We have a large slate of classes for the Real Estate professional this year.

Tuesday starts out with “PM Setup” and “PM Standard Workflow” in the afternoon. “PM Setup” will cover an overview of the PM module and the detailed steps necessary to setup properties, units, leases and tenants in the module prior to use. “PM Standard Workflow” will cover an overview of the PM workflow, including creating charges and recording cash receipts, and will walk you through the basic tasks that you perform on a routine basis.

Wednesday covers “Crystal for PM,” “PM Management Fees” and “AP Pass-Thru’s, Archiving, Closing & Moving and Year End.” “Crystal for PM” is a Bring Your Own Questions Lab hosted by a Crystal expert. “PM Management Fees” will cover how to manage and track management fees and create fee invoices in Accounts Payable. “AP Pass Thru’s, Archiving, Closing & Moving and Year End” will cover how to use AP Invoice Entry to create charges in PM, understanding the impacts of archiving inactive leases, moving entries to History, and the process for closing monthly and at year end.

Thursday is a full day with “Weird Stuff We Track in PM,” “Real Estate Process Automation” and a two-session lecture then lab covering “Advanced Formulas and

Recoveries” in the afternoon. “Weird Stuff We Track in PM” will cover using PM to track various miscellaneous items, such as subtenants, legal notice obligations, parking spaces, odd prorations and letters of credit for security deposits. “Real Estate Process Automation” will cover how to automate various periodic tasks, such as direct deposits, online payments, e-mailing tenant statements and vendor ACH payments. “Advanced Formulas and Recoveries” is a one-session lecture and then one-session lab. The instructor will cover the basic understanding of the Recoveries and Escalations concept, scenarios, setup, workflow and implementation approach.

We conclude Friday morning with two roundtables hosted by a certified consultant. The first, “Lease Management,” will cover leases, tenant and unit IDs, when to use setup, activate, cancel, change, renew, amend and terminate leases, and the archiving and moving to history of leases. The second, “Property Management Unused Treasures,” will cover Accumulators, Custom Descriptions, Custom Fields, Check Lists, Importing Charges and Payments, and Using Charge Setup Reference fields and SIC codes.

The TUG Conference Education committee has been hard at work to make each attendee’s experience the best it can be. This year, the committee has come up with session “bundles” based on an attend-ee’s job title and their experience level with Sage Timberline Office. This year, your Project Management (PJ) Committee has designed a four-day educational opportunity for Project

Managers and Project Accountants of all experience levels.

If you are new to Timberline, you will spend the first day learning about how Sage Timberline Office (STO) works and how the various modules interact, then you will learn how to use the STO Desktop interface as your home page for information about your jobs and a launching point to do data entry. Then you will learn about setting up jobs, whether you set jobs up to use PJ during the bid phase, or if your accounting department sets up jobs after the job is won.

On the second day, you will dive into the details of the PJ module, learning how STO tracks Companies and Persons in the Address Book, and how to use those contacts as you track Job Correspondence and create and manage Job Documents,

such as RFIs and Submittals. You will also learn about PJ’s Field Reports Log and other customizable logs. The third day will be dedicated to Change Order management, including a roundtable on managing Allowances and Contingencies. The final day of the conference will allow you to discuss all that you’ve learned and also get tips and tricks in roundtable sessions.

For those who are already experienced using PJ, you can dive right in on the first day to learn more advanced techniques related to Cost Forecasting and Cost Management, as well as workflows and shared responsibilities between the Operations Team and Accounting Team for effective Subcontract Management. On the second day, you may choose to do a refresher and join the beginners in going through the nuts and bolts of PJ Job Documents, since most users learn the tools in more depth by taking those classes again after they have achieved basic proficiency. If you are

already a PJ expert, you can experiment with more advanced classes, such as Basic ODBC (Open DataBase Connectivity) to learn techniques to expand the power of your Timberline system.

On the third day, you can hone your Change Management skills or you can learn about the STO future roadmap and other IT-related topics, including Cloud Services and upcoming Timberline solutions in that arena. On the final day, experienced users can join the in-depth Field Access Issues and Solutions Roundtable, or learn Basic Crystal Reports to customize PJ Reports and Forms, or focus on Customer Billing. The choice is yours, based on your experience and interest.

We are confident that the 2012 TUG National Users Conference will be another successful year for the Project Management track and we look forward to seeing you in Florida!

2 MANAGEMENT ISSUES:COMPANY MANAGEMENT2-1 Executive STO OverviewThis session will provide an overview of Sage Timberline Office from a Manager’s perspective. It will focus on what information is entered in each of the various modules and on reports and inquiries to pull relevant data out of the database.

