An Overview for WVU Hiring Managers

• Navigate through the Recruiting Center.• Create a requisition in the Recruiting
Center using a Template.• View Requisitions and Candidates in a List
and individually.• Take actions on candidates.• Understand the Candidate Selection Workflow

How to…
What is WVU Hire?
• WVU will be using Oracle’s Taleo product to streamline and simplify hiring.
• The main product of WVU Hire is called the Recruiting Center.
• One location to start a new position request, view applicants, communicate with applicants, each other, and HR Talent Management.
What will change?
• Farewell to Paper Processes!– Most paper forms will no longer be required;
AMS for certain classified positions will go away
– Many separate departmental email accounts and processes for communicating with applicants
• All participants will be able to communicate through one central Hiring interface
New WVU Hire System!• For all job types – all positions will be
created via WVU Hire requisitions.– Staff beginning in September– Faculty beginning in November– Students beginning in Spring semester
• Online application – candidates can apply for jobs directly on the WVU Jobs page. – complete a candidate profile, upload a
resume, or connect their social media profiles
Other WVU Hire Tips and Info• Don’t use browser BACK button• You can log in and see what the status of
your requisition is at any time. – No guesswork or waiting
• HR Offices will have access during the process…makes HR stuff go faster.– (Affirmative Action, Diversity, and Class & Comp)
• DAR (Dynamic Approval Routing) must be complete before the offer letter can be sent.– Automatic approval routing makes sure no steps
are missed
How Is It Easier?• All Electronic! All on one form!• Use a template to pre-populate some parts of the req
form, or you can start from scratch for a brand new position.
• If you are filling a recently reviewed position (within 3 years), the position details will not require another review. – The requisition will have to be reviewed by Class & Comp
to ensure that it meets the competitive, market, and EEOC standards if you are:
• creating a new position, • filling one that has not been reviewed for more than three years, • cloning (duplicating) an existing position, • hiring a director-level or higher position

• Requisition approval routing is done in background.• Approver is notified that a requisition needs
approval:– By viewing “Tasks” Channel on Recruiting Front Page– By receiving email (“eShare”)
• First approver is Hiring Manager’s supervisor.– Hiring Manager auto-approves when the requisition is
saved for ‘request approval’• Recruiter and Hiring Manager can agree to
designate additional approvers.

Candidate Selection Workflow
• A CSW (Candidate Selection Workflow) is the process we use to track and manage candidates from the time they are new to the system, to the time that they are hired.
THE CSW
Reviewing Candidates
• Each requisition will have a page where you can view candidates that have been attached to that position for review.
• The Candidate Selection Workflow steps are displayed on the left pane.
• HM can reject a candidate, and assign a disposition code (why you aren’t interested in this candidate).
Offer Management• Will be performed by HR Talent Management
or by Dept. HR Liaison.• Create offer letter from selected paragraphs
pre-written with official WVU language.– Can insert info from the requisition, edit content
• Send the offer letter to the candidate electronically (or by mail), where they can electronically sign and return the offer inside the WVU Hire system.
