Introduction

This course discusses the basic features of navigating within OracleApplications, Release 11. The aim is to enable you to navigate within anyof the Oracle Applications forms, regardless of the application module.You will learn to enter data, retrieve information in the form of a query,maintain data, and access online Help. Additionally, concurrent processingand standard report submission topics will be discussed.

This course is intended for all end users of Oracle Applications as aprerequisite to any applications course.

Oracle Applications is a tightly integrated family of application productsthat share a common look and feel. Using the menus and windows ofOracle Applications, you have access to all the functions that you need tomanage your business information.

Oracle Applications software is highly responsive to users by providingfull point- and-click capability. You use your mouse or keyboard tooperate graphical controls such as pull-down menus, buttons, pop-up lists,check boxes, or alternative regions. An Oracle Applications form is auser’s interface to business data stored in the database. You may havecalled it a “screen” in other applications. You navigate between and withinforms to enter and access information from the database.

Navigating in Oracle Applications

To use Oracle Applications productively, you need to understand thevarious components of a form, the menu paths, and keystrokes necessaryto access and navigate within the system to perform your various jobtasks.

Starting Oracle ApplicationsYour connection to Oracle is driven through the internet. When youinitially launch Oracle applications, you will see a Microsoft InternetExplorer window open. This window runs the Java applet that connectsyou to the production instance (database).

Logging On to Oracle Applications

� User Name: Enter your assigned username, typically yourMotorola Core ID. A username is a unique identifier for eachperson who will use the system.

� Password: Enter your password. The first time you log in, thesystem will warn you that your password has expired and youwill be required to change your password.

The Password field does not actually display the characters that youtype into it in order to protect the confidentiality of your password.You should keep your password confidential to prevent unauthorizedusers from gaining access to the system.

� Connect: Click Connect when you are finished entering yourusername and password.

Choosing a Responsibility

Selecting a Responsibility

Once you have used the sign-on form to begin the logon process, you musttell the system what type of access you will be using. A responsibility is apredefined set of data, menus, and forms that defines your particular levelof authority while using the system. For example, you would want theAccounts Payable department of your company to access the invoiceforms of the system, but you would not want them to be able to access anypayroll information. Another example is that the controller of adepartment would want to have access to all the data that his or heremployees can use, so the controller would want access to both accountspayable and payroll information.

Choosing a Responsibility

Properties

The following is a list of the types of responsibilities and their particularproperties that can be defined in Oracle Applications by your systemadministrator:

� A restricted list of windows to which you can navigate. Forexample, a responsibility may allow certain Oracle Financialsusers to enter invoices, but not to enter suppliers (vendors) orcustomers.

� A restricted list of functions you can perform. For example, tworesponsibilities may have access to the same window, but thewindow of one responsibility may have additional functionalbuttons.

� Reports in a specific application. Your system administrator canassign groups of reports to one or more responsibilities, so theresponsibility you choose determines the reports that you cansubmit.

Choosing a Responsibility

Responsibility Assignments

Each user has at least one responsibility and many users can share thesame responsibility. Your system administrator can assign you any of thestandard responsibilities provided with Oracle Applications, or create newcustom responsibilities for you.

If your system administrator assigns you just one responsibility, youwill not see the Responsibility window. You will go right into theNavigator window for your assigned responsibility.

If your sign-on opens a Responsibilities window, use one of the followingmethods to select a responsibility:

� Use the up and down arrows to select a value and press [Return]on your keyboard.

� Use your mouse to select a value and click OK.

� Double-click a highlighted value to choose it

Expanding or Collapsing the Navigation List

Navigator Window

The Navigator window displays the name of the responsibility you selectin the window's title bar.

Use this window to navigate to a form so you can perform a specificbusiness flow. The forms that you can navigate to are displayed in anavigation list on the left side of the Navigator window.

Expanding or Collapsingthe Navigation List

Choose one of the following methods toexpand an item to its next sublevel form:• Double-click the item.• Select the item and

choose Open.• Select the item and

choose Expand.To collapse an expanded item,select the item and choose Collapse.

Navigator Buttons

Each user can access the Oracle Applications forms in several ways so thatthey can use the system quickly, according to their own computer style.

To expand or collapse several items atonce, choose one of the followingbuttons:• Expand All Children expands all the

sublevels of the currently selecteditem.

