Executive Board and General Business Session

I. Call to Order The Executive Board and General Session of the State Convention of Delta Kappa Gamma Society International, Alpha Gamma State was called to order at 9:00 a.m. on Saturday, April 2, 2011 by Alpha Gamma State President Sandra L. Smith (Xi). Zina Knight (Xi) gave the Inspirational Thought by reading In My Garden by Marian Jones. The Welcome was given by Convention Chair Kathy Zwanzig (Xi). State Second Vice President Karen Martin (Upsilon) responded to the welcome and spoke of the glittering creativity from Friday night events. Introductions of the Head Table were given by President Sandra L. Smith (XI) and included Corresponding Secretary Stephanie Greathouse (Theta), Treasurer Joyce Miller (Alpha Delta), First Vice-President Jane Thompson (Beta), President Sandra L. Smith (Xi) Parliamentarian Ramona Jeffries (Mu), Recording Secretary Pascal Bailey (Mu), Second Vice-President Karen Martin (Upsilon), Convention Chair Kathy Zwanzig (Xi), and newly appointed South East Regional Director Libby Watson (Alabama).

Roll Call was read by State Recording Secretary Pascal Bailey (Mu). Seven past state presidents, seven state officers, and 21 chapter presidents or their representatives were present constituting a quorum for the Executive Board Meeting.

Minutes of the 2010 Alpha Gamma State Convention were presented in Convention Reports book and there were no corrections. Mary Cat Flath (Epsilon) moved to accept minutes as printed and was seconded by Priscilla Roberts (Upsilon). The motion carried.

Treasurer’s Report was presented by State Treasurer Joyce Miller (Alpha Delta) indicating a cash balance of $10,550.37 and total assets of $190,555.04. Year to Date State Scholarship Fees/Contributions is from Sara Rives, Ethel Parker, and Gertrude Collins interest. South East Regional Convention seed money $9029.04 and there are scholarships available. There is a need to find ways to access our monies. The treasurer’s report was approved and a motion was made to accept it by Lucy Riffle (Zeta) and seconded by Sue Story (Mu).

State Corresponding Secretary Stephanie Greathouse (Theta) presented correspondence for year.

II. Committee Reports A. Society Business Committees

Expansion Chair- Jane Sykes (Omega) was absent, but submitted a written report for Book of Reports

Leadership Development Chair- Kathy Zwanzig (Xi) submitted a written report and noted there would be invitations later in meeting.

Finance Chair- Karen White (Chi) began her report with a moment of silence for our beloved Jean Baugh (Xi) former State President and State Treasurer. She then reported that membership is in decline and income is based on this. The Finance Committee had to cut expenses such as Nancy McClure Leadership funds. The Finance Committee proposed that in Standing Rule 4 Finances 5 the State shall allocate a maximum of $700 for State First and Second Vice Presidents and State Editor and $500 for State Treasurer. Money is to be used to attend Regional Conferences and International Conventions. The money is to be taken from the income of Nancy McClure Leadership Fund each

year and supplemented by the budget if necessary. Motion passed Executive Board, and General Membership Motion Passed. The Finance Committee proposed the following changes in Standing Rule 8:

1. Remains the same-The principal of the Nancy McClure Leadership Fund shall remain invested.2. The income (interest, donations, fundraisers) to the Nancy McClure Leadership Fund shall be

used to help defray the expenses of Alpha Gamma State’s first vice president, second vice president, editor, and treasurer to attend Regional Conferences and the International Convention.

3. The first and second vice presidents, editor, and treasurer shall send a copy of expenses incurred in attending Regional Conference and International Convention to the State treasurer postmarked no later than August 15.

4. The State treasurer will reimburse the first vice president, second vice president, and editor $700 each and the treasurer $500.

5. Any income not used to defray expenses of first and second vice presidents, editor and treasurer shall be added to the principal. Motion passed Executive Board, and General Membership Motion Passed

The Finance Committee decided upon $100 donation to the International Emergency Fund in memory of SE Regional Director Elizabeth N. Garner and the donation was approved by Executive Board. The Finance Committee proposed that the proposed budget 2011-2012 be approved with all of the cuts which include Hospitality and US Forum with hopes that scholarships can offset them. By-laws and Standing Rules won’t have to be printed as they will be available on line. Questions included the availability of Directory on line and non-dues revenue. Joyce Miller (Alpha Delta) proposed a change in Standing Rules 6 where as a marketplace/educational fair may be held at the State Convention and/or Fall Workshop. Members or non-members may be vendors. Revenues will be added to general funds and Executive Board will approve items. Motion passed Executive Board, and General Membership Motion Passed. Motion passed Executive Board for approval of proposed budget, and General Membership Motion Passed. Joyce Miller will continue to be State Treasurer and Shelia Wilkinson was recommended as State Assistant Treasurer as Marilyn Hughes asked to be replaced.

