Dear Chapel House boys,

Welcome to Chapel House, the home of our youngest boarders who are aged between 7 and 12 years old. We are looking forward to seeing all of you who were with us last year and welcoming all our new boys joining us for the first time.

Chapel House is a beautiful Georgian building that sits in its own large garden and within walking distance of the prep school and senior school. We have lots of space for you to play outside, from football, cricket and slip and slide to making dens and hiding in the bushes. This year we have a new all-weather play area for you and some exciting new areas in the garden where you can enjoy the peace and quiet.

We have lovely spaces in the house, too, where you can play, read, watch TV, do your prep and relax with your friends. All the dormitories are cosy and warm and I like to think of the house as a real home from home for you during term time.

During the week school is priority and all the staff here will support you with the wealth of academic opportunities you will be offered, but once prep is done you can relax or enjoy a range of activities before bed. These can be anything from swimming, football or touch rugby on the 4G “astro” to board games, ping-pong and pool tournaments. There are also quiet spaces where you can read, play games, work or just catch up with mum and dad on the phone. At weekends some boys go home but most stay in the house so there are always friends to play with and things to do. On Saturday, older boys have school and often have a sports fixture until supper time. You can go to town in the afternoon with friends, while we often have fun activities in the evenings, like the cinema, swimming at the girls’ school or even a disco. On Sundays there is always a trip arranged to places such as theme parks and adventure playgrounds, or we go bowling, canoeing or ice-skating.

Above all, I want you to be happy in your term-time home. We are part of a community, where we all look out for each other and we aim to make friendships which last a lifetime. I very much look forward to welcoming you to Chapel House and introducing you to our boarding family. I hope you will be very happy here.

The book also includes information for you and has been designed to ensure that you can help your son settle in with everything he needs and to give you a flavour of the life he will be leading while boarding at Monmouth School.

Of course, some of the information here is for parents and boys, so please read thehandbook with your son and enjoy preparing for what I know will be a wonderful time atChapel House, both for the boys and for you as proud parents.

PRACTICALITIES

CLOTHINGYour school uniform (though not your blazer), your sports kit, towels, pyjamas and bedding are all washed regularly by the School laundry. You need to take your blazer home each holiday so it can be dry cleaned there.

Casual clothing is known as “mufti” and it is normally worn outside of school hours and we do one wash for it a week, so make sure you have enough to last the week. But do remember that there is limited storage for mufti in Chapel House, so keep your selection down to what you really need.

You can bring a variety of your favourite personal items to schoolwith you. These can include your games, books, cuddly toys and a mobile phone etc., but they need to be sufficiently small to fit into lockers. Also make sure all these items are clearly marked and a record should be kept of serial numbers of anything valuable.

We have computers for you to use in Chapel House, but if you want to bring your own to school, you will need to make special arrangements with Ms Mone. We don’t recommend that you bring one and we cannot take responsibility for any loss or damage.

In fact, you are urged to avoid bringing any valuable items, especially large amounts of money.

Earrings or any other body-piercings are not permitted at school.

Almost all young people have mobile phones and they are, of course, a great way for you to keep in touch with your family while you are at Chapel House.

But all of us, teachers, pupils, parents and guardians, need to take steps to ensure that mobile phones are used responsibly at school.

Therefore, we have an Acceptable Use Policy for Mobile Phones, and this is designed to ensure that you can continue to enjoy using your phone, without causing issue for or disruption to others. The Acceptable Use Policy has three basic rules for you

to follow and these apply during the school day and whilst you are on school trips, camps, or doing extra-curricular activities and for boarders during the evenings and the weekends. The policy also applies to iPods and tablet computers.

The three rules:

• Rule 1 - Chapel House boys leave their phones at home during school time and do not take them into school

• Rule 2 - You can use your phone after school until registration at 5.30pm, then after prep until bedtime and at weekends. You must hand your phone in at the correct times. If you do not, it

will be confiscated. Phones must not be charged in dorms or overnight due to fire risk.

• Rule 3 - You must hand in your phones to the member of staff on duty when it is your bedtime. It will be stored safely overnight in your own pouch in matron’s office.

POCKET MONEYYou can bring pocket money to school. Your parents should hand this money to the deputy houseparent Mr Chaplin at the beginning of term. He will keep the money safe and distribute it to you when you need it. You can, of course, bring your own cash card to school and use this for withdrawing money you need during term time. This must be kept in a wallet and signed in and out every time you use it. Ymust not keep pstairs. Read 30 mins. Lights out

TUCK

All boys love tuck, and going into Monmouth to buy lots of it. We do have a few rules about tuck, just to make sure things stay neat and tidy in the house - you do not spend too much and your teeth don’t fall out! You must keep your tuck in the tuck room. It is not allowed in dormitories and should be consumed in communal areas. Any tuck found in dorms will be confiscated and you will lose town time.

