# 8 Procure to Pay - This process is related to buying material from organizations

supplier/vendors for day to day operations.

requisition --> RFQ -->PO --> Receive --> pay

Eg - An automotive service center can buy spare parts from its supplier (like

toyota etc). To buy spare parts they will look for all supplier who can provide

spare parts. This suppliers will give quotes and then the organization

will make a decision from which supplier they will buy spare parts. Then a

purchase order is genearte and supplier will send required spares to

organization. Upon receiving spare the organization will match and recieive

products in their inventory. Once spares are received payments will be

made to supplier.

Order to Cash - This cycle is related to selling of

products and services to customers.

Customer --> Order --> Book --> schedule --> WO Completion

(optional) --> Pick release --> Ship cofirm --> AR

Eg - (i will continuue with automotive service center)

I take my car for repair to this automotive service center. Since i need a

service/products from this organization, i become a customer for them. They will

then take a look at my car and suggest me service/products i need to buy. (all

that will become items which i am purchasing from them). Upon completion of

repair of my car i will get the invoice. Once i get invoice from organization, i

can make payments against that.

solution:

we started the caluculation at dleivery ;eve than at order

level . secondly we caluculated taxes at the billing level

than that of pricing level

Re: What is the use of pricing date in condition type? Answer

# 2 Pricing date is the date in which the condition records are accesed. For eg:

lets say you have the price of the material as 1000Rs till Mar 2008 as per the

validity period of condition record and from april the same price of the

material is 2000Rs as per the validity period of the condition record. Now your

pricing date in the Sales doc determines as which price should be taken into

account. Hope you are clear now.

GAP analysis is done in Blue Print stage. It aims to understand what can be done

with the standard SAP and how the client actually wants a particular scenario to

be processed. And to understand the GAP between the actual & required scenarios.

For eg: in standard SAP there will be no Availability check done at Quotation

Level. But client requests that Availability check be done at Quotation level

also sothat that will give him an idea roughly when the delivery could

me made (remember that doesnot transfer requirements). Accordingly his customer

can proceed with placing an order or not as per his requirement. Please correct

me if I am wrong

A through gap analysis will identify the gaps between how the business operates

ad its needs against what the package can can't do. For each gap there will be

one of three outcomes which must be recorded and actioned, GAP must be closed

and customised software can be developed close the gap, GAP must be closed but

software cannot be written therefore a workaround is required, GAP does not need

to be closed.

In simple terms: Gap means small cracks. In SAP world. In information echnology,

gap analysis is the study of the differences between two different information

systems or applications( ex; existing system or legacy system with Client and

new is SAP), often for the purpose of determining how to get from one state to a

new state. A gap is sometimes spoken of as "the space between where we are and

where we want to be." Gap analysis is undertaken as a means of bridging that

space. Actual gap analysis is time consuming and it plays vital

standard program in its Respective Business Transactions, Used as a Gateway to

Meet the Client Requirements.

Requested delivery date:- the date on which cust. wishes to have his goods.

confirmed delivery date:- the date on which the arrival of goods can be

confirmed.

Now, for backward scheduling the cust. requested delivery date is used to

calculate the material availability date and transportation lead time. the

delivery must be created on the earliest of the two dates.If both dates are

after the order date and material is availble on the material availblity date,

the cust. requested delivery date can be confirmed .If both dates are before the

order date , confirmation of the requested delivery date can not take place.

Therefore, the system attempts to determine the next eraliest possible

delivery date through forward scheduling.

# 1 For STO following are the minimum requirement

The material code should be same at delivering

plant and receiving plant.

Material to be transferred should be created in both the

plants.

Supplying plant is to be created as Plant as Vendor for the

receiving plant.

Receiving Plant has to be created as Customer.

STO pricing procedure to be maintained.

If requirement are fullfilled STO is generated by receiving plant using docs

type NB, sto generated then Delivery, commercial invoice & excise invoice

While in 3rd party sales it is E1 transaction Distributor raise PO on

manufacturing plant on behalf of delear,material supplied to delear by

manufacturing plant, delear issue form E-1 to manufacure on receipt of goods &

make payment to distributor who will transfer to manufacture, cst exempted so we

can say distributor is sold to party & delear is ship to party. Other part is

same delivery commercial invoice & excise invoice, in sto pricing procedure is

as per cast auditors certificate

# 1 If any condition type that is not ticked for Statistical in pricing procedure

and you want to post the amount to FI, then you need to have an account key

assigned to that condition type.

