HP Web Jetadmin is a simple, Web-based peripheral management utility for remotely installing, configuring, and managing a wide variety of HP and non-HP network peripherals using only a standard Web browser. Rest assured that HP Web Jetadmin and your network-connected peripherals are well protected with advanced security features, including support for Secure Socket Layer (SSL) and Simple Network Management Protocol (SNMP) v3.0 as well as Windows® NT user authentication. How to evaluate peripheral management software

Determining what you want to accomplish

Before installing peripheral management software, it is important that you consider how you wish the software to be implemented for your business. You’ll first want to determine which non-system-based tasks that you need to accomplish, and then determine which system-based tasks will help you meet your goals.

Non-system-based and system-based tasks • Non-system-based tasks are business and management items that determine how you would use

peripheral management software, including which software components and features would be most useful for your organization.

Examples of non-system-based tasks include deciding how many devices to manage with the software, how many network administrators and users will be responsible for monitoring and maintaining device resources, and the business needs that make implementing the software necessary.

Installing the software

Installation and setup

When you install HP Web Jetadmin, you only need to install it on one hardware platform that meets the recommended minimum requirements and is centrally accessible on the network (for more information, please see Appendix B, “Technical specifications,” on page 42). You may then access the software via a supported Web browser from any computer on the network and manage all supported network-connected peripherals.

HP Web Jetadmin offers several installation options. If you have installed a previous version of HP Web Jetadmin, you can choose to upgrade the previous version or install a new copy. Upgrading an older version preserves your settings for discovery options, groups, and maps, and is most likely the best choice if you have already been using HP Web Jetadmin.

Once the installation is complete, HP Web Jetadmin can be launched from a supported browser by entering the hostname or IP address of the computer on which it is installed, followed by the port number. Typical default port numbers for Web services have a value of 80. Since HP Web Jetadmin may be running simultaneously with another Web service on the same computer, HP Web Jetadmin uses a port number of 8000, which redirects to port 8443 with Secure Sockets Layer (SSL) enabled. If desired, the port value may be altered. No matter what the default port number, if SSL is enabled, a redirection will occur to port 8443 whenever the default port number is attempted.

Setup Wizard The first time HP Web Jetadmin is launched after installation, a Setup Wizard appears to assist with software configuration.

The Setup Wizard allows you to easily perform the following tasks:

• Customize the appearance of HP Web Jetadmin.

• Define what page type appears by default when browsing to HP Web Jetadmin.

• Set security options, such as defining the Administrator password and the ranges of IP addresses allowed or denied access to HP Web Jetadmin.

• Define proxy settings to allow HP Web Jetadmin the ability to download files from the Web, such as firmware upgrades and device plug-ins.

• Configure an SMTP mail server in order for HP Web Jetadmin to send alert e-mail messages when events occur on devices.

• Choose from a multitude of discovery options to ensure an accurate and thorough list of devices available for managing.

By using one peripheral management utility for all of your network-connected printing and imaging devices, you can do more in less time and turn your attention to other IT matters. HP Web Jetadmin offers an intuitive user-interface that deftly performs complex operations for IT administrators while providing effortless access for more casual users, such as helpdesk personnel.

HP Web Jetadmin looks and works the same regardless of a computer’s operating system or platform. The task-oriented user-interface allows easy navigation using a tree-structured layout within a Web browser and gives you a bird’s eye view of your entire printing network. You can see all of your devices at once or define filters so you can manage groups and sub-groups. You can quickly search for devices by name and see which devices you discovered last, and which you are monitoring.

Viewing devices

Quick Device Find can be used to find a device based on any of the following network searchable parameters:

• IP address • IPX address • IP hostname • LAN hardware address (MAC address)

Quick Device Find initially looks in the HP Web Jetadmin cache to see if the device has already been discovered. If not, Quick Device Find can use the information provided to locate the device on the network and add it to the HP Web Jetadmin cache of discovered devices. Once found, Quick Device Find will display the device Status page.

The user-interface is designed to be efficient and intuitive, limiting the number of steps required to complete a task and streamlining software operation. Each HP Web Jetadmin page features a Navigation area, content area, At a Glance area, content title bar, and context help.

Device list views

To help you get the right information, HP Web Jetadmin provides several predefined views for displaying device lists. Each view displays specific device information. You can also create custom views to display exactly the data you desire to export. Columns can be added, removed, or rearranged in any desired order, and the contents of each column can be sorted prior to exporting.