That’s it – enjoy!

LOSING STUFFUnfortunately, we all tend to lose things from time to time – but don’t worry, it will usually turn up safe and sound.

If you lose anything in the house, you should report it to House Staff as soon as you discover it lost. We’ll do our best to help you find it.

If you lose anything while in school it will probably be at the Porters’ Lodge, or lost property so check there.

If providing pocket money in cash, please bring this

money in £5 notes or pound coins in a clearly

marked envelope and hand it to Mr Chaplin at the start of term. Please include any instructions for how you would like the money distributed to your son throughout the term.

Please also ensure that boys have sufficient money for personal needs (e.g. toiletries) and for any other minor expenses.

NOTE FOR PARENTS

Pupils’ Personal Effects Insurance is available for parents to take out, as

contained in the New Boarder Information Booklet. Otherwise, parents’ personal

insurance can cover all valuable items.

NOTE FOR PARENTS

TOP TIPSDO NOT LEAVE MONEY AND VALUABLES LYING AROUND. • Use your lockers properly and report any

broken locks. • You may need to use your own

padlock on some lockers, so bring one with you to school to be on the safe side.

PETSWe have a cat called Mango who lives at Chapel House and Harvey and Monty are two lovely dogs who come to stay. They like you taking them for walks.

FOOD

MEALSAll boys and the boarding team have breakfast, evening and most weekend meals in Chapel House. All food is freshly prepared in Monmouth School kitchens and delivered to Chapel House where it is prepared and served by our chef Emma. You will have your lunch at school.

Food is nutritious, delicious and there is plenty of choice and variation throughout the week. You can also buy sandwiches and snacks at school during the mid-morning break. Chapel House has its own kitchen with a microwave, fridge, kettle and toaster, which you can use for snacks and drinks. Cereal, toast, juice and hot drinks are available for you before bed if you are still hungry!

If your birthday falls in termtime, then we all celebrate. We want to make your special day extra special - even though you are away from home. We put up banners, sign cards and you get the biggest cake ever so that everyone gets a huge slice.

RESPONSIBILITYIt is important that everyone plays a role in the house and personal responsibility is very important to us. Everyone is given roles and daily chores on a rota basis and at the weekend everyone is responsible for keeping the communal areas of the house clean and tidy.

SCHOOL COUNCILOne boy from each year group in Chapel House will be selected to represent the house on the School Council. Each House in the school has at least one representative on this council as well. The group, which is chaired by the Headmaster, meets regularly each term to discuss matters the boys wish to raise with the staff. If you have anything you want the Council to consider, speak with your Chapel House representative.

JOINING IN

BOARDERS’ FORUMThis group meets regularly every term and is chaired by Head of Boarding Mr DK Jones. Like School Council, it consists of two representatives from each House but gives you the opportunity to air your views specifically on boarding issues. A member of the catering staff is invited to each session to answer questions on food. If you have any issues you would like discussed, please see your representatives or Ms Mone.

ICT FORUMThis is an opportunity for representatives from each House, day and boarding, to discuss issues concerning the use and availability of ICT in school.

ICT FACILITIES

COMPUTERS AT CHAPEL HOUSEThere are computers and printers in Chapel House for communal use. You will have your own personal email address and access to the internet.

If you have any queries at all regarding use of the school network, please do not hesitate to contact IT Support.

For queries regarding Computing and ICT facilities in general, please contact Ms Hope, Head of Computing.

REMEMBER . . .• If you are having difficulty with your prep, ask the member of staff for help.

• Older boys from the sixth form are also on hand to help as part of our sixth form homework buddy system. A list of boys and their specialist subjects is available in Chapel House. Make the most of this help - they were once where you are now!

• If you finish all your prep early, you may read, draw or write letters.

• If you have not finished your work in the allocated time you must agree with the member of staff when you will complete it.

• It is your responsibility to keep your diary up to date and signed. It will be checked every evening during prep.

Prep takes place after supper between 6.00pm and 7.00pm

(it will be longer during school examinations)

Prep boys: 6.00pm-6.45pm

Year 7 boys: 6.00pm - 7.00pm

In Chapel House you are supervised by at least two members of staff while you are doing your prep.

GETTING OUT

LEAVING THE HOUSE

NOTE FOR PARENTS There are school trips arranged every Sunday, the cost for which

is added to the fees. Please discuss with your son which trips

he wants to attend in good time so you have no nasty

surprises on your bill.

SIGNING OUT Whenever you leave the House, you must “sign out” in the signing-out book. State clearly your name, your destination, the member of staff from whom you obtained permission to leave and the time by which you will return. On your return, remember to sign back in immediately. Do not “sign out” on behalf of others.