Membership Chair- Karen Martin (Upsilon) reported that membership remained about the same at 1224 and most chapters returned surveys. We have two chapters with less than 20 members and ten chapters with less than 30. All members were invited to Memorial Service in the morning.

Nominations Chair- Karin Edgington (Upsilon) proposed the following candidates:For President Jane Thompson (Beta) For 1st Vice President Karen Martin (Upsilon)For 2nd Vice President Pascal Bailey (Mu) For Recording Secretary Kathy Zwanzig (Xi) For Corresponding Secretary Stephanie Greathouse, (Theta)

Sue Story (Mu) made the motion to accept the slate and Pricilla Roberts (Upsilon) seconded motion. General Membership voted and motion passed.

B. Program of Work CommitteesProgram Chair- Jane Thompson (Beta) State First Vice President reported on current issues and needs and gearing meetings that direction. For example those who cannot attend, see if they’ll work on project. Members needed to feel needed. New teachers need all types of support such as budgeting, help with money, visit with them, see what they care about, see what they are doing, what can we do to keep Teachers teaching. How can we support them?

Personal Growth & Services Chair- Mary Cat Flath (Epsilon) reported that she had received reports from 20 chapters and she submitted an additional report today with three additional chapters. She

suggested we take time to read about what other chapters are passionate about and see if there is something that could be used for your own meetings. Volunteer awards will be presented at luncheon. President Smith reminded up to keep up with those volunteer hours.

Professional Affairs Chair- Lisa Cain (Xi) gave report to keep people abreast of current affairs such as Reauthorization of Elementary and Secondary Education Act, Charter School, Early Education Assessment and Intervention, School Dropout, At Risk Schools, Educator Evaluation, and Education Principal Selection.

Research Chair- Janice James (Xi) reported on educational excellence and society business. She encouraged us to help build early educators and her report includes summaries of what some chapters are doing and more information about Teachers Helping Another Teacher (THAT). She distributed a survey and requested that we complete and return as soon as possible,

C. Educational Services CommitteesCommunications Chair- Susan Cross (Mu) reported that 24 chapters submitted at least one article for the Alpha Gamma State NEWS. The next deadline is May 1st. Jane Thompson and Karen Martin were commended for their articles and we were reminded to visit the International website as well as our state site. We were encouraged to continue to send information.

World Fellowships Chair- Karen Martin (Upsilon) said there were no formal reports this year, but she encouraged us to continue to be generous to programs such as schools for Africa and Tom’s Shoes.

Scholarships Chair- Judy Lester (Nu) reported there were two applicants this year. She made a motion to grant the requested scholarships and fund from interest generated by the scholarship funds. Motion passed Ex Board, and General Membership Motion Passed.

Music Chair- Shelia Wilkerson (Mu) got us up and moving by singing “I’m In Delta Kappa Gamma” to the tune of “If You’re Happy and You Know It” and “Put a Little Music in Your Life” with hand motions.

D. Special CommitteesRules Chair- Lynn Werner (Omega) provided a packet for each chapter to revise rules. There were no rules reviewed 2010 due to international changes and she suggested that no chapter finalize their rules until State has aligned with 2010 International revisions. She suggested we obtain a new copy of constitution and made a motion to give new rules committee permission to completely align Alpha Gamma State Rules to correspond with 2010 International rules. Lucy Riffle (Zeta) seconded the motion, general membership voted, and motion passed. Werner also moved that during this transitional time, the new state president be allowed to use our existing committee old or new one or a blend. Motion passed general membership.

History Chair- Lucy Riffle (Zeta) suggested we see her report in Book of Reports.

Hall of Fame Chairs- Sue Story (Mu) & Charlotte Benton (Omega) reported that our 2011 recipient has very actively served Delta Kappa Gamma since 1984. She has worked on Chapter, State, International committees. She served as Second vice president, first vice president and finally as our Alpha Gamma State President 1997-1999 Donna Smith Goodin. Donna graciously thanked everyone and especially her sister Tina Shawler (Xi).

Technological Services Chair- Stephanie Greathouse (Theta) offered a time of the day suggesting Open Office as a great option to Microsoft.

Strategic Action Plan Chair, ad hoc- Donna Goodin (Xi) provided everyone with a copy of the draft of Alpha Gamma state 2011 Strategic Action Plan. Using the 1998 plan, the committee met to develop a strategic action plan draft. Please read it and send comments and corrections by April 10, 2011. They will meet again and submit a working draft.

U.S. Forum Legislative Report Chair- Judy Ihrig (Upsilon) had nothing to report.

2011 SER Conference Chair- Susan Cross (Mu) gave an update on progress. She was very excited about the sessions on Anti-Bullying by Jody Blanko. The Steering Committee will meet 2:30-3:30 today to give updates. She suggested we fill out forms to register EARLY, fill up and book room here ASAP, and Fill in wherever you are needed. We are planning for 550 attendees and Donna Goodin (Xi) recommended booking tours as well. Ramona Jeffries (Mu) requested volunteers and items for hospitality.