The following are HP Web Jetadmin’s predefined views:

Default View Displays the device model, hardware address, port number, IP address, IP hostname, and IPX name.

Status View Displays the device model, hardware address, port number, device description, and status description.

Detailed View Displays the device model, hardware address, port number, device description, and system contact.

Asset View Displays the device model, hardware address, port number, device description, system contact, asset number, and serial number.

Jetdirect View Displays the hardware address, port number, HP Jetdirect model, HP Jetdirect firmware version, system contact, and device model.

Page Count View Displays the device model, IP address, port number, start date, interim page count, and total page count.

Export View Displays many, but not necessarily all, of the columns of information stored in the cache. This view is useful when you want to export the device information from the device cache to a comma-separated values (CSV) file.

Filtering lists If you have a large network with many devices or have created many device groups, your lists might be very long. Use the Filter tool to reduce the number of items displayed in a list, to make it easier to find specific items. To access the Filter tool, display any device list, and then click Filters.

Filters are cumulative and you can specify more than one filter for a list. This allows you to filter a list so that, for example, only HP LaserJet 8000 series printers display. Then filter the list of HP LaserJet 8000 series printers so that only printers with an IP hostname that begins with “NP” display.

The Advanced button displays an additional drop-down list of options that you can use to further define the filter criteria, such as Equals and Greater Than or Equal. For example, you could filter the list so that only devices that print 17 pages per minute or more are displayed. Once you have filtered a list, you can save the filters for the current browser session or you can save them permanently. Apply saved filters to any list of devices or groups.

Sorting lists You can sort a list of devices, device groups, subgroups, or devices in a device group. To sort a list, click on the column heading that you want to sort by. The list is sorted in ascending order. To sort in descending order, click the column heading again.

Profiles

You can create profiles to customize how HP Web Jetadmin looks and works to meet the needs of various users such as IT administrators and helpdesk personnel. You can apply the same settings to all profiles or apply different settings to each profile.

Advanced device discovery The discovery feature searches the network for connected devices, displays the results in a list, and adds the devices to a device cache on the host computer. HP Web Jetadmin can discover devices automatically. The discovery feature provides the following advantages:

• You no longer have to manually search for devices and add the device configuration information to a cache.

• You can schedule discoveries to run automatically at specified intervals and at times when additional network traffic is least likely to have a negative impact on network performance.

• You do not need to be present when discoveries run.

• Without leaving your workstations, you and helpdesk personnel can quickly find specific devices or those with particular capabilities.

After you install HP Web Jetadmin, run an initial discovery to build a cache of device information. Once the device cache is built, run discoveries to help with the following ongoing management tasks:

• Discover individual new devices as soon as they are connected to the network.

• Run a discovery at any time to find new devices or existing devices that have been updated.

HP Web Jetadmin discovers devices in two ways: by sending a query to devices and listening for their responses and by monitoring the network for signals that the devices send to indicate their presence on the network. The software uses industry-standard SNMP queries to recognize devices and collect device information.

Discovery options

The following table describes HP Web Jetadmin discovery mechanisms:

Local Broadcast—IP and IPX Broadcast discoveries

Sends a general SNMP request to all of the active devices on the local subnet or remote TCP/IP or IPX/SPX network.

Local Broadcast—IPX Service Query discovery

Sends a General Service Query (GSQ) request to all of the active devices on the local subnet or remote IPX/SPX network.

Multicast/SLP discovery Sends a single SNMP request over an HP-specific multicast address. Only HP multicast-enabled devices respond to this request. You can limit the discovery mechanism to the local subnet or configure it to cross up to 15 routers for remote subnets.

ARP Table discovery Uses ARP Table listings to find devices. You can configure the discovery to search the entire network, the local subnet plus one hop away, or just the local subnet where HP Web Jetadmin is installed.

Specified Addresses discovery Searches for all of the devices listed in a host file that you create.

IP Range discovery Searches for the devices located within a range of IP addresses.

Remote Discovery Agent (RDA) discovery

Initiates a proxy service that HP Web Jetadmin uses to discover and configure HP Jetdirect print servers on remote TCP/IP networks.

NetWare Bindery discovery Queries Novell NetWare servers looking for entries in their Binderies that contain information about the HP Jetdirect devices that have sent SAP broadcasts to the server.

