2009 Regional MusicLink! The Conservatorium Open Academy and the AMEB (NSW) sponsor music workshops throughout regional NSW called MusicLink! We will help to fund promotion, travel and administration costs for Conservatorium teachers to visit your area and present workshops or master classes that suit your needs.

Community Programs Short courses designed to give adults the skills and knowledge to pursue their musical interests in a collaborative group learning environment. Courses include music theory, arranging and composing, improvisation, vocal performance, blues and jazz piano. Classes may be of interest to teachers who want to upgrade their skills or try something new.

Examination Responsibilities Checklist ■✓

The teacher (or, for private entries, the person over 18 signing the enrolment form) should ensure that they have understood the following responsibilities before submitting enrolments for 2009:

Teacher

■ Inform students and parents/guardians of examination periods and conditions of enrolment as per 2009 Teachers’ Handbook.

■ Ensure that every field of the enrolment form is completed, including candidate date of birth, candidate numbers (if known) and subject codes. The subject code must be checked for examinations where both an old and new syllabus are offered. Please also check full names and spelling to avoid errors on student certificates.

■ Double-check each student’s availability and note any dates to be avoided in the ‘Special Request’ box on the enrolment form before submitting your enrolment.

■ Complete the ‘Special Request’ box on your enrolment form if there are any other factors that may affect scheduling, such as students who may be enrolled for more than one exam, or who have a teacher who is also an AMEB examiner.

■ If Special Provisions are required for any student, please submit medical documentation and details outlining the requirements with your enrolment. Medical certificates or letters regarding illness will not be accepted by examiners at the examination.

■ Cross-check that the examinations itemised on your enrolment form match the total of the ONE cheque, money order or credit card payment you have stapled to your form.

■ Photocopy your enrolment (both sides) for your records, then post or hand-deliver to AMEB (NSW) before the closing date for your examination series.

■ Thoroughly check your Confirmation of Enrolment when it arrives, ensuring candidate names are correctly listed, and examination codes and grades are correct.

■ Keep track of the progress of your enrolments through your connection to our online teacher access system, AMEB Connect: www.ameb.nsw.edu.au

■ Contact AMEB (NSW) if your examination notices have not been received by the commencement of your nominated examination session.

News in 2009

Clarence Street Studios AMEB (NSW) has ten new examination rooms now open in the heart of the CBD. Just a few minutes walk from Wynyard Station, the Level 8 studios at 117 Clarence Street are all equipped with new pianos. They allow more control over the quality of room and piano for examinations and they are also available for hire. This expansion offers our candidates a wonderful new facility for their Sydney examinations. Please note that examinations in suburban private studios will still be offered on weekdays.

Music Craft examinations now held in May and August Due to the growing interest in Music Craft, examinations will be offered in both the May and August Written examination periods from 2009. If you wish to purchase any past papers for Music Craft, Theory of Music or Musicianship to assist in your exam preparation, please download an order form from our website (www.ameb.nsw.edu.au/publications).

Pianoforte, Clarinet and Saxophone – New Syllabuses for 2009 2009 sees the introduction of new syllabuses for the above instruments, complete with revised Manual Lists, new Technical Work Books and new Series Grade Books, which will be available for every grade – including Eighth Grade. Until further notice, candidates and their teachers can nominate to undertake an exam on either the old (2008) or new (2009) Syllabus for these instruments. Please ensure that you enrol your piano students for the correct syllabus according to the codes detailed on page 34 of this handbook. See Federal News on page 30 for more details.

Later First Metropolitan Closing Date for Schools To assist the many government and registered non­government schools that enrol their students for AMEB examinations, we now offer schools a later closing date for First Metropolitan Series (06) enrolments. Please note that the 6 March 2009 closing date for Series 06 is only applicable to enrolments where a government or registered non­government school is listed as the enrolling teacher. The earlier closing date of 20 February 2009 will apply to all enrolments under individual teacher names.

Where have the Examination Tables gone? The tables that include all important dates for 2009 Practical and Written examinations have been transferred to the middle pages of this handbook. As this resource is the most­read section of the annual handbook, this central placement allows ease of reference – or even the option to tear these centre pages out for display on the wall of your teaching studio.

Reminders By signing the enrolment forms and entering candidates for examinations you have agreed to abide by the regulations contained in this handbook and on the AMEB (NSW) website. If you are enrolling students for examinations, it is your responsibility to inform your students and their parents or guardians of all the conditions of enrolment and the examination requirements.

Check dates carefully before submitting your enrolment. You should be prepared for your students’ examinations to be scheduled at any time during the advertised periods. Please be aware that some of these dates fall at the beginning or end of government school holiday periods and you should therefore advise your students of the possibility of being scheduled on those dates. To avoid incurring additional fees, please double-check that candidates and their parents/guardians have notified you of all dates that must be avoided during your advertised examination period.

