Dear Valued exhibitors N.C.C. Exhibition Organizer (NEO) has specially prepared this Information & Order manual to support exhibitors with their preparation for this prestigious event PEA presents EcoLightTech Asia 2015, C-Tech Asia 2015, and SolarTech Asia 2015. Exhibitors are kindly requested to read the manual carefully in order to be familiar with the preparations and procedures of the event. For your own convenient, exhibitors should strictly follow the deadline & regulation stipulated in each order forms. Rates quoted are current. Every effort shall be made to maintain them. The Organizer and its associates reserve the right to adjust these rates due to fluctuations in cost of labor and/or materials prior to the exhibition dates. In such case, all exhibitors will be notified in writing. How to use the Exhibitor Manual to increase operation effectiveness
• Be familiar with the show and material order deadlines. Money will be saved if you order your booth services by set deadline stated in all forms.
• Custom clearance regulations are strict in Thailand. Incorrect/inaccurate
declaration of either weight or value of exhibit items brought into a country will cause a delay or more money spent. Missing paper work is unacceptable by a custom. Thus, it is very important to be cleared with shipping information.
• Make a list of things that you need. If things that you need are absence in the forms, you may inquire directly to organizer

During exhibition period, exhibitors are welcomed to enter the hall one hour before opening, and can stay up to one hour after the closing time to check on their stands and exhibits.
Admission for Trade Visitors
Admission is free for trade professionals, business visitors, holders of invitations and registered only. The Organizer reserves the right to refuse admission or to remove any person without giving a reason. This applies also during the building up and dismantling period. Pre-registered trade visitors and VIP guests can collect their badges at the pre-registration counter during show days.
Please be informed that PEA presents EcoLightTech Asia 2015, C-Tech Asia 2015, SolarTech Asia 2015 is an international trade exhibition, no children under the age of 16 are allowed neither as visitors nor exhibitors. All participants must be properly dressed. Shorts and slippers will be refused in entering exhibition hall.

time and remain not more than 1 hour after the closing time. 3. There is only one loading entrance located at loading Atrium. 4. Only trolleys must be used to move-in and move-out of any exhibits or decoration
items at the loading doors of the exhibition hall (Event Hall). 5. Exhibitors may finish all stand construction and decoration before midnight on
November 18, 2015. No further construction will be allowed after midnight as the area must be cleared.
6. Exhibitors are advised to commence packing their exhibits as soon as the exhibition ends on November 21, 2015, since 06.00 P.M. – midnight. Special arrangements have to be made in advance with the official on-site freight forwarders.
7. Exhibitors should keep products in booths and move products out as soon as the fair ends. In case of each exhibitor are not be able to finish dismantle the booth on time.
There will be extra charge 20,000 baht** / hour / hall. It must finish within midnight of November 21, 2015.
Exclusive of 7% vat and we except only in cash payment on the day.

Venue Information How to get to Queen Sirikit National Convention Center (QSNCC)
The QSNCC sits on New Rachadapisek Road, an arterial road running north-south between two of the city's main east-west thoroughfares- Sukhumvit Road and Rama IV Road. There is already excellent access to Bangkok's expanding elevated highway system, which strikes north to Bangkok International Airport at Don Muang and east to Suvannaphumi International Airport, as well as south and west over the Rama IX Bridge. The QSNCC is the only city center and has easy accessibility. In addition to many bus routes, you can easily take BTS sky train or subway station which is right in front of the Center.
Public Transportation By MRT Subway: Exit at Queen Sirikit National Convention Centre Station. By BTS Sky train: Exit at Asoke Station and take multiple choices to connect to
QSNCC, such as, taxi, bus or subway. By Bus: Bus number 136 and 185 By Taxi: Taxis are another convenient way to get to and from QSNCC
Personal Transportation Personal Car: There is extensive on-site car parking space for 1,500 vehicles adjacent to the center.

Electrical The center supply 380v/50 Hz three phases and 220v/50Hz single phase with approximately 10% fluctuation.

Exhibitors
and their staff will not be allowed in the exhibition hall after official hours. (b) All personnel in the exhibition halls must wear identification badges at all times. (c) If your displays are very valuable or sensitive and you wish to hire security
personnel to attend to your stand exclusively for off show hours, please complete Form 15 for security service required and return to organizers’ official security. Please note that you must not use your own staff or personnel from any other security agency.
(d) For security and safety reasons, exhibit movement in or out of the halls during the show hours is strictly prohibited.
Stand Cleaning During the exhibition days, the organizer will be responsible for the cleaning of shell scheme carpets and gangways daily. During the build-up and dismantling periods, independent contract or sap pointed by exhibitors are responsible for the removal of their own stand building/ dismantling material and rubbish.

