WELCOME TO THE HOME OF THE HAWKS 2019 – 2020 CKSS staff and the Lambton Kent District School Board work to provide quality education for all students. We strive to create an exciting learning environment for our students and recognize that as professionals, a positive culture of collaboration begins with us. The CKSS website is found at http://ckss.lkdsb.net. The Golden Hawks website is updated regularly to provide the CKSS community with the latest news, information and pictorials of what we are all about.

School Effectiveness Framework

As educators, we focus on student success and recognize the importance of getting students engaged in the process. We work to create a student-focused consistent and collaborative culture ensuring safety, care and support are evident and recognizable. We will continue to focus on SEF indicator 1.7, Assessment for, as and of learning knowing that ongoing communication is in place to allow students, teachers and parents to effectively monitor student learning. Classroom and school evidence will include:

• Markbook reports are distributed at the interim grading period.

• Mid-term reports containing personalized, clear, precise and meaningful comments are prepared and

distributed each semester.

• Reports (interim and/or mid-term) of ‘at-risk’ students may be mailed home.

• Parent-teacher interviews are held each semester and students may attend the interview; teachers complete

phone interviews if the evening is fully scheduled.

• Markbook reports may be e-mailed to parents (personalized messages may be included).

• Teachers may communicate with parents via e-mail (re: upcoming class assignments or major projects,

student progress, class information)

• Teachers may maintain a class website that communicates important information and is accessible at home.

Missed Test Policy Students who miss scheduled term tests or formal examinations without a valid reason, including truancy, will receive a 'zero' for that test or examination. There will be no opportunity for make-up tests or make-up examinations. All students in attendance at CKSS on the day of a test or formal exam that leave the school before the scheduled test or exam MUST sign out with attendance before leaving. Failure to do so will be considered a truancy and a mark of zero will be assigned. In extenuating circumstances, where a test or formal exam cannot be written for a valid reason (medical, family emergency), students will be given a 'non-grade'. A non-grade will not count against the student's term or final mark. Parents or students over the age of 18 are required to notify the school before or on the day of the absence. For the benefit of the student an opportunity to complete a test or examination missed for a valid reason will be provided.

Parent Notification

Involving parents is key to student success. Establishing a means of maintaining contact with parents early in the semester will assist in developing and maintaining a plan for good student behavior, increased effort in studies and a collaborative approach to ensuring student success. It is strongly recommended that you establish a system for logging parent contact and ‘attempts to contact’ which is date and time stamped. If you have made on-going attempts to contact without success, please see Administration and/or Attendance to assist you in informing parents of your concerns.

Emergency Response and Duty to Report

The IRS (Internal Response System) is established to ensure that all staff remain healthy and safe and it is expected that all staff will be cognizant of safety concerns in the building and report these to Administration. Bill 157 further states that ‘staff MUST report to Administration all events which may impact negatively on the well-being of students, staff and community members. If you become aware of concerning behaviour at any time, please remember to report your concerns to the office as soon as possible but at least by the end of the day. Always act on the side of caution. The Ministry of Education mandates that all schools will review emergency response procedures each semester. Please review all expected responses with students and especially discuss procedures if an alarm is sounded outside of class time. The Emergency Response folders found on classroom doors provide supply teachers and facility users the information needed to respond.

Staff Absence

Teacher Absence: If you know you will be out of the building for an approved absence, please see the Vice Principal in charge of ‘staff absences’ to fill in the ‘supply booking sheet’ which will be located in the VP office. All Unplanned Absences must be entered by 6:00 a.m. and work available for supply use. Bernadette Bruette, VP, will be Admin contact for Semester 1, and Cal DeNure, VP, will be the Admin contact for Semester 2. A Leave of Absence form must be completed for any absence that is not related to school business ie. Medical leave, Discretionary Leave, Personal Circumstances, etc.

Open your Internet Browser and access the LKARS Web Centre site. In the User ID field, enter your employee ID number.

1. In the Password box, enter the six-digit number assigned to you when you registered in LKARS. When you

have entered both fields, press the Submit button.

2. Press Create an Absence tab to enter an absence.

3. Check the Location and Classification fields to ensure you have been identified correctly. Choices may be

available in the drop-down menu.

4. Select the Reason that applies to this absence from the drop-down menu.

6. Select Start and End dates and correct times for your absence by clicking on the down arrows or using the

Calendar icon.

7. Press the Continue button when you have completed the form to validate the information. Errors will be

displayed in red below the tabs. If there are errors, make changes. When the data you entered is correct,

press the Continue button again. Check to ensure that NO supply is needed for your absence.

8. If the absence has been successfully entered, a message will be displayed to indicate this.

9. Note: If you have missed a step, the system will report an Error with the reason to explain why the absence

was not created. Fix the error and continue.

10. To check to see if the absence has been entered you can press Review Absences tab to: review past, present

and future absences or cancel an absence.

11. To review absences: Select the date range for your search by pressing the down arrows for Month/Day/Year

or use the calendar icon and press the Search button OR the Search All button to get a list of all of your

absences.

12. Use the Next or Previous buttons to navigate through the records on the list.

Please pick up any appointment slips or pertinent information in your mailbox each morning. For Homeroom, please mark attendance in the Pd. A column not HR. Also, ensure that each period that you teach, has attendance marked in the appropriate column.

Please follow the timeline suggested to discuss and review school policies during the first week of the semester. A. Opening and Closing of Home Rooms

Teachers will be in the school by 7:45 a.m. each morning.