We endeavour to assist our candidates by avoiding the dates specified by the teacher in the Special Request Box on the enrolment form. This service is offered free of charge to encourage a streamlining of the administration involved in processing your enrolments. However, a fee of $22 per candidate per examination will be charged for any special request that is not written on the original enrolment form.

Special requests will not be accepted less than two months before the commencement of the relevant examination series or postcode period. Further information regarding AMEB (NSW) policies can be found on our website (www.ameb.nsw.edu.au) under Examinations, Policies.

Avoiding other additional fees The AMEB (NSW) is not responsible for delays caused by the postal services. To allow for any irregularities and to avoid late fees, it is best to allow a few extra days before the due closing date for enrolments to ensure that the forms reach us in time. Envelopes postmarked after the closing date will incur a late fee.

Your path to AMEB Diplomas The AMEB examination system divides examinations into three categories: Levels One, Two and Three.

Level One examinations cover Preliminary Grade through to Fourth Grade inclusive.

Level Two examinations are incrementally more challenging and demanding. This level includes Fifth Grade to Eighth Grade, and for many instruments is often capped with the Certificate of Performance.

Level Three examination success leads to the prestigious Associate, Licentiate and Fellowship Diplomas.

Preparing for the AMusA Practical Examination Teachers and private entrants are advised to carefully read the objectives for the Associate examinations listed in the 2009 Manual of Syllabuses before entering for the examination. The Associate Diploma is highly respected in the international music community and recognises a sophistication of musical understanding and performance abilities that are well above the requirements for Eighth Grade. The success rate for AMusA is much lower than for Grade examinations. To avoid disappointment, it is therefore suggested that teachers who are presenting candidates at Diploma level for the first time obtain advice from an experienced teacher beforehand.

The AMEB (NSW) Conferring of Diplomas Ceremony Successful Associate, Licentiate and Fellowship candidates will be invited to attend the annual Diploma Presentation Ceremony. The ceremony at which diplomas will be formally conferred upon candidates who successfully complete all requirements in 2009 will be held in early March 2010.

The Diploma Presentation Ceremony is a wonderful opportunity to formally recognise a musician’s years of dedication and musical achievement and to celebrate this moment with his/her peers, teacher, family and friends. Gowns are available for hire from AMEB (NSW) and stoles can be purchased. This academic regalia can be worn for all future academic ceremonies you may attend.

A successful candidate who is not able to be present to receive his/her award in person will be admitted ‘in absentia’ to the diploma and the certificate will be mailed in March 2009.

Enrolment Forms NEW enrolment forms must be used in 2009.

Enrolments will not be accepted on anything other than the official Enrolment Form. A customised form is sent to teachers who enrolled candidates in 2008. Blank enrolment forms for new teachers, and for additional enrolments, are also available by contacting the Office, or may be downloaded from the website. Photocopies of the enrolment form will also be accepted.

Enrolment forms faxed to us will be shredded – do not fax your enrolment.

Personal details

• To assist us in eliminating duplicates in our database, the title, date of birth, gender and full names are recorded for both teachers and candidates.

• Please ensure that your enrolment information is double-checked, and neatly printed so that we can maintain accurate records.

Candidate number and subject code

• Please ensure that all known candidate numbers are included on the enrolment form.

• Please include the correct subject description and subject codes against each candidate’s name.

Written examination enrolment forms

Separate enrolment forms are necessary for country and metropolitan enrolments.

Payment

• Please submit only one cheque, money order or credit card authorisation per teacher to cover all accompanying enrolment forms and all candidates – please staple this to your submissions.

• Please note that orders or enrolment forms will not be processed until the cheque/money order/credit card authorisation has arrived at the AMEB (NSW).

• The AMEB (NSW) does not accept payment of fees by cash or EFTPOS. For security reasons faxed or emailed enrolments will not be accepted.

Please ensure that enrolment forms and one SINGLE PAYMENT are submitted by the due date to:

A Step-by-Step Guide to Your Enrolment Form Please ensure that each of the following sections is completed on all enrolment forms. Enrolling teachers should complete the Responsibilities Checklist on Page 3 of this handbook before posting or hand-delivering completed enrolment form(s).

Avoiding Additional Fees Special Requests

Please double-check with candidates and their parents/guardians for any dates to be avoided during your examination period. These dates must be noted at the time of enrolling, on the enrolment form, to avoid incurring Special Request fees.

Late Fees

The AMEB (NSW) is not responsible for delays caused by the postal services. To avoid late fees, it is best to allow a few extra days before the due closing date for enrolments to ensure that the forms reach us in time. Envelopes postmarked after the closing date will incur a late fee.

