NON COMPETE CLAUSE: If for any reason the Nanny Counselor decides to discontinue therelationship with A Nanny On the Net, the Nanny Counselor agrees that he/she will not compete inthe same business i.e. Nanny Placement Services for a 2 years period.

Family Side of the Business

When you receive an application from a Family, you should interview them as soon as possible. Thiswill give you more of an idea of what they are like and what they are looking for in a Nanny. The mostimportant thing is to build a rapport with the family, so that they will trust your judgment when yourecommend a Nanny candidate to them for an interview. Ask as many questions as you like, to getthe whole picture of what they are expecting of you as their representative, and what they see in afuture Nanny for their family. Look over the application, and note if anything vital is missing. If so, besure to ask them about it.

The following questions may also be helpful in the interview:

• What type of work you do?

• What is your work schedule?

• What childcare arrangement do you currently have?

• If you currently have a Nanny does she know that you are looking?

• Has the nanny ever worked as a nanny before?

• How old was he or she?

• Was the nanny happy with the family? Why or why not?

• Do you still keep in touch?

• Do you need to give a notice to a day care facility?

• What disciplinary procedures do you use?

• Hours/days of employment

• Daily schedule: meals, naps, bedtimes, school...

• Responsibilities of nanny

• Any housekeeping, (i.e. Laundry, cooking, etc.)?

• Any other duties to be required?

• How often do you go out in the evenings?

• Do you pay extra for baby-sitting and overtime?

• Do you employ any other household help? (Housekeeper, cook, etc.)

• Will family travels include the nanny?

• Is travel time paid by the hour or is it included as part of the salary?

• Is driving required for the position?

• Will you provide a vehicle?

• Will you pay for insurance/gas/oil and general wear and tear if personal vehicle is used?

• Describe what the neighborhood is like?

• Are there children nearby of the same age as your children?

• Are there any other nannies nearby?

• How far away are shopping areas, etc.?

• What types of facilities are available?

• What are they like?

• What is the exact salary?

• Is there a benefit package?

• Is health insurance included in the benefit package?

• How many paid/unpaid days/weeks of vacation are provided per year?

• Are holidays given off with pay?

• Are you working with any other agencies?

• What is your time frame?

FOR LIVE-IN ARRANGEMENTS:

• What are the living arrangements like?

• Will the nanny have a private bath?

• Where are the nanny's quarters located in the house?

• Are visitors allowed during time off?

• When off duty, may nanny come and go at will?

• What will be the nanny's two consecutive days off? When do they begin and end?

If you are not familiar with the location of the Family address, you may want to find out what countythey live in by going to Online Highway at: www.ohwy.com and clicking on your state. There you will finda list of the cities, and when you click on the specific city, it will tell you the county and theneighboring counties. This knowledge will help you as you receive Nanny candidate files.

The next time that you speak with the Family should be to tell them that you have found a possibleNanny candidate, and you are sending the file to them. Along with the Nanny candidate’s file, youshould send the Nanny Taxes information (Appendix A), the Nanny Interview Questionnaire(Appendix B) and the Nanny/Family Work Agreement Sample (Appendix C) for their use.

Finding Nannies

It takes time to establish a suitable pool of Nanny candidates, and to have a rapport with them. Thereare several sources available to build your database of Nanny candidates:

• Nannyville• A Nanny On The Net• Newspaper ads

NANNYVILLE:

• Go to (http://www.nannyville.com/admin_bridge_page.html) This link will bring you to the searchpage. Click on ‘Review/Approve Nanny Candidates.” You will be asked for a username, which is‘nannyvillecom’, and a password, which is ‘nannyv’.

• In the Basic Search area at the top, put in the position, state, etc., and begin your search. Forinstance, if you are looking to for a Nanny candidate in New Jersey, you would put:• Position: Nanny• Job Location: New Jersey• Live In (or Live Out)• Start Search!

• Then a list of available candidates will come up for you to review. You can sort your result list byExperience, Start Date, Age or Location. Now you should have a listing of possible candidates foryour area. Each one is clickable, and you can view the rest of their information. When you findpossible candidates for your area or positions, you can ‘cut and paste’ their information into aseparate word-processing document, and print each one out. Or you can just print their page onNannyville, but it uses a lot of ink that way.