State President’s Report- Sandra L. Smith (Xi) began report with a video of Jensi Souders presenting an invitation to SERC. This video is being shown at all state conferences in southeast. She thanked her state officers and shared about what she has seen and done in her years as Alpha Gamma State President. Educational funding is going away and she has appreciated how much DKG chapters have done for new chapters. Last year, she has experienced an overhaul of our Rules and we are beginning to work on the Rules for our State. She encouraged us to keep up the good work!

Introduction of Special Guest by Alpha Gamma State first vice president Jane Thompson (Beta) said Libby Watson has only recently been appointed Southeast Regional Director. We like that she has asked us to “take care”. She was a kindergarten teacher and past state president. Her husband is from Kentucky and she inspires and humbles.

Greetings/Update from International from Libby Watson, Southeast Regional Director said that she obviously had mixed emotions taking on her new role. She praised Elizabeth Garner on Excellence and she had a vision and we will realize that vision. She asked for continued support to inspire and enrich during SERC. She brought greeting from International President Dr. Jensi Souders and a message of Embracing our vision. She said that our vision begins with each chapter and member, from the bottom up. When our impact is added up, it is inspiring. Once our members realize the vision, we can have educational excellence. She reminded us that outstanding resources have been established for Kentucky. Early career educators are a new focus and we have to keep them working in the profession. We also need to keep a sense of global awareness. Check website as new information is being added daily. For Delta Kappa Gamma, she suggested that a new focus must be on retaining members and then gaining members. We have to educate them so they will value their membership and stay with us. Don’t forget to use online sources for orientation and re-orientation. On line resources are a great source for handbook, Rules, etc.Our For Members Only network is encouraged and we should try to make it your homepage. We all have a vision and share it. Jensi wants us to send her our success stories.

III. Unfinished BusinessProposed motion form Technology Committee to change the committee from Ad-hoc to permanent committee. There was no discussion and the motion passed general membership.

VI. Announcements by Convention Chair- Kathy Zwanzig (Xi) reminded us that the luncheon would be in Ballroom 4 and to bid, bid, bid on baskets. Breakfast at 7:30 in the morning.

Expansion Committee Report

The Expansion Committee met through email and telephone.  No official meetings have taken place.  More activity will occur during the second part of the biennium.  Geographical data is being gathered by the State President to look at our presence throughout the state.

The Past State Presidents are becoming a support group for Expansion and Leadership Development and will be inducted at Convention.  Their charge will be to help chapters that are struggling and to assist small chapters expand their membership base from areas where DKG has no presence. Respectfully Submitted by Lisa Cain, Xi, Chair

Finance Committee ReportMinutes of the Finance Committee

February 20, 2012

The Finance Committee of Alpha Gamma State met February 20, 2012, at Joyce Miller’s home, Elizabethtown at 12 noon. Members present were: Marilyn Hughes, Karen White, Gail Gaddie, Sandra Rudolph, Shelia Wilkinson, and Joyce Miller, Treasurer. Jane Thompson, Alpha Gamma State President, was also in attendance. Zina Knight was not able to attend because of work.

Joyce Miller, Alpha Gamma State Treasurer, reviewed the Treasurer’s Report as of June 30, 2011, and February 15, 2012. A proposed budget for 2012-2013 was discussed item by item.

Marilyn Hughes shared information from The Delta Kappa Gamma International Finance Committee Report for Alpha Gamma State, KY. Eighteen of thirty-one chapters submitted Chapter Finance Committee reports.

The Finance Committee would like commend the chapter treasurers. All 31 chapters have completed the IRS form 990 filing.

The Finance Committee would also like to commend and express our deep appreciation to Joyce Miller for her hard work as our State Treasurer.

The meeting adjourned at 3 PM.

Educational Excellence Committee ReportMarch 31, 2012

The reorganization of committees at the international level has been adopted by Alpha Gamma State. Thus, the former committees included under the title of Program of Work, are all now included in the Educational Excellence Committee (EEC). Thus, this report will include information from the areas of program, personal growth and services, professional affairs and research. Each of these areas, while now combined, remain a vital part of the society’s mission. Much work has been accomplished in each of these areas and members of Alpha Gamma State are to be highly commended for their accomplishments.

In addition to the committee work above, the work of two other incentives are included in the work of this committee. The first is International’s Schools for Africa project. Through chapter programs and monetary donations, 18 of the 28 chapters who reported their work, had contributed to this incentive. While many different ideas were shared as to how funds were collected, two chapters had members who traveled through Africa give programs on their experiences, especially what these women had seen as to conditions found in Africa’s educational system. Such programs were truly informative and underlined the need for our support.

The second incentive which International is encouraging all chapters to embrace is the support of early career educators. Seventeen chapters reported that they had worked to support this incentive. According to reports, members had spent in excess of five hundred hours supporting these young teachers as they try to adapt to their work demands. Also, members had contributed over $4,000 worth of supplies and materials for these educators. Many chapters established grants or scholarships, while others gave new teacher bags, totes filled with supplies or gift cards for the educators to use to purchase supplies that they needed.