Front Page Teacher/Person Enrolling Candidate – Number and Details

• The relationship between the enrolling teacher and the AMEB (NSW) takes the form of a contract and for legal reasons the enrolling teacher or person enrolling a candidate must be at least 18 years old. Parents or guardians of younger private candidates may perform the role of ‘teacher’ by completing the teacher details on the enrolment form.

• Please ensure that you provide your teacher number and full details on all enrolment forms.

• If you have not previously enrolled candidates for examinations, the AMEB (NSW) will allocate a teacher number to you upon receipt of an enrolment form.

• Tick the appropriate box if your address has changed since you last enrolled candidates.

• Please include your current email address, and mobile phone number if applicable.

Examination Series – Only one examination series should be listed per form.

Preferred Examination Day – please indicate in the appropriate box whether your candidates would prefer to be examined on a weekday or a Saturday. If your candidates must be examined in different locations, use a separate enrolment form for each preferred area.

Private Studio Section – if you wish your candidates to be examined at a private studio, fill in this section.

• If the studio belongs to another teacher, or you wish to use a particular school or convent, you must obtain permission from the person or institution involved before enrolling candidates.

• Any hire costs for a private venue or studio must be met by the client.

• Include the Teacher Number of the teacher whose venue will be used in the space provided.

• A minimum of four hours of examining time per instrument category must be available at a studio before the AMEB (NSW) will assign an examiner to that studio.

• The AMEB (NSW) reserves the right to alter the location of the examination to facilitate the provision of an examiner.

• If your studio is suitable for examinations (see criteria on AMEB (NSW) website), please indicate its availability on the enrolment form in this section. Private studios shall be scheduled on weekdays only.

Fees

• Faxed or emailed enrolment forms cannot be accepted for security reasons.

• Enrolment forms without full payment or credit card authorisation will not be accepted, and your enrolment form will be returned. Part payments will not be accepted.

• Enter the total amount of enrolment fees, including any late fees, for each enrolment form.

• Fees cannot be transferred from one candidate to another or from one year to the next.

• We accept payment by credit card (Mastercard or Visa only), a single cheque or a single money order. Cash payments will not be accepted. Please staple your single payment to the enrolment form. If you pay by credit card the authorisation must be completed.

• If for any reason a cheque or credit card is not accepted by the bank, a fee of $15 (including any applicable bank fees) will be applied to each transaction.

Certification

• It is essential that the person who completes the Teacher/Person Enrolling Candidate Details section of the enrolment form also signs and dates the form, certifying:

– their awareness of the conditions of enrolment

– their agreement to abide by the regulations and the examining requirements in the AMEB (NSW) 2009 Teachers’ Handbook and the 2009 Manual of Syllabuses, and the policies on the AMEB (NSW) website (www.ameb.nsw.edu.au)

The following items of information are essential for accurate records, correctly produced documentation (including Certificates), and the computerised history of the candidate’s results. If incorrect information is received, candidates may be issued additional candidate numbers. This may then result in the delayed release of certificates and a lack of examination history for the candidate.

• Candidate Number

– Use the candidate’s number from previous examinations.

– If this is the first enrolment, the candidate will be issued with a number. This number is to be used for all future examination enrolments, whether practical or written, regardless of teacher.

• Candidate Name

– Check with candidates and their parents to ensure that the candidate’s full name is registered on enrolments, including middle names.

– Include a title (Mr, Ms, Mrs, Miss etc) for each candidate.

• Date of Birth (DOB)

Confirm and list the candidate’s correct date of birth to ensure accurate linkage to the candidate’s AMEB records.

• Sex

Enter M (male) or F (female) for each candidate.

Group Examinations

• One group name only (not individual members) on enrolment form, for all Group Examinations.

Subject codes

• Each syllabus/subject/grade has been given a subject code that is listed at the back of this handbook. Enter the subject code for each candidate under ‘Candidate Details’ on the enrolment form.

• Pianoforte, Viola, Clarinet and Saxophone offer an old syllabus and a new syllabus (NS). It is extremely important that the correct subject code is written on the enrolment form and the correct syllabus (old or new) is prepared according to the subject code nominated.

Special Requests (‘SR’ on the enrolment form)

• Special requests must be in writing in the box provided and submitted by the enrolling teacher only. This service is offered free of charge to encourage a streamlining of the administration involved in processing enrolments.

• Please consult candidates and parents regarding any dates they will be unable to attend examinations during the relevant examination period and advise the AMEB (NSW) at the time of enrolling.

• You may not request specific examination dates and times, but you may indicate dates that are NOT possible for your candidates.