Important Information Guidelines for Organizers, Contractors and Subcontractors: The QSNCC is committed to maintaining a facility in which all of our guests can be proud.
With your cooperation in adhering to the guidelines listed below, we can all benefit from maintaining the highest possible standards of security, cleanliness and quality for your event.
Restricted Area : For your safety, Fire Hoses, Exits, Lifts, Ramps and Public Areas must remain clear of any obstruction at all times.
Lease Area : Construction work should be done within the area specified in the lease agreement.
Floor Covering : For the protection of the QSNCC’s carpeting appropriate materials are needed to cover areas where painting and construction occur. Our staff will be happy to assist you with this important matter.
Paint Spraying : Paint spraying is prohibited in the building.
Electrical equipment: For your safety electric saws, welding and drilling equipment which emit sparks are not allowed to be used in the building
Identification : For the security of your event, all organizers, contractors and subcontractors must have identification. Please consult with the show organizer for assistance
Working Hours : Construction work and dismantling time must be in accordance with the lease agreement. Please consult with your show organizer for scheduled times.
Forwarding : Construction equipment is allowed to be transferred to the building only on set up and tear down days.
Cleaning : The following services are not provided by the QSNCC :- The collection and removal of waste materials produces or
created by exhibitors and contractors. The removal of oil spillage, paints and other stains and fluids
form the floors and walls of the Center. The removal and disposal of crates and stand fittings or
materials and other items abandoned within the lease area or at the Center by exhibitors or contractors
The cleaning of internal surfaces of exhibition stands, including exhibits.

Food / Drink :
Outside food / drink are not allowed into the Center unless approved by NCC M&D. Please contact you show organizer or our staff for details.
Smoking :
The QSNCC exhibit halls are no smoking areas. Smoking Zones will be provided. Please ask our staff for smoking zone locations.
Overnight Parking : Parking overnight at the QSNCC is prohibited unless authorized by Event Services Department.
The Management would like to thank you for your cooperation and hopes your visit to the QSNCC is enjoyable and profitable.

Rules and Regulations for the Exhibitor 1) Do not move, make any addition or any change to the Standard shell scheme. Should
you wish to do so, please contact the operation staff of NCC for further action. 2) Do not spray glue, glue or silicone on the wall panel. 3) Do not paint, spray-paint, or write on the wall pane. 4) Do not drill, nail, perforate, tack down, staple or cause any damage to the panel or any
parts of the standard shell scheme. Should you need to affix any exhibit or sign to the wall please contact our Operation staff.
In case of violation of the above rules, NCC Image Co., Ltd. in the capacity of official contractor, will be obliged to request the payment from exhibitor for any damage caused at the rate of 3,000 Baht/panel. Thank you and look forward to your full co-operation.
Remark : The Socket ,which given in the stand is not allow to use with any lighting.

REGULATIONS RELATED TO ELECTRICAL SERVICES
1 The standard shell scheme includes:
• 2 unit of Fluorescent 36 W. • 1 unit of 5-Amp socket point. (not for lighting) The above items are readily provided by Organizers. Additional requirements have to be ordered through Electrical Services Order Form.
(The details of electrical package for standard booth showing in the rules & regulation are still tentative, it would be varied on our further contract.)
2 Locations of lights and socket points in the standard booth are fixed locations and may not be moved. 3 The Electrical Services Order Form is divided into 3 sections: Section A : For Exhibitors requiring individual fittings.
Section B : For Exhibitors requiring electrical services for their exhibit only. (not for lighting)
Section C : For Exhibitor using their own special light fittings, either to be installed by themselves or by contractor. 4 The organizer has appointed the Official Electrical Contractor to be responsible
for :
4.1 Standard supply of electricity 4.1.1 - The standard supply is three phase AC 380V/50Hz with + 10%
fluctuation. For the safety of your equipment, please use a stabilizer.
- The standard supply is single phase AC 220V/50Hz with + 10% fluctuation. For the safety of your equipment, please use a stabilizer.
4.1.2 Other requirements such as single phase 110V/50Hz or three phase 220V/50Hz can be specially arranged for if requested in the electrical order form.
4.1.3 There are two main power supply circuits : “Lighting Power Circuit” and “For Exhibit Power Circuit”.
4.2 All electrical motors have independent automatic protection against
excessive current surge. The following starter systems should therefore be used : 4.2.1 Direct on line : up to 5 HP 4.2.2 Star delta : 5 to 25 HP 4.2.3 Auto transformer : above 25 HP