Homeroom teachers must be in their classroom by 7:50 to welcome arriving students. At the 7:55 bell, homeroom teachers are asked to be a visible presence in the hall/doorway of their classroom.

This 50/50 approach to getting students to move to class on time demonstrates an interest and commitment to reducing late behaviour and targeting persistently tardy students. At the final bell, students are expected to be in the classroom ready to begin.

Please ensure students are quiet and standing through opening exercises and listen intently to announcements. Accountability and consistent enforcement of respectful behaviour is essential to developing a healthy and safe school culture.

A. Acceptable Use of Technology R-PR-200.2-12 Please read carefully before you use technology in the school.

The purpose of these Regulations is to set out the expectations with respect to the use of computer and information technology and the responsibilities of each individual in maintaining a secure environment. This Regulation applies to all employees of the Lambton Kent District School Board (“LKDSB”) as well as non-student users who have been granted permission to use the LKDSB computer system (for example trustees, school council representatives, parents, volunteers, contracted workers). 1.The computer system including any data and information that is created, transmitted or stored on the LKDSB system is the property of the LKDSB. 2. There is no expectation of privacy in using LKDSB technology. 3. All technological devices will be password protected and conform to the password requirements as detailed in the corresponding LKDSB Administrative Procedures. 4. Technological devices brought to school or the office by staff and non-students are not the responsibility of the LKDSB. 5. Users must not connect any electronic devices in any way (wired or wireless) for any reason to the LKDSB network without the written permission of the Information Technology Department of the LKDSB. 6. When using the Board supported networks, users must not reveal any personally identifying information about themselves or others. 7. Users must notify the Help Desk immediately of a lost or stolen device (i.e. BlackBerry, laptop, USB key). The Help Desk will immediately notify the Freedom of Information Coordinator. 8. Screen savers must automatically activate for users within an established period of inactivity for all devices and require a password to reactivate as detailed in the corresponding LKDSB Administrative Procedures. Timeouts will be controlled centrally and the period of inactivity will be established Senior Administration for all users.

9. Access to the Board’s internal resources is allowed only on the approval of the Director of Education. 10. Personal use of LKDSB technology will occur outside assigned work time.

11. Users must not access direct or proxy sites that circumvent the security measures put in place by the Lambton Kent District School Board. 12. Users must immediately exit any site that is transmitting inappropriate or offensive material. Users must immediately report accidental access to such a site to a school administrator or manager. 13. Users will conduct themselves in a professional manner as detailed in the corresponding LKDSB Administrative Procedures. 14. Users must not use LKDSB technology for personal financial gain, for commercial activity or for any illegal purpose. 15. All employees, contracted staff and identified volunteers of the Lambton Kent District School Board must exclusively use the services of the Board’s Information Technology (I.T.) Department to perform repairs, upgrades and maintenance including virus protection and malware removal on all Board purchased technology. Taking a piece of technology (computer, netbook or laptop, etc.) to a third party vendor or website for such services without the written permission of the Manager of Information Technology or delegate is strictly forbidden. 16. Any violation of these Regulations may result in sanctions being imposed, including the loss of computer privileges, disciplinary action up to and including termination of employment and legal action or police involvement.

C. Administrative Procedures The Lambton Kent District School Board Administrative Procedures can be found on-line using the LKDSB Staff Intranet.

D. Adult Students 1. Students who are 18 years of age or above, should be treated as adults and are responsible for signing their

own notes.

2. Teachers should follow the same procedures with this group and request a written note for all absences and maintain this documentation on file, as they would with students under the age of 18.

a. Adult students are expected to remain in classes for the entire period. Signing out during class is NOT permitted without due reason. The office must be notified if students leave during class time.

E. Anti-Bullying As per Bill 212, 157, staff must report any suspected bullying behaviour to Administration. Any behaviour which could impact negatively on the school environment is to be reported and may result in disciplinary action being taken. The CKSS Safe School and Anti-bullying team have an important role in assisting with keeping the school culture healthy and safe. This culture is reinforced in our classrooms and hallways. Address inappropriate behaviour and refer to Administration as necessary.

F. Assemblies It is expected that all teachers will accompany and sit with their classes during an assembly. Staff members not teaching, are to proceed to the assembly site early to assist seating students in an orderly fashion. All staff members are asked to remain for the entire assembly. Active co-operation of all staff is required for assemblies.

G. Attendance Procedures Teachers must maintain correct attendance records as instructed by the principal to ensure that the attendance of pupils for every school day is recorded accurately. When a teacher is absent, completed student work collected during the absent period(s) should be available to determine a student’s presence in class if necessary. Students are expected to be in class and on task at all times. Note: Establish guidelines early to prohibit students from exiting your class during class time. Breaks are to be used for personal care issues. Frequent requests are reviewed monthly (sign-out sheets must be used – see Appendix) when students leave your presence for any reason.

Absence Procedure (Student)

1. If a student is absent, she/he is required to bring a note to the Attendance office on the day of his/her return.

ALL notes must be brought to the attendance office. Parents are to call in for absences when a note is not provided.

2. If a student absence is not validated on the Attendance records, the attendance secretary will issue an admit

slip” to the student to show the teacher, that the absence has been dealt with by the office. Students who arrive to Period 1 class without an admit slip should be sent to the office to get one. Students are informed to keep the tele-note to show to all teachers of classes missed.

3. Period 2, 3 and 4 teachers will not be required to check for admit slips as the absent students will show up on the skip check and will be seen by Administration during period 1. You may wish to follow up on an absence however if assignments/tests were missed.