• Requests that are not included on the enrolment form will incur a fee of $22 per candidate per examination. Requests will not be processed without the accompanying fee.

• Special requests may not be accepted less than two months before the commencement of the relevant examination series or postcode period.

• Requests for examinations in the Second Metropolitan Series to be held outside the teacher’s postcode period will incur a transfer fee of $55 per candidate, up to a maximum of $220 per enrolment form.

• Requests regarding the scheduling or non-scheduling of specific examiners will not be considered, unless a candidate has been or is being taught by an examiner (see the following page for further information).

• Please indicate if any of your candidates are enrolled for more than one examination in a series (with different teachers), or are also enrolled for a written examination to be held during your examination period.

• Please indicate if you wish siblings to be examined consecutively, as examinations are usually arranged by grade.

• While we do our best to satisfy any special requests, we cannot guarantee that this will always be possible as we are dependent on the availability of venues and examiners and on time constraints.

• Please keep all special requests as brief as possible.

Additional Notes Candidates who have been taught by an AMEB examiner

• Candidates who enrol for an examination, who are, or previously have been, taught by someone who is an AMEB examiner, should indicate this in the Special Requests section of the enrolment form. This information will ensure that the examiner is not scheduled to examine his/her own candidates, either past or present. If rescheduling is necessary due to a candidate’s failure to indicate this information on your enrolment form, additional transfer fees may be charged.

School Examinations

• If any of your candidates are likely to undertake NAPLAN Tests, School Certificate Tests, Higher School Certificate examinations or other important examinations or have school commitments during your scheduled examining period, please state the dates to be avoided in the Special Requests section of the enrolment form. The information printed inside the front cover of this handbook can assist you in determining these dates.

FMusA/FSDA

• FMusA and FSDA candidates MUST submit their proposed programs to AMEB (NSW) no later than 30 April, 2009. Once these programs have been approved by the AMEB, candidates will receive a program approval letter.

• Photocopies of prerequisites MUST be attached to the enrolment form (refer to the 2009 Manual of Syllabuses).

• Program notes for FMusA examinations should be forwarded to the State Office by email in Word format no later than Friday, 14 August, 2009.

LMusA Program Approvals

• If a program approval is needed, it should be attached to the enrolment form. No requests for LMusA program approvals will be accepted after 31 July, 2009.

Confirmation of Enrolment You will receive a computer-generated confirmation of your enrolment(s) as soon as practicable after the information has been processed.

The Confirmation of Enrolment provides the opportunity for teachers to double-check that all information relevant to their candidates has been accurately recorded. Please advise us of any errors immediately. Failure to identify an anomaly on the Confirmation of Enrolment will result in errors on all subsequent documentation concerning that candidate. The spelling of the name on the Confirmation is as it will appear on the certificate. Replacement certificates will incur a fee of $27.50 each. It is not possible to substitute alternative candidates at this stage. Please note that the Preferred Venue listed on your Confirmation of Enrolment may be changed, subject to suitability and availability as set out on page 16 of this handbook. If you have NOT received a Confirmation of Enrolment within two months of the closing date, please telephone the AMEB (NSW) to check the status of your enrolment.

The Confirmation of Enrolment is your tax invoice and only official receipt from the AMEB (NSW).

Refund Policy The AMEB (NSW) enrolment, examination preparation and scheduling processes incur significant costs for the AMEB (NSW), irrespective of whether candidates actually present on the day of their examinations. However, if a candidate wishes to withdraw from their examination, the withdrawal must be submitted in writing and will be considered under the following conditions:

• A full refund (less $20 per candidate per examination administration fee) will be issued if a written request is received before the Series closing date or at least 3 months before the commencement of the relevant series (for Series 04), regional practical examination period (for Series 02, 08), or postcode period (for Series 03, 10).

• A 50% refund will be issued if written advice of withdrawal is received as follows:

– Written Examinations (Series 01, 05) – at least 1 month before the commencement of the particular series (see page 24).

– Practical Examinations – at least 2 months before the commencement of the relevant series (for Series 04, 06, 09), regional practical examination period (for Series 02, 08), or postcode period (for Series 03, 10). See middle pages of this handbook for dates.

Practical Examinations Practical Examinations are conducted in accordance with all syllabus requirements set out in the 2009 Manual of Syllabuses and in accordance with the policies and procedures in this handbook.

Notice of Practical Examination The Notice of Examination is the confirmation of the examination date. Every effort will be made to ensure that a Notice of Practical Examination for each candidate is dispatched to the teacher/private candidate approximately four weeks before the examination. These Notices must be given to candidates for presentation at the examination venue. The AMEB (NSW) is not responsible for delays caused by the postal services. Our website provides provisional examination dates as soon as they are scheduled. You can check these provisional dates via the AMEB Connect section of our website (www.ameb.nsw.edu.au).