NetWare File Server Login discovery

Searches for HP Jetdirect print servers that are configured to service a print queue on any NetWare file server that HP Web Jetadmin is logged onto. This discovery mechanism can find HP Jetdirect print servers that have SAP broadcasts disabled.

Listen for New Devices discoveries Continually monitors the network for new devices. This is a passive mechanism that does not generate traffic until it detects a device.

Searches the network for other HP Web Jetadmin host machines.

Grouping devices for easy management When the devices list in HP Web Jetadmin becomes too large to quickly locate or manage devices, it can be broken into subsets, or groups, in order to manage the devices more easily. Benefits to dividing a large list of devices into groups include:

• Devices are easier to locate when organized into smaller subsets.

• Dividing a list into smaller, logical subsets makes tracking assets easier.

Organize devices according to your specific peripheral management needs. For example, organize devices by geographic location for simple, logical management. A main group might be named after a city, subgroups might be associated with the city for each building site, and additional subgroups might be associated with each building for floors or departments. For asset management purposes, group devices based on model type.

Groups are displayed as nested folders under the Device Groups folder in the Device Management section of the Navigation tree. Nested folders make it easy to differentiate between groups, and to distinguish main groups from subgroups. Click the Device Groups folder to display all groups in the main content screen. Click a group in the tree to open it for editing.

Creating groups

Typically, groups are created and populated with devices at the same time by highlighting devices in the list of All Devices or while viewing an individual group and selecting Create Device Group from the Device Tools drop-down list. Columns may be sorted and filters applied to narrow the list to a desired set, and then multiple devices may be selected and added to a group at once.

You can add devices manually or you can select Autogroup to automatically add devices to groups. Autogroup allows newly discovered devices to be added to a group based upon criteria defined for the group. For example, a filter based on the device model can be assigned to a group and all devices discovered in the future that match the device model name or number will automatically be added to the group.

Subgroups

Just as groups of devices in HP Web Jetadmin are subsets of the list of all devices, subgroups are subsets of other groups and are created to provide organization and structure to more easily manage devices. Mapping device locations Device groups can be represented as maps in order to obtain a visual representation of where devices are physically located. Maps are .GIF files that you create and upload to HP Web Jetadmin. The map displays in a grid, and you can add devices to points on the grid. Devices, groups, or URLs can be added, removed, or moved to different positions on the map.

Maps can be assigned as the default view for a particular profile. When the status feature is enabled, the map also indicates colors for various device status states with colored boxes around devices. For example, devices in a critical state display in a red box, and devices in a warning state display in a yellow box.

Remote installation and configuration

HP Web Jetadmin allows you to select multiple devices or groups of devices and change the options for all of those devices at once. For example, you can install multiple devices at once or assign the same password to several devices that have already been installed. Spend a few minutes entering the information once and then apply it to all selected devices, rather than entering the same information repeatedly for each device. It also ensures that redundant information is entered consistently and correctly across multiple devices.

Automatic device configuration

You can create and automatically apply device configuration profiles to devices that are new to a group in HP Web Jetadmin. To enable this feature, while performing a fleet configuration on a group of devices, save any desired settings to file. Then choose auto-configuration to occur on the group through the Autogrouping feature. When printers power up, they will receive desired network and printer configuration parameters.

Multiple HP Web Jetadmin installation synchronization

If you have a distributed enterprise running multiple instances of HP Web Jetadmin, HP Web Jetadmin not only helps you discover those other instances, but also offers the ability to share device cache data between those instances.

Firmware updates

Unlike other peripheral management utilities, you can use HP Web Jetadmin to upgrade the firmware of multiple HP Jetdirect devices and HP peripherals simultaneously, saving time for administrators. This batch upgrade process is available by highlighting the desired devices and selecting Jetdirect Firmware Update from the Device Tools drop-down list when viewing the list of all devices or a group.

The firmware downloader uses Trivial File Transfer Protocol (TFTP) to send the firmware image to the HP Jetdirect device. For maximum safety, this process is fully fault-tolerant. If a power outage or loss of network connection interrupts the firmware update process, you can run the firmware downloader and initiate the download again.

You can also enable the automated firmware retry capability, so that if problems do occur when updating firmware, the firmware downloader can be configured to automatically retry up to three times.

