
zipped files) and no folders; o Each Plan/Drawing/Report must be grouped as one PDF file for each type i.e. Architectural,
Civil, etc.; o Plans/Drawings with multiple pages and sets must be combined in a single PDF file in the
same order as the submitted paper document; o Each PDF file must be properly labelled. PDF file names should have an abbreviated
description of the document (i.e. Draft_Plan_150mary_st.pdf; Parking_ Study_150MarySt.pdf; SWMReport_150mary_st.pdf,) etc.;
o Each PDF must be submitted without a password and/or restrictions; o Each PDF file must be submitted to mirror paper copies exactly and be flattened (i.e. no
layers); o Each PDF file submitted must not exceed 25MB.
Process Overview:
Upon acceptance and completion of the application, the owner/agent is required to post a sign on the subject property (in accordance with signage details as shown in Appendix 4) and must provide a photograph of the posted sign to the Planning and Development Department.
The application is then circulated to any agencies that may have an interest for comments (See attachment ~ Appendix 1)
After circulation to agencies, notice of a public meeting is provided to property owners within 200 metres (300 metres for rural areas) of the subject property.
All statutory public meeting notices are published in the Milton Canadian Champion at the cost of the applicant. An initial report is prepared by Planning Staff and presented at that meeting. The owner/agent is informed of any comments or concerns and must provide any further requirements. A technical planning report is prepared prior to Council making a decision and passing a Zoning By-law.

APPENDIX 2 MAPPING INFORMATION REQUIREMENTS
Attach fifteen (15) copies of a draft plan of subdivision/condominium showing: (All measurements, scales, etc., must be in metric) SUBSECTION 51(17) REQUIREMENTS: · the boundaries of the land proposed to be subdivided certified by an Ontario Land Surveyor · locations, widths and names of the proposed highways within the proposed subdivision and of existing highways
on which the proposed subdivision abuts · on a key map on the draft plan of subdivision (scale not less than 1cm to 100m) - all adjacent land owned by the applicant or in which applicant has an interest
- all subdivisions adjacent to the proposed subdivision - boundaries of proposed subdivision and boundaries of township lots or original grants that include any part of
the proposal · purpose for which the proposed lots are to be used, including maximum number of units by type, for each lot and
block · existing uses of all adjoining lands · dimensions and layout of the proposed lots and blocks, including walkways, school sites and park blocks, if any · natural and artificial features within or adjacent to the land proposed to be subdivided such as: - existing buildings and structures to be retained or demolished - railways, active/inactive - highways and other roads - existing/proposed, public/private, open/closed location, width, and names - watercourses (lakes, streams, ponds, etc) - flood plains/flood elevations - wetlands - wooded areas - significant plant and wildlife habitat (including ESA's & ANSl's) - drainage ditches, retention ponds (natural or man-made) - archaeological or historic features · the availability and nature of domestic water supplies · the nature and porosity of the soil · existing contours or elevations as may be required to determine grade of highways and drainage of proposed

DIGITAL MAPPING/SOFTWARE STANDARDS: 1. Digital mapping/software standards: The Town's standard GIS program is ArcGIS version 10.3. The Town's
standard CAD program is AutoCAD 2016. Compatibility with either software package is required. 2. The Town's standard projection for all digital submissions is Universal Transverse Mercator, Zone 17 North,
North American Datum 1983. Data not conforming to this standard will be sent back to the consultant at the consultant's expense. Data should be submitted as either ArcGIS Shapefile format or AutoCAD DWG/DXF. A CAD seedfile or Shapefile in the appropriate coordinate system can be provided to the consultant.
3. Consultants providing AutoCAD submissions must include legible layer naming conventions and include layers: GIS.Prop_Block, GIS.Prop_Building, GIS.Prop_Driveway, GIS.Prop_Lot, GIS.Prop_Road, GIS.Prop_TownHome_Lot_Lines if applicable and only include relevant layer information in the following format, GIS.(prop or ext)_Other_Feature. Any reference maps attached or layer names not understandable will be sent back to the consultant at the consultant's expense.
4. Consultants providing AutoCAD submission should not use special fonts, reference files or colour tables. 5. Digital information supplied to the consultant by the Town is not to be altered, distributed, manipulated or
misrepresented in any form.
1All registered owners must sign. If there is more than one owner, a letter of authorization is necessary allowing one person to act on behalf of the others. If any registered owner fails to sign or provide authorization, the application will be considered incomplete and will be returned.

information required, as the application proceeds through the planning review process. g) The applicant acknowledges that the Town considers the application form and all supporting materials, including studies
and drawings, filed with any application to be public information and to form part of the public record. By filing an application, the applicant consents to the Town photocopying, posting on the Internet and/or releasing the application and any supporting materials either for its own use in processing the application or at the request of a third party, without further notification to or permission from the applicant. The applicant also hereby states that it has authority to bind its consultants to the terms of this acknowledgement.
h) This Pre-Consultation Form expires four (4) months from the date of signing or at the discretion of the Commissioner
of Planning and Development or his/her designate. In the event that this Pre-Consultation Form expires prior to the application being accepted, and/or new policy and/or new by-laws apply, another form will be required.

1. All signs are to be of high quality and prepared by a professional sign maker.
2. The sign(s) shall be constructed of ¾” plywood or equivalent and shall have black letters on a white background.
3. Signs are to be supported on 16 cm x 16 cm (4” x 4”) wooden posts.
4. The sign(s) shall not be less than 1.5 sq. m (approximately 1.2 m (4 ft.) x 1.2 m (4 ft.) in area) or greater than 2.5 sq.m (approximately 1.2 m (4 ft.) x 2.4 m (8 ft.).
5. The sign(s) should be posted on the site of the application and provide maximum exposure and shall not obstruct visibility of pedestrians and motorists.
6. The sign(s) shall be erected a minimum of 3.0 m (10 ft.) from the property line and 12 m (40 ft.) from any intersection along each street frontage.
7. Immediately upon posting the sign(s), the applicant shall provide photographic evidence to the Town.
8. The applicant is responsible for the maintenance and removal of the sign(s).
9. The sign(s) is to remain posted until the by-law has come into effect or until Town Council has denied the application, following which the sign(s) shall be removed within 60 days.
10. All proposed land uses for all types of development applications are to be shown schematically using the following colour code. Each proposed land use should also be labelled.