It is possible that your candidates’ examinations may be scheduled on a weekday or Saturday. It is also possible that examinations may be scheduled during school holidays. Please check carefully the day, date, venue and studio number (if applicable) on your candidate’s Notice of Practical Examination.

Additional teacher responsibilities • Have your students’ instrument correctly

assembled and tuned before entering the examination room.

• Arrange for an accompanist (where applicable) and cover any costs involved.

• Advise candidates undertaking practical examinations that they MUST have all the music required for performance, in the appropriate order, at the commencement of the examination.

Other examination matters for the teacher to note • Teachers are not allowed to alter the examination

schedule for their students under any circumstances. Examiners will only accept schedule alterations initiated by the AMEB office.

• Pre-recorded accompaniment is not acceptable, unless specified by the syllabus.

• If a candidate presents a piece of music (other than Extra List) that is not listed in the syllabus for which they are enrolled, their mark will be downgraded.

• Extra List pieces for Grades 2 to 7 may be selected from any source, provided they have an educational value similar to that prescribed in the syllabus. (See section on General Requirements for Practical Examinations in the 2009 Manual of Syllabuses.)

Postcode policy – Second Metropolitan Series Due to the large number of candidates entered for the Second Metropolitan Series of Examinations it is necessary for the AMEB (NSW) to divide the examinations into different periods. The teacher’s suburb as indicated on the enrolment form will be used to schedule that teacher’s candidates into a particular postcode period. Postcode periods are indicated on the middle pages of this handbook and, in order to provide continuity for teachers and candidates, they do not change from year to year.

Regardless of a teacher’s post office box postcode, their students will be examined according to the postcode of the teacher’s suburb. In the event that your teaching studio address is different from your mailing address, you should indicate this clearly by attaching a letter of explanation to the enrolment form. In this event the postcode period will apply to the teaching studio address.

If you have candidates who live in various areas in Sydney, please request that they be examined at a city venue. For teachers who change address between enrolment and examination, the postcode at enrolment will apply.

Private studios

The majority of private studio examinations will be scheduled on weekdays. There must be a minimum total of four hours examining per instrument category before an examiner may be scheduled to examine at a private venue or studio. If teachers using a venue have a combined total of less than four hours examining, the AMEB (NSW) will organise another venue for the examinations. It is the responsibility of the visiting teacher to ensure that the private studio is available and appropriate for your students’ examinations. It is expected that candidates and visiting teachers will respect the facilities at the examination studio, by waiting only in the area directed by the host teacher, leaving the premises upon completion of examinations, and not interrupting examinations in progress. If you elect to have your students examined at another teacher’s private studio your contact details may be given to the venue owner.

Please note that recording any part of any AMEB examination is not permitted.

Federal examinations

Federal music practical examinations (LMusA, FMusA, LTMusA) will be held at a Sydney metropolitan venue to be determined by the AMEB (NSW).

Examination Reports

Envelopes are addressed: ‘To the Teacher’

At all venues, at the conclusion of each grade examination, the examiner will hand the report to the candidate in a sealed envelope, to give to the teacher, who will convey the result awarded. This allows teachers to convey the examiner’s feedback in a supportive and positive way. It also provides a more appropriate setting without the distraction of other candidates who are awaiting their examinations. These envelopes are not to be opened by the student. If the teacher is present at the examination venue he or she may request that all reports be handed to the teacher at the conclusion of that teacher’s examinations.

Diploma reports are dispatched from the AMEB (NSW) after results and additional requirements have been verified. Results for all examinations are also available through the AMEB Connect section of our website. Please note that these results are available only to current teachers of the candidates concerned and to the candidates themselves if the teacher has provided them with access. Diploma results will not be given to anyone over the phone.

Queries and Complaints

AMEB examinations are conducted as a formal process on a strict timetable. In order that other candidates are not disadvantaged, it is not possible for examiners to discuss reports or other examination issues with teachers, parents or candidates at the examination venue.

Queries or objections regarding any examination results or examiners must be set out in writing and addressed to the State Manager. Verbal objections will not be accepted and no complaint will be considered more than ten days after receipt of the examination report. Letters of complaint concerning an examiner will be forwarded to that examiner for comment, after which a response will be issued by the State Manager.

Trainee Examiners

A trainee examiner may be present during grade examinations. This examination experience is vital for trainees in order to maintain the high examining standards of the AMEB. In such an instance, the candidate will receive the Supervising Examiner’s result and written report.