The door of the boarding house will be on a digital lock during the day. For security reasons, it is important that the door is not left open and the lock number should not be given to anyone outside the House.

TOWN TIMEYou are allowed to walk into town in small groups, with permission and after signing out of course, during the following times:

Wednesday 4.00 – 5.20pmSaturday/Sunday 1.00 – 5.30pm

If you are in Year 3-5 a member of staff will walk with you. You will also need permission to leave the boarding house if you are going out for the evening with your family, to a party or going home or to a friend’s house for the weekend.

VISITING & ACTIVITIES

This is your home and you are welcome to invite your family and friends into the house. Please remember that they must sign themselves in and out in the normal way. If you would like them to stay for supper then you must ask permission in advance. Friends are only allowed upstairs if a sleepover has been arranged.

WEEKDAY ACTIVITIES You will find weekday activities listed in the back of the School Calendar. Everyone takes part in at least TWO after school activities each week. You will probably want to do more – and that’s fine, too. Remember team games require a degree of long-term commitment from you.

The activities run after school between 4.00pm and 5.30pm and there is a wide range of them to choose from. You will find plenty of sports practices and matches, music and lots of clubs to join as well.

EVENING ACTIVITIESBetween 7.00pm and 8.00pm we organise all sorts of fun activities. You will find these listed on the notice board. Look out for them and join in.

We also run a ‘Multi-Activity Night’ on a Wednesday evening jointly with other houses and the girls school. As part of this, we have DVD nights, Wii competitions, quizzes and a fun swim with inflatables in the pool.

WEEKEND ACTIVITIESOver the weekend there are many activities arranged for you to choose from.

Sunday activities are also in the calendar. Most of these can be accessed online through the school website. Some of these are in conjunction with Monmouth School for Girls.

Sunday activities are optional and if you want to stay in the house you can. There are lots of things you can do such as table tennis, pool, playing in the garden, board games or just relaxing.

Remember - Some activities are charged to your bill but others are free, so please remember to check and let your parents or guardians know if there is a charge.

You may also like to get involved with some sports training, matches and tournaments or drama, dance or music rehearsals/productions which also tend to fall over the weekends.

On some Sundays we go to church, which is compulsory for all years, followed by a joint activity with Monmouth Boys’ School (e.g., bowling and canoeing).

If you are ill or injured, you must report to the Medical Centre during school hours or outside school hours, report to matron or the member of staff on duty. If you are unable to participate in a School activity you will need an absence note from the Nurse or House Matron.

Minor ailments are dealt with in-house, more troublesome ones by the School Nurses and the School Doctor.

COUNSELLING

COUNSELLING SERVICE

If you are feeling worried about anything at all, or a little sad, you can always talk to any member of staff in Chapel House. We promise to listen and help all we can.

We also have a School Counselling Service available and this can provide independent advice and support for you when you need it.

The school Counsellor is Mrs Sarah Rogers and she is a child psychotherapist and she comes into the school every week.

If you wish to make an appointment with her, this may be done confidentially via the Medical Centre, using the cards and envelopes there. Otherwise, with your agreement, you can be referred by your House Staff, the Nurses or by any teacher you trust. The Service is strictly confidential between the Counsellor and you.

THE SCHOOL CHAPLAIN

Our School Chaplain, Reverend Clifford Swartz, visits Chapel House

regularly (with his two dogs and cookies) and this gives you the chance to talk to someone in addition to house staff and your

tutors. You can also arrange to meet the Chaplain on a one-to-one basis outside these visits if you would like to do so.

In the first and second half of each term, there is a fixed occasion which you spend at home with your parents or guardians.

In the Michaelmas Term and the first half of the Lent term, these are called exeats and extend from Friday 4.00pm to Sunday evening (returning from 7.00pm onwards) or Monday morning.

In the second half of the Lent Term and in the Summer Term, these are known as leave-outs and extend from Saturday 12.30pm to Sunday evening / Monday morning - except for the early May Bank holiday.

The following section presents important school rules and official policies. These apply to all boys at Monmouth School, but if you have any questions

about any aspect of them in relation to your time at Chapel House, just ask Ms Mone or Mr Chaplin who

AIMSOur aim is to provide an ordered and disciplined environment where pupils will respect authority and in which they can improve their self-discipline and good manners and become more tolerant and learn to respect the rights of others. The school believes that good example and commendation are more important than punishment in promoting good behaviour.