• Expand All expands all the sublevelsof all expandable items in thenavigation list.

• Collapse All collapses all currentlyexpanded items in the navigation list.

Click any of these buttons to expand or collapse several items listed on theNavigator Menu.

Exiting Oracle Applications

It is important to exit the system in this manner, rather than any other,as this is the only way to ensure that your username is cleared fromsystem access.

You will also have to close the Internet Explorer window that wasopened when you initially started Oracle Applications.

The Navigator Window

Each Oracle application has a Navigator window, which is the startingpoint for access into the application and the basis for a user to decidewhich job task they would like to perform.

Use the "Close Other Forms" check box to specify whether multiple formsmay be opened at the same time. You can switch between open windowsby clicking on the desired window or by using the taskbar.

Oracle Applications Release 11 works specifically in a Network ComputerArchitecture (NCA), or Web-enabled environment. It is important tounderstand the terminology of the components within an OracleApplications form. The following table defines 13 common terms used inOracle Applications forms.

Using the ToolbarThe Toolbar window replicates many commonly used menu items so thatyou can invoke their actions quickly without having to search for them inthe menu bar. The Toolbar window will display information in themessage line that relates to the active form.

You may need to resize or reorganize other open windows to keepthese lines visible at all times.

The New Record icon creates a new record.

Delete RecordThe Delete Record icon deletes the current record from the database.

This button is not always available because many records cannot bedeleted from the Oracle database. An example is a customer record,which can only be inactivated, not deleted.

Using Forms and MenusWhen you navigate to an Oracle Applications form you can use the pull-down menu to navigate within a form, to edit or retrieve data, or toperform various other actions.

Using the Folder Menu from the Menu Bar

You can personalize the presentation of data within a form by using afolder definition. With a folder definition you can modify the width,sequence, and prompts of the fields you want to display. Additionalfeatures of a folder definition are:

� Displaying only those fields you are interested in viewing

� Displaying a subset of records based on your specific criteria

� Automatically querying for a subset of records each time youopen a specific folder

� Keeping your folder customizations private or making thempublic for others to use

� Making your customizations the default layout for a folder

The Special menu contains up to 15 Form-specific entries, including a listof commonly used Inquiry windows in the application, or perhaps, acommonly used window that a user may want to view often. If the currentapplication has no form-specific entries, the Special menu is disabled.

Creating a New Record

When you add a new record to the database, Oracle Applications willmove the current record down and insert a new blank row. You add a newrecord by entering information into this blank row.

After you finish entering the data for your new record, you mustremember to click Save so that your newly added information will bewritten to the database. If you enter five new blank rows ofinformation but do not click Save when you are finished, none of thisnewly added information will be updated in the database.

How to Create a New Record

From the Toolbar menu, Choose M � Edit � New Record. Or, click theNew Record button on the toolbar.

You can also click the down arrow on your keyboard to insert a blankrow, if you are not in a table on the form. Additionally, someapplications have a button labeled New, and clicking it will insert ablank row.

Save the record by using the toolbar or the action menu.

If you want to delete a record from the database, you must first display therecord on your form and then click Delete Record.

This option is not always available. For example, in OracleApplications you cannot delete a customer once they have beenentered; you can only inactivate their status.

If you do not Save this new change to the database, the record is not trulydeleted.

Using the List of Values

The List of Values (LOV) feature is very useful while entering data inOracle Applications. It provides you with a powerful, easy-to-use dataentry method that increases your accuracy and productivity. Using theLOV makes data entry an easy task for novice users, and experiencedusers can enter correct data with a minimum number of keystrokes.

Oracle Applications notifies you when a list of acceptable input values isavailable for a field by illuminating the List lamp on the status line, andthe LOV icon on the Toolbar. When you display a list, the values appearin a window with a title that describes the contents.

By using the LOV feature, you can save time and enter data quicklywithout having to memorize or look up valid data for each field. You canchoose data from an online list of valid input choices whenever you want.

Additionally, you are relying on Oracle Applications to validate your inputsince you will know right away if your entry does not match an optionfrom the LOV. You can also program your application to use company-specific terminology as valid values for certain standard and user-definedfields.