In Pricing Procedure ERB, ERL, ERF, ERU, MWST etc are Account Keys where through

this key it posts into G/L account of Finance.

Path Go to SPRO --> Sales and Distribution --> Basic

Functions --> Account Assignment/Costing --> Revenue Account Determination

It is basically Application (V-Sales) Condition Type (KOFI)

Chart of accounts, Sales Organization, Customer account Group, Material Account

delivered 150 quantity to the end customer, the invoice is raised with invoice quantity i.e 'f' billing relevance. but in the

auditing he is getting a problem the sales order is with 100 quantity and it was invoiced for 150 quantity. he requires the

sales order quantity has to get updated with the billing quantity. Answer

level business data.

 Business data: Business data is nothing but sales,

shipping and billing data that is called as a business data. Ex: We maintain

payment terms in customer master.

When we raise the sales order for this customer the payment terms are copied

into the sales document header from customer master. If we do not maintain

payment terms in the customer and we maintain payment terms in the sales

document header manually then those payment terms applies whole item in the

sales order. If we have number of items in the sales order and if we want to

change payment terms for particular line item, system allows us to do so,

if business item field has been checked. Otherwise system will not allow

changing the payment terms at item level.

additional merchandise to that which they are ordering, in an effort to increase

the sales volume. eg:

computer you are going to show him Head phone, Mouse etc. This is what called

cross selling.

The Intercompany ( having 2 company codes and 2 plants, 2 sales org. ) sale in

SAP is nothing but when the customer place the order to company code-1 (selling

company code) if

the selling company Plant is not having stock then will collect the material

from company code-2 (supplying company)plant. For this will create the inter

company customer with

selling company sales area and supplying company code. Here stock transfer from

Plant to Plant is INTRA Company and Stock transfer from Supplying plant to

Customer through

selling sales area is INTER Company sales. The delivery will be from Supplying

plant to customer. In this process first we will get Inter company billing ( IV

) and next

invoice F2 billing to customer. For this we need to do Back ground settings.

Billing Document not released to accounting / Accounts determination:

To resolve the error, you can analyze account determination in the billing

document. Process:

Goto T.Code: VF02 & Enter Invoice number

Next (On the top most strip) goto Environment

Next (Select Environment) go to Account determination

Next (In Account Determination) select Revenue Account

Determination (first option)

This will list all the condition types in the Billing document & analyze each

condition & check for which G/L accounts is not determined.

Possible errors:

1. VKOA not maintained for required combination

Solution: Maintain the combination in VKOA.

2. Account Assignment of Customer / material not maintained in Customer /

Material Master (If maintained in combination in VKOA).

Solution:

Option 1 (Standard solution):

step 1: Cancel Billing Document --> Reverse PGI --> cancel Delivery --> Cancel

Sales Order

step 2: Maintain Customer master / Material Master correctly.

step 3: Recreate sales Order --> Delivery --> PGI --> Invoicing.

Option 2:

Force the Account Assignment Group of Customer / Material through Debug in

change mode of Billing document, which will release Billing Document to

Accounting.

3. Account Key not maintained in Pricing Procedure:

Impact: This may create accounting document, but if condition type, which are to

be posted to account, but do not have account key maintained in pricing

procedure, it

will not be post the relevant condition type to G/L account.

4. Billing Document not being released to accounting --

In Material Master, there is some link between Profit Centre & MRP Type. If one

of it is not maintained, erratically few documents get stuck while releasing

Billing

Document to accounting. Few of course get posted.

Solution1: Cancel Billing Document --> Reverse PGI --> Cancel Delivery --> Block

the sales Order & Create new sales Cycle all over again after rectifying

Material master.

Solution 2: (Temporary Solution) In Debug mode in Billing, force the Profit

Center in Billing Document with the help of Abaper. But ensure Material master

is rectified.

From FI Side, you require to check that all the G/L account has been maintained

through T.Code: FS00. G/L account being Master data has to be created in each

client to upload

through LSMW / SCATT / BDC.

In Billing Document in change mode (in the first screen where we enter Billing

Document number), on the top most left hand corner, take a dropdown on Billing

Document &

select Release to accounting. Here you can get the under mentioned possible

message:

1. G/L account not found

2. Cost Element not maintained for G/L account.

In both the above cases, FI consultant requires to take corrective action.

Pricing:

This is very specific & differs from client to client & may also differ based on

scenario.