4. If the absence is only a part of the day and/or the student does not have an assigned homeroom, the Attendance Secretary will issue the admit slip.

5. If a parent calls in lieu of a note being sent in, the Attendance Secretary will issue an admit slip as well.

6. Student(s) should not be admitted to period 1 class without an admit slip issued from the attendance office if he/she missed the previous day(s) class. If the student does not have a admit slip, send her/him to the office.

7. Teachers must notify the Attendance Secretary of any prolonged absences (3 or more) to ensure that no student is being missed – re: poor attendance record, regardless of the age of the student.

8. Students who have unverified absences for the day, will be called by our automated Synervoice System to

inform the household of any absent or late classes that day.

9. Please be accurate with attendance, submit each period’s attendance and remember that all attendance needs to be submitted no later than 1:30 p.m. daily.

H. Attendance Problems - Students should be reminded that regular attendance is extremely important in

a semestered school if they wish to be successful.

(a) Monitor attendance regularly. Concerns (5 absence/month) require parent contact and team intervention. Regardless of age, if absence is impacting on a student’s ability to achieve, persistent monitoring, contacting parents is critical.

I. The Student Code of Conduct in the Student Planner should be reviewed regularly throughout the semester. As a ‘Tribes’ building school, the four agreements should be referred to when working to class autonomy. Be fair with your students knowing that many will try you out during the first few weeks. Minor problems can usually be effectively handled through detentions, assignments, parent contact, etc. A parent/guardian prefers a call from the teacher before contact with the Office. Administration will gladly assist you in developing a positive behaviour management plan. A student should only be removed from your class when a major offence has been committed. If you suspect drug use, asking for a VP to attend your classroom is the best means of ensuring effective intervention. Minor Offence: incomplete homework or homework carelessly done; talking in class without permission; distracting attention; inattention; poor conduct in class or in halls; taking unfair advantage of a situation; unprepared with correct tools/equipment Correction: the student reports to a teacher assigned detention; parent contact; Major Offence: insolence, disobedience, profanity, smoking on school property, chronic lateness, and/or truancy, continued and persistent minor offences, misconduct, destruction of property Correction: students should be sent to see a Vice-Principal. In most cases, the parent will be notified and the

Students should be kept in your class the entire period. Washroom breaks and visits to a locker should be kept to a minimum and if possible, avoided all together. Consequences such as keeping a student after class to make up lost time soon eliminates any abuse of such privilege. Persistent requests to leave the room should be noted and referred to administration. DO NOT release students to go to other classes to get students out. If it is an emergency, have the student come to an administrator, who will then call the other student to the office. DO NOT let any student come to get another student from your class. This should all be done through the office. Students in the hall during class time are to be directed to the cafeteria, library or out of the building.

When a student is sent to the office for reasons of discipline (behaviour cannot be handled at that time, swearing, violence, etc.) buzz the office immediately and identify the student who is being sent down and then tell the student to report to the vice principal’s office. If the student hears you called the office, she/he will be less likely to wander the halls. The student will usually be detained for the balance of the period. (Note: When you notify the office of a send out, be as concise and specific as professionalism permits. ie. Sarah Smith is coming to the office for swearing.) Please do not leave your class unattended. It is important that details be complete especially if the student has misinterpreted the problem. Teachers should keep a personal log of discipline problems and consequences and contact parents to make them aware of any concerns, especially repeated behaviour. The vice principal will either contact you directly for further information or use the Action Taken section to communicate what was done.

It is our collective responsibility to ensure that an atmosphere conducive to learning prevails in our school. For this reason, we are responsible for supervision of student behaviour in the halls before 8:00 a.m. and after 2:15 and during class changes. Supervision discourages unauthorized movement and unnecessary distractions in the halls and encourages the general maintenance of good discipline throughout the school. When we all assume this responsibility, many problems can be avoided and our collective objective of a well-run school, which provides our students with a pleasant atmosphere in which to live and learn, will be accomplished.

J. Bells

When the 5-minute warning bell rings at 7:55, 9:25, 11:30 and 12:55 students need to move to their next class. If you see students loitering, please encourage them to get to class or report to the caf/library or off site if on spare. Students are expected to be in the classroom and ready to begin work by the final bell. To establish this routine, all teachers are expected to begin the lesson at this time.

K. Building Security

Each member of the staff will be provided with a photo ID badge, any keys he/she needs and a key fob from the main office. Visitors to the building need to sign in at the office and will be provided with a guest pass. If you wish to use the school on weekends or after hours, please see your Curriculum Leader for information regarding the school security system. Please turn off all lights and lock windows and doors when you leave your classroom for the day or for any extended period during the day. If a non-Board employee (e.g. your children) is accompanying you to the school after hours and using any Board equipment, a Facilities Use Permit must be completed in the main office due to liability concerns. The supervising teacher is responsible for the key and fob at all times.

The supervising teacher is responsible for seeing that the alarm is deactivated when entering and activated when leaving the building. The above task should not be delegated to anyone else.

The supervising teacher is responsible for securing the building during the scheduled event and before leaving.

L. Bus Transportation

Please remind students that bus transportation is a privilege. They are expected to behave in a safe and courteous manner on the bus. Students who abuse their bus privilege may have it removed. Notify students of the website www.schoolbusinfo.com to identify the correct bus zone. We are Zone 8.

M. Cafeteria – Please remind students that:

(a) lunches brought to school, or purchased from the cafeteria, or any snacks purchased from vending machines, are best eaten in the cafeteria. However, some students may find a place to eat in the hall or supervised classroom.