In addition to these two incentives, chapters reported work in the following areas:Programs: Chapter reports showed that chapters are conducting interesting programs that support the goals set forth by international. These goals include, increasing members’ personal and professional growth, excellence in education, increasing members’ global awareness, understanding the DKG/UN relationship, and impacting educational law and policy. Of these themes, increasing members’ personal and professional growth and excellence in education were the two that were used the most to focus programs in our meetings. Programs celebrated during the last two years, were broad in scope and interest. Guest speakers, learning about new educational practices, book discussions, health issues are all just some of the many subjects presented to members.

In addition to these goals set by international, many chapters have celebrated programs in honor of their founders to demonstrate our president’s theme, “We Are What They Were Then.” A complete list of program topics will be available to chapters after the convention.Personal Growth and Services: The sisters of Alpha Gamma State continue to spread their generosity throughout the state through the many projects that they sponsor. Many of these projects are on-going throughout the year as well as carrying over to other years. The following is a list of just some of the many worthwhile projects that Alpha Gamma State supports.

Supporting new/first year teachers. Donating clothes and funds to the New Opportunity School, Berea, KY Supporting a woman’s shelter to educate them about domestic violence. Donating totes for new teachers Grant-in-aid to a senior majoring in education Supporting the Wayside Christian Mission for Homeless children with school supplies,

books, magazines, hats and gloves. Establishing a classroom library for a kindergarten classroom.

Another aspect of personal growth and service, are the volunteer hours given by society members. This year, in an effort to recognize more chapters and individuals for their work, the chapters were divided into four categories, based on membership. At the time of publication of the Book of Reports, a few chapters had not as yet gotten their hours turned in. Several have promised that they are on their way. Their results will be added to the above chart when they are received. Unfortunately, due to the time constraints, decisions on awards must be made at this time. Despite this incomplete report, I feel that the sisters of Alpha Gamma State are to be highly commended for their selfless contribution of their time and services. Based on figures reported to date, Alpha Gamma sisters volunteered in excess of 185,000 hours. You are to be proud of your accomplishments.Professional Affairs: Despite the busy lives of both active and retired teachers, there are many issues before the legislature that require the attention of all educators. One way that members are kept abreast of legislative issues which may affect not only teachers’ work environment, but also the daily lives of both active and retired teachers, is through the publication of the U.S. Forum Connection which is published for members’ information. These issues not only inform members of legislation facing our lawmakers, but also give the names of legislators and their stance on many of these issues. A few of the laws of interest to Alpha Gamma State members are as follows:Safe Schools Improvement Act of 2011:

This act is designed to deal with bullying in schools. Safe Schools Improvement Act of 2011 (S.506, HR.1648) Amends the Elementary and Secondary Education Act of 1965 to require states, on an ongoing basis to 1) collect and report certain information on bullying and harassment by youth in their elementary and secondary schools and communities; 2) conduct, and report the results of, a needs assessment for bullying and harassment prevention programs; and 3) provide technical assistance to local educational agencies (LEAs) to: 1) include clear prohibitions against bullying and harassment within their discipline policies; 2) establish and monitor performance indicators for incidents of bullying and harassment, and 3) establish grievance procedures students, parents, and educators can use to redress such conduct. Directs LEAs to notify parents, students, and educators annually on: 1) the bullying and harassment prohibited by their discipline policies, 2) the numbers and nature of bullying and harassment incidents for each of their schools, and 3) grievance procedures for redressing such conduct. Requires:1) the Secretary of Education to conduct, and report on, an independent biennial evaluation of programs to combat bullying and harassment in elementary and secondary schools; and 2) the Commissioner for Education Statistics to collect data, that are subject to independent review, to determine the incidence and prevalence of bullying and harassment in elementary and secondary schools in this country. Violence Against Women Reauthorization Act of 2011It is in all our interests that the Violence Against Women Reauthorization Act of 2011 (S.1925) is passed. Another other things this act would expand the protection to include more protection for female college students on campus. GPO/WEP Update: Just prior to congressional adjournment in December (12/16/11), Senators John Kerry (D-MA) and Susan Collins (R-ME) introduced the Senate version of GPO/WEP called The Social Security Fairness Act of 2011 (S..2010), which would repeal the unfair Government Pension Offset (GPO) and windfall Elimination Provision (WEP). The bill was referred to the Senate Finance Committee. This bill is a companion to the House version (H.R. 1332), introduced 4//11 by Representatives McKeon (R-CA) and Berman (D-CA).

These are but a few of the issues being discussed and acted upon in our legislatures. It is up to us to police the actions of our lawmakers to protect not only our rights, but also the profession that we all value. Copies of all the U.S. Forum newsletters can be found on the DKG International website.