Diploma Examinations

Diploma examinations require two specialist examiners. In instances where it is not feasible to schedule two examiners in a regional area, AMusA candidates will be required to travel to Sydney during the period 26 September to 16 October 2009 to be examined. LMusA and FMusA examinations are held in Sydney during September and October 2009.

Candidates are advised that they must bring a copy of their music so that the examiners can refer to the edition from which the candidate is working.

Provisional Enrolments

Provisional enrolments will not be accepted for practical examinations.

Non English-Speaking Candidates

Non English-speaking candidates who wish to have an accredited interpreter present at their exam must apply to the AMEB (NSW) in writing. The cost of the interpreter service will be the responsibility of the

candidate. Accredited interpreters may be contacted through the Language Services division of the Community Relations Commission of NSW on 1300 651 500.

Candidates Requiring Special Provisions

To ensure that the examination process is accessible to all, provisions may be made for candidates with special needs. Our policy may be found in the ‘Policies’ section of our website (www.ameb.nsw.edu.au). Please forward a copy of the candidate’s medical documentation to the AMEB (NSW) office with, or soon after, their enrolment. Medical certificates or letters regarding illness will not be accepted by examiners at the examination.

Dress Code

AMEB examinations follow a formal and structured process. Candidates are advised to consider the occasion as they would any performance opportunity and dress appropriately in a ‘smart casual’ style.

Photocopies

Composers and playwrights depend to a significant extent on royalty income from sales of their publications, as does the AMEB. Those using photocopies of printed material should ensure that the copies do not contravene the Copyright Act. Unauthorised photocopying is illegal. Photocopies of AMEB publications must not be taken into AMEB examinations. Please also note the relevant paragraph under General Requirements Practical Examinations in the 2009 Manual of Syllabuses. You may change your password once you have logged on to AMEB Connect.

Practical Examination Transfers Examination scheduling is a process that involves a great deal of variables, and the magnitude of this task necessitates closing dates that may be some months before the examination dates. We understand that situations out of your control may arise at short notice. Please be aware that this creates a challenge for all concerned.

Many transfer requests are received by AMEB (NSW) each week, and the processing of these transfers slows down the rate at which we can release completed examination schedules for all candidates.

The transfer process and associated fees are listed below.

Before the examination is scheduled

Transferring between different Series

Candidates may transfer from one practical series to a later series in the same year free of charge (for example, from Series 2 to Series 8, or from Series 6 to Series 3) provided we receive written notification at least two months before the commencement of the series in which the candidate was originally enrolled. A transfer fee will apply if less than two months’ notice is provided. It is not possible to transfer an examination from one year to another under any circumstances.

Transferring to a different postcode period within the Second Metropolitan Series

A written request for a transfer to a different postcode period must be submitted to AMEB (NSW) by writing in the ‘Special Requests’ section of the enrolment form, or by submitting a written request at least 2 months before the commencement of the first applicable postcode period. Except in exceptional circumstances, transfers from the designated period for Series 04 examinations and for Accordion, Harp, Electronic Organ and Organ examinations in the Second Metropolitan Series will not be permitted.

Enrolment for candidates wishing to transfer from one postcode period to another in the Second Metropolitan Series must be received by Friday 12 June regardless

of the periods involved. You must state the desired postcode period to which the examination is being transferred. You must also include a cheque, money order or credit card authorisation to cover the transfer fee of $55 per enrolment per candidate to a maximum fee of $220 per school/teacher/enrolment form. This fee covers costs involved in transferring candidates and applies no matter when the request for transfer is received.

After the examination is scheduled In order to keep costs at a minimum, it is not possible to arrange alternative dates for practical examinations once the date has been scheduled for any reason other than on substantiated medical, religious, school endorsed educational grounds, verified work related grounds or relevant generally recognised days of cultural significance. No other grounds for transfer will be considered.

If a candidate is unable to attend his or her practical examination because of one of the above reasons, an alternative date may be offered, provided that:

• venues and examiners are available;

• a written request for a transfer has been submitted to the AMEB (NSW) no later than two weeks after the scheduled examination date, including :

– a medical certificate or other documentary evidence, such as a letter from the candidate’s school or employer, which covers the date that the examination was due to take place

– an indication of when the candidate will be able to undertake the examination

– a cheque/money order/credit card authorisation to cover the transfer fee of $55 per candidate per examination for Level 1 candidates and $66 per candidate per examination for Level 2 and Level 3 candidates.

If the AMEB (NSW) is unable to re-schedule an examination while examiners are still in a country region, candidates will be required to travel to Sydney.

Studio Transfers Where a teacher has arranged for examinations to be held in a particular studio in the Second Metropolitan Series, the postcode period of that studio will apply for examination scheduling. If a studio has applied for a transfer to another postcode period, all students attending that studio will be examined in the nominated period.