The school’s expectations are passed on to pupils through the behaviour of the staff and prefects, through messages in School Assemblies, Chapel Services, Chaplain’s Assemblies and House Assemblies. The School Rules are short and easy to understand and are reviewed annually by the new Prefects. They can be found in the School Diary alongside guidance about avoiding plagiarism. PSHE courses help to promote good behaviour, tolerance and understanding. Tutors will also address behavioural issues with their tutees from time to time. Pupils should be aware that their behaviour on or off the school grounds, either during term time, or in holidays, must reflect positively on the school, and behaviour which is liable to bring the school into disrepute will be investigated, regardless of when or where it takes place, and may result in sanctions.

Members of staff are asked to commend pupils whenever the opportunity arises in class and during the wide range of sports and activities outside the classroom. Merits are entered on SIMs; Housemasters and tutors check this regularly so they can reinforce praise. Pupils can also be commended in the classroom through appropriate oral feedback and comments on written work. The House effort cups, based on effort grades and merits, are awarded each term to encourage application.

The Headmaster celebrates the achievements of current and past pupils at weekly Headmaster’s Assemblies. Colours, medals, trophies and other awards are used to commend success in sport, music and drama. The outstanding achievements of pupils in external examinations is celebrated and rewarded at the start of each school year. There is an annual Commemoration Service and Speech Day which includes a prize giving.

Pupils are encouraged to strive for their House Colours and there are Governors’ Awards for Contribution and Commitment for pupils in

Forms I and II.

The school believes that close cooperation and communication with parents is important

in promoting good behaviour in their sons. This starts with our induction programmes and continues through communication between parents, Housemasters and Tutors and, when necessary, between parents and the Second Master and Headmaster. Parents are invited to share their concerns

about behaviour and discipline. There are occasions when it is in a pupil’s interests to use the Counselling Service to help to improve his behaviour. Details of this service can be found in the School Calendar and School Diary.

MERITSMembers of staff are encouraged to commend pupils for good work, performance and behaviour. For outstanding work, or outstanding performance in other fields, members of staff are asked to award a merit via SIMs; this is for the information of his Tutor, Housemaster and the Headmaster. Boys who receive merits should also record their merits in their diary to provide an overview. Boys who receive merits are invited to see the Headmaster on a weekly basis.

CLASSROOM BEHAVIOURAll members of staff are responsible for maintaining good discipline in their classrooms. The Classroom Code, which clarifies the school’s expectations, is printed in the School Diary. Pupils should arrive punctually with all equipment required for the lesson. Work, including preps, must be completed to a suitable standard. Behaviour in the classroom must allow all to make good progress.

Professional judgement will enable teachers to deal with most minor problems in the classroom. The advice of Heads of Department should be sought when a teacher has any doubt about classroom discipline or punishment. Pupils can be brought back at lunchtimes although this should not interfere with Protected Activities, as listed in the calendar, or with music lessons.

If a pupil fails to produce prep then a demerit should be issued via SIMs. This is for the information of the boy’s Housemaster and tutor. The prep must be done and it is the responsibility of the subject teacher to make sure that work is completed. The school’s expectations in relation to homework/preparation can be found in the School Diary.

BEHAVIOUR OUTSIDE THE CLASSROOMThe following points are important for pupils to bear in mind as they move between lessons, wait for lessons to begin and use changing rooms.

• Respect for each other’s personal space at all times but particularly on stairways

• Respect for each other’s property at all times• Respect for the school environment, ensuring facilities are left clean

and usable for other members of the school• Exercising self-control

THE COMPLAINTS FORMA member of staff or school prefect who has persistent problems with a pupil, or who catches a pupil breaking a school rule, is asked to complete a simple pink Complaints Form and pass this form to the Housemaster. This form should be completed if a pupil fails to produce prep on more than one occasion during a half term. It is good practice for teaching staff to inform the Head of Department about work or classroom issues and specific problem pupils. If it is preferred, an email can be sent instead of the complaints form; colleagues should copy in the pupil’s tutor when writing to his Housemaster.

NETWORK USAGEPupils are expected to use the school network, the internet and email in the ways explained in the Network Usage Policy which can be found in the School Diary.

DETENTIONSHousemasters have the authority to place pupils into school detentions. The response to inappropriate or unacceptable behaviour will depend on:

• The nature of the inappropriate behaviour• The student’s previous behaviour profile• Any mitigating circumstances

Housemasters speak to pupils and, as necessary, will instruct the pupil to attend a specific detention.

A completed Complaints Form is passed to the Detention Administrator and the pupil is placed into detention. If work has been specified on the complaints form then this is done in the detention. In other cases tasks are set by Housemasters or members of the detention team. The Detention Administrator publishes the detention list to the Common Room and on the pupils’ detention notice board. A copy is given to the Second Master. Records are maintained of all school and Headmaster’s Detentions.

school detentions for pupils in Forms I and II are given by the Housemasters of Wye, Dean and Chapel Houses and are administered by the staff of these houses. The detentions usually take place on Tuesday and Thursday lunchtimes.