Driver management

The HP Driver Pre-configuration Plug-in allows for pre-configuring print driver settings before the driver is installed during the queue creation process. Pre-configuring drivers allows you to define device defaults and feature availability. For example, you can restrict color printing to those who need it, for multiple devices and users.

Network administrators can pre-configure device accessories and print driver features. The driver is configured to match the device hardware so that access to all device accessories—including automatic two-sided printing accessories, additional media trays, and photo memory card readers—is enabled appropriately. Most driver feature settings can also be configured. Features that can be set to a particular state for greater resource management include:

• Print two-sided documents • Print in grayscale • Media type • Paper source • Output bin

HP device plug-ins Each time a new HP peripheral is released, HP Web Jetadmin can be updated with the new device plug-in to support the new device’s unique features. Once the update is applied, HP Web Jetadmin provides the means for print administrators to configure these features. Device plug-ins provide full support for new devices immediately, without having to wait for the next release of HP Web Jetadmin.

Third-party device support If your business is like most, you probably have printing and imaging devices from a number of different manufacturers in place, and are working hard to manage these devices. Proprietary peripheral management tools exist, but managing diverse environments typically adds complexity and cost to the management equation. HP addresses this need by offering non-proprietary peripheral management software.

By supporting the standard printer MIB, HP Web Jetadmin is able to manage non-HP devices including device alerts, diagnostics, and configuration options. You can use Intelligent Update to download and install optional software components as well as the latest versions of the components that you are already using, including HP Web Jetadmin plug-ins and supported device firmware. Proactive management

Because HP Web Jetadmin contains many tools for troubleshooting peripherals, it is increasingly being used as a helpdesk troubleshooting tool. The software includes several features that enable helpdesk personnel to remotely troubleshoot devices without having to physically interact with them, which can significantly reduce time spent resolving issues. Proactive measures, such as regularly querying for status or enabling e-mail alerts, can be enforced so that potential problems can be prevented.

For example, helpdesk personnel can perform the following actions remotely to troubleshoot a device issue:

• Quickly locate a device with Quick Device Find

• View the status of a device to determine if it is experiencing an error

• Generate a test page, which acts as a ping test to determine network connectivity

• Switch the device online and offline

• Power cycle the device

• Perform a cold reset to factory defaults

• Upgrade supported device or HP Jetdirect firmware

Locating devices When clients contact the helpdesk with a device issue, helpdesk personnel can use Quick Device Find to remotely access device information. Search criteria include:

• IP address • IP hostname • IPX address • LAN hardware address (Mac address)

Quick Device Find first looks in the HP Web Jetadmin cache to see if the device has already been discovered. Once found, Quick Device Find displays the device Status Page.

Troubleshooting devices Once the helpdesk has accessed a device, a variety of troubleshooting options are available to remotely resolve issues. A significant amount of time can be saved if a problem can be solved without having to physically interact with a device.

Test Page

Select Test Page from a device’s status page to print an internal self-test page, or send a print job directly to the device. By sending the job directly to the device, the helpdesk can more quickly determine print queue versus device issues. This feature can also be used to determine whether network communication with the device is possible.

HP Instant Support Professional Edition

For supported HP peripherals, click the link to HP Instant Support from the status page. HP Instant Support Professional Edition provides instant access to reference material that can aid your helpdesk in diagnosing device issues.

Diagnostics

Select Diagnostics from a device’s status page to display information, including firmware version, serial number, error log, and toner gauges.

Remote Control Panel

For supported HP peripherals, Remote Control Panel is an interactive version of the device’s control panel that may be accessed from the device status page by selecting Configuration. Settings can be remotely changed on the device as if they were being changed from the device’s front panel. Current interaction with the device, such as when it is printing a print job, is displayed on the control panel as well.

Reset Options

Select Reset Options from the Status page drop-down list to enable the following:

Power Cycle Device Restarts the device and reinitializes all device settings.

Reset Device To Factory Defaults

Restores the device settings to the factory defaults.

Restart NetWare Connections

Restarts the Novell NetWare connections on the HP Jetdirect print server. If a print job is currently being processed, HP Web Jetadmin lets the print job finish before restarting the connections.

Restart IPX/SPX Stack Causes the IPX/SPX stack to go through its startup process.

Reset IPX/SPX Stack to Factory Defaults

Resets the IPX/SPX stack to the factory default settings, including removing the Printer Mode configuration and deleting any queues. It does not reset the IP information.