4.3 Power supplies to the exhibits will be switched off at source 30 minutes after the exhibition closes every evening and 60 minutes after close on the final day of the exhibition.
4.4 Exhibitors who require 24 hours electricity supply for their specific
requirements should indicate accordingly on the electrical order form before the deadline.
4.5 The two units of fluorescent lights and a 5-Amp fused socket point which are included in the shell scheme package includes electricity supply.
4.6 Cost of electricity consumption is inclusive in all items offered in Section
A, B and C (I+II) 4.7 All electrical installations must conform strictly to the required standard
safety regulations without exception.
5 Electrical Installation
5.1 General Hall lighting will be provided by Organizer. All electrical power supplies in the booths and for demonstrations must be installed by the official contractor. Exhibitors should complete the order form provided by the Official Electrical Contractor within the stated deadline. For safety sake, exhibitors are not allowed to connect their exhibits or lighting to the building’s main distribution. The Organizer reserves the right to stop power supply in case of improper connections.
5.2 All electrical installation works must be carried out solely by the
Organizer’s official contractor, or authorized electricians. 5.3 Exhibitors who will use their own contractors to install lighting in their
booth must submit the names of their electricians prior to the set-up days for authorization.
5.4 The contractors appointed by an exhibitor must submit details of
electrical installations, layout and specifications to the Organizer within the deadline indicated on the Order Form. The following requirements must be stated, otherwise, the application may not be considered. 5.4.1 Specifications and rating in watts/unit of the light fitting 5.4.2 Total units to be installed 5.4.3 Layout drawings of the electrical installation 5.4.4 Company name of the contractor 5.4.5 Names and identity card/passport number of the attending
electrical personnel 5.4.6 Electrical order form duly completed.

5.5 Approved electricians can collect their personal entry/working passes from the Organizer’s show management office in the exhibition hall, by providing their own identity card in exchange.
5.6 A proper power input terminal must be installed by the contractor for
inspection by the Official electrical contractor prior to connection to the supply line.
5.7 All socket points must be ordered through the electrical order form,
otherwise, no other socket point is allowed in the booth. 5.8 Priority will be given to those exhibitors who order their electrical items
from the Organizer’s official electrical contractor. 5.9 Any illegal connection/adaptation found will be disconnected without
prior notice. This will also include multi-outlet adapters and any extension from the socket point.
5.10 No flashing lights will be permitted unless they form an integral part. 5.11 Exhibitors who apply for “Space Only” or special designed stands must
submit their electrical order together with their layout plan before the deadline. An inspection on site will carried out before turning on the power supply.
5.12 All additional electrical orders in the electrical order form must show
location behind the form. Please read the terms and conditions stipulated on this form.
5.13 All electrical orders after the deadline will be subjected to :
5.13.1 Availability of electrical fittings and power suppliers 5.13.2 A surcharge of 10% after deadline and 30% for on site order 5.13.3 50% charge for cancellation of the order
5.14 Those exhibitors who have been approved to use their own special lighting must order electrical sources from the electrical order form either through Section C (1) based upon total power supply or using Section C (2) based upon the number of units of light fitting at maximum up to 100W or part therefore per unit of lighting fitting.
5.15 The organizer reserves the right to disconnect the electrical supply to any
installation, which in the opinion of the electrical consultants, is deemed dangerous or likely to cause annoyance to visitors or other exhibitors.
5.15.1 Exhibitor are not permitted to perform any electrical connection, to modify, amend or reinstall any out electrical devices with out consulting the official electrical contractor.

6 The official electrical contractor reserves the right for installation of electrical
supply system including all socket points which must be ordered from the official electrical contractor only. 6.1 Socket point : it is strictly prohibited for exhibitors to connect their light
fitting to the socket point. 6.2 Exhibitors are not allowed to connect their power exhibit and breaker for
lighting to the socket point by themselves.
7. According to the company is an official contractor for electrical services and power supply and standard shell scheme. The Company reserves the right to stand ready to cut off power in case of overload noise makes other people feel uncomfortable, or the company has been notified by the organizers to cut it. If participants do not follow the guide for attendees / regulations on the use of the premises to be strict. Participants will not claim damages from any and all participants display their work. Damages directly or indirectly.
The violation of these rules may result in the immediate disconnection by authorized agents.