2-2 Risk Management RoundtableAfter attending this roundtable, you will have many ideas of the types of risks that a company should be aware of. Not only will we talk about insurance, but we will discuss financial risks and how to take steps to guard against those as well as risks from employee issues.

2-5 Best Practices – 2-Part SessionThis session will cover recommendations for creating internal Processes, options for Revenue Recognition, and monitoring Key Indicators.

3 MANAGEMENT ISSUES: IT3-1 Top Technology TrendsWhat are the top IT trends, what do independent experts say that you should be doing or evaluating when it comes to your technology? We are going to take an in-depth look at what are the top trends, what should you know about them, what are the pros and cons, how close to reality are they, and how might these trends apply to your business.

Note on session numbering: Sessions are numbered with the track number-timeslot. Track numbersfollow the top of the session grid on pages 18-20, while the Timeslot numbers follow the left side of the grid.

3-2 Getting the Most out of Your TechnologyTechnology cost money! It is part of your business and it is not going away. Now how do you manage your costs? How do you get the most out of your technology dollars? We will take a look at how to get the most out of your technology investment, and try to identify common mistakes that companies make that costs them money. We will also take a look at ways to improve your technology investment by expanding the use of technology you may already own. So if you are concerned about your technology and the cost around your technology investment this should be a great session for you.

3-3 Roadmap for STO ImplementationThis session will review common roadblocks and issues facing company’s during STO implementation and will recommend best practices for how to approach an implementation, how to break it up into manageable chunks, and what order to perform tasks in.

3-5 Managing Operating Costs with Technology In this follow-up to “Getting the Most out of Your Technology,” you will have an opportunity to meet in an Informal Roundtable format with a group of other users to discuss your specific technology needs, shortfalls and successes. The session will be led and moderated by an Information Technology Services expert.

3-7 Security Administration of STO and Log ViewerThis session will review the types of security available in STO as well as the nuts and bolts of setting up users and security permissions. The session will also cover the details of using the STO Desktop Log Viewer, including how filter the log to view specific information and how to export to Excel.

3-8 Managing Custom Descriptions, Custom Fields, and Customizing Reports Menu:Tips & TricksAfter completing this class, you will be able to effectively manage custom descriptions, custom fields, and the reports menus. You will be able to identify the items in STO that you can customize and understand the effects of changing descriptions and adding custom fields to help your company to better adapt STO to your processes. You will also understand and be able to edit the reports menus.

3-10 Cloud Services OverviewThis session will review the industry trends toward Cloud Services and discuss the pros and cons off on-site versus off-site storage, including accessibility, cost and back-up.

4 MANAGEMENT ISSUES:BRING YOUR QUESTIONS BOOTH4-3 Bring Your Payroll Questions LabPayroll personnel and accountants or controllers that deal with payroll accounting can bring their own questions!

4-4 Bring Your Basic Excel Questions LabBasic users of Microsoft Excel can bring their questions to this session and learn some tips and tricks!

4-5 Bring Your Crystal Reports Tips & Tricks Questions LabIntermediate users of the Crystal Reports report writing application can bring their questions!

4-6 Bring Your Crystal Reports for Property Management Questions LabIntermediate users of PM Property Management who use the Crystal Reports report writing application can bring their own questions!

What tools and systems does your company use for Customer Relationship Management (CRM) and how do you track costs of projects that have not yet been won?

7-14 Utilizing PJ to Become a More Effective Manger RoundtableThis class will be presented in a roundtable format; it is expected that attendees will bring issues and questions to ask the group and will also bring experience and work-arounds to share with the group. 8-3 Basic Job Setup Workflow This class will explore the interactions of setting ups jobs in JC and PJ. We will explore the similarities and differences between creating a job first in JC versus creating a job first in PJ. We will discuss options such as setting up jobs in PJ with temporary job numbers for estimating purposes, then re-numbering the job with a JC job number when the job is won. We will discuss which information is shared between JC and PJ and which information is unique, including Custom Fields, Cost Codes, Categories, Misc. Worksheets and Commitments. We will discuss how costs are tracked and indentify routine tasks such as closing the month.

8-5 Reports Manager & Default Reports This session will provide an overview of the default reporting options available within Sage Timberline Office, including Report Designer reports and Crystal Reports available in the Reports menu, Crystal Reports available as STO Desktop Home pages, and Office Connector Starter Reports available to pull data into Excel. We will discuss how to run reports, including setting parameters and ranges to specify the data you with to view. You will learn how both Report Designer reports and Crystal Reports behave, including what options you have prior to running a report and what functions are available to you in the report preview window, including zooming, searching and exporting. You will also get an overview of the vast array of default reports provided by Timberline. We will also discuss how to manage your reports menu to change the name of a report or add a custom report or “move” a report to a different module or a different report pull-out “folder” in the same module.