Device status The status of individual devices or groups of devices can be viewed to determine the current state of each device. The status feature allows many warning or error issues to be remotely resolved before they are detected by clients. Device Status can be enabled for lists devices, with a column describing the device condition, by selecting Status View from the list of predefined views or by adding the Device Status column to a custom view. The status of each device is displayed with yellow lines indicating a caution state and red lines indicating a critical state. Status can also be displayed for a list of devices by clicking Show Status on the view creation screen.

When used proactively, Device Status can be beneficial to the helpdesk by finding devices with errors before clients experience problems and call the helpdesk.

Alerts Alerts are a very powerful and frequently used feature of HP Web Jetadmin that provides proactive notification. E-mail message alerts may be sent whenever certain predefined events occur. For example, error or warning conditions on devices, such as paper out or toner low, can prompt e-mail messages to be sent that contain detailed information pertaining to the condition, allowing the recipient to act upon that condition immediately. Receiving early notification of device events allows administrators to correct problems before they impact client productivity.

Toner low alerts

With devices that feature the HP Embedded Web Server, toner low alerts can be sent at various thresholds. Setting the alert threshold at 20%, for example, can be valuable for individuals who order print cartridges and require advanced warnings that toner is running low.

Page count alerts

You can also receive notification whenever a particular engine page count is reached on a device. HP Web Jetadmin allows you to set threshold page counts and interim limits, and both administrators and users receive e-mail notification when page-count limits are reached.

Configuring alerts

HP Web Jetadmin allows you to select which devices will be monitored for alerts and to configure which events will be monitored for each device. HP Web Jetadmin will attempt to provide the message that appears on the control panel of the device in order to provide specific information about the event in the e-mail message.

For each alert type monitored, it is possible to configure the Time to Ignore Duplicate Alerts, a parameter that can dictate how often a particular alert e-mail is sent. For example, an administrator may only want to be notified once per day that toner is low on a device, but may want to receive a notification every time paper has run out in a device so that it can be refilled promptly.

In addition, Ignore First Alert may be selected to eliminate any e-mails from being sent until the Time to Ignore Duplicate Alerts time period has passed and the condition still exists. For example, while an administrator may not wish to receive an e-mail alert whenever a user simply opens a printer cover and closes it again, the administrator may desire an e-mail alert if the cover has remained open for several hours. You can even enter different time values for Ignore First Alert and Time to Ignore Duplicate Alerts.

Personalized settings Personalized settings for individual devices can also be copied from one device to others by selecting Alerts, Copy Settings. This is a cut and paste method that allows you to quickly copy personalized settings to many devices without having to individually configure each device separately.

Select recipients to receive alerts

You can select who receives e-mail alerts. E-mail accounts can be entered to receive all alerts for a single device, or individual accounts can be specified to only receive messages for unique alerts that occur on a device. For example, Toner Low alerts could be sent to someone in charge of ordering supplies, while device error alerts could be dispatched to a helpdesk or service desk.

Language preferences can also be associated with particular e-mail addresses, and the same alert message may be sent to different people in different languages. HP Web Jetadmin also offers the ability to assign different content lengths of e-mail messages to different types of events. The different content lengths include:

Mobile A brief text message designed for e-mail-enabled mobile devices such as pagers. This message contains the event, the device name, and the URL for browsing to the device’s status page.

Concise A brief message that contains the event, the message that appears on the front panel, the device name, a link to the device’s status page, and the name and e-mail address of the person to contact.

Verbose A detailed message that contains all of the information in the concise message as well as detailed device information. Verbose is the default category that is assigned to alert types.

Custom A user-defined message that may contain any available parameters in any order.

Enhanced print job management capabilities

Print queues

At one time, print administrators focused much of their efforts on managing jobs that users sent to devices. Although today this constitutes only a small percentage of network device administration, it continues to be an important function. The high volume of printing tasks that current network devices must process requires an effective solution for accommodating print job priorities and resource requirements. HP Web Jetadmin may be used to ensure that jobs flow smoothly through network devices and to implement changes with minimal impact on user productivity.

HP Web Jetadmin can create shared printer queues on a remote machine to help ease a task that administrators face on a regular basis. Print queue creation is supported with the following network operating systems: Microsoft Windows 2000 and XP, Linux, UNIX®, and Novell NetWare.