School detentions for pupils in Forms III-V are administered by the staff Detention team. These detentions usually take place on Friday lunchtimes (for minor offences) or Friday after school (for more serious offences).

Headmaster’s Detentions take place on Saturday afternoons, usually from 1-3 p.m., for serious or repeated offences. The Headmaster or Second Master will see the pupil and will write to his parents. The detentions are administered by the Staff Detention team. Pupils are set work, tasks or Detention Papers.

Very serious offences are discussed by the Second Master and Headmaster and others as necessary. On rare occasions the Headmaster will temporarily exclude a pupil or, on very rare occasions, he will impose a reverse suspension and require a pupil to come into the school when the pupil would otherwise be on holiday. The Headmaster has the right to exclude a pupil permanently for persistent offences or for an extremely serious offence.

There are some separate sanctions for boarding pupils which can be seen in the Boarders’ Handbook. Serious offences are recorded in the punishment books in each Boarding House.

Bullying is not tolerated at Monmouth School for Boys. There is a school Anti-Bullying Policy which you will find in this booklet on page 28. Please read this carefully.

STATEMENT OF INTENTMonmouth School for Boys is committed to providing a caring, friendly and secure environment for all our pupils. Bullying of any kind is unacceptable. We take responsibility for helping pupils understand what bullying is and the harm it can do. If bullying does occur then all pupils should be able to tell and know that incidents will be dealt with effectively. Anyone who knows that bullying is happening is expected to tell a member of staff.

WHAT IS BULLYING?Bullying has been described as “the conscious desire to hurt, threaten, humiliate or frighten another”.

Bullying is usually deliberately hurtful, repeated and makes it difficult for the victims to defend themselves.

Bullying can be physical, verbal, emotional, racist, sexual and may involve abuse of another person’s property.

Verbal abuse includes name calling, being “picked on” and offensive or prejudicial remarks or actions.

Bullying may involve pupils, staff or visitors and may occur outside the school grounds, for example on the buses to and from school.

Bullying may use electronic means. Examples of cyber-bullying include:

• Text message bullying involves sending unwelcome texts that are threatening or cause discomfort.

• Picture/video-clip bullying via mobile phone cameras is used to make the person being bullied feel threatened or embarrassed, with images usually sent to other people.

• Phone call bullying via mobile phone uses silent calls or abusive messages. Sometimes the bullied person’s phone is stolen and used to harass others, who then think the phone owner is responsible.

ANTI-BULLYING POLICY • Email bullying uses email to send bullying

or threatening messages, often using a pseudonym for anonymity or using someone else’s name to pin the blame on them.

• Chat room bullying involves sending menacing or upsetting responses to children or young people when they are in a web-based chat room.

• Bullying through apps like Twitter, Facebook, Instagram or WhatsApp is an internet-based form of bullying where children and young people are sent unpleasant messages as they conduct real-time conversations online.

• Bullying via websites includes the use of defamatory blogs, personal websites and online personal polling sites.

BANTERBanter is defined as “the playful and friendly exchange of teasing remarks” in the OED. All members of the school community should exercise caution in using banter; a remark that is intended to be playful and friendly may not necessarily be taken that way by its intended recipient. Banter can easily become bullying and if there are reasonable grounds to assume that the recipient would find a remark offensive or upsetting then it will be regarded as bullying. Banter should never contain language which is related to perceived ability, race, religion, sexuality, appearance or family circumstances.

OBJECTIVES• All members of the school community

should have an understanding of bullying.• The ethos of the school should instil mutual

respect and decent behaviour.• Every pupil should know to whom they can

talk about bullying incidents.• Clear procedures for reporting bullying

should be understood and followed.

PROCEDURES• Pupils should report bullying incidents to staff.

Pupils are reminded that there is a range of people to whom they can turn in the first instance: Housemasters, Tutors, Teachers, the Chaplain, the Nurses in the Medical Centre and the Second Master.

• In cases of serious bullying, the incidents will be recorded by staff and the Second Master will be informed. The Second Master keeps a central record of all bullying incidents.

• Parents should be informed (in serious cases) and will be asked to come to a meeting to discuss the problem.

• If necessary and appropriate, the Police will be consulted.• The bullying behaviour and threats of bullying must immediately stop.• An attempt will be made to help the bully/bullies change their

behaviour and to discover the reasons for it. • The bully will offer an apology and other appropriate consequences

may take place.• In serious cases, suspension or even exclusion will be considered. • If possible the pupils will be reconciled.

PREVENTIONThe best prevention is a proactive course, which is pursued among other ways through the curriculum, the example set by pupils and staff of the school in their dealing with each other, and by references to the subject at School and House Assemblies.