Practical Examination Transfers

Before the examination is scheduled $55 per enrolment per candidate $220 per school/studio (maximum)

After the examination is scheduled (medical, religious, $55 per examination per candidate (Level 1) cultural, educational and/or work related grounds only) $66 per examination per candidate (Level 2 and 3)

These fees are inclusive of GST and are non-refundable.

Privacy Policy The AMEB (NSW) and the Office of the Board of Studies NSW are fully compliant with the provisions of the Privacy and Personal Information Protection Act 1998 (the Act). Information provided by teachers, candidates, examiners and other employees of the Office of the Board of Studies NSW is collected, stored and administered in accordance with the Act.

Personal details supplied by teachers, candidates, examiners or other employees are not provided to individuals or organisations outside the AMEB (NSW) or the Office of the Board of Studies NSW without the express permission of those concerned. For this reason you must ensure that you supply the AMEB (NSW) with teacher and candidate numbers when requesting any information from our staff. The only exceptions to this policy are when the AMEB (NSW) is required by law to supply this information, for example, in response to a subpoena.

In order to fully comply with the Privacy and Child Protection legislation, information regarding examination dates, times and venues will not be given over the phone to anyone. In exceptional circumstances information may be given to the person who has enrolled the candidate for examination. In such instances a series of check questions, including date of birth, will be asked in order to ensure authenticity.

Change of Teacher Teachers should ensure that they only enrol candidates whom they are currently teaching and who have agreed to sit for an AMEB (NSW) examination.

In order to safeguard the interests of all parties, requests to change the teacher listed for an enrolment after the initial enrolment has been processed requires confirmation from the enrolling teacher. There will be a fee of $55 charged to reassign candidates from one teacher to another or from or to private candidate status after enrolment.

A Change of Teacher form may be downloaded from our website. Please complete and forward to the AMEB (NSW) office with your $55 payment.

Please note, a change of teacher does not change the exam period. The exam will still be set according to the original enrolling teacher’s postcode. An additional fee of $55 will apply in order to move the exam to another period. Candidates may not change the enrolling teacher once the examination has taken place.

This policy applies to all AMEB (NSW) examinations.

Written Examinations Written Examinations are conducted in accordance with syllabus requirements set out in the AMEB 2009 Manual of Syllabuses and in accordance with the policies and procedures in this handbook.

Candidates may enrol for two grades of written examinations in the same series providing the examinations are not scheduled at the same time.

Notice of Written Examination A Notice of Written Examination for each candidate is dispatched to the teacher/private candidate approximately two weeks before the examination. Please note the precise time, date and location of the examination. You will receive two notices in the case of Music Craft and Musicianship exams that have an aural and written component.

This Notice must be given to the candidate to present at the examination venue.

Teachers should ensure that their students:

• attend the venue(s) indicated on the Notice of Written Examination

• arrive at the examination venue(s) at least 20 minutes before the scheduled commencement time. Reading time (if applicable) will commence 10 minutes before the advertised start of the examination

• only take pens, pencils, erasers and rulers into the examination room. Any paper product will be confiscated with the exception of an approved English/foreign language dictionary

• do not take mobile phones or computer equipment into the examination

• complete the attendance slip correctly

• check that they receive the correct paper from the supervisor as more than one paper may be issued at the same examination venue

• know that Theory of Music papers are white, Musicianship papers are blue, Music Craft papers are yellow and Speech and Performance Theory is green

• write their correct candidate number on the paper.

Candidates whose first language is not English may use a dictionary in written examinations, providing that the dictionary is foreign language/English.

Candidates should advise the State Office in writing that they intend to use a dictionary when they enrol, outlining their reasons for doing so. The AMEB (NSW) will then provide the candidate with a letter of authorisation that must be presented to the examination supervisor before the commencement of writing. The supervisor will check that the dictionary falls within the guidelines, and that it does not include any other written material.

Before the scheduled commencement of all written examinations (except the Aural component of the Musicianship and Music Craft examinations), ten minutes reading time is allowed. No writing will be permitted during this time. At the commencement of Aural Musicianship and Music Craft examinations, candidates will be given a short listening time, in order to become familiar with the sounds used on the examination CD. At the conclusion of Aural Musicianship and Music Craft examinations candidates will have ten minutes checking time during which writing is permitted.

Manuscript paper for rough working will be provided for all aural and written examinations. The Supervisor will collect all unused working papers; no manuscript paper may be taken from the room. Only the worked paper (and any attached sheets) will be considered for marking. Answers in pencil are only acceptable if they are clearly legible.