Choosing a Value from a List

To choose a value from a list, choose M � Edit � List of Values, or clickLOV in the Toolbar window to display a list. If you do not want to viewthe entire list selection, you can reduce the length of a list, or selectdirectly from the list by using some of the methods described below.

� Prior to accessing the list window, type the first character(s) of avalue to reduce the list to only those values that match thecharacters you enter.

� In the list window, search for a value by clicking in the Findfield, then enter your search criteria in the Find field and click theFind button.

� Select a value directly from the list by using the mouse orkeyboard to scroll through the list and then double-click the valueto choose it, or click once on the value and then click OK or usethe enter key to choose it.

Entering Data Using FormsOnce you choose a value, the list window closes and inserts the value intothe current field. To close a list window without choosing a value, selectCancel.

Note: Once you make a selection from the LOV, you willautomatically advance to the next field.

List Search

You can use the Auto-Reduction feature to reduce a list when you knowthe first few characters of your name selection. If you do not know theinitial characters of your choice, but do know that your choice contains acertain word or set of characters, you can perform a list search to reduce alist.

In the list window, enter any group of characters as search criterion in theFind field and click the Find button. You can use wildcard characters suchas the percent sign (%) which represents any number of characters, or anunderline (_), which represents a single character in your search criterion.

For example, to reduce a list to only those choices that contain the phrase“schedule,” you would type %schedule% in the Find field and click Find.In any of these list search queries, it does not matter whether you useuppercase or lowercase letters as the search is not case sensitive.

Auto-Selection

Using the list of values feature called Auto-Selection you can select avalid name from the list with fewer keystrokes. When you display the listwindow, you can type the first character(s) of the name you want in theFind field. If only one choice begins with the character(s) you enter, Auto-Selection selects the choice, closes the list window, and enters the value inthe appropriate field.

Long-List Fields

If a field has a “long-list”—that is, a list of more than 100 values—OracleApplications will display the Enter Reduction Criteria for Long Listwindow when you try to display the LOV.

Because it takes less time to display a reduced list than a complete long-list, Oracle Applications prompts you to enter the first few characters thatoccur in your value of interest to reduce the complete list. However, toview the entire long-list, enter the percent sign (%) at the prompt and all ofthe values will be displayed.

Note: To avoid excessive network traffic and reduced performance,try to enter specific criteria, other than just a percent sign (%),whenever possible.

Power List

The Power List feature provides an even faster method of data entry. If afield displays a List lamp and you know the value you want, simply enterthe first few characters of the value in the field and press [Tab]. PowerList will complete the entry for you. You can also include wildcardcharacters with your entry. You do not need to display the list window. Ifmore than one value matches the characters you specify, a list windowcontaining those values is displayed. If no values match the characters youenter, a list window containing all the values appears.

Calendar

Choosing a Date in the Calendar Window

You can use a calendar to enter a valid value in a date field. If your datefield supports time, you can also use the Calendar window to choose avalid time with the date.

To enter a date, put your cursor in a valid date field. Select List of Values,to display the Calendar window. The date value that appears below thecalendar is called the selected date, which is either the value already in thefield, the default value of the field, or the current system date.

Note: Disabled buttons that show dimmed text represent invalid days,which cannot be chosen. Similarly, if a date field is display only, youcan display the Calendar window for the field, but you cannot changethe date shown on the calendar.

Click OK to accept the selected date and close the window or click Cancelif you want to close the window without choosing a date.

Choosing a Time in the Calendar Window

Click the hour and minute pull-down lists to set the time. The minute pull-down list displays twelve values between 00 and 55 at 5-minuteincrements.

Note: If a value already exists in the current data and time field whenyou display the Calendar window and the minute value is not a 5-minute increment, the minute pop-up list displays 13 values to includethe minute value displayed in the field.

Check AM or PM and Click OK to accept the selected date and timeand close the window. Click Cancel to close the window withoutchoosing a date or time.

Editing a Field

You can display an Editor window to view, enter or update the entirecontents of a text field. The Editor window is especially useful for editingscrollable text fields. A scrollable text field is a field in which the actualwidth is greater than the display width, but you can review the contents byscrolling through the field.

To use the Editor window for a field, choose Edit � Edit Field. You canenter a new value or edit the existing value in the Editor window. If thecurrent field is a display- only field, then the Editor window appears indisplay-only mode.