Finally, the Educational Excellence Committee would like to propose the following program to encourage chapters to actively communicate with legislators over those issues that are important to educators. This program will encourage members to establish rapport and communicate with legislators in their areas. Many chapters are already doing this, by inviting legislators to their meetings to discuss issues. This program will keep state officers informed of the efforts of chapters to reach our goal of impacting educational law and policy. A form appears at the end of this report for chapters to identify those legislators they wish to work with.Research: The Research aspect of the work of this committee, continues to urge chapters to support early career educators. International recommends that chapters use the THAT (Teachers Helping Another Teacher) Program as a model. Forms and suggestions for using this program can be found on the DKG website.

Also, at last year’s convention, chapters were asked to conduct a membership survey to study the reasons why members value their involvement in the society. Broken up into age brackets, hopefully chapters can see the differences between members from the World War II era, Baby Boomers, Generation X and Millennium generations. As chapters study these results, they may use the information as they work on their own strategic action plan as well as in planning their chapter programs.

The work of the Educational Excellence Committee has been extensive, and I would like to thank all of those who helped in the gathering and presentation of this information. Work was conducted by e-mail and by mail. More extensive information on programs and projects will be made available on the website within the next few weeks. Hopefully it will be useful to chapters as they plan for next year’s activities. With the election of new officers for the 2012-2014 biennium, all officers are strongly urged to attend the leadership and training sessions that will be conducted at the Fall Workshop in September. As always, committee chairs are always available to answer questions or help with the needs of their members. Many new projects are in the works for the coming year, and your involvement and help will be appreciated.

Communications Report

1) Alpha Gamma State NEWS is published three times a year. The deadlines for publication are posted in each newsletter. The next deadline is May 1, 2012. Submissions can be sent electronically or sent by postal mail. The contact information is available on the last page of the NEWS.

2) Having a means of communicating is a priority for a thriving chapter. According to the DKG Communications and Publicity Committee State Organization 2010-2012 Biennial Report filed by the state chair to International in February, several Kentucky chapters excel at “creating a buzz.” Fourteen chapters submitted press releases to local media; those chapters will receive recognition at the 2012 International Convention in New York. Four chapters maintain a website (links available on our state website). Fifteen chapters have newsletters. According to the reports from 26 chapters, there are 91 members in the state of Kentucky who do not have access to email or other online communications. To reach these members, chapters use postal mail, give out the newsletters in meetings, or use a phone tree. Chapter communication chairs also reported that 50-75% of our members were readers of the DKG News and the Bulletin, two primary International publications.

3) The Alpha Gamma State Google group for the state president, state officers, and chapter presidents continues to facilitate a quick avenue of communication concerning state matters.

4) Thanks to Stephanie Greathouse who is the State Webmaster, the most current information for members is available online. The Alpha Gamma State web page is available at the click of a mouse to provide access to many sources of information for all members. Access is gained by going to http://www.deltakappagamma.org/KY/. World Fellowship Report

The World Fellowship Program began in 1946 as a project to aid women in war-torn countries. More than 555 women from over 100 countries have received fellowships to enable them to pursue advanced studies in the United States and Canada.There are 19 World Fellowship recipients this year.

This year the chapters of Alpha Gamma State have donated $342.42 to the World Fellowship Program. The chapters that donated the highest contribution were Upsilon, Xi, Omicron and Alpha.

The goals for the World Fellowship Committee for this biennium are to: Make members aware of World Fellowship and why we support it. Promote financial support of World Fellowship by informing chapters to give and report

their individual amounts Encourage chapters to actively communicate with a recipient if at all possible.

As members of the World Fellowship committee we are working on these goals.

Here are some examples of how you can raise money for the World Fellowship Program.Put red cups on the tables at your meetings and members donate change because they did not wear their Delta Kappa Gamma pin.

Have a basket auction and donate some of the proceeds to the World Fellowship.Support an International student.Have a silent auction to raise money.

Alpha Gamma State Scholarship Committee Report

The responsibility of the Alpha Gamma State Scholarship Committee, as written in the Alpha Gamma bylaws, is to screen the applications received and to make recommendations to the State Executive Board regarding the awarding of any scholarship in excess of five hundred dollars. Scholarships of five hundred dollars or less may be awarded throughout the year upon the approval of the Scholarship Committee, the State President and the State Treasurer. The main focus of the committee is to review and grant scholarships. However, President Jane Thompson has given the Scholarship Committee the charge to work with the Scholarship Revision ad hoc Committee to revise the current scholarship application.

The availability of scholarships (both state and international) was advertised in the Fall and Spring issues of the Alpha Gamma State Newsletter and on the Alpha Gamma State website. The applications, letters of reference, qualification guidelines and requirements for applying were mailed to each committee member. The committee members communicated their recommendations by mail, phone and email.

Twenty-nine of the 31 chapters of Alpha Gamma State submitted Chapter Scholarship Reports. Twenty-six of the reporting chapters have a scholarship committee. Chapter meetings were reported as being the primary method of promoting scholarship awareness. The International Scholarship application is the most widely used service provided by the International Scholarship Committee according to the reports.