Staff should be in the lookout for potential victims of bullying and areas and times when bullying might occur.

SIGNS AND SYMPTOMSA pupil may indicate by signs or behaviour that he is being bullied. Adults should be aware that these are possible signs and that they should investigate if a child:

• is frightened of walking to or from school;• is unwilling to go to school;• begins to do poorly in school work;• becomes withdrawn, starts stammering;• regularly has books or clothes destroyed;• becomes distressed, stops eating;• cries easily;• becomes disruptive or aggressive;• has possessions go “missing”;• continually loses money;• starts stealing money (to pay bully);• is frightened to say what’s wrong;• runs away;• has nightmares.

These signs and behaviours could indicate other problems, but bullying should be considered a possibility and should be investigated.

REVIEW OF ANTI-BULLYINGThis policy is reviewed regularly and any pupil or member of staff who has views to contribute is asked to contact the Second Master. The policy should be considered in conjunction with the school’s Child Protection Policy and Procedures.

SCHOOL RULES

GENERAL Any action which offends against common sense or good manners is a breach of School Rules.

CONDUCT Pupils are expected to show tolerance and respect at all times. Pupils must behave in an orderly manner in the town and school, and when travelling to and from the School.

ATTENDANCE, Pupils should be punctual and must attend all lessons and other compulsory school activities. Unforeseen absence must be satisfactorily explained by a pupil’s parents, boarding Housemaster or doctor. Requests for absence are granted only for very important reasons and should be sent to the Headmaster at least one week in advance.

DRESS, School uniform must be worn by all pupils during school hours and on the journey to and from School. Clothing should be clean and tidy and shoes polished. Hair should be clean, of natural appearance and a

respectable length and style. Jewellery should not be worn.

GAMES The published regulations concerning safety on the games field and the river, and in the Sports Centre, must be observed at all times.

PERSONAL In the interests of personal safety: a) Pupils going from the School to the Playing Fields must use the underpass below the A40, and NOT cross

at ground level. b) Pupils may not swim in the rivers Wye and Monnow.

PERSONAL All possessions should be clearly marked with the owner’s name. Mobile phones may be brought to school, but must be switched off during all formal school commitments.

Pupils must safeguard their personal possessions; the School cannot be held responsible for loss of valuables. Items deemed to be offensive or dangerous, such as guns, water pistols, knives, matches, lighters and laser pens, should not be brought to School.

BOUNDS Chippenham, Monmouth Town and beyond are out of bounds for pupils in Forms I-V between 8.35am and 3.55pm.

SMOKING Pupils may not smoke or be in possession of cigarettes or e-cigarettes at School, or on their way to or from School, or on a school activity. Alcoholic drinks may not be brought to School. Licensed premises and Betting Shops are out of bounds to all pupils during school hours. (See separate rules for boarders).

Pupils are forbidden to be in possession of drugs or to be involved in the sale or purchase of any form of drug except as prescribed by their Doctors or sold to the public by a pharmacist without prescription. The consumption, possession, sale or purchase of so-called legal highs is also forbidden.

The school takes a strict view of the law regarding the supply and use of illegal substances* and will take steps to protect those members of the community who are felt to be at risk. Guidance is provided through the PSHE syllabus and occasional lectures from outside speakers, e.g. police liaison officers. All staff should be on the lookout for signs of use of illegal substances* by pupils.

Any member of the school who is found to be selling, distributing, in possession of, or consuming, illegal substances* on or off the school grounds, either during term time, or in holidays, will be considered to have committed an offence, an assessment of which will lead to disciplinary action, up to and including permanent exclusion.

Each incident will be dealt with on its own merits. Full consideration will be given to the circumstances involved. The school will act on any incident which involves its pupils, including incidents which take place during the school holidays. The Second Master and Headmaster must always be informed where there is a suspicion of substance abuse.

• Pupils who voluntarily admit to the use of illegal substances* will be offered the option of supportive counselling and pastoral care. This will be provided on a confidential basis. The pupil must agree to abstain from further use. The individual will be advised that subsequent incidents would be dealt with by suspension or exclusion.

• Information regarding illegal substances* will be investigated thoroughly. If there is sufficient evidence to warrant it, the pupil will be confronted. If substance abuse is established the pupil will be dealt with under the school’s disciplinary code.

• The act of providing illegal substances* to pupils of the school is totally unacceptable and, unless there are extreme mitigating circumstances, the pupil could expect to be expelled from the school.

• If pupils are found to be in possession or to have used illegal substances*, then their parents will be informed and the implication of their child’s action would be fully discussed with them.

SUBSTANCE ABUSE POLICY

• It is the policy of the school to consult with the Police and relevant agencies at all times. The school is duty bound to inform the Police of any instances of illegal drug* taking by its pupils of which it becomes aware.