You can also use the Editor window to search for a phrase and replace itwith another phrase. Click Search in the Editor window to display aSearch/Replace window. Then, enter a value in the Search For field, andenter the other value in the Replace With field. Click Search to search forthe value, or click Replace or Replace All to search for the value andreplace the first occurrence or all occurrences with your new value,respectively.

Once you are satisfied with the value in the Editor window, click OK toclose the window and insert the value into the field.

You can clear data from the screen at almost any time. Typically, you willuse this feature when you start to enter data into a field and then changeyour mind. Oracle Applications will think you are in the middle ofprocessing a record and may not proceed with your next task until youclear the field.

The data you clear is simply erased from the screen and not deleted fromthe database.

If the data is new and has never been saved to the database, it will belost permanently when you clear it from the screen.

Select Edit from the Toolbar window, and then the appropriate choice, toclear a field, record, block, or form.

A key flexfield is a field that you can customize to enter multi-segmentvalues such as part numbers, account numbers, and so on.

Using Key Flexfields in Oracle ApplicationsA key flexfield is a field made up of segments, each of which has both avalue and a meaning. You can think of a key flexfield as an “intelligent”field that your business can use to store information represented as codes.

Most organization use codes to identify general ledger accounts, partnumbers, and other business entities. Each segment in the code representsa characteristic of the entity. A combination of segment values, alsoknown as a key flexfield code combination, uniquely describes a businessentity stored in a key flexfield. When you change the value of one or moresegments in a key flexfield, you change the combination of segmentvalues.

Your organization decides the following information for each keyflexfield: (1) how many segments an entity has, (2) what each segmentmeans, (3) what values each segment can have, and (4) what each segmentvalue means. Your organization can also define rules that govern whichcombination of segment values are valid (cross- validation rules)dependencies among the segments.

A key flexfield looks like any other field in a block. You can simply typethe segment values you want into a key flexfield and separate eachsegment with a character called a segment separator. Alternatively, youcan open a flexfield window for a key flexfield to display a separate fieldfor each of its segments.

Descriptive Flexfields

A descriptive flexfield is a field you customize to enter additionalinformation for which your Oracle Applications product has not alreadyprovided a field.

Example

� You want to provide an additional field to enter an Internetaddress for a customer.

Using Descriptive Flexfields in Oracle ApplicationsA descriptive flexfield gives you room to expand your forms, becauseOracle Applications cannot predict all the possible information you maywant to track. Your organization can use descriptive flexfields to captureadditional information that is important and unique to your business.

A descriptive flexfield appears in a block as a two-character, unnamedfield enclosed in brackets. If you are viewing data in a table format, thedescriptive flexfield will appear at the top of the column as an unnamedfield enclosed in brackets.

A descriptive flexfield window is displayed when you move the cursorinto a customized descriptive flexfield. Your organization’simplementation team can customize a descriptive flexfield to include asmany additional fields as your organization needs. These fields, also calledsegments, appear in the descriptive flexfield window.

Saving Your Work

When you save your work, Oracle Applications updates the underlyingdatabase with the work you have done since you last saved your changesand then informs you that the transaction is complete. Saving your work issometimes referred to as committing a change or committing atransaction.

Oracle Applications always validates your work upon saving it. If any ofthe data you enter is invalid or missing, Oracle Applications displays amessage describing the problem and does not save the data.

To save your work, use any of the following methods:

� Select M � Action � Save, from the menu in the Toolbarwindow.

� Select M � Action � Save and Proceed, from the menu. Thiswill save any changes you have made to the current window andmove to the next record (new or existing) so you can enteranother transaction.

� Click Save or Save and Proceed in the Toolbar window.

� Use keyboard shortcut [Ctrl] + [S].

� In Query mode, you can use the menu bar to access a query, oryou can use keyboard shortcuts, [F11] to enter a query, and [Ctrl]+ [F11] to execute a query.

� You use the existing window to prepare your search criteria forthe query. You can enter specific information into any field tonarrow your search.

� When using wildcards to prepare your search criteria, you canuse all query operators to narrow your search.

� In query mode, you can check to see how many records matchyour criteria even before retrieving the data that matches yourquery.

Find Mode

� In Find mode, you use the menu bar to access the Find window,or you click the Flashlight icon from the Toolbar window.