The Scholarship Committee is pleased to announce the two applicants for Alpha Gamma State Scholarships for 2012. They are as follows:

1. Bonnia Cook Fouts, Alpha Chapter (member since 2005) from Shepherdsville, KY is requesting $1,500 to use for Graduate Studies in a PhD program emphasizing curriculum and instruction in secondary education and specializing in special education. Ms. Fouts plans to continue the program if only partial funding is granted.

2. Zina Danyelle Knight, Xi Chapter (member since 1999) from Louisville, KY is requesting $1,500 from the Sara Rives Scholarship fund for graduate studies. Ms. Knight would be honored to receive a scholarship from such an exemplary woman in the area of elementary education. Zina is seeking an Endorsement in Gifted and Talented Education through graduate studies at Northern KY University. The endorsement will grant her licensure in gifted and talented education. Ms. Knight will continue the program if only partially funded.

3. Both applicants have volunteered to present at the 2012 Fall Workshop, do an article for their chapter newsletter and present a chapter program.

Three scholarships are available: the Sara Rives Scholarship, the Ethel Parker Scholarship and the Gertrude Collins Golden Anniversary Scholarship. The history of the Scholarship Committee shows that the committee has almost always honored the number of or divided the interest money among the applicants.

After reviewing the applications and the letters of recommendations, the 2012 Scholarship Committee moves to grant the scholarships in the full amounts requested. The scholarships will be paid from the interest generated by the available scholarship funds. Should the interest not meet the requests, the monies will be divided between the applicants.

It is the Scholarship Committee’s desire that Alpha Gamma State sisters take advantage of the scholarship opportunities available form Alpha Gamma State as well as from The Delta Kappa Gamma Society International. The committee wishes to thank President Jane Thompson and Treasurer Joyce Miller for their assistance throughout the year.

ALPHA GAMMA STATEMUSIC COMMITTEE REPORT

The Music Committee worked together to choose and prepare various music selections for the 2012 Alpha Gamma State Convention.

The Music Committee encourages chapters to incorporate music into each meeting. If your chapter has not purchased the Delta Kappa Gamma Songbook and/or music CD, please check the DKG.org website for information on how you might obtain a copy. There are several upbeat songs which promote our organization and are extremely fun and entertaining to sing.

A “MUSIC” session will be offered at the 2012 Fall Workshop so please encourage your chapter Music Chair or someone who enjoys singing to come and join us for some musical fun.

Report of the Alpha Gamma State Rules Committee

2012

At last year’s convention the Rules Committee was given authority to make general changes to the Alpha Gamma State Bylaws and Standing Rules to remain in compliance with the international Constitution and Standing Rules. Several changes had to be made in wording, specifics, and placement to meet the standards of the checklist which international supplied for approval of state bylaws and standing rules.

Some names were changed as in Article II from Purposes to Object. More specific information, especially in the financial area, was required. The names of specific funds and scholarships as well as more specific procedures concerning the budget, the audit, and how financial transactions are conducted needed to be listed. Some articles were moved such as Executive Board changing from Article VIII to Article VII and Committees changing from Article IX to Article VIII. Changes approved to Alpha Gamma State Standing Rules at last year’s convention were added.

The most changes appeared in the Article on Committees. International changed some committees, especially adding Educational Excellence, which replaced the Program, Personal Growth and Services, Professional Affairs, and Research Committees. New special committees such as Technology Support and Non-Dues Revenue were introduced at last year’s convention. President Thompson introduced another one, The Order of the Tulip Poplar, in the draft of our bylaws and standing rules.

All chapters can begin to update rules at this time. The chapters that ordinarily would have updated rules in 2010, 2011, or 2012 are: Nu, Chi, Psi, Gamma, Delta, Eta, Theta, Mu, Pi, Alpha Alpha, Alpha Beta, Tau, Phi, Iota, Xi, Epsilon, Lambda, Rho, Sigma, Kappa, Alpha Gamma, Alpha Delta, Alpha Iota, and Alpha Zeta.

Ten chapters picked up some material on revising rules from the committee last year. We still have copies for those who did not get them. Hopefully, all chapters have obtained a copy of the new Constitution and Standing Rules to assist in your work. HISTORY COMMITTEE REPORTMARCH 24, 2012

The history committee has been working with the anniversary committee this past year. A meeting was held to discuss what would be done to celebrate our anniversary next year. We also discussed fund raising for this celebration. The history committee has been collecting information from past State Presidents about their time in office and/or other pieces of information about them that would be important to include in our history.

A trip was made to Lexington to visit the archives in early March. At this time some information was added and other information was examined for help with the anniversary celebration next year. We met with an employee of UK library who asked that our archives be given as a gift to the library instead of being housed by them. This topic will be discussed at the business meeting during the state convention.

MARCH 30 – APRIL 1, 2012

The 2011-2013 Hall of Fame Committee was given the responsibility of receiving nominations and selecting the 2012 Hall of Fame recipient. The committee is extremely appreciative of each individual member and each chapter who nominated such outstanding Alpha Gamma State members.