HP SNMP Trap Generator Plug-in

The HP SNMP Trap Generator Plug-in is a universal alert notification module that allows a customized and comprehensive HP Web Jetadmin alert to be forwarded via an SNMP v1 or v2 trap to an Enterprise System Management Tool capable of receiving and processing SNMP traps.

An SNMP (Simple Network Management Protocol) trap is typically defined as an industry-standard notification event issued from a device to the network management station when a significant event occurs (not necessarily an outage, a fault, or a security violation). The trap produces one-way SNMP communication, which can significantly reduce the need for random status polling of the device and reserves valuable network bandwidth. Although a printer-produced SNMP trap is a simple event notification mechanism, it is not always comprehensive enough to determine the most appropriate or efficient course of action. When HP Web Jetadmin receives a trap from a printer, it launches an SNMP information request process designed to gather additional device information and serve as the content for a more comprehensive HP Web Jetadmin generated alert. Now, with the HP Web Jetadmin SNMP Trap Generator, this alert can be forwarded as a SNMPv1 or SNMPv2 trap. Plus, even though SNMP is a connection-less protocol, which means that traps can be missed by the SNMP management station, you can configure HP Web Jetadmin to check device status at defined intervals and get the information you need about your printers.

HP Authentication Manager Plug-in

The HP Authentication Manager Plug-in allows administrators to secure device functions via different log-in methods for each function. For example, the copy function could be restricted via an access code or PIN, while the email sending function is restricted with a username and password.

MegaTrack Agent (MIPA and MIPA Pin) by Capella Plug-in

The MegaTrack Agent (MIPA and MIPA Pin) by Capella Plug-in provides job tracking and security solutions fully integrated with HP Web Jetadmin. The MegaTrack Agent (MIPA) and MegaTrack Agent with PIN-code access (MIPA PIN) can purchased from Capella through the Additional Solutions link available in HP Web Jetadmin.

The MegaTrack Agent provides the ability to record and monitor printer and MFP activity directly at the device, enhancing accountability and allowing the ability to assign costs, forecast expenses and target waste and abuse. The MegaTrack Agent with PIN-code access provides the ability to promote both security and personal accountability. When installed on MFP devices, Megatrack Agent PIN can be used to track copying, faxing, and scan-to-email functions. The PIN-code access can be used to control costs and abuse by prohibiting unauthorized access. Both agents can be easily installed on at the device and managed by HP Web Jetadmin.

HP language pack plug-ins

With language pack plug-ins, HP Web Jetadmin is a global peripheral management software utility that may be used in twenty different language environments. HP Web Jetadmin consists of two separate pieces: the software executable and language packs. Each language pack consists of the translated user-interface dialogs (strings and bitmaps, for example). Language packs are plug-ins that may be downloaded from HP at www.hp.com/go/webjetadmin.

The separation of the software executable and the translated user-interface dialogs has an important impact on the way HP Web Jetadmin works in a multilingual environment and maintains consistent functionality. You only need to install the software one time on a single host machine, choose which languages you want to support, and then install those language packs.

A multilingual HP Web Jetadmin provides the following benefits:

• You only have to install the software once, and do not have to specify a language.

• Since there is only one device cache, you do not have to synchronize multiple device caches.

• With only one copy of HP Web Jetadmin to perform discoveries, rather than multiple copies running multiple discoveries to find the same devices, network traffic is reduced.

• If you have a multilingual or global workforce, employees can work in their preferred languages.

Note HP Web Jetadmin supports twenty languages and always tries to display consistent languages. However, each device that HP Web Jetadmin manages may support a different set of languages. As a result, HP Web Jetadmin may display different languages on the same screen.

Security

Because HP Web Jetadmin can be accessed from nearly any Web browser and installs and configures devices, it must be able to secure itself against unwanted access. HP Web Jetadmin not only safeguards itself against unwanted users, it can also protect the devices it manages from unwanted access. Securing devices is important for many reasons, including:

• Reducing printer down-time • Reducing helpdesk calls • Minimizing troubleshooting visits • Minimizing supply usage

HP Web Jetadmin offers several levels of authentication and privacy to secure devices and itself against unwanted access. A firewall protects the internal network from external access, and is the first defense mechanism that ensures against unwanted Internet users browsing to an installation of HP Web Jetadmin.

HP Web Jetadmin offers additional security to ensure only desired users within the intranet have access to HP Web Jetadmin. These are described in the following sections.