Written Venues

Sydney Metropolitan Area

Examinations will be held throughout the metropolitan area in schools, colleges and community halls. Teachers should indicate their preferred examination area on the enrolment form. However, where a nominated examination area is unavailable, or where no preference of area is specified, candidates will be directed to the available venue nearest to the teacher’s address.

The Confirmation of Enrolment will state the teacher’s preferred examination area. Please notify the Board immediately if this area is incorrect. While every effort is made to accommodate candidates in the preferred area, the capacity and availability of venues may require alterations without notice. Please check the venue carefully on the notice of witten examination.

All Speech and Drama candidates may be directed to one central Sydney venue. Music Craft and Aural Musicianship candidates will be directed to central examination venues. Music Craft Aural and Written components will be held on the same day at the same venue, but the Aural and Written components of Musicianship may be held at different venues.

Examination Venues – Country

As a general rule, a minimum of ten candidates per day is required in order for any examination venue to be established. For this reason teachers are advised that they should collaborate with other teachers in their area and enter candidates for the same session in order to ensure a local venue. Teachers must be aware that the preferred area nominated on the Confirmation of Enrolment may vary from the venue finally allocated on the Notice of Examination. Candidates in country areas may be required to travel to the nearest available venue. However, in response to teacher feedback, the AMEB (NSW) agrees that no candidate should travel more than 125 kilometres (each way) from their teacher’s studio to the examination venue on any one day. Students sitting for Musicianship examinations with Aural components, should travel no more than 70 kilometres (each way) from their teacher’s studio to the examination venue on each of the two days involved. If a Musicianship candidate travels further than 70 kilometres (each way) on one day, then the other component of the examination will be held in their teacher’s local centre. If scheduling has already commenced late enrolments may have to travel further than the distances indicated above.

Written Transfers

Transfer of Examinations Between Series

Candidates may transfer from one written series to another in the same year free of charge provided we receive written notification at least one month before the commencement of the series in which the candidate was originally enrolled. A transfer fee of $55 will apply if less than one month’s notice is provided. The AMEB (NSW) must be notified prior to the scheduled examination.

It is not possible to transfer examinations from one year to another under any circumstances.

Issue of Results and Certificates Written examination results and certificates are issued within eight weeks of the examination date. The marked papers of all Theory of Music and Musicianship candidates from Grades 1–3 are returned to the teacher. Candidates for Grade 4 and above and all candidates sitting for Music Craft examinations receive a report from the assessor giving the marks awarded for each section and any relevant comments. No Music Craft papers will be returned to teachers. However, teachers may come to the office to view the papers at a cost of $10 per paper. Arrangements to view papers must be made in advance.

Reassessment of Examination Papers If you believe an error has been made a reassessment can be arranged on the receipt of a fee of $50. In the event that an error is established this fee will be refunded. The criteria for reassessment are limited only to cases of incorrect addition of the marks and/or errors of fact. Requests based on differences in interpretation or professional judgement will not be considered.

All Music Craft papers and papers from Grade 4 upwards in Theory of Music and Musicianship with a result of 63 or 64 will automatically be re-assessed by a second assessor. The reviewed mark will be the mark recorded. The Assessor’s decision is final and no correspondence will be entered into regarding that decision.

Provisional Enrolments Candidates needing an additional requirement of a written component in order to complete their AMusA or LMusA examination, and who enrol in the May series of written examinations, may submit a Provisional Enrolment for the same grade and syllabus for the August series as a safeguard against an unsatisfactory result on the first attempt. This also applies to Speech and Drama candidates who require prerequisites in order to enrol for ASDA, ADPA, LSDA, LDPA or FSDA practical examinations. In the event that the candidate is successful in the first series, a full refund (less $20 administration fee) will be issued provided we receive written notification of the withdrawal by 17 July, 2009. Enrolments for both series must be made at the same time by the closing date for the May written examinations, and the August enrolment must be clearly marked ‘Provisional Enrolment’.

New Syllabuses – Clarinet, Saxophone and Piano

The 2009 Manual of Syllabuses sees the release of three new syllabuses: Piano, Clarinet and Saxophone. These syllabuses will be available for examination in all states from 2009.

Each of these syllabuses has been subjected to a comprehensive review of Manual List repertoire and Technical Work.

Clarinet

Substantial revisions have been made to the Clarinet syllabus, with the addition of a Preliminary Grade and Certificate of Performance examination, as well as greater scope for the examination of bass clarinet.

The Board has published new materials to support this syllabus (see Publications below). The following publications may be used in preparing for an examination with this syllabus:

also now includes a Certificate of Performance examination as the capping examination of Level 2.

The Board has published new materials to support this syllabus (see Publications below). The following publications may be used in preparing for an examination with this syllabus:
