Trail Ride – Planned for an October 2013 weekend. We’d like to see this event rotate around to different areas where members live. Karen Rogers is willing to host the event in Stockbridge on dirt road trails, expected to be about a 3 hour ride. Date set for Saturday, October 12, 2013, with a rain date of Sunday the 13th.  More details will follow as we get closer.

Gymkhanas –2013 Pointed Gymkhana dates to be:  June 2nd –Carter’s Arena, Brandon; September 2nd – Rutland Fair Grounds; September 29th – Carter’s Arena, Brandon.

Instate shows – any open/all breed show held in Vermont or run by a Vermont organization.   Regional shows – Any ApHC approved show  Reminder that as a member, you should volunteer to help at, or participate in, club events and must attend one meeting to qualify for year end awards. We need more members working gates, helping in the ring, handing out ribbons, setting up obstacles, etc. There are volunteer sign‐up sheets here tonight

Page 15: GREEN MOUNTAIN APPALOOSA HORSE CLUB

for all club events. You may also be called on at events, to help out, please do so. Discussion was held on the requirement to compete in our show in order to qualify for awards in the Instate category. The consensus was that it is too hard to enforce with the option of only one show. If there was an illness of any kind – animal or human, or a work schedule conflict, you would be penalizing the club members you already have, who most likely be there anyway.  Show Rules and Point System for 2013: No changes were proposed.

New Business:   Deb reported the thoughts of the membership at the fall meeting in regards to some minimum safety requirements for participants in the Gymkhanas. The proposal is:  Minimum age to compete in the A Division (Pee Wee) be 3 years old, so the Pee Wee division will be 3‐7yrs (as of January 1st). Also, any rider in the A & B Division will be required to wear an ASTM/SEI approved riding helmet while mounted. There was no opposition to these new requirements, so they will be instituted at the June 2nd event.  There was no other business brought to the body of the membership.

Meeting adjourned at 7:00PM for the Silent Auction and Awards Banquet.

Respectfully, Deb Danforth  Secretary

General Membership Meeting 11/10/12 – Old Chapel,CSC, Castleton, VT

Meeting called to order at 4:10PM. There were 9 members in attendance.

Secretary’s report was not read as it was printed in the newsletter.

Judy gave the Treasurer’s report for George: $6985.54 in checking. Accepted as presented. The deposit for the Labor Day Gymkhana was $884.00; the Extreme Trail was $790.00; and the Benefit Gymkhana was $366.00.

The year‐end final point standings were available in hard copy. Please submit your award requests/suggestions to Debbie by 1/15/13.

Discussion of 2012 events:    Tack Auction fundraiser – We held 1 auction this year for fund raiser on March 23rd at Pownal School, it raised $373.15. They don’t cost us anything to run as we can use the school for free. We plan to hold another auction in the spring 2013, possibly in the Castleton area.

Instate Show – The show this year was fun, but smaller than we would have liked, barely making money. It appears that events everywhere were down this year. We discussed plans for an open show again in 2013. Sonja recommended we go back to Rutland. We will ask Dot if she will come back on board with running the show in Rutland and try for the June 16th date. We will explore the VHSA affiliation option again as well.

Gymkhanas – These seemed to be down in entries as well. We will plan the same three events again for 2013.

Trail Ride – Held October 13, 2012 at Down the Hill Farm in Woodstock. There were 8 riders, who rode through the Mt Tom National Forrest trails. The trail was shady, so it was a little cold, but fun just the same. Karen Rogers has volunteered to explore a trail ride in the Stockbridge area for next year.

The Extreme Trail Competition held September 8th at the Rutland Fair, worked well and made money. It was recommended we do more of these next year.  ACFFD has asked that we consider running one during their fair, on Wednesday, August 7, 2013. It would start around 5:30 and they would provide lights to continue the competition after dark. We would split the profits. We would like to offer three divisions next year:  youth, novice and open, with paybacks ($75, $50, $35) first thru third and ribbons thru 10th. We could get the info to them for inclusion in their Fair booklet and promotion. We will offer our own competition during the Rutland Fair again, the second Saturday, September 7th.

Nominations/Election of Officers and Directors:  Judy/Jan, passed unanimously.   Nominated and elected to the officer positions were –

President – Jennifer Baker‐Kenentt Vice President – Jennifer DuPrey Secretary – Deb Danforth Treasurer – George DuPrey

Nominated/elected for the director positions were:  Jan/Judy, passed unanimously.   2 Year Director – Lindsy Danforth   3 Year Director – Charlie Cole   2 – 1 year Directors –  Jan Lingner and Sonja Blanchard

Page 19: GREEN MOUNTAIN APPALOOSA HORSE CLUB

Banquet Plans: We have the date of March 16th at the Middlebury Legion. Once again, we will combine it with

the Spring meeting. We decided we would change the order of the meeting, to eat first, hold the meeting, and then do the awards. We will have a 50/50 Raffle and Silent Auction along with the Pot Luck dinner and cash bar. A flyer will be sent out and posted on the web site. We will need an RSVP from everyone planning to attend so we can plan the seating and food. Guests are welcomed. Jan has volunteered to do another picture slide show again this year. Please get your photos to Jan by January 31st.  You can enail them to Jan:  [email protected]. Awards were discussed, we will spend $30/$15 per award and do certificates again instead of ribbons. Please get your award requests to Debbie by January 15th.

There were no Scholarship applications submitted. The funds will be held over and added to next year’s amount, if there is an applicant next year.

No Sportsmanship Award nominations have been received.

New Business: Discussion continues with ways to increase volunteerism within the club. This could be at the auction, the banquet, the trail ride, as well as the competitive events and include tasks like setting up/picking up tables and chairs, handing out ribbons, gate keeping, ring crew, etc. We would like to have members participate, volunteer to work at least 2 hours, or attend a membership meeting to fulfill the requirements for year end awards. This will be proposed to the membership for discussion at the spring meeting.   There have been situations that have risen at the Gymkhana, that indicate additional regulations are needed. A number of people (members and nonmembers) have commented on the lack of safety regulations for youth. After discussion, we will propose at the spring meeting, the following rule changes:  Minimum age to participate in the A Division is 3 years, so the A Div will be riders 3‐7 yrs (as of January 1st). A & B Division riders will be required to wear an ASTM/SEI approved riding helmet while mounted. Karen/Judy also recommended that the entry fee be raised for the Gymkhanas to $20 for nonmembers. (from $18) Karen also suggested that we try some Jackpot Barrel classes that are open to all for an additional $10 fee and the payback would be 50% to the first three places. We could do the same for youth with a $5 separate fee. Certainly something we can try in 2013.  There are a few housekeeping changes to the by‐laws that need to be taken care of.   Article II:  Membership; Section 2. (a) Junior membership – Annual dues shall be $10.         (b) Individual membership – Annual dues shall be $10.         (c ) Family membership – Annual dues shall be $15.

Article IV:  Board of Directors; Section 5. There will be a maximum of 6 meetings of the Board of Directors each year.

Sonja asked about the non‐App awards for the Instate Show Division. Should the youth divisions be combined for awards? It was decided not to combine just yet, but to do more in the way of promotion to get more participants in the non‐App category.  Meeting adjourned at 5:30 PM.

Respectfully, Deb Danforth  Secretary