� You use a new window, the Find window, to prepare your searchcriteria.

� Only specific wildcards are accepted in the Find window; thoseare determined by your application.

� The Query Count feature is not available in Find mode.

Definitions

Concurrent Request

A concurrent request is a request that you submit to run a concurrentprogram as a concurrent process. You issue a concurrent request when yousubmit a report or program to run using Standard Request Submission orwhen you click an action button in a product-specific submission window.

Concurrent Manager

A concurrent manager is a component of concurrent processing thatmonitors and runs requests without tying up your computer.

Request Set

A request set is a collection of reports or programs that you grouptogether. You submit the reports or programs in a request set all at onceusing one transaction.

Stage

A stage is a component of a request set used to group requests within theset. All requests in a stage are run in parallel, while the stages themselvesare run sequentially in the request set.

Parameter

In Standard Request Submission (SRS), a parameter is a report variablewhose value you can change each time you run a report. For example, youmight run an account balance report and change the account number eachtime you run the report. The account number is the parameter for thereport.

Concurrent Processing Concurrent Processing Options

You can control and change certain run options for each of yourconcurrent requests. Not only can you control and change the number ofcopies to print, which print style to use, and which printer to use, but youcan also choose to hold a request from being run, choose a specific date ortime to start a request, or choose to save the results of your concurrentrequest in a standard file format.

Online Request Review

You can review the output and log files from your concurrent requestsonline. You can see the results of a concurrent request without the delay ofprinting out the entire report or log file.

Using Concurrent Processing You can run a non-interactive, data-dependent function such as a report orprogram, simultaneously with online operations. With concurrentprocessing, you can complete non-interactive tasks without interferingwith the interactive work that you perform at your terminal.

An example, of concurrent processing occurs when you run a report thatmay take a large amount of computing resources or a long period of timeto complete. The concurrent manager would process the report, andmeanwhile, your terminal is still available for you to continue doing otherwork in Oracle Applications.

Oracle Applications runs all of its reports and programs as concurrentprocesses whether you submit them using the Submit Requests window, orusing a product-specific submission window. Your system administratorcan tailor concurrent processing to optimize the performance of OracleApplications for you to ensure that your system is not overloaded withprocessing at any time.

Using Standard Request Submission (SRS)

Using Standard Request Submission gives you control over how you canrun your requests and request sets.

There are three elements involved in submitting a request:

� Selecting the request or request set to be submitted.

� Defining a submission schedule. A schedule can be as simple assubmitting As Soon as Possible or it can involve using a morecomplex schedule that you define when you first submit yourrequest and then the schedule may be used for other requests inthe future.

� Specifying completion options. Completion options enable you todeliver notification to others using Oracle Workflow, and specifywhich printers, and how many copies of the output you want toproduce for each request.

You can submit as many requests as you like from the Submit Requestwindow. You can even submit a request more than once if you want to runthe same request with different parameter values.

� Request Name: Select the name of the request (report orprogram) that you want to run from the list of available requestsusing the List of Values button inside the submit request window.

You must use the LOV button inside the window and not the oneon the toolbar.

� Parameters: A Parameters window will automatically appear ifyou select a request that requires parameter values. The promptsin the Parameters window are specific to the request that youselect. Enter the values in the required parameter fields and clickOK. The Parameters window closes and your parameter valuesare concatenated and displayed in the Parameters field.

If you are submitting a Request Set, you must click in the“Parameters” box for each report you would like to view ormodify parameters for.

Buttons

� Schedule: The scheduling window provides you with severalscheduling options. You can choose to re-use a schedule youpreviously defined and saved, or define a new schedule. You candefine your schedule to run a request as soon as possible, at aspecific time, or repeatedly at specific intervals, on specific daysof the week or month.

To save your schedule, select the “Save this schedule for useagain later” check box. You must also provide a unique name foreach schedule you save, and you can provide additionalinformation in the Description field.

� Completion Options: The completion options window allowsyou to specify the following:

� Specify whether you want to save the output of yourreport to a file so that you can view your report online.

� Specify additional people to notify upon completion ofthe report.

� Specify a printer to have the report sent to.

� Copy a Prior Request: You can copy a prior request to takeadvantage of previously entered request submissions.

