The team can also now shortlist suitable candidates more efficiently, filter out unsuitable candidates sooner and report on key metrics, thanks to a centralised location for all data. Time consuming, paper based processes Stagecoach have an in-house recruitment team, part of who’s remit is to recruit bus drivers and a small amount of engineering and support staff. They currently have 250 vacancies just in London alone. Stagecoach needed a good background system to support and enhance the process of getting the right candidates through the door. Prior to implementing aCloud Recruitment, the entire process was paper-based, with applicants sending through application forms, and the recruitment team then writing back to them. This led to delays and sometimes inefficiencies in the system. Stagecoach London were spending two days a week just writing to people. Alongside this, there were also postage costs and stationery costs. “Previously, the recruitment process was very disjointed and people applying for Stagecoach Manchester opportunities were having different criteria applied to those applying for positions at Stagecoach London. Therefore, we took the opportunity to get the 18 UK Bus companies together so we all had one overall criteria for the role of bus driver, no matter where the role was,” explains Ricky Sicklemore, Communications and Recruitment Manager. Stagecoach carried out a competitive tender and following a demo, selected the applicant tracking software, aCloud Recruitment, from the Access Group. Streamlined processes Since implementing aCloud Recruitment, Stagecoach has seen an almost immediate positive impact. As an organisation they are much more streamlined, have total visibility of their whole process, and have gone as paperless as possible, including putting references onto the online system. The recruitment team can now book interviews within five or ten minutes of the application coming through, and aCloud Recruitment automatically sends the applicant an email. The whole team is benefitting from the software. Ricky says, “It’s just made everything easier. We are not going through drawers to find a particular application form, as it’s all on a central system. Anyone in the team can just find that person’s application and add notes. Therefore, if there are any queries, anyone who deals with that applicant can find out the latest information without trawling through lots of paperwork. Everything we need is just there instantly.”

Stagecoach’s biggest pain point was sending out letters, and that has been replaced with emails from within the system, leading to a significant saving in terms of both time and cost. The letter writing process has gone from taking two days to taking just minutes. “As we’re having conversations with candidates on the phone, we’re also booking in interviews on the system at the same time. By the time they have put the phone down we’ve sent them an email with all the information they need for the selection day or for starting work with us,” continues Ricky.

The impact on Ricky’s role in particular has been immediate, “Shortlisting candidates is so much quicker now, and aCloud Recruitment automatically dismisses applicants who don’t meet the required criteria, so we find we’re not turning a lot of people down once they get through the early stages because the software has already sifted out the unsuitable candidates. Also, the selection is ‘blind’ so there are no unconscious bias issues because the shortlisting is automated against set criteria”

Modernising the business

The implementation of aCloud Recruitment marked a system change for the organisation, as well as a wider opportunity to modernise the business. Not long after putting in aCloud Recruitment, Stagecoach implemented an intranet, meaning the candidate to employee experience has improved further. New employees are now able to access communication streams within the business, starting with the communications they receive through aCloud Recruitment when they apply, and then continuing when they are part of the Stagecoach team.

In addition to the improvements to the recruitment process, Ricky and his team have found the reporting functionality to be hugely beneficial. There is a big initiative at Stagecoach to get more women into the industry, and by looking at male/female splits within aCloud Recruitment, Ricky is able to analyse and report on this. Being able to report on, and address these statistics, is greatly helping boost those figures.

“It wasn’t easy to analyse this before – it was another time consuming manual process, which involved inputting data into spreadsheets, and was open to mistakes. Now the information is available in an instant and it’s accurate,” concluded Ricky.