(b) food may be carried to a meeting supervised by a staff member or outside to be consumed. (c) waste is to be placed in waste containers. (d) dishes and trays are to be returned to the washing area and refuse placed in the containers provided. (e) no backpacks, coats or large purses are allowed in the servery area. (f) students abusing these requests will be cautioned to co-operate so that their cafeteria privileges are not

removed. (g) please encourage the use of recycling bins.

N. Cell Phone Use

Cell phone use in the school will be at the teachers discretion. Maintaining a firm, consistent approach to ensuring all students abide by the rules is necessary for the policy to be effective. It is mandated that all Administrators be connected at all times to the main office and so occasionally, you may hear a cell phone being used for this purpose. Teachers are asked to limit use of cell phones to *private areas in the building away from student scrutiny. Electronic use in the classroom needs to be educationally sound and provide opportunity to enhance learning. Teachers should be aware that cell phones have audio and video recording options and student use needs to be carefully monitored. Teacher supervision and direction is essential to its use during class time. In maintaining an effective learning environment, it is our responsibility to promote the appropriate use of all technology in a public forum.

O. Certificate and Category Change It is the responsibility of the employee to inform the Director of Personnel of any certification or category changes. Any change of dependents should also be forwarded to the Personnel Department. Forms for this purpose are available in the office.

P. Changing Rooms On occasion, parents call to request their son/daughter be picked up for an appointment. It is essential that if you are not in your assigned classroom, you notify the office by e-mail or in person to inform where your class has moved to in the event we need to contact you during class time. Please ensure you consistently do this.

Q. COMPUTER LAB AND SMART CART USAGE PROCEDURE

Booking Guideline 1. All computer labs can be booked online through the CKSS website on a first come, first serve basis. (Upper &

Lower Smart Cart, 215, 216, Library, Nexus Rm, Career Center, Cafeteria, iPad Carts) 2. No more than 2 computer lab bookings per class per week. 3. Booking allowed up to 4 weeks in advance only. 4. You must indicate the number of computers required so smaller classes can be combined.

SMART Cart 1. Teachers must fill out the log book when picking up the cart. 2. A laptop# → student name list must be documented with every use in order to track potential

vandalism. 3. All reported issues must be recorded in the log book. 4. All laptops must be powered off and returned to the proper slot in the cart at the end of use, and re-connected

to the power source. 5. Students are not permitted to change any setting on the laptop, including desktop wallpaper, internet

homepage, mouse pad settings, screen orientation, etc. Any tampering with computer settings will result in loss of use privileges.

6. Please remember to plug in the Smart Cart when you are done with it. 7. An e-mail will be sent to you in with the lock combo needed to unlock the laptops and the power connections on

the cart. Please protect these combinations.

R. Courier Services Courier Services between schools and the Board offices in Chatham and Sarnia provide every other day pick-up and delivery through the front office. (No courier to French-speaking Catholic schools)

S. Daily Schedule Please advise students of the daily time schedule. Students are expected to be in their classrooms prepared to work when the bell rings to begin each period. Students are expected to remain in their rooms until the bell rings to end the period. Classroom teachers are expected to establish effective procedures for encouraging students to be on time for class. Repeated lates will result in teacher-parent contact and vice-principal intervention to determine solutions to correct the behaviour.

T. Dress Code Staff are expected to dress professionally and abide by all dress code policies established by the department in which they work. As professionals, attire worn should set the tone for respectful behaviour from students and parents. ‘Dress down Fridays’ have conditions attached. Also, sensible shoes appropriate for the type of surface you are walking on, is recommended for health and safety purposes.

U. (1) Ensure that you are in the school by 7:45 each morning and in your homeroom (50/50 rule) to greet

students and ready to begin by 8:00 a.m. Teachers should be to their assigned class at least 5 minutes prior to pd. 2, 3 and 4 to support student punctuality and preparedness. Please be a visible presence in the hall encouraging students to move away from lockers and on to their next class. Students on spare are expected to report to the library, caf or off site.

(2) Keep accurate attendance records and check students’ reasons for absence. Ask for an admit slip or note whenever a student has missed your class. Students with notes need to be instructed to bring these to the attendance office prior to class.

(3) Ensure that your students are well informed about all school activities. re: announcements, weekly newsletter

(4) Attempt to establish regular contact with each student to assist him/her with his/her concerns and progress.

(5) Do not admit students to your class unless they are on the class list or unless they have written authorization from the Student Services department. Conversely, do not remove a student from your class unless you have written authorization. Students sent out of class must report to the office.

(6) Communicate concerns with guidance counsellors and the Vice-principals as the need arises. (7) Have an accurate seating plan for each class. Get to know each pupil by name during the first week. It

is of great importance that accurate daily attendance be taken in each class. Teachers are advised to maintain their own student attendance records. Formal reports will show the number of classes missed in each subject as well as the mark earned.

(8) Encourage a positive atmosphere for student growth by having high expectations for the contributions each is going to make. Students do have the desire to achieve.

(9) Educate your students to answer in a respectful manner. Demonstrate respect by eliminating sarcasm and ‘put downs’.

(10) Report any damage of school property to the office immediately. (11) Dismiss your class formally. The teacher, not the bell, dismisses students. (12) Students are to stay in the classroom until the bell rings to end a class. Students should be in their seats

or at a supervised activity until dismissed by the teacher. Have the students leave your room in an orderly manner. Supervise student movement through the halls in the vicinity of your room.