� Submit Request: Use this button to submit your request with theconcurrent manager.

The Request ID

Oracle Applications assigns a request ID to each request submission sothat you can identify the results of the request when it is complete.

You can use the request ID to query for your request output in theConcurrent Requests window. Oracle Applications also assigns a newrequest ID number to each resubmission of a request and displays therequest ID in the log file of the previous request.

If there are forms that you use frequently, you can add them to anavigation top ten list located on the right side of the Navigator window.The top ten list displays your forms numerically so you can choose theminstantly without having to search for them in the navigation list. You canadd a maximum of ten forms to the top ten list and you can create adifferent top ten list for each responsibility for which you have access. Some Oracle Applications enable you to save a document to the Navigatorfor easy access when you first log into the system. The Action menu onthe Toolbar will illuminate the Save to Navigator option when it isavailable within your application.

You can save up to 99 documents to your Navigator. The Documentsalternate region on the Navigator window will list those documents thatyou have saved. This eliminates having to query the database to find yourspecific document. Instead, you can select it from the Navigator windowand go directly to the window containing your document.

How to Access a Document from the NavigatorWindow

� Select Documents from the alternate region displayed at theNavigator window.

� Select the document from the list of documents displayed to godirectly to the applications form window for that document.

Oracle Applications FoldersA folder is a special block in which the field and record layout can becustomized. You can identify a folder from a regular block by noting thatan Open Folder button appears in the upper-left corner of a folder block,or that the Folder Tools button is enabled on the toolbar.

Although you have access to all of the records of a specific entity in afolder, you can customize a folder to retrieve only a subset of records anddisplay those records in a specific layout. You can save yourcustomizations to a folder definition, which defines the layout of yourfields and the query criteria used to retrieve your subset of records.

The Folder Tools

When you navigate to a folder block, the Folder Tools button becomesenabled on the Toolbar. Click this button to display the folder tools onyour screen.

� Click OK when you are finished.

When you save a folder definition, the query criteria is “locked in” to thefolder definition. This menu item acts as a toggle switch todisplay the Order By buttons for the first three fields of amultiple-record folder block. The Order By buttons appearbeneath those fields that can be changed.

� Click an Order By button to switch the fields to any one of threesettings:

Save Folder

Recovering the Original Folder Definition for a Form

Once you create a custom folder definition and make it the default, youcan recover the original default folder definition shipped with the product.Note that if you like the original default folder definition, give it a nameand save it (without making any changes) before you create any newfolder definitions. This way, you can open the original folder definition bychoosing it from a list of all your predefined folder definitions.

How to Recover the Original Default Folder Definition

� Select Folder � Save As.

� Clear Open as Default in the Save As window.

� Click OK when you are finished.

� Navigate to this form again to display the original default folderdefinition.

To Save Changes to a Folder Definition

� Select Folder � Save, to save any layout or query changes madeto the current folder definition or choose Folder � Save As tosave the current folder definition under a new name. If there areany pending changes to the information in the folder, you will beprompted to commit the changes.

If you save a folder definition to Open as Default and then openanother folder definition and save that second definition also asOpen as Default, the second definition is reset as the new default.

� If you modify a public folder definition in any way, saving itmakes it a private folder definition.

Managing AttachmentsYou can attach or link data such as images, word processing documents,spreadsheets, or video to some Oracle Applications records. This sectiondiscusses how to manage these attachments to records.

The Attachment Icon

Identifying the Availability of Attachments

The toolbar Attachment icon indicates whether the Attachments feature isenabled in a form or block. When the button is disabled, the Attachmentsfeature is not available. When the Attachments feature is enabled in a formor block, the icon becomes a solid paper clip.

The icon switches to a paper clip holding a paper when the Attachmentsfeature is enabled in a form block and the current record has at least oneattachment.

Attachments

The Attachments Window

There are several fields in the Attachments window in the MainAlternative Region:

� Seq: The sequence number drives the order the attachments aredisplayed in the attachments window. Typically the sequencenumbers are assigned in increments of 10.

� Category: This field indicates which forms can access thedocument. Each form that enables attachments must list thedocument categories it can access. A Miscellaneous category willbe assigned to each form registered for attachments to facilitatecross-form visibility of attachments.

� Description: Text description of the attachment.

� Data type: Select the Data type from the List of Values.