Write-up on Pricing -

In SD, Pricing Procedure is determined based on Sales Area

(Sales Organization + Distribution Centre + Division) + Customer Pricing

Procedure + Document Pricing Procedure. Sales Area is determined in Sales Order

Header Level.

Customer Pricing Procedure is determined from Customer Master. Document

Pricing Procedure is determined from Sales Document Type / Billing Type (if

configured). Once the

pricing procedure is determined, Condition records are fetched. If appropriate

condition records are found, the price is determined. If Mandatory pricing

condition is

missing, system will through an error message.

In SD, the steps to configure Pricing procedure are as under:

Step 1:

Condition table: If existing condition table meets the requirement, we need not

create a new condition table. Considering the requirement for new condition

table, the

configuration will be done in spro as follows: IMG --> Sales & Distribution -->

Basic Function --> Pricing Control --> Condition Table (select the required

fields

combination, which will store condition record).

Access Sequence: If existing access sequence meets the requirement, we need not

create a new access sequence. Considering the requirement for new sequence, the

configuration will be done in spro as follows: IMG --> Sales & Distribution -->

Basic Function --> Pricing Control --> Access Sequence (Access sequence is made

up of

Accesses (Tables) & the order of priority in which it is to be accessed. Here we

assign the condition table to access sequence.

Step 3:

Condition Type: If existing condition type meets the requirement, we need not

create a new condition type.

Considering the requirement for new condition type, the configuration will be

done in spro as follows: IMG --> Sales & Distribution --> Basic Function -->

Pricing

Control --> Condition Typ e. It is always recommended to copy an existing

similar condition type & make the necessary changes. Here we assign Access

sequence to

Condition type.

Step 4:

a. Pricing Procedure: It is recommended to copy a similar pricing procedure &

make the necessary changes in new pricing procedure. Pricing Procedure is a set

of condition

type & arranged in the sequence in which it has to perform the calculation.

Considering the requirement for new Pricing Procedure, the configuration will be

done in spro

as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control

--> Pricing Procedure --> Maintain Pricing Procedure.

b. Pricing Procedure: After maintaining the pricing procedure the next step will

be determination of pricing procedure. Configuration for determining pricing

procedure

in SPRO is as follows: IMG --> Sales & Distribution --> Basic Function -->

Pricing Control --> Pricing Procedure --> Determine Pricing Procedure.

5. Condition record: Condition record is a master data, which is required to be

maintained by Core team / person responsible from the client. During new

implementation, the condition records can be uploaded using tools like SCAT,

LSMW, etc.

It is assumed that document pricing procedure, customer pricing procedure , ...

are in place.

Sales Document not assigned to Sales Area:

SPRO --> Sales & Distribution --> Sales --> Sales Documents --> Sales Document

Header --> Assign Sales Area

To Sales Document Types --> Assign sales order types permitted for sales areas

(do ensure to maintain combined Sales organization, combined Distribution

channel &

combined division. for eg: Sales org 1000 & sales org 1000, Sales org 2000 &

sales org 2000, & so on ....

similarly for distribution channel & Division, so that the Sales area

combination is available for assignment to Sales Document Type.)

Issues related to Customer Master data:

1. what is the impact of leaving customer pricing procedure & customer statistic

group blank in customer master --> sales area data --> sales tab:

If Customer Pricing Procedure is left blank, Pricing will not be determined.

If customer statistic group is left blank, then data will not flow to standard

reports.

2. Who maintains reconciliation account in customer master?

Ideally, reconciliation account is maintained by FI person, but if SD person is

authorized & has the knowledge of which reconciliation account to be maintained,

then even SD person can maintain the same.

3. Terms of payment appear in Company Code Data & sales Area Data. What is the

impact of each? why is it not populated automatically, once it is maintained at

either

field?

Terms of payment from company code data is for reporting purpose & it is from

sales area data that it flows to sales order.

It is a standard feature of SAP that it is not populated automatically if

maintained at either of the field, but it is a must in sales area data & can be

skipped in company

code data.

4. Unable to select Sales Area for Customer Master Creation?

Most Probably either sales area is not defined or customization not done for

common Sales Org & Common Distribution Channel. To maintain this configuration:

SPRO --> Sales & Distribution --> Master Data --> Define Common Distribution

1. You can create more than 1 billing doc for the same delivery.

2. There is no control in goods mov. i.e since you create your Inv first, even

if you forget to do PGI there is no check. Hence Physically Stock will be out ,

but from system

point of view stock still remains which leads to errors.

# 1 user exit is one of the ways through which you can add; append or modify the

feilds from the std sap trasactions .

