To access the Exhibitors’ Room, exhibitors must register or obtain a pass. Representatives are asked to go to the booth located at the entrance to the Exhibitors’ Room. The Ordre des médecins vétérinaires du Québec staff will hand out customized passes.
Deliveries and material pick‐up will not be accepted at the Centre de congrès de Saint‐Hyacinthe main entrances. Deliveries and material pick‐up must be made at the loading bay.
As of 9 a.m. on October 23, the Centre de congrès de Saint‐Hyacinthe will accept merchandise. Should exhibitor material be received before the 23rd, pre‐event storage fees will apply.

Loading Bay: Docks 1 and 2 These docks are reserved for cube trucks and tractor trailers.
Loading Bay: Dock 3 This dock is reserved for small cars and trucks; access is at ground level.
Loading Bay: Dock 4 This dock is reserved for events requiring entrance to the main hall. Parking is prohibited in the loading bay. Only loading and unloading are permitted. Unauthorized vehicles will be towed.
PARKING Cars The Centre de congrès de Saint‐Hyacinthe has more than 700 free outdoor parking spaces for guests.
Heavy Vehicles You must make arrangements with coordinator Évanie Seyer to park heavy vehicles in the Centre de congrès de Saint‐Hyacinthe parking lot.
EXHIBITION STANDS Your signed CVQ stand rental agreement includes: • Registration for two representatives per day • A banquet and show ticket • Three curtain walls (back 8’ and sides 3’) • Wireless Internet access • One 6’ x 2’ draped table • Two chairs • One garbage can
MATERIAL HANDLING AND STORAGE If the exhibitor is not on site before the start of the event, the Centre de congrès de Saint‐Hyacinthe management will handle shipped material directly. On‐site payable fees may apply. In the absence of the recipient, the Centre de congrès de Saint‐Hyacinthe cannot be held responsible for any lost or damaged equipment.
Should exhibitors decide to handle their own material, they may use the carts made available by the Centre de congrès de Saint‐Hyacinthe. The number of carts is limited, but management will do whatever is possible to provide you with the equipment you need in a timely manner.
DEPARTURE AND ARRIVAL PROCEDURE 1. Exhibitors are responsible for packing up and identifying their material (event and company name). 2. If arrangements have been made for pick‐up, exhibitors are responsible for bringing their equipment to the
loading bay.
Upon arrival, exhibitors may proceed directly to the loading bay, where an employee will assign them a loading bay
door. Access to the main entrance is not permitted.
COURIER SERVICE Exhibitors using courier services such as FedEx, UPS or Purolator must be sure that all customs and excise duty fees have been paid in advance. The Centre de congrès de Saint‐Hyacinthe will not accept cash‐on‐delivery merchandise.
Courier companies do not always mention that fees needed to be paid by the shipper upon delivery. Consequently, the Centre de congrès de Saint‐Hyacinthe might receive invoices 30 to 90 days following the event. In such cases, the exhibitor will be billed administration fees by the Centre.
Exhibitors must contact the courier companies to pick up their material after the event. In addition, exhibitors must place the courier company’s bill of lading on all shipped boxes.
AUDIOVISUAL, HANGING, ELECTRICAL AND COMPUTER EQUIPMENT RENTAL SERVICES The official technical supplier, LSM ambiocréateurs, has all the expertise and equipment required to meet your computer and audiovisual needs at the Centre de congrès de Saint‐Hyacinthe. This company is exclusively contracted to carry out hanging and anchoring services and electrical needs beyond standard outlets. Extra fees will be charged for on‐site requests.

INTERNET SERVICES The Centre de congrès de Saint‐Hyacinthe is pleased to provide its customers with free, wireless high‐speed Internet access. Total coverage is available in meeting rooms, exhibition halls and public spaces.

Visit the official supplier website to find out what services are offered. You have until September 28, 2019 to benefit from a reduced rate on accessories and furniture. Order forms may be found on the CVQ microsite at cvq.omvq.qc.ca.
CONTESTS Exhibitors may hold contests or give awards to increase traffic at their exhibit booth. However, the winners’ names must be registered before noon on Saturday, October 26, on the board at the entrance to the Exhibitors’ Room.
LOBBYING Lobbying, activism and forms of petition are prohibited during the Congrès vétérinaire québécois. The Ordre reserves the right to approach the exhibitors and ask them to refrain from their activities. If the exhibitors categorically refuse to do so, the Ordre reserves the right to ask them to leave the event without their participation fee reimbursement.

OBLIGATIONS AND RESTRICTIONS
Insurance Exhibitors must have their own liability insurance. The Centre de congrès de Saint‐Hyacinthe assumes no liability for bodily harm or material damage to products, stands, equipment or decorations caused by fire, flooding, or theft in any rented space or during any move in the building, regardless of circumstances.
Recycling and residual waste management
Ecological footprint of the event
Exhibitors are required to use the equipment available for recycling (paper, cardboard, glass, plastic) during setup and dismantling, and during the exhibition. Additional waste collections may be added to those mentioned above.
The Centre de congrès de Saint‐Hyacinthe recommends that exhibitors not hand out inordinate amounts of paper documents. The Centre encourages email as the best method of communicating with other conference attendees.
Common areas At no time may exhibitors obstruct the hallways, elevators, lobbies, halls, signage monitors, plasma screens or building emergency exits, or any other Centre rooms without prior authorization.
Pets Pets must be approved by the Centre de congrès de Saint‐Hyacinthe management. Only service dogs for people with a disability are allowed.
Cooking appliances For safety and ventilation purposes, cooking appliances may not be set up in the Centre de congrès de Saint‐Hyacinthe rooms.
Balloons and confetti The use of helium balloons must be pre‐authorized by your event coordinator. Fees may apply if helium balloons must be retrieved from the ceiling after your activities. The use of confetti and glitter is prohibited.
Alcohol consumption during setup and dismantling
To minimize the risks of accidents, and unless otherwise agreed upon with the Centre de congrès de Saint‐Hyacinthe, the use of alcohol will not be tolerated during exhibition setup and dismantling.
Noise limits Equipment or devices producing noise or odours that disturb exhibitors or visitors will need to be turned off. The Centre de congrès de Saint‐Hyacinthe has sole authority in this matter.
Adhesive tape Scotch 3M Heavy Duty Mounting Squares (Model 111) is the only permitted adhesive tape at the Centre de congrès de Saint‐Hyacinthe.
Security The Centre de congrès de Saint‐Hyacinthe guarantees general site security 24 hours a day. The security department, however, is not responsible for customer goods and property or for events within the rented premises. If you would like additional security, file a request to your event coordinator.
Food services The Centre de congrès de Saint‐Hyacinthe has the exclusive right to sell and distribute food and drinks inside the building. No food or drinks may be distributed, sold or handed out without the written approval from the Centre de congrès de Saint‐Hyacinthe management.
Smoking In accordance with the Tobacco Act, the Centre de congrès de Saint‐Hyacinthe is a smoke‐free environment. Without exception, smoking inside the Centre or on the loading bay is strictly prohibited.

FORCE MAJEURE If organizers are forced to cancel the exhibition or cannot authorize the exhibitor to take possession of the leased space for reasons beyond their control (e.g., war, fire, strike, civil disobedience, inclement weather, or other natural disasters), the Ordre des médecins vétérinaires du Québec will be exonerated from all blame and liability.