Type Description

File A file stored in the database of any type.

Image An image that an Oracle Form can display, includingbmp, cals, jfif, jpeg, gif, pcd, pcs, pict, ras, and TIFF.

Short Text Text stored in the database containing less than 2000characters

Long Text Text stored in the database containing 2000 charactersor more

Web Page A URL reference that you can view with your Webbrowser. You must define your Web browser in theprofile option Web Browser to view a Web pageattachment.

� May Be Changed: This check box indicates whether you areable to edit the attachment.

� Storage: This field specifies where images are to be stored.

Type DescriptionDatabase Storing images in the database provides centrally

accessible images without special file system setup.However, database storage of images will increase theamount of database space required for applications.

File File system storage of images requires a shared filesystem that is accessible to all users and looks thesame to all users. For example, you should not storean image on your local PC because another PCaccessing the system will not be able to see your PCas its C:\ drive.

� File or URL: The address/location of the file.

� Document Block: This displays the current document in theattachments region. Use the Magnification pop-up list to choosefrom a list of percentages to enlarge or shrink the image, or selectCustom to set your own percentage sizing. Shrink to Fit willadjust the image to fit within the form. Move the cursor intoanother field to see you image in the new scale.

Viewing an Attached Document

� Click the Attachment icon on the Toolbar.

� Select the attachment you want to view by clicking the desiredline item .The attachment appears in the document block.

Deleting an Attachment

� To delete the attachment from the selected document, selectM � Edit � Delete Record or click on the Delete Record iconon the toolbar.

When you delete an attachment, you merely remove theassociation between a record and a document. The documentitself is not removed from your file system or database.

Viewing Common Forms

For each job role that you perform, there is a core set of activities you areresponsible to perform. These activities are covered in the trainingmaterials for the specific areas where the activities are to be performed.

There are many cases where “view only” access is given to information tosupport a user in the activities they perform. Some common “view only”forms include:

� Item Information (Item Information Form)

Available information includes item attributes and revisions.Item cost is not available under the “view only” access.

� Bills of Material (Indented Bills Form)

Available information includes indented bill details starting at thefirst level of the bill of materials. Specifically,

� Item Details� Bill Details� Quantities� Effectivity� Order Entry� Shipping.

Item Information Form

Form Description

This form is used to view an item's revisions, categories, and attributes.

Find Item Information Window

This form opens with a find window that is used to search for specific iteminformation. Enter any search criteria. All fields are optional.

� Organization Scope: Select an organization scope level.Options include:� Single: Displays item information for your log in

organization only.� Single and Master: Displays item information for your log

in organization as well as the item master organization.� All: Displays item information for all organizations in which

the item is enabled.

Caution: This option may be secured with Function Security. Ifyou only have visibility to the Single Organization option, youare locked out of the other options with function security.

� Organization: Select an organization for which to view itemdetails. Defaults to log in organization.

Item Information Form� Item: Select an item number.

� Description: Displays the item description based on the itemselected.

If you want to view the item’s revisions or categories, you onlyneed to enter in the Item, and then click on the Revisions orCategories button.

Attribute Display Region

The fields in this region are optional.

� Group: Enter the attribute group you wish to view.

Entering a specific group may speed your inquiry, as you will nothave to scroll through all the item attributes to get to theinformation you want.

� Attribute: Enter a selected attribute you wish to view.

� Control Level: Select to view either master item controlledattributes, organization level controlled attributes, or all.

Find Item Information Window: Buttons

� Clear Button: Clears the window.

� Revision Button: Open the Item Revisions window.

� Categories Button: Opens the Item Categories window.

� Attributes Button: Opens the Item Attributes window.

Indented Bills Form

Form Overview

The Indented Bills form is used to view indented bills of materials.

An indented (multilevel, or exploded) manufacturing or engineering bill ofmaterial displays the structure of a manufacturing or engineering item.When accessed from the navigator screen, this forms opens with a findwindow.

Find Indented Bills Window

This form opens with a find window that can be used to search for specificindented bills. All fields are optional. Enter desired criteria.

Select Region

� Item: Enter item to view indented bill of material.

The Description and UOM (unit of measure), CurrentRevision, and Latest Revision default from the master item uponselection of the item.

� Alternate: Enter an alternate item, if applicable.