(13) Have your room prepared for the next class so that you, or the teacher who follows, can begin the class on time ie. have boards erased, desks/chairs in order, etc. This will encourage students to be punctual.

(14) Stand to teach. It gives you the advantage and creates an impression of interest and authority. (15) Be a firm but fair disciplinarian. Never make threats or promises you cannot carry out. “Mean what you

say, say what you mean, and do what you say you’re going to do!” (16) Be aware that any physical contact with a student or words spoken may be misinterpreted. (17) Show an interest in what you teach and in your students. Students will reflect the enthusiasm of the

teacher. (18) Keep in mind that students have different abilities, therefore promote progress, not failure. (19) Homework assignments should be reasonable as a student probably has assignments from other

teachers. An average homework assignment lasts 20 – 30 minutes. The board has a homework policy, which endorses homework as a planned part of the educational process designed to enhance learning.

(20) Be dignified, be mature, be interested, and be fair. A good teacher can be firm and business-like and still enjoy a joke. Remember that teachers who are weak in discipline are usually too informal in the classroom. Students will always take advantage of the teacher who brings him/herself to the same level as that of the student.

(21) Never make negative personal comments which reflect on a particular student or any member of the staff.

(22) All teachers should check their mail boxes, e-mail and voice mail by 7:30 a.m. each morning. Teachers should be available to provide extra help, outside of scheduled class time, to those students who may need it.

(23) Contribution to Department Organization and Effectiveness In addition to the regular classroom duties, the teacher is expected to contribute some of his/her time and talents to the functioning of the department in which he/she is a member. These contributions may be in curriculum, department organization, the gathering of resource materials, and a variety of other areas. In general, the nature of the teacher involvement in the department's activities will be developed through discussion with the Curriculum Leader.

(24) Contribution to the General Functioning of the School Many valuable aspects of school life are not confined to class time. Each teacher on staff at CKSS is

expected to contribute some of his/her non-scheduled time to these extra-curricular activities. Assistance is always needed and welcomed in club and team activities, intramural sports and various special events and programmes. Attending Staff Meetings, as mandated by the Education Act, is a means of staying in touch with current issues and plans which affect the school. Everyone is expected to attend and/or be represented by someone in the department who will share the information presented. If you can not attend, please notify Administration prior to the meeting.

(25) Supervision Each teacher must take responsibility for the general and on-going supervision of students. This informal supervision involves taking note of and dealing with acts of vandalism, periodically checking washrooms and removing students from areas in the school where they should not be left unsupervised. All bullying and/or potential bullying behaviour MUST be reported to administration asap.

V. Daily Announcements

Morning Exercises start each morning immediately following the 8:00 a.m. bell at the beginning of period one. It is essential that Home Room teachers and Hallway Supervisors provide a suitable atmosphere to gain the greatest benefits from the morning exercises. It is expected that everyone stand quietly for the National Anthem and then sit quietly for the morning announcements. Students in the hall are expected to remain standing quietly for O Canada and Territorial Acknowledgement but during announcements, are encouraged to quickly get to their class. All classes/students/staff must follow these procedures. We lead best by example.

W. Extra-curricular Activities: Student Participation In Extra-Curricular Activities Policy &

Procedure 1. Students shall enjoy the privilege of participating in extra-curricular activities only so long as their overall deportment and effort in all aspects of school life are considered satisfactory. 2. Students who are suspended from school will be suspended from their extra-curricular activities. Procedure 1. All teacher/coaches must ensure the above policies are adhered to. 2. Should any teacher wish to question a student's participation, he/she should contact Administration. He/she will

institute a check on the student's over-all progress, consult with the sponsor or coach of the activity and decide upon a course of action. All involved parties will be advised of actions taken.

If it is recommended that a student be disallowed from participation under #2 above, his/her case shall be reviewed by a committee consisting of the Principal and two teachers not related to the activity. The decision of the committee shall be binding and stated in writing.

X. Field Trip Planning

Prior to planning a field trip, please discuss the trip with your Curriculum Leader. For easy reference, read the information in the LKDSB Staff Portal under Field Trips. All the needed forms are also available in this Portal.

Field trips of an educational nature are encouraged provided the following school policy is adhered to: 1. Pre-trip teaching is involved and follow-up is completed. 2. Board Policy is followed. 3. All costs are considered. 4. No trips which interfere with other classes are taken three weeks or less before examinations.

** Pay special attention to the school refund policy (which is found on the parent permission form to be sent home): Field Trip Refund Policy The cost of a field trip is estimated based on all of the fixed costs known at the time of booking. These may include bus costs, admission costs, etc. In many cases the costs must be paid, prior to the excursion. Once payment has been made (deposit or other), the fixed cost(s) of the trip will NOT be refunded for students who are unable to participate unless a) someone on the waiting list can assume all costs and/or b) the student can fill the space with an appropriate alternate. NOTE: Airplane tickets which have been purchased cannot be exchanged or refunded. appropriate gender. As per LKDSB’s Administrative Procedures A-PR-209-02, the chart below outlines the correct number of chaperones required.

Z. Health and Safety Please address all Health and Safety concerns through the Joint H&S committee. Committee members at CKSS ; Cal DeNure, Gord Williams (OSSTF) and Derek Rudy (CUPE). The Occupational Health and Safety Act is founded on a philosophy that states the Internal Responsibility System (IRS) takes into account that all employers and employees will co-operate in the workplace to promote health and safety. It is your duty to report any H&S concerns that will directly and indirectly affect our workers. Monthly inspections will occur throughout the school year and committee members may be required to do so during class time. The inspection is not intended to disrupt the class. You may share H&S concerns at this time if appropriate.