8-6 Using Default Inquires Effectively You may have looked at the default inquiries and thought this is close, but it 1) returns too much data, 2) doesn’t include everything that I need or want to see or 3) has stuff I don’t need. You will then create a WIP Report and Cost Variance Report. The WIP report will include how to adjust the cost to complete without affecting the estimate.

10-5 Basic GL General Ledger The class participant will gain an understanding of the flow of data through the General Ledger module, learn how to set up accounts, how to record, edit and delete entries, print reports from the General Ledger, and to add, edit or delete budget data. 18-13 Basic Crystal Reports Lab – All-Day SessionYou’re ready to make the jump to designing Crystal reports with the Sage Timberline Office database. Spend the day learning how to write reports for the core Accounting and Project Management applications. We’ll set up ODBC, and then create new reports. We’ll cover the fundamentals of formatting and will insert text and graphics for that professional look. We’ll condition, sort, and insert report totals. You’ll gain an understanding of preview report formulas. You’ll learn about linking tables and will see why linking is required and what it does. You’ll have plenty of hands-on activities. No prior experience with Crystal Reports is needed. However, we highly recommend that you be familiar with the Timberline database and have Crystal installed and ready to use once you return to your office.

19-2 Modifying Canned Crystal Reports LabAfter completing this class, you will be able to do the following: manage your customized reports and forms, use PJ settings to select your custom form, use Report Manager to select your custom report, add your company logo to Crystal Reports, add, delete, more and resize fields on a report, change the formatting of a report, add page numbering options, add groups for greater sorting, summarizing and subtotaling capabilities, and how to write a job number formula so you can either enter with hyphens or without hyphens. We will also cover tips and tricks for Crystal.

19-15 Using Crystal to Build Subcontract and Purchase Order Documents Lab – 2-Part SessionThis is an applied Crystal Reports class for Advanced Users who wish to build custom Subcontract Documents and/or Purchase Order documents. The session will cover data table issues as well as Crystal Techniques for formatting to create custom forms, and how to make them available as your company’s default form for printing Commitments from within Timberline.

20 & 21 TS REPORTING: RD, ID & FS20-1 Basic Report Designer Lab – All-Day SessionAfter completing this class, you will be able to create basic reports as well as modify existing reports using Sage Timberline Office Report Designer module (not Crystal Reports). The class is designed to familiarize users with the report designer window. Users will learn how to select, sort, organize, total, and present data from the Sage Timberline Office database in a usable report format. Users will be introduced to formulas and functions to help present data.

20-7 Inquiry Designer Lab – 2-Part SessionThis session will start with an overview of what an “Inquiry” is. It will cover the basics of functionality and record relationships. We will tweak a couple of existing “canned” inquiries and then create a basic inquiry of our own. The session will continue with the creation of an inquiry with multiple column-specific jumps and explore different uses of formulas and conditions in inquiries. We’ll discuss what you might think is an out of the ordinary use for an inquiry.

20-9 Intermediate Report Designer Lab –All-Day SessionWish you could find a few more hours in your day? Spend one day in this workshop learning how to regain a few of those hours by modifying existing Sage Timberline Office reports, working with formulas, and utilizing custom fields. Are you still completing your WIP report in Microsoft® Excel? We’ll modify the WIP as of a specific date report, including prior year profit per job. We’ll also modify the committed cost report to add subcontract compliance items, including certified payroll reports obtained from the subcontractor. Next, you’ll work with the 1099 Preparation report to add a field for tracking W-9s. Next on the list will be the AP lien waiver with invoice detail report. As a group, we’ll discuss customizing the text, then, with help from the instructor and lab assistants, you’ll customize one of your own reports.

21-5 Intermediate Financial Statements Lab –2-Part SessionHave you ever wanted to annotate a Variance Report in FS? Do you need to create a comparative statement for you profit centers? Or pull data for just one Partner’s interest in the Company? STO Financial Statement Designer can do all that. After completing this class, you will be able to prepare Partner Statements, columnar Comparative Income Statements using Prefix Groups, and Budget Variance Reports using forecast fields, accumulators and expressions featuring GL Unit accounts.

CPE INFORMATIONCPA participants will receive 7 CPE credits per full day of attendance, for a possible total of 28 CPE credits. Please be sure to sign in and out of each session you attend. Certificates will be sent via e-mail after the conference. TUG’s CPE registration policies and procedures will be available to all participants.