Freight Forwarding & Shipping Information

1. DEADLINES
a. DOCUMENT DEADLINES:
The shipping documents must be sent to us not later than the deadlines given below or at least 3 (three) days prior to the arrival of vessel and/or aircraft in Bangkok.
- Sea freight: 22 October 2015 - Air freight: 29 October 2015
**2 originals and 3 copies of Bill of Lading/ Airway Bill, 3 originals and 2 copies of Commercial Invoice, 2 originals and 3 copies of Packing List, 1 copy of Insurance Policy and 1 copy of invoice for the premium if insured at origin** A pre-alert message via e-mail or fax, indicating consignment details such as the flight numbers, Airway Bill numbers, number of packages, weights and dimensions, is required to be provided to us upon uplift of the consignment. b. CONSIGNMENT DEADLINES:
- Sea freight: 29 October 2015 - Air freight: 5 November 2015
Consignment arrives after the above deadlines will be subjected to 30% Late arrival surcharges (based on the basic handling rate) to cover our extraordinary efforts to speed up clearance of your consignment before the show opens. But we will not guarantee delivery date for your late arrival consignment
2. CONSIGNMENT INSTRUCTION All exhibition goods dispatched either by sea freight or airfreight, shall be consigned "Freight Prepaid" as follows:

All documents such as the Bill of Lading and Airway Bill must show the consignee as indicated above. Shipment sent under ‘Freight collect’ term may not be proceed until we receive confirmation for the payment
3. CUSTOMS DECLARATION
All declarations in your Commercial Invoice/ Packing List must be in the English Language. A full description of the item must be given. To assist the approval of importation by Royal Thai Customs, please provide 2 (two) copies of descriptive/illustrative brochures together with your Commercial Invoice/ Packing List.
4. CONTROLLED GOODS Exhibitors are advised to contact us as soon as you have signed to participate for the exhibition as there are many items required for import license, to be approved before arrival of consignment in Bangkok. Failure to have import license available, a high Customs fine/ penalty will be imposed on exhibitors. Here are some items that require Import & Export license prior to their importation into Thailand for exhibition purpose: Communication Equipment, Defense Equipment (such as weapons, etc.), Electric Appliance (such as TV, lighting, etc.), Food & Beverage, Radio Equipment, Medical Equipment, Medicine, Motorbikes, Toys, Used Cars, Weighting & Measuring equipment, & all dangerous goods. All these goods must be re-exported at the end of exhibition.
Exhibitors are to furnish to us the details of the items such as brand, serial number, ingredients or materials made of for each item that you intend to import into Thailand at least 45 days prior to the arrival of shipment.
5. CASE MARKING/ STORAGE OF EMPTY & FUMIGATION

We will store your empty cases within the exhibition site under shelter during the exhibition if space is available.
For wooden cases returning to some European & Asian Countries at the end of exhibition, they will be required for fumigation before they can be exported as per import regulation of destination country. A fumigation fee will be charged to your account. (if required)
6. ATA Carnet
Exhibitor who wish to import their exhibition goods temporary into Thailand by using ATA Carnet document. Please make sure that the ATA Carnet is issued accordingly as below: On the LEFT hand side of ATA Carnet Cover Page:
Column B “Represented by”: APT Showfreight (Thailand) LTD, and,or any other Authorized Rep. Column C “Intended use of goods”, please listed all conditions that your Chamber of Commerce has committed under ATA Carnet: For example, ATA Carnet from France to list: “Professional, Exhibition Goods, Commercial Samples” in this column. On the RIGHT hand side of ATA Carnet Cover Page: Column C “Valid Until”: expiry date must have at least 6 months from date of arrival of goods.
At the bottom of ATA Carnet Cover Page Signature: Please make sure that the same person who sign on ATA Carnet, is the same person to sign on Power of Attorney. If there is any company seal/stamp on ATA carnet, the same company seal/stamp is also required on the Power of Attorney (See Appendix B), is required by Royal Thai Customs.