• IF you find a likely candidate, find out where they live in relation to the area you serve by doing anonline search. First, find out what county they live in by going to Online Highway at: www.ohwy.comand clicking on your state. There you will find a list of the cities, and when you click on the specific

city, it will tell you the county and the neighboring counties. This will help you to determine if thecandidate lives in close proximity to the Family. To find out just how much distance there isbetween the Nanny candidate and the Family, go to www.mapquest.com and click on DrivingDirections. Fill in the two addresses (Nanny candidate and Family), and MapQuest will provideyou with set of driving directions, and most importantly, at the very top, it will tell you the distancebetween the two addresses. This will help you to determine if they are within a comfortable drivingdistance or not.

• IF your candidate looks like a match, call them as soon as possible. Tell them you are with ANanny On The Net (ANON), that we own Nannyville, and that you have a position that may suitthem. Ask them to go to ANON and fill out the free Nanny application. Advise them that when youreceive the application, you will be calling to interview them. If you cannot reach them by phone,you can email them and explain that you may have a position for them. The following is a possiblescript to use when calling (or emailing) Nannyville candidates:

• “Hello! My name is XXXX, and I am a placement counselor with A Nanny On The Net.Since Nannyville is owned by A Nanny On The Net, I thought I would (write/call) to tell youthat I have reviewed your application and may have a position that will fill your needs.

If you would like us (A Nanny On The Net) to represent you in finding a position, at no costto you, then you will need to go to our website and fill out our online Nanny Application.Once that is received in the office, I will call you and find out a little bit more about you andthe perfect position you desire! Then, it is just a matter of checking your references, andsending your file to a prospective family.

If you are interested in having a Professional Nanny Agency represent you, please fill outour online Nanny application, found on our website at:

• Once you receive their online application (ANON home office will forward to you) and havereviewed it for accuracy, call the candidate again and do a complete interview (see Appendix D).Review their application before the interview, and familiarize yourself with some of theirinformation, to show that you have a genuine interest in them and their work. You want to find outmore about them and their needs (what area do they want to work in, what are their salaryrequirements, and anything you feel needs to be discussed), in order to build a strong relationshipwith them. Ideally, you should know all there is to know about them, so that you can place themwith a family that you already have in mind.

• Be sure to get 3 references from the Nanny candidates. If they are not families, then perhaps afellow worker from a daycare, preschool or school. It is more desirable to have the names of fellowworkers rather than supervisors or principals. You will want to ask about their work habits, how

they are with children, what discipline methods they used, and questions such as these.Supervisors or principals may only be able to tell you that they arrived at work promptly, and had 3sick days. Co-workers are best for references.

• CALL each reference, using the Reference Form (copy below), which is attached at the bottom oftheir online application. You can print out this copy for a working copy, and fill in the applicationonline after the interview.

• Email the Nanny candidate’s application and References to the Family, along with the otherAppendices mentioned previously. Advise them to call the Nanny and make an appointment assoon as they can, and to call you afterwards.

A NANNY ON THE NET:

• You will be forwarded any Nanny candidate applications for your territory as soon as they arereceived in the Corporate Office.

• Call Nanny candidates and interview them by phone, using the Nanny Interview Questions(Appendix X) along with the online application.

• Once you receive their online application (ANON home office will forward to you) and havereviewed it for accuracy, call the candidate again and do a complete interview (see Appendix D).Review their application before the interview, and familiarize yourself with some of theirinformation, to show that you have a genuine interest in them and their work. NEWSPAPER ADS:

• If you need an ad placed in a local newspaper because you do not have any suitable candidates,you will need to notify the Corporate Office no later than Wednesday afternoon. The ad will run onthe weekend, so be prepared for many applications on Monday!

• To find applicants in your local newspaper, consult the Classified section, and search for PositionWanted ads. Often, in large cities, Nannies will place ads about themselves, when looking for aposition. If you find a Nanny that seems promising, you will need to call or email and ask them tofill out an online application with ANON, to start the process.

• To find applicants in local newspapers for an area you are not familiar with, begin a search online.Using a search engine, use the name of the city or town and ‘newspaper’ or ’online newspaper.’Many times newspapers have their classifieds online and they are searchable for free.• For example, if looking for ads in the Virginia Beach area, I put in ‘Virginia Beach, newspaper’

in a search engine. The very first ‘hit’ is “PilotOnline.com” the local newspaper. Then eitherbrowse their classified ads, or use their search engine on the site—most sites have thisfeature.

FOLLOW UP! FOLLOW UP! FOLLOW UP!