The process the committee followed to select the winner is as follows:1. Letters requesting the nominations were sent to the Alpha Gamma State Executive Board.

Nominations may be made by an individual or by a chapter.2. The nominations were returned to the committee chair on or before February 27, 2011.3. The committee chair compiled the nominations and mailed the ballots to each committee member

for her vote.4. Each committee member voted and returned her ballot by March 4, 2011.5. The number of inductees is limited to one (1) each year unless there are unusual circumstances to do

otherwise. (Any significant exceptions would need committee consensus.)6. The inductee will be honored at the Alpha Gamma State Convention.

The Hall of Fame Committee would like to remind each individual and/or chapter that if a person was nominated, but not selected, that does not preclude nominations for that person again the next year.The committee wishes to thank Alpha Gamma State President Jane Thompson for her help and support.

Technology Support Committee

The Alpha Gamma website has been my primary focus this past year. To simplify, I took over the control of the website from Susan Cross. Susan's daughter was actually loading the information for us. This has to be done using an FTP client. The FTP client is software that enables my computer to "talk" to the DKG server where our site folders are located. Once I had the conduit between the two computers and I was approved and given the appropriate login information and clearance, I could "talk" to the server. 

During that conversion process, our site was attacked by malware. Malware is short for malicious software. This software is designed to disrupt computer operation, gather sensitive information or gain unauthorized access to computer systems. It is hidden in the script or code of a page. Every page on our website was affected. Since we were using the site as a storage for old documents as well as active pages, there was a lot of it. Google detected this malware and immediately sent a message to anyone trying to use the page to not access the page. DKG International disabled the link to our site because of this issue. I had to go into the script on each individual page and find the malicious scripts and delete them. Some of them were very nasty. 

Once that was finished and I ran the site through the Google test, we were back up and running. Then I had to get DKG to request them to make our link active again. When they did they made an error in the URL for the site. The http was in it twice. It took several emails to them before they fixed that. They never responded to me that it had been corrected but I checked it now and it is working properly. 

The good news is that now we have direct access to our site and changes, additions and deletions can be made within 24 hours on business days. I am currently working on a new design that I think will look a little more like other websites with a common look to each page. There will be links that appear on each page for better navigation. It may not be until the beginning of the summer before I finish this new look but you can keep an eye out for it. 

The Google Group is still functioning to a certain extent. Not all presidents have joined the group and some have changed email accounts and have not told me. Each president must have a Google account because that is the only way to join a Google Group. You don't have to have a gmail account. You can make a Google account with any email address. The advantage of the Google Group is that we can email everyone in one email and we see all the replies without having to hit reply to all.

REPORT OF THE 2011 STRATEGIC ACTION PLAN COMMITTEEALPHA GAMMA STATE CONVENTION

MARCH 31, 2012“Key women educators in Kentucky inspiring others to reach their maximum potential.”

The Strategic Action Plan Committee presented the Alpha Gamma State Strategic Action plan to the executive board, at the last State Convention, April 2, 2011 asking for input and suggestions. At the September workshop, in Northern Kentucky, Ramona Jefferies presented a session on the Strategic Action Planning to chapter presidents, in order that their chapters could prepare their own Strategic Action Plan. Chapters need to only include and add to those portions of the International and Alpha Gamma State Strategic Action Plan that applies to chapters.

According to the State Organization President’s report to International:2 chapters have completed their Strategic Action Plan;19 chapters are working on theirs;13 have asked for member input;8 have used SAP resources available on the DKG website.

This is a living document. Meaning that the committee will review the document and asks the Alpha Gamma State Executive Board and Alpha Gamma State Committees review the document as well. So that it can be updated each year. We should choose one or two of the focus areas listed below as our focus for the year.

We ask that suggestions for updates and our focus for the 2012 – 2013 year, be sent to Donna Goodin, as soon as possible or before March 23, 2012. It is important that the Alpha Gamma State committees, as mentioned below, provide input for revisions and focus.

a. Membership/To secure and maintain an active, involved membership.b. Finance/To maintain and improve the financial stability of Alpha Gamma State.c. Leadership Development/Develop and provide continuous leadership training

opportunities.d. Society Impact on Education/Become well informed, well respected voices for

education.e. Expansion/Increase accessibility of the Society to all Kentucky Key Women

Educators.f. Communication/Strengthen the informational link among our members, their

chapters and Alpha Gamma State.g. Organizational Effectiveness/Create an orderly and supportive state organizationh. Review and Update the Alpha Gamma State Action Plan/Unite and strengthen the

Alpha Gamma State Action Plan through the use of strategic planning and evaluation.

A meeting of the Strategic Action Plan committee will be held during this year’s Alpha Gamma State Convention.

To align Alpha Gamma State committees with International, the ad-hoc non-dues revenue committee was established in 2011. The committee met November 5, 2011 to establishpurpose, guidelines for partnering with vendors or sponsors, and create an application for vendors when partnering with Alpha Gamma State.

