WELCOME TO YMCA KAITOKE OUTDOOR EDUCATION CENTREYMCA Kaitoke has been successfully developing people from all walks of life within its camp programmes since 2006. Situated at the foothills of the Rimutaka Ranges, YMCA Kaitoke is just 45 minutes from Wellington CBD or 55 minutes from Masterton. It is set in 38 acres of natural and regenerati ng bush and accommodates a total of 173 people in cabins, and is soon to include another 60 in our camping village. Guests of YMCA Kaitoke will have the opportunity to use our unique outdoor recreati on faciliti es, farmland, nati ve bush and open fi elds - ideal for building mind, body and spirit.

If you require additi onal indoor space, you can choose to hire our conference rooms which can seat up to 100 people. If this area is too small our Recreati on Hall has a full sized basketball court which can be used for all types of indoor sports, including archery and rifl e shooti ng or as a large meeti ng area. Both faciliti es can be hired by the day or part thereof.

ACCOMMODATIONThree rows of ensuite cabins accommodate up to a total of 173 people in bunks, with a further 60 places in our Pioneer Village (available in October 2017).

• The top row of cabins sleep 94 people in 16 cabins of 4-6 people. • The middle row of cabins sleep 35 people, made up of 7 cabins of 4-5 people.• The bott om row of cabins sleep 44 people with wheelchair access to one cabin (with 4 beds), made

up of 9 cabins of 4-5 people • The Pioneer Village, an educati onal camping opti on sleeps up to 60 people. Set up in the bush

away from the main buildings, groups have an amazing view down the valley. This opti on will include tents, toilets, cold showers, outdoor cooking/dining faciliti es. Please note fi eld camp is an educati onal facility only.

We supply matt resses on bunk beds, while guests are asked to provide their own linen or sleeping bags, towels and pillows - bedding can be provided on request at additi onal cost.

We have self-contained accommodati on for teaching staff /parent help which can sleep up to 3 people, this accommodati on has a good sized lounge room to give adults a break from students and to house sick or injured students if required. Should there be multi ple school groups on site this accommodati on may need to be shared.

Hiring charges at YMCA Kaitoke apply to all guests that visit YMCA Kaitoke. Charges cover the use of all faciliti es, accommodati on, power, kitchen, cleaning materials, toilet paper and hand soap. All guests also, have access to cooking, dining, abluti ons, outdoor shows, gas BBQ and camp fi re areas.

For a real camping experience campfi re sites are located in two areas within the bush and are available at no charge. Please note that fi rewood is an additi onal charge but can be conveniently ordered and delivered to the campfi re site on request. Instructors can also be requested to facilitate your camp fi re experience at an additi onal charge. Please be aware at depending on the ti me of year fi re restricti ons apply.

OUTDOOR ACTIVITIES YMCA Kaitoke aims to provide a safe, sti mulati ng and caring, educati onal environment where people of all ages can increase their knowledge, awareness, skills and self-esteem.

YMCA Kaitoke is committ ed delivering safe outdoor recreati onal and personal development opportuniti es for people of all ages. As part of this commitment we have had our acti vity safety management system audited and certi fi ed through the OutdoorsMark accreditati on scheme and provide professional instructors to lead all acti viti es at YMCA Kaitoke. Our instructi onal staff are also trained in fi rst aid, risk management, behaviour management and child protecti on. We work hard to ensure your acti viti es are well managed, rewarding and enjoyable.

Planning a camp can be a daunti ng task but, for our staff at YMCA Kaitoke, programme design and development is a part of daily life. Our Outdoor Educati on Programmes Manager can be contacted for any questi ons around programme design and delivery. We want you to tell us what you want to get out of coming to YMCA Kaitoke and we will design a programme to meet those outcomes!

During your stay our instructors are your “camp experts” they will not only be with a parti cipant group for the enti rety of the camp but will ensure meal ti mes are managed, night acti viti es run smoothly and pack up is as painless as possible.

All of our acti viti es can be customised to facilitate your own desired camp outcomes. We can also combine many acti viti es to create an unforgett able camp experience, for example: Outdoor cooking & bush skills can be combined with tramping to create a double bush expediti on session.

CHECK IN & CHECK OUT TIMESWeekday arrival ti mes are from 9am and departure by 2pm. Weekend arrival ti mes are from 4pm on Friday with the latest check out ti me 3pm Sunday. There is fl exibility with these ti mes as long as it is discussed with the YMCA Kaitoke Management Team prior to arrival.

CATERINGYMCA Kaitoke has an excellent catering service available to all groups. The food programme is organised by our Catering and Events Coordinator and is ideal for school and community groups. The catering team has many years’ experience working at YMCA Kaitoke and are used to adapti ng the menu to suit individual needs and specifi c dietary requirements. Please feel free to discuss your meal opti ons when you enquire. We aim to source local produce and grow much of our vegetables in our very own vegetable nursery.

Groups have the choice to self-cater or uti lise our catering service to provide the meals for your stay. We have a commercial kitchen att ached to our main dining hall and a smaller lower kitchen and dining room in the gymnasium and conference centre.