LANGUAGE: Please use only “ENGLISH” language in ATA Carnet.
As per customs regulation on ATA Carnet shipment, shipment MUST be packed and shipped separately from Permanent import items or different type of temporary import items. Please issue Commercial Invoice for Permanent import items. Separate HAWB/ HBL need to be issued for each shipment.
7. COURIER SHIPMENT Exhibitor who intends to send their small value of exhibition materials such as giveaways or brochures via courier services (DHL, FEDEX, UPS, etc.). As Thailand is not a “Free Port” country, all shipment import via Courier is subject to import duty/tax. In most of the case, the courier company will hold shipment at customs till arrival of delegates which may too late for in-time delivery for the exhibition. Our service fee for courier shipment as follows: a. Handling fee to co-ordination with courier company for your courier
shipment, to be delivered to our premise and arrange delivery to your exhibition stand: US$75.00 for shipment under 50 kg. For shipment above 50 kg, additional charge at the rate of US$ 40.00/50kg will be applied

Terms & Conditions of Security Service
1. Booth security service shall be solely provided by the security guards of the Convention Center. Any applicants (hereinafter called “The Exhibitor”)
who may wish other company to do such service a prior approval in writing shall be obtained from the N.C.C. Management & Development Co., Ltd.
(hereinafter called “The Company” ) / Event Services Department.
2. The exhibitor shall insure for the damage and loss of his / her property by his / her own cost.
3. The exhibitor shall inform the company in writing of the loss or damage of his / her property which is under the care of the security guards,
its value and damage, immediately upon the loss or damage or at least not later than the following day and shall cooperate with the Company
for the investigation and lodging the complaint with the competent authorities. If it is beyond the said period or the exhibitor ignores,
the exhibitor shall not be entitled to claim for any compensation from the company.
4. In case of occurrence of loss or damage of the property, the exhibitor agrees that the company shall not be liable to compensate to the exhibitor
if the security guards have performed their duties with such reasonable care as the case may be or have found that there is some defect in
keeping the property and a warning was made to the exhibitor.
5. Notwithstanding, in no event the company shall be liable to any compensation to the exhibitor exceeding 50% of the fee of the said booth security
service and the exhibitor shall produce evidence as follows :
5.1 The exhibitor is the owner of the property with the evidence that there was the loss property and the said property was kept in a proper
place preventing it from loss or damage and the exhibitor has complied with security regulations.
5.2 The loss or damage caused by burglary with evidence of traces of force or destruction of a barricade.
5.3 The theft caused by action or refraining from action of the security guards, whether intentonally or gross negligently.
5.4 The loss or damage was not caused by an act of the exhibitor or an employee or a dependant of the exhibitor, whether as principal
or supporter or by the negligence of such persons. or supporter or by the negligence of such persons.
5.5 The exhibitor is not be able to take the lost property back.
5.6 The exhibitor is not paid by the insurance company.
6. The company shall not be responsible for the damage or loss of such the following properties except otherwise agree upon in writing by both Parties e.g. bank notes, gold, gems/jewellery, antiques, valuable works of art, coins, blue prints, important documents, debt securities, securities

7. The exhibitor and the representative and the employees of the exhibitor shall adhere strictly by the advice of the security guards, requirements,
restrictions and regulations concerning the security set forth by the company.
8. If there is any obstruction causing deficiency in any of service herein the company will promptly correct it. However, the exhibitor shall not
deduct or reduce the service fee fixed hereby and shall not take as a ground for termination of the Contract or relating contracts and the
company shall not be liable to the exhibitor.
9. These terms and conditions are made in both English and Thai Languages. The Thai version shall prevail in the event of discrepancies.

1. Booth cleaning service includes: floor cleaning with a vacuum cleaner, mop, broom, empty and clean all waste paper

2. Booth cleaning service does not cover removal of oil spillage, paints and other liquids deposited on the floor, walls
and other surfaces.
3. Placing of Orders: Orders will only be accepted when made in writing and accompanied with full payment no later than
the DEADLINE. Payment by Electronic Wire Transfer must be certified by a proof of payment attached to orders.
4. Deadline for Orders: All orders shall be placed with Event Services Department no later than the date specified
in order form.
5. Late order may not be provided and, if available, will be subject to a surcharge with full cash payment.
6. Cancellation of Orders: Cancellation of orders will only be accepted when made in writing to Event Services
Department no later than 7 days prior to the commencement of tenancy period. Late cancellation of order is
subject to a charge at a half standard rate.