Staff training: Throughout the year, specific training, recertification and confirmation of training for staff will occur. BB Insurance And Incident Reports Incident and accident reports for students, parents, volunteers, visitors and staff must be submitted to the office immediately. OSBIE forms will be submitted through the main office but paper copy reports are to be completed by the person(s) in charge – not the student. Please report the incident to Administration and obtain the necessary documentation from Michele Hosfeld in the main office. If the incident/accident occurs after school hours, contact Administration through e-mail or phone and record all information for submission early Monday morning. Submissions to the Ministry of Labour must occur within 48 hours of the incident.

When completing the form(s), record the date and time to indicate when the accident occurred. Ensure that the report is clear, concise and logical. The report will include a description of the accident as detailed as possible. How the accident occurred, who was contacted, was medical intervention necessary, who witnessed the incident, etc.

Students and parents or guardians can expect that:

• students will be given an acceptable amount of time to complete an assignment;

• due dates and expectations will be clearly defined (eg. classroom/class websites);

• teachers will employ a variety of strategies to aid the student in learning the value of planning, time management, and punctuality as described in Growing Success, 2010 and will involve the student success team where necessary;

• students who are struggling with the timely completion of assignments will be addressed individually and contact will be made with a parent or guardian where appropriate;

• assignments that are common in nature can only be handed in for evaluation prior to the return of the evaluated assignments to the class;

• when appropriate an alternative assignment may be given in place of an evaluation that has already been completed and returned to students.

The following guideline is used when assigning consequences relating to the late submission of assignments. Teachers are encouraged to use an extension process for students who, for various reasons, know that he/she will not be able to meet the assignment deadline. This is at the teacher’s discretion to accept the proposal and allow an extension.

Life Skills Classes (all grade levels) Teachers gather evidence up to the final report for the student to achieve the credit. Students are encouraged to follow teacher guidelines for due dates in order to encourage time management skills. No late penalties apply.

Open and Workplace Classes Students are expected to follow teacher guidelines for due dates in order to encourage time management skills. Teachers will consider extenuating circumstances when assignments are late. Once assignments have been returned to students, any late submissions may receive a mark of zero.

Academic/Applied 9 and 10 Students are expected to submit all assignments within a time frame specified by the teacher. Teachers will consider extenuating circumstances when assignments are late. If an assignment is late, 5% may be deducted per school day, up to a maximum of 50%. Once assignments have been returned to students, any late submissions may receive a mark of zero.

College, University and M level Students are expected to submit all assignments within a time frame specified by the teacher. Teachers will consider extenuating circumstances when assignments are late. If an assignment is late, 10% may be deducted per school day, up to a maximum of 50%. Once assignments have been returned to students, any late submissions may receive a mark of zero.

DD Lockers Please remind students that:

(a) for security, a lock combination is not to be revealed to others. (b) Locker ‘sharing’ is not allowed. Each student has been assigned their own personal locker. (c) Students will remain in the same locker for the remainder of time spent at CKSS. (d) Any changing of lockers is to be arranged through the office (VPs). (e) Locker tampering or any damage is to be reported to the office immediately. (f) The lock and the locker are the student’s responsibility. (g) The assigned lock is to remain on the locker at the end of the school year unless students are

graduating. Graduating students bring their lock to the office to hand in. (h) The lock and the locker are the property of the LKDSB and locker searches may occur if information

given, warrants this.

EE Parent-Teacher Communication The parent-teacher conference provides a timely opportunity to show the parents information about their child's scholastic progress. For grade 9 students, the use of their planner when shared with the parents, enhances communication and knowledge about the student’s daily activities.

restricted area or blocking an emergency access their vehicle will be removed at their expense.

HH Resource Center -The Learning Centre offers resources, support and enrichment opportunities for both

identified and non-identified students. Some periods during the day are busier than others. In the case of overwhelming request in the LRC, preference will be given to Identified students. Note: Students should demonstrate a need to use the LRC prior to being sent down to work.

1. Students can access the LRC for purposes of quiet study, test and examination writing, and assignment

completion. Students are not to be sent to the LRC for behavior reasons. Please refer behavioural concerns to

the office.

2. Teachers can send students to the LRC with a note or LRC slip (available in mailroom), or they can simply

send an email to advise LRC staff of a student’s expected arrival, return to class time, and work expectations.

3. Occasionally the LRC will be closed for events like EQAO or in-class examinations. Email notice will be given

to teachers in advance of these occasions.

4. LRC staff are available to address concerns you have with identified or non-identified students. Please let us

know how we can help!

KK Smoking on School Property - Smoking is not permitted on school property meaning that a person

MM Students Arriving Late To Class: Student Expectations:

• Students are expected to be in their classrooms with all necessary materials before the bell that signals the class to begin.

• Students need to move to class when the 5-minute warning bell sounds.

• Students have 10 minutes between classes to get required materials, use the washroom and be in their next class before the bell signals the class to begin. Teacher Expectations:

• Any student who arrives to class after the bell will be recorded as late.

• Teachers are strongly encouraged to begin class with a daily activity that will count toward the 70% term margins. If the beginning of class is meaningful, students will understand the importance of being there on time.

• Teachers on their preparation periods are encouraged to help move students into class 5 minutes before the bell and during the first 5 minutes of class time. Once again, our goal is to get students into their classrooms and maximize their time on task.

• Students who are habitually late will be referred to the Vice-Principal. These students should also be referred to the At Risk Team for counselling. A parent interview may also be required!

Monitoring Late Behaviour:

1. If a student arrives in class within ten (10) minutes of the start of the period, the teacher should mark him/her late on the Web Attendance. The student should not be sent to the office.

2. If a student arrives more than ten minutes following the start of the period, the student should be sent to the

Attendance Office for a note, before admitting to class.

3. Teachers will be responsible for disciplining students late to their class. A natural consequence, such as having the student make up the time after the period or serving a teacher assigned detention, may improve a tardiness problem.

4. If a pattern continues (e.g. suggest – 3 lates in a short period of time) and teacher assigned discipline does not

correct the problem, then teachers are responsible for contacting the student’s parents/guardians regarding this behaviour.

5. A call is made home or a form letter (Late Letter to Parent) is sent home with the student for parental signature.

A record of calls made and letters sent home should be maintained.

6. A referral is made to administration if the student will not comply with teacher directed discipline or if the student continues with a pattern of being late. A Late Referral form is to be completed identifying the times and dates late, the corrective measures tried and that parental contact has been made.

7. Once a Late Referral has been made, the student will be flagged on Trillium. Send the student to the office

each time they are late with the record sheet you have maintained to indicate persistent late behaviour and a progressive discipline process will be implemented. NOTE: If the student’s lates improve and after a several weeks without any lates, a single late occurs, you may want to again try teacher assigned discipline. In other words, the focus should be on a pattern of behaviour and not necessarily a single incident.

NN. If you have been assigned supervision duties, please be on time for the designated duty.

a) Morning Supervision---Stations at Various Doors Be a pleasant greeter towards students, guests, parents, colleagues and after the warning bell encourage students to move quickly to their classes. After the final bell ensure that all students stop moving and listen to the morning announcements.

Request guests to sign in at the Main Office to receive their Visitor’s Pass. Students and staff are to remain standing and quiet during the national anthem and announcements. b) Front Sidewalk of School Smoking on school property is illegal. Students holding a lit cigarette, inhaling and/or exhaling smoke while on school property are to be brought to a vice principal for follow up. It is illegal to provide and/or sell cigarettes to anyone under the age of 19. Please address this to students who are ‘providing’ cigarettes to their friends. c) Cafeteria Students must keep backpacks and bags out of the cafeteria servery area. Monitor the tables for appropriate behaviour and ensure students clean up after themselves. Students are responsible for cleaning ‘their table’ by placing garbage in the appropriate receptacles. Recycling is encouraged. Any table of students failing to act responsibly should be reported to Administration. Students should be encouraged to push their chairs in when they leave and chairs should not be left at the ends of the tables. Any students throwing food or otherwise acting inappropriately should be referred immediately to the office. Also, please help the Cafeteria workers when they catch students stealing food---sometimes students are a little resistant to stopping for cafeteria workers or like to argue more than they should. This behaviour is almost always stopped when a teacher intervenes. Administration will deal with the theft issues. Finally, when students lose cafeteria privileges, their pictures are given to the cafeteria workers. Teachers should help keep these banned students out of the caf. d) Detention Room Students have three minutes to arrive in the detention room. The Detention Room is Rm 121 (next to the main office). The detention sheet is found in the red binder in Attendance office in the mailbox marked Detention. Please pick this up prior to the start of detention. The detention sheet contains the names of those students who have earned detentions. Students need to be on time (10:50) and when the bell rings to note the start of detentions, the door should be closed to prevent disruption. Walk the sign-in sheet from student to student to have them initial the detention sheet beside their name, verifying attendance. Students must bring work and be productive ie. working on their class work or reading a book found in the classroom, newspaper, etc. There should be no socializing or eating during the detention period and absolutely no presence of cell phones. Please ensure that students are not released early (prior to 11:10) unless discussed with the Vice-Principal in charge of detentions. e) Bus Duty Be a pleasant greeter toward students, guests, parents and colleagues. CKSS is a transfer point for several elementary and secondary buses. Safety is the critical aspect of this supervision. Concerns about drugs and fighting are also associated with Bus Duty. Please make sure that students move around the buses appropriately. Also report any vehicles in the circular drive that are driving recklessly. Students need to throw garbage in the appropriate receptacles. Ensure that students do no run around in this area and that they keep clear of buses. Bikes are to be kept off the front patio area. Skateboards and smoking are NOT permitted on school property.

f) West Side/Park: Patrol the length of the sidewalk. Watch the park area for any fights-in-the-making, and any dealing of or use of illegal drugs. Immediately report any troublesome behaviours to Administration. If students are confronted for fighting and/or drugs, address the students as requests. Do not demand, or attempt to forcibly take away drugs and/or drug paraphernalia but ask that they give it to you. Similarly, if students have been fighting and refuse to come with you, simply get their names or a good physical description of them. Often individuals who are not our students will refuse to give their names and will refuse to comply with your requests. Let them go, but remember a good description of them and immediately ask any of our students who they are. Some supervisors may elect to walk through the park, which is helpful, but leaving school property is beyond the responsibility required of teachers. g) Gym Intramurals: (Overseen by Phys. Ed. Dept.) Ensure all participating students adhere to the required equipment and uniform guidelines. Be present and aware of maintaining a healthy competitive spirit in all physical activities. h) LRC Supervision: Do not let students be disruptive. If so inclined, help students with their school work. i) Library: Do not let students be disruptive. Monitor computer use and address inappropriate ‘surfing’ ie. Facebook Accounts and other prohibited sites (check with Mr. Sharpe if sites are in question. Food and drinks will be allowed in certain areas of the library but students must be reminded to clean up after themselves. j) Hall Duty: Be a pleasant greeter toward students, guests, parents, colleagues. Continuously circulate and address dress code, behaviour and school rules issues. Listen for harassment and inappropriate language behaviour and if necessary, refer non-compliant students to Administration. If a group of students is obstructing easy movement through the halls, ask the students to relocate and/or disperse. k) In-Class Expectations: Please refer all dress code violations to the office. Students are to always respect your decisions with regard to the use of listening devices ie. Ipods, MP3 players, etc. School policy regarding electronic devices is further explained in the Student Planner. Consistency is crucial to a perception of fairness. Students leaving the room during class time are to leave cell phones in the classroom. l) Student Dress Code: Positive clothing projects a positive image. The decision of what to wear is a learning experience, however the final decision on matters of taste rests with the administration. If you feel a student is dressed inappropriately, send them to the office. For health and safety reasons, long pants and closed-toe-shoes must be worn at all times in classrooms where technology courses are given. Any changes in this policy are explained to students in specific technology programs. Refusal to follow the dress code in technology classes may result in the 1) denied access to machinery, 2) removal from class.

OO Textbooks Please consider issuing textbooks once class lists are firmly established. Additions and deletions of students could be numerous the first week of school. Keep accurate records of your textbook distributions for all classes. Have students initial receipt of their text(s). Have students write their name and the school year in the correct place in the text and stress that students are responsible for the care and return of assigned texts. Retain your records for verification purposes. Record the correct identification number of each text. Students will be charged the replacement cost if the text(s) is lost or damaged.

TEXTBOOK DISTRIBUTION The distribution and the return of textbooks is a departmental responsibility. The following procedure is recommended to ensure uniformity.

ISSUANCE OF TEXTS: ➢ The subject teacher is to record the student's name, grade, textbook name and number,

CONDITION (see below) and have the student initial that the book was received. ➢ "Textbook Record" forms are available in the mail room. ➢ Have the student insert the school year (e.g. 00-01), name and GRADE they are registered in the

proper place in the text. ➢ The teacher will initial damaged areas of textbooks to prevent further defacing of the text. ➢ Subject teachers are to check textbooks at least once during the semester. ➢ Students with lost, defaced, and/or damaged texts are to be directed to the department head.

PP. Truancies – Discipline Procedures

• Students will receive 2 detentions for skipping 1 class in a day.

• Students will receive 4 detentions for skipping 2 or more classes in a day.

• Missed detentions could result in school suspension.

QQ. Teacher Absence

Planned absences include all absences that you know of in advance (e.g., class field trips, sports events, contractual Leave of Absence, conferences, etc.). These should be communicated to the vice principal in charge of supply teachers by email, AS SOON AS YOU ARE AWARE OF THE ABSENCE. Completing a LKDSB “Field Trip Request”, a “Request for Leave of Absence”, or “Employee Training Conference Form” does not automatically trigger supply coverage. ALL planned absences must be approved by Administration prior to the day of absence. 1. If a LKDSB “Field Trip Request”, a “Request for Leave of Absence”, or “Employee Training Conference Form” is also required,

it must be approved by the principal first, before completing a CKSS “Teacher Supply Booking” form. Samples of these forms follow.

UNPLANNED TEACHER ABSENCES

Unplanned absences include sudden sickness (self or child) or an unexpected family emergency.

1. For unplanned absences, enter the absence in LKARS prior to 6:00 am. If using LKARS is impossible, then call or text the

Vice- Principal in charge of teacher absences directly on the cell number provided. Lesson plans may be emailed to the clerical staff (please cc all three front office secretaries) and cc your Curriculum Leader and the VP responsible for absences.

If the absence is to continue over to a second day, please call the Administrator in charge of absences before 2:00 p.m.

2. It is your responsibility to get the work to Mrs. Walker. Please do not leave the work in your room. a. If you know the night before, place your work in the appropriate folders and leave the package on her desk; if the office is

locked, the work may be left in the mail room in the “Supply Work” File Folder stand. b. If it’s an early morning illness, arrange for the work (outline + sufficient copies) to be brought to Mrs. Johnston in the

morning.

c. Do your own photocopying or, in emergencies, arrange for someone (probably your CL) to have the material made

ready (do not ask front office please). d. Have a current seating plan attached to the material. e. Do not expect the supply teacher to take the class to the library unless the facilities have already been booked by you.

RR. Supply Teacher Work 1. The Supply Teacher will be given a Supply Teacher Timetable sheet by Mrs. Walker in charge of assigning Supply

Teachers.

2. Supply Teachers may be assigned classes for different teachers throughout the day. Please ensure that the file folders are used and there is a separate Lesson Plan & Classroom Procedures sheet for each individual class.

3. Classroom material for each period will be in a folder as follows, for a

Day 1 Schedule: Period 1 with teacher name Period 2 with teacher name Period 3 with teacher name Period 4 with teacher name 4. Inside each folder should be a: a. Seating plan and the teacher’s attendance sheet. b. Lesson Plan & Classroom Procedures sheet. c. Reference to the Emergency Response folder on the back of classroom doors.

4. The Lesson Plan & Classroom Procedures sheet briefly summarizes the main duties and outlines the tasks to be done in each class. Greater detail is provided in this handbook.