• We strongly encourage you to follow up with the Family, to check if they received the onlineapplication and attachments. Ask when the interview will be. Be friendly and positive, building onyour good rapport, as they may return to ANON when their contract is up!

• Follow up with the Nanny candidate, after the interview, to see how they feel about the family.• IF the Nanny has NOT heard anything after a couple of days, call the family to see if there is

anything that you can do to help them. Ask if the Nanny candidate was suitable. They may have adifferent type of candidate in mind—try to find out if they are reluctant about hiring the candidate.Hopefully, you will not need to ask these type questions because the initial Family Interviewcovered everything needed to place a top-notch qualified Nanny with them! ☺

• IF during your follow up conversation they tell you they have decided to hire the Nanny candidate,you need to collect payment and do a Background Check.

• Ask the family how they would like to pay the Finder’s Fee? Offer Visa, MC, and Paypal.• Background checks will be done for all placed Nannies, through U. S. Information Search.

(See Appendix D) You will need to establish your own account with them.• Follow up in a week, once Nanny is placed and starts working. Call the Nanny to see if it is a good

‘fit’ and also call the Family—separately.

The following Appendices contain the forms you will use in placing Nannies with Families, such as theNanny/Family Work Agreement. To print out a specific form or number of pages, follow these steps:

• Go to the File Menu• Click on ‘Print’• Check “From pages”• Fill in the range of pages• Click ‘Ok’

Appendix B

Payroll Taxes & Insurance

According to the IRS, any Nanny that works in the home of a family is an employee. As such, parentemployers are legally liable to withhold Federal Income Tax, State Income Tax, FICA (socialsecurity), and Medicare taxes (Plus some small taxes like Disability or Workers Compensation ifapplicable in your state) from the Nanny’s wages. These are called the Employee taxes. In addition tothese taxes, the parent employers must pay additional taxes: the other half of FICA, FederalUnemployment and State Unemployment. These are called Employer Taxes. (One exception to thisemployee rule is a temporary Nanny who does not earn more than $1400.00 in one calendar yearwith one family. They do not have to have any taxes withheld, but they do have to pay them in April)

There are a few ways to do Nanny payroll taxes:1. Solo (with IRS www.irs.gov & State forms, see below)2. Use an accountant3. Use Nanny Payroll software (www.nannypay.com)4. With a Nanny Tax company that will do it all, including timely filings and reports:

IF the family chooses to do the Nanny payroll taxes solo, they will need to do the following:• Get Publication 926, Household Employers Tax Guide, which also includes

addresses of State Unemployment Offices, and Tax Tables for FICA and Medicarein the back.

• Get Schedule H, Instructions for Household Employers, which includes instructionsfor completing the W2 and W3.

• Get Form SS4, Application for Employer Identification Number (EIN)• Get Form I9, Employment Eligibility Form• Get a W4 Form, to determine how much Federal withholding is to be deducted from

wages• Get a State Tax Withholding Exemption form for their state (such as VA4), using the

addresses found in Publication 926.• Get the new IRS booklet, Publication 15-T, which includes the newest tax tables

available.

There is a great deal of reporting involved in being an employer, but there are benefits for allinvolved:

• Nannies will have a salary history, so they will be able to establish credit, apply forcredit, buy cars and homes.

• Builds social security for retirement—Nannies want to retire eventually!• There are tax benefits to being an Employer.• There are tax benefits to be taken for the care of children.

Appendix DBackground Searches

To open your own account with US Information Search, within the ANON account, you need to takethe following steps:

• Go to: www.usinformationsearch.com• On the top right, you will see a box called ‘Member Login” Put in username: ‘nanny1’ and

the same for the password. Click Login.• On the top left, you will see a tab that says, “My Account.” Click on that, and then on the

link for “Users.”• The ‘Add User” window automatically opens. Fill in the information about yourself and your

account. Click “Active.”• In ‘Sending Results” the Result Email is YOUR email with ANON. The Result Fax number

is 1-866-436-0222.• “Result Delivery Method” click on “email”• “Result Delivery Timing” click on “Send Immediately.”• Add User. Now you have established your account!

To order Reports, click on the top left tab that says “Order Reports.” You will only be ordering thefollowing two reports for each placed Nanny:

• Statewide Criminal• Driving History

You will need to have the Nanny candidate’s most current address, and social security number toorder these reports. If the Nanny has recently moved to a different state or city, you will need thataddress also, for the Statewide Criminal check. You will be prompted for this information. Submit, andyour report will be sent to you within 24-48 hours.