Eg In the customer report we basically have slod to party given as the header

. Now suppose the customer is very keen that he also wants to add the feild of

use t code: OMO1 and the select Info set S066 and change the horizon which would

different payment term in different payer master.Therefore,If there is different

payer master for 3 items in a sales order,automatically,payment terms will be

On the other hand,if there is no different payer master,you can directly go item

details billing tab page for individual line item and change the payment term.

will come automatically what ever you need.

useful to you. I think u can over come this issue by doing this at paymet

terms level. Because payment terms are at Customer master level.Even if

the customer wants both materials (H/W and S/W) in a single order with

different payment terms this is possible,and the business can offer.

Ex:Let us say that,Customer X has ordered for Y and Z products in single

order,where Y's payment wil be mabe with in three days and Z's payment will be

made for 30 days

because this is not fast movable,and mighet be supported with business by Bank

Guarantee.

This can be done at product(ITEM)level while applying condition records for this

item with pricing element.

In the field "payment History" there are two options

1:- With cash disc.

2:-W/o cash disc

it means how the credit value ll update " Gross Total of Cleared Items without

Cash Discount Loss or with loss "

There is no link to the pricing procedure that the discout conditon will valid

or not.

In this case we can put a requiremt in pricing procedure for that conditon type

that if the ( Over all credit status field is blocked / Delivery block due to

Credit limit then

There are Consultnats, Power users, End users in a SAP R/3 system.

The users are differentiated by the level of authorization End users-- Normaly

are given authorisation to only specific transactions ( T.codes)-- like creation

of Sale

order, Delivery, transfer order etc etc.. For eg a person in the

ware house would only be given authorisation to create Transfer orders and not

to create Sale orders. SImilarly a sales person will have the authorisation to

create SOs and

not TOs.

Power Users-- People who have additonal authorisations to change or add data to

make the system adapt to day to day business requirements are power users.

Master record creation,Condition record creation..These people sometimes are

also allowed to view the customisation screens and normaly not allowed to make

any changes in the

customisation.

Consultants--

These people (We) mainly work in customisation. their authorisation level

depends on the Server they work on.

For eg: In development server to all screens In testing server except few

critical customisation screen to all screens

In production server-- Not to any screen.. their user role can be changed by the

help of basis to work in production server in case of emergency like they would

Answer # 3 there are many kinds of 'usage'. Many of them are hardcoded in the source code,

for example for free goods, packing item generation, retail system...

The only way I know to affect this behavior is use the item usage in the

customer/material info record (details view, tcode VD51, VD52)

You can customize your own in the item customizing tree, and then place it in

the info-record and use it in the item determination.

If it is "F" order related than it will be billed for 100Pcs whilst delivery is

only 60Pcs. It should be changed to "K" Delivery Related-Invoices for Partial

that proper closing is required.

Integration Testing: OTC Flow (Create Sales order to Invoice).

User Acceptace done by the Client in "Q", if they are satisifed with the result

Configuration: We configure the system to meet the needs of our business by

using existing data. Configuration uses the inherent flexibility of the

enterprise software to add fields, change field names, modify drop-down lists or

add buttons

Customization: We customize or adapt the system accourding to our business

requirements, which is a process of mapping SAP to our business processes. It is

basically mapping of

business scenerios in system.We do all the customization in IMG(Implementaion

guide).

org.,division,dist.channel.,and document types. The Tcode are OVAO,OVAM,OVAN.

# 1 Header Conditions are referred as manual conditions Eg: HB00, RB00 etc. Since

these conditions are entered manually they don't have any access sequence.

Header Conditions are valid for all the items within the document. Please note

only Header Conditions that are Group Conditions will get distributed among the

items.

routine of rv0001 to see that the pricing procedure is proerly defined We have

user routines are 50- 99

Requirements :

Refers to the condition type given in the item category with respect to pricing

procedure in the sales doe for the item category

if the requirement type is given as r100 meant the item category refers to

FOC ; IF IT PROO MEAS STD PRICE

:

1 .DEV would have multiple clients for example 190-sandbox,100-golden,180-unit

test.

2 .QAS may again have multiple clients for example :300-Integration test,700 to

700 training .

3 .PROD may have something like a 200 production .

here you can set your item category relevance for POD.

in this configuration you Possible entries for POD relevance are

Blank - Not POD Relevant ( By default all items are not relevant to POD)

X - Relevant for POD

V - Copy POD relevance from Proceeding document.

Also you can set up POD for inbound deliveries too in this same place.