• The school is committed to a programme of education about substance abuse. This is reviewed regularly and there are also opportunities for parents and staff to learn about current developments in substance abuse.

• If there is suspicion that a pupil is involved with substance abuse, the Headmaster may decide that further investigation is appropriate and this may include drug testing, (see separate statement on drug testing).

*This policy extends to the supply and use of psychoactive, non-prescription drugs, which may not yet be illegal. Such substances, often sold as “research chemicals” or “legal highs”, are continually evolving, often faster than legislation, and can pose great dangers to mental and physical health if consumed. The School takes a firm stance against all recreational drug use, whether or not the drug being used is covered by current legislation.

A member of staff who suspects that a pupil is involved in drug abuse should report concerns to the Headmaster, via the normal pastoral channels. Suspicion may arise from behavioural signs such as declining school performance, excessive tiredness, or mood swing; rashes or sores, especially around the nose and mouth or a lack of interest in appearance. When a suspicion is reported to the Headmaster, he will decide whether further investigation is required, which may include drug testing.

• The suspected pupil will be interviewed by the Headmaster or Second Master, together with a member of staff as a witness. The pupil in question may ask a member of staff, his parents, or a friend to be present. A record of the interview will be kept. The pupil will usually be asked to write a statement.

• If the pupil denies involvement but suspicions remain, the Headmaster may decide to institute a drug test. All possible efforts will be made to contact the parents/guardians of the pupil to explain the situation to them, before the test is conducted.

• Every effort will be made to ensure that the drugs test is conducted as fairly and openly as possible, and in accordance with the strict procedure laid down by the school. Tests will be supervised by school medical staff.

• Samples will be sent away for professional testing and results will be communicated as soon as possible to the pupil and his parents/guardians.

DRUG TESTING • If the result of the test is positive, the pupil

will be offered appropriate counselling and support and there will be further tests at the Headmaster’s discretion. Any further positive test result is likely to lead to immediate expulsion.

• If a test is needed to establish whether drugs have been used by a pupil, the costs of the test will be borne by the school only if no evidence of drugs is found in the sample provided. If the test proves that drugs have been used, then the cost of this, and all subsequent tests deemed necessary by the school, will be borne by the parents of the pupil. If a pupil confesses to use, tests used to monitor subsequent behaviour will be charged to his parents.

• Unless there are substantial mitigating circumstances, a refusal to co-operate with the drugs testing policy of the school is liable to lead to expulsion.

• Appeals concerning the implementation of this policy should be made to the Headmaster in the first instance, and thereafter to the Chairman of the School Governors.

ANTI-SMOKING POLICYThe school policy on smoking is clear and unequivocal. The school seeks to discourage smoking through its PSHE programme and by declaring that the school is a no-smoking area. The School Rules state that boys are not allowed to smoke or be in possession of cigarettes or smoking materials while under the care and supervision of the school. Possession or use of e-cigarettes is treated in exactly the same way as other smoking materials.

If a boy is caught smoking or in possession of cigarettes the incident must be reported to his Housemaster.

The following guidelines for punishments should be adhered to by Housemasters unless there is prior agreement with the Second Master.

1. On the first occasion that a boy is caught smoking or in possession of cigarettes he is to be punished by his Housemaster with a £10 fine and the incident is to be recorded on his House file. The Housemaster will also write to the boy’s parents explaining the offence and the punishment. He should inform them that the fine will be paid to a Cancer Charity and detail the punishment if there is a second offence.

Whenever a fine is collected, the monies must be donated to a Cancer Charity as soon as possible and a receipt obtained which is to be kept in the boy’s House file.

2. On the second occasion that a boy is caught he is to be punished by his Housemaster with a £20 fine. Again the incident must be recorded on his House file and parents must be written to. The letter must include detail of the incident, punishment and consequences of a further breach of the rules.

3. On the third occasion that a boy is caught the matter should be taken by his Housemaster to the Second Master. The Second Master will take appropriate action which may include calling parents for a meeting at school or sending the boy to the Headmaster who may exclude him from the school for a period of time.

All cigarettes and smoking materials found in a boy’s possession will be confiscated and destroyed. Boys found smoking within school buildings will be deemed to be causing a fire risk as well as breaching school rules about smoking, and are thus liable to be punished for this additional offence.

At holidays, leave-outs and exeats, boys must leave the House and spend this time with their parents or guardians. Parents are asked to inform their son’s Houseparent about the travel arrangements to and from school at these times, if they are unable to collect them personally.