The purpose of the non-dues revenue committee is to find ways to get revenue for Alpha Gamma State to help continue the work of the Society. Funds from this revenue will go to the general fund for the operation of the state organization unless specifically designated by the sponsors such as partnering the Celebration Luncheon.

Criteria for partnering or being a vendor for Alpha Gamma State should include the following:

1. Compatible with Society mission and purposes2. Direct member benefit3. Society benefit4. Non-duplication of an existing program5. No direct conflict of interest6. Be a reputable company

This criteria list is in agreement with the International Non-dues Revenue Committee.

The vendor application was developed and a copy of the application for the 2012 year is attached. This application is subject to change by future committees.

The success of the 2011 fall workshop demonstrated what is possible with vendor participation and future success is anticipated as chapters locate non-dues revenue sources and encourage them to join Alpha Gamma State at meetings scheduled across Kentucky.

When chapters are hosting an Alpha Gamma State event, the committee encourages them to visit the Society web page for suggestions and other ideas on non-dues revenue opportunities. Alpha Gamma State committee members are also available to offer suggestions so please contact when needed.

Scholarship Revision ad hoc

The Scholarship Revision ad hoc committee met to work on the Scholarship application. This committee is a work-in-progress, not to be completed until the 2013 convention. After much discussion we looked at applications from some other states, some of them are much more stringent than KY's, requiring documentation on how the money is spent. Below are some of the items we felt needed to be changed and/or added to the application.

Alpha Gamma StateState Organization President’s Report to Convention

March 31, 2012

Thank you for your confidence and support of me as I travel this journey as your State Organization President. While I am busy, I am excited and awed by the work my sisters in each chapter in Alpha Gamma State are doing every day. Many days, I feel as if I am flying by the seat of my pants or on a wing and a prayer. So far, I have not been dropped, so it’s all good.

Our charge from International President, Dr. Jensi Souders, is to attract young career educators. We need to find a way to work on that charge. Interestingly enough, over the course of this year, I have often wondered if I should have accepted the responsibility of serving as your State Organization President while I am still in the classroom and do not seem to ever have enough time to do justice to both. However, I have come to see this as an empathic experience. I can closely identify with just what these young career educators are up against when asked to join an organization like Delta Kappa Gamma. We as a society of individual teachers must find a way to ensure young career educators see us as a valuable personal and professional resource. One in which they can receive mentoring and support from us and then giving that same mentoring and support back when they are farther along in their career.

I cannot convey the excitement and spirit of true fellowship that I felt last summer in Louisville at the Southeast Regional Conference. Not only did I become a member of a tight knit group with my SER fellow Presidents, but I felt a part of the entire state of Kentucky when I met many members for the first time. Though I had only met Elizabeth Garner once, spoke to her on the phone only twice, and did spend a few hours with her on email, I felt a great sense of loss at her passing. Her energy and zest for life was evident in each and every communication we had. However, meeting and working with Libby Watson, Elizabeth’s successor, allowed for a very smooth transition and a successful conference. Her sense of humor was evident in all of my training sessions. Those are two ladies that I will always be grateful for meeting.

This past year, we lost between 20 and 25 members across the state. One of those, Virginia Murrell, was a former State President. I am sad to say that I do not know if I ever met her or not, but others have told me that she was a very gracious lady and that she stood out in a group. I have spent a portion of this year really digesting the history of Delta Kappa Gamma and Alpha Gamma State. Many times, Virginia’s name was in my reading. When I read and ponder the goals, visions, and accomplishments of those who come before me, I am even more in awe of my responsibilities and the faith you have in me.

I have read each of your reports and I can tell how hard each Chapter is working to increase membership. I know how hard it is for you to continue to grow in these harsh economic times and when Young Career Educators are under so much pressure. But, we must keep reaching out. We may be their best hope for support and mentoring because we have been there. We must maintain a visible presence more so now than ever before. Young teachers are falling by the wayside every day. We can effect a change in this situation because we are Delta Kappa Gamma

Key Women Educators who work to impact education worldwide, especially in our own communities.

We are also struggling in areas to not only increase, but in some cases maintain our membership. That is why the geographic data I needed is so important. We need to find the holes in our state where membership is low or lacking. I also encourage each Chapter, if you are not already meeting with another chapter once a year, to begin doing just doing that. When I have seen this in action, it is uplifting and encouraging for all. Ideas are shared, programs are shared, successes are shared, and planning is shared. The fellowship that occurs is such that it makes it hard to leave.

With the Constitutional changes from International in Committee structure and Membership guidelines, your Officers are meeting quarterly to plan and support you in these changes. A special word of appreciation goes out from me to your First Vice-President who inherited the bulk of the work load. Thank you for all of your support in the changes we are making to help us have the same vision as our Founders and to continue the Legacy of our Founders.

Thank you for the opportunity to serve as your State Organization President. I look forward to this next year and continuing my visits.