� Engineering Bill: Check to limit search to Engineering Bill ofMaterials.

Indented Bills Form� Revision: Current item revision.

� Date: Enter a revision date for the Bill. Defaults to current Dateand time.

� Quantity: Item quantities.

Display Region

Select a Display option: All, Current, or Future and Currentcomponents effective as of the revision date you specify.

� Implemented Only: Check to display only implementedcomponents.

� Order By: Select a sort option for each level of the bill.� Operation seq., item seq.� Item seq., operation seq.

� Cost: Check to display costing data. This will activate the costtype field.

� Cost type: Select the cost type.

� View Lead Time: Check to display Lead Time information.

� Material Control: Check to display Material Controlinformation.

� Planning %: Check to display planning percentages whencalculating component quantities.

Find Indented Bills Window: Buttons

� Clear: Clears the find window.

� Find: Opens the Indented Bills window displaying entered item'sattributes.

If more that one bill matches the entered criteria, a selectionwindow pop ups displaying the bills. Select the desired bill thatwill be opened in the Indented Bills of Material window.

The Indented Bills of Material window appears and displays the first levelof the bill.

The Components window contains the following alternative regions: ItemDetails, Bill Details, Quantities, Effectivity, Order Entry, and Shipping.

Item, Description, Alternate, Revision, and Date fields default from themaster item.

� Level: Displays number of levels that connect component to bill.

Use the control buttons to expand or collapse portions of theindented bill. You can only expand up to the explosion levelindicated in the Find window.

� Item: Displays component of bill.

The order-level cycle status typically includes just when the orderis Entered, Booked, and Closed. To view the detailed cyclestatus of the lines on the order, select the View button at thebottom of this form, and then select Cycle Status from thebottom of the next form.

This form is used to view information related to each of the lines on thesales order by either selecting the buttons at the bottom of the form ornavigating through the remainder of the alternative regions.

View Orders Window

The fields are display only.

The header region contains information related to this particular salesorder.

� Order Number: Query an existing order.

If entering this form through another form, such as the OrdersSummary form, all information will default based on thepreviously selected order.

Lines Alternative Region

This region displays details associated with each line on the sales order.

This region displays additional information from the invoice or creditmemo.

Invoices / Credit Memos Alternative Region

This region displays invoice and credit memo information associated withthe order being viewed.

Deliveries Alternative Region

This region displays details about the Deliveries such as Waybill Number,Freight Carrier and Bill of Lading.

The Deliveries button at the bottom of the form will bring you to theDeliveries to View window.

View Orders: ButtonsThe buttons at the bottom of the form manage the following activities foran individual order line. Many of these buttons are repeated throughoutthe form:

� Holds Button: Opens the View Holds window.

� Shipping Button: Opens the View Shipping Lines window.

To view the shipping information for all the lines on the order atone time, use the Deliveries button in the Deliveries AlternateRegion.

� Backordered Button: Opens the Backordered Picking Lineswindow.

� Details Button: Displays the line details with shippinginformation.

This includes the Subinventory, Locator or Lot information.Review the Scheduling Details for specific lines on this order.This information can also be viewed via the Shipping Linesalternate region. (see form in a later section of this document)

� Cycle Status Button: Opens the Cycle Statuses window.

View Holds Window

This window displays hold activity for this sales order line includingcurrent holds as well as any holds that have been released.

This provides a history of the activity on this order, and what might havekept the order from getting shipped.

View Shipping Lines Window

This window is used to show the shipping information for the selectedorder line. If the line had not been shipped as yet, the window would notshow any information.

This window is useful for the shipping department or for anyone needingthe shipping information.

For example: the Waybill number and Freight Carrier information can beretrieved from this window. This window also has the Pick Slip numberand the Picking Batch number that is needed to reprint the pick slip.

View Sales Orders Form

Cycle Statuses Window

This window displays the Cycle Status from both the Line Level andOrder Level cycle status.

This provides a detailed look as to exactly where that particular sales orderline is in following its required order cycle.

The Holds button on the bottom of this form takes you to the View Holdswindow. This is valuable to quickly review data about holds that might bestopping a line from proceeding through its cycle action steps.

In addition to the buttons at the bottom of the View Orders form, you canalso view additional information about the order lines from the alternateregions.