TRANSPORT TO NEWPORT STATION (EXEATS, LEAVE-OUTS AND HALF-TERMS ONLY)Transport for boarders travelling to and from Newport railway station can be arranged. With the increasing numbers of boys making use of the Newport railway station shuttle at half-terms, exeats and leave-outs we will introduce a coach service and a charge for this service (£7.50 per journey). Any boy wishing to use this service should inform their Housemaster well in advance of the holiday; please note that cancelation will require 48 hours’ notice to avoid the charge. The coach will depart from Newport at 7.00pm and boys must ensure that they arrive in good time for this service. Private arrangements must be made if you cannot arrive by this departure time.

TRANSPORT TO AND FROM HEATHROW AIRPORTTransport for pupils travelling to and from Heathrow and other airports can be arranged. Where possible this transport is shared with other boys and also with pupils from Monmouth School for Girls to help reduce the cost. The planning and organisation of this transport is undertaken by Ms Rachel Skelsey-Beard, (skelsey-beard. [email protected]). Parents wishing to make use of this transport should email the son’s flight details to Ms Skelsey-Beard directly (cc their son’s housemaster). It should include date of travel, airline, flight number, time of arrival/departure and the airport terminal. It is advised that this information is sent at least three weeks in advance of any departure. Heathrow collection point – unless advised otherwise, we collect pupils from Terminal 3 Arrivals. Boys arriving at Terminal 1, 2, 4 and 5 will need to make their way to Café next to the Information Desk in Terminal 3 Arrivals and are asked upon leaving the aircraft to turn

their mobile phone on so that the travel escorts can contact them, if necessary. A fee will be charged per journey to/from the airport and will appear on the school account.

If you have registered your son as an Unaccompanied Minor with the airline company, please make this clear to Ms Skelsey-Beard as we are required to complete the airline’s forms and provide your son with a letter and an escort. Airlines often charge for this service. These boys will be delivered and collected from the airline’s desk. This direct charge for the taxi will appear on the pupil’s school account although where timings permit, we will arrange for pupils to share taxis and thereby reduce the costs.

PASSPORT LETTERAll boys must carry a letter in their passport, which indicates that they are a full-time student at Monmouth School for Boys, should this be required by immigration. The school will provide this. Parents are also advised to give their son a letter, if they are under 18 and travelling alone, stating that he is a pupil at Monmouth School for Boys and with their home contact details.

TAXI SERVICEIf the above transport arrangements do not cater for a pupil’s requirements, we can arrange individual taxi transport and this can be organised by contacting Ms Skelsey-Beard (copying Housemaster) email [email protected]. The direct cost will be charged on the pupil’s school account.

SUITABLE ACCOMMODATION ARRANGEMENTSDuring exeats and leave-outs we expect boys to stay with their parents or a reliable guardian. Other arrangements may be made with Ms Mone, but it is not acceptable for boys of any age to stay where a responsible adult (someone over the age of 25) is not present and able to accept the duty of care expected of a host. Examples of accommodation arrangements which we do not permit include (but are not limited to) staying with a sibling at their university accommodation, with a friend where parents are not present for the weekend or unaccompanied by an adult in hotels or B&Bs. You will appreciate that Ms Mone must have confidence in the arrangements made for weekend exeats or leave-outs before handing over her responsibility for a pupil, specifically that a responsible adult will accept the duty of care for boys entrusted to them for the break from school. It is therefore essential that Ms Mone is informed in good time before an exeat or leave-out to ensure that arrangements can be confirmed.

GUARDIANSHIP FOR STUDENTSParents who do not reside in Great Britain or who may be abroad for a period of time on business or holiday, and who have children in British boarding schools, are required to appoint a guardian. We also strongly advise that, in line with the Boarding Schools Association’s recommendation, the guardians live within a suitable proximity to the school. This person must be available at all times to act on their behalf and respond to the needs of both the child and the school. This is someone with whom the pupil can stay during exeat/leave-out weekends and half-term holidays, provide the necessary support and who would be able to act in case of an emergency.

Some pupils have relatives/ friends in Britain to take on this responsibility. However, other overseas students will have no suitable contacts in Britain and will need to nominate a local guardian whom they feel they can trust. Whilst the school provides the list of guardianship organisations on this page, it is the parents responsibility to arrange a guardian for their son. Overseas students will not be allowed to join the school unless they have a guardian.

DEPARTURE ARRANGEMENTS At the end of each term boys should leave their dormitory tidy with floors, desks and window sills clear. This is to permit these areas to be thoroughly cleaned.

Packing evenings will be arranged by the matrons, who will help the boys get organised and make the task as easy as possible in the last few days. Please let us know what your son will need over the holidays.

At the end of the Summer Term dormitories will need to be completely cleared of possessions. Any remedial work required in rooms, which is beyond that of general cleaning and wear and tear may incur a repair charge.