Our kitchen is fully equipped with a wide range of appliances and cleaning materials. There is a daily charge for self-catering groups that use our kitchen. Your group will also need to bring sharp knives and tea towels.

PRICINGWe have streamlined our pricing structure to minimise confusion and to ensure costs are agreed upfront. We are more than happy to help work out an esti mate of your bill so please contact the camp offi ce so we can assist.

Note: meals start from a� ernoon tea the fi rst day and end with lunch on the fi nal day (pricing includes main meals, morning and a� ernoon teas, tea and coff ee etc. for staff )

Our safety management systems require us to operate at no more than a 1:10 rati o of instructors to student parti cipants, plus ONE adult chaperone. Therefore, you are required to provide one adult chaperone for every group of 10 campers.

DEPOSITA deposit of 20% of your esti mated booking is payable to: YMCA Greater Wellington within 30 days of making your reservati on/pencil booking. Deposits are non-transferable and will be applied by the YMCA towards the hiring charge.

CHANGE IN GROUP NUMBERS:We cannot guarantee staffi ng your programme to our designated rati os when there are signifi cant changes to your group numbers with short noti ce. Therefore, group numbers must be confi rmed two (2) weeks prior to your camp - your invoice will refl ect these numbers. Any changes to your group numbers within two (2) weeks prior to your booking will incur an administrati on fee of $150. We do stress that if the numbers increase we cannot guarantee off ering the original programme outlined. A reducti on in numbers in the fi nal two (2) weeks will again incur the administrati on fee plus, you will be invoiced for the group numbers previously agreed to.

ADDITIONAL COSTS:Additi onal costs that YMCA reserves the right to charge include:

• Cleaning charges - should the camp not be le� clean and ti dy as per the end of stay clean up schedule ($200 for the bott om row of cabins, $200 for the middle row of cabins, $350 for the top row of cabins). Further costs will apply for cleaning of the non accommodati on faciliti es should that be required. Please contact us to discuss should this eff ect you.

• Special Diets – We reserve the right to pass on the cost of special dietary requirements tothe groups.

• Sole usage – if your group requires sole usage of the facility (by your request or by YMCA request) and is not a group that would automati cally fi ll over 75% of the accommodati on or wants to have alcohol onsite thus requiring sole usage a $2,000 fee will be charged additi onal to your booking. Please contact us to discuss this should you fall into this category.

CANCELLATIONS: Cancellati ons more than 12 weeks before your stay, you will have the deposit refunded, less $120 administrati on costs. For cancellati ons within 12 weeks of your visit, your group will not have its deposit refunded. If your group cancels within one month of your stay, YMCA Kaitoke will pass on any losses it has incurred due to your cancellati on; such as services booked

HOUSE KEEPINGThere are specifi c housekeeping requirements that all groups need to follow:

DURING YOUR STAY • Sweep cabin fl oors daily. • Sweep the dining room daily. • Clean bathroom areas daily - toilet paper and soap is obtained from YMCA staff . • Rubbish - please place all rubbish in the bins provided. There are general waste bins and recycling

in most areas. Our staff will empty bins throughout the week, if you noti ce that a bin is full, please don’t hesitate to contact any staff to help us keep a clean camp.

END OF STAY CLEAN UP • All groups are required to do basic cleaning chores prior to your departure.

Please see the list below. • Please ensure all rubbish and recycling is put into the appropriate bins. • Ensure all windows closed and locked.

BEDROOMS • Wipe wooden bunks, especially the area between slats. • Clean matt resses with hot disinfected water • Lean matt resses against wall • Lock windows • Vacuum the fl oors, especially the areas under the bunks and remove all rubbish.

BATHROOMS • Clean toilet pans, seats and cisterns • Clean shower trays and soap dishes • Clean basins and benches • Clean walls • Note: All of the above should be done with hot disinfected water• Sweep and mop the fl oors

KITCHEN • Wipe down all bench tops, shelves and walls • Empty and clean oven, microwave, fridge and freezer • Sweep the fl oors with the “kitchen only” broom • Stocktake kitchen equipment. There are clear labels in each kitchen for where our equipment goes.

Please ensure the correct amount of equipment is there. • Mop the fl oor

DINING ROOM • Wipe down the tables, fold and stack them in designated area• Stack all chairs • Sweep and mop the fl oor

GYMNASIUM & CONFERENCE ROOMS• Close and lock all windows & doors • Sweep then mop the fl oor • Stack all chairs

1 WEEK BEFORE CAMP :• You will receive a phone call from us, checking in with any last informati on required or needed

ON ARRIVAL: • YMCA staff will brief your group on arrival • An inducti on to the faciliti es will be completed with the group organiser• Then your group is free to move into the faciliti es

ON DAY OF DEPARTURE: • Inform the offi ce of departure ti me, to ensure faciliti es are inspected before departure. • Complete all cleaning as outlined on housekeeping secti on • Complete and return feedback form• Pencil any future booking

WITHIN ONE WEEK OF LEAVING CAMP: • You will receive a follow up from us• You will receive an invoice with your balance due