HTTP port To keep unwanted users within the intranet from HP Web Jetadmin, the HTTP port number can be changed. HP Web Jetadmin defaults to using port 8000 in order not to conflict with any other Web service on the machine that may be using the typical port 80. However, the port number can be changed by the administrator to any desired number.

SSL/TLS HP Web Jetadmin can encrypt information passed between a browser and HP Web Jetadmin’s host machine (such as passwords) using HTTPS. SSL/TLS is enforced with a low encryption level by default, but you may increase the encryption level or disable SSL/TLS if you wish. The default HTTPS port that HP Web Jetadmin uses to communicate with Web browsers is 8443, but this may be altered. SSL/TLS uses a certificate in the encryption process. Use this option to manage HP Web Jetadmin certificates. The certificates reside on the HP Web Jetadmin host computer.

MFP authorization and authentication capabilities

HP Web Jetadmin provides the ability to secure and manage MFP authorization and authentication capabilities on a fleet-wide basis. HP Web Jetadmin provides the ability to configure LDAP, Kerberos, and PIN authentication methods.

Allow list You can determine which IP addresses can and cannot access HP Web Jetadmin with an allow list. Unless specified in an allow list, all machines may access the software. Following are three different options that you may choose when compiling an allow list:

None—Open to All Clients

Any machine may access HP Web Jetadmin. IP addresses specified in Allow HP Web Jetadmin Access or Deny HP Web Jetadmin Access are ignored. Although any machine can access HP Web Jetadmin, all other HP Web Jetadmin security features, such as profiles and device passwords, remain in effect.

Allow then Deny HP Web Jetadmin processes the IP addresses in Allow HP Web Jetadmin Access and then processes the IP addresses in Deny HP Web Jetadmin Access. If an IP address is specified in Allow HP Web Jetadmin Access, but not in Deny HP Web Jetadmin Access section, that machine may access the software.

Deny then Allow HP Web Jetadmin processes the IP addresses in Deny HP Web Jetadmin Access and then processes the IP addresses in Allow HP Web Jetadmin Access. If an IP address is specified in Deny HP Web Jetadmin Access and is specified in Allow HP Web Jetadmin access section, that machine may access the software.

Profiles and NT domain users You may use either profiles or NT domain user logons to authenticate users. HP Web Jetadmin 8.1 integrates Apache authentication, as well as server-side NTLM, to authenticate users when they log in to HP Web Jetadmin. You can create profiles with assigned passwords, to prompt users for a profile password at login.

Profiles and passwords

Profiles determine which elements of HP Web Jetadmin various users can access. For example, you can use profiles to prevent unauthorized users from changing system-wide settings, starting discoveries, and creating device groups.

Assigning a password to a profile prevents unauthorized users from performing the tasks allowed for that profile. For added security, you can require that users change their profile passwords on a regular basis. All profile passwords are protected using HP’s secure credentials store.

Windows NT domain users and groups

By associating Windows NT domain users and groups with profiles, HP Web Jetadmin prompts users for their Windows NT domain user name and password when they log in.

Device-level security While an installation of HP Web Jetadmin contains several methods for securing itself against unwanted access, devices may still be configured with other installations of HP Web Jetadmin or other SNMP utilities. For example, configuration of a device can be accomplished through a variety of utilities including:

• HP Web Jetadmin • HP Install Network Printer Wizard • Telnet • HP Embedded Web Server • Any SNMP utility • Communicate securely with devices supporting SNMPv3

With all of these avenues for potentially changing device configuration, setting security at the device level is the surest way of restricting access to the device. Users can access devices in a variety of methods, but setting security at the device level is effective no matter which technique is used to access the device. There are several security mechanisms that can be enabled with HP Web Jetadmin to guard against all forms of access, including:

• Upgrading HP Jetdirect firmware to the highest level • Disabling all unused protocols • Specifying an administrator password • Specifying an SNMP Set Community name • Locking the control panel

Other security features Device group password Prevents unauthorized users from making changes to an HP Web Jetadmin device group.

Embedded Web Server Password

Provides proactive notification of devices that do not have an HP Embedded Web Server password set

SNMPv3 Secures communication between HP Web Jetadmin and network print servers or peripherals.

Set Community Name A community name is a password used to perform SNMP Set and Get operations, which allow you to configure a print server or peripheral.
